Modules & VBA :: Create Duplicate Records With Incrementing Dates
Jun 27, 2014
I have almost no experience of VBA outside of working a little with codes generated for me like docmd etc.
I am trying to create a database for resourcing staff.
I have a form where the user inputs a start date and an end date which updates a table.
I have a query that works out the number of working days between those dates.
I have a table with all the working dates between now and 2016
I want to put a duplicate record button on the form (I can do that bit)
The tricky part is I want it to create a new record for each date in the dates table between the start and end dates.
Example 23/06/2014-18/07/2014 = 20 working days. I want to end up with 20 records with start dates as below and the same end date.
23/06/2014, 24/06/2014,25/06/2014,26/06/2014,27/06/2014,30/06/2014,01/07/2014,02/07/2014,03/07/2014,04/06/2014,07/07/2014 etc up to 18/07

I am working with a sub-form where once a staff member enters there sub measure I would want to create a duplicate of that record. The problem I am having is that once you enter the sub-form and click the duplicate button it creates a duplicate of the record selected but overwrites the first record in the table. I want it to create a new SubMeasure Number which is the primary key and assigns the record the next available number.
Also if I try to add another record after one has been added I get runtime error "3021" - No current record. I would have to close the form and reopen for it to be able to add again.
I have attached the code below:
Private Sub cmdDuplicate_Click()Dim dbs As DAO.Database, Rst As DAO.Recordset
Dim F As Form
'Return Database variable pointing to current database
Set dbs = CurrentDb
Set Rst = Me.RecordsetClone
[code]....

I have a code that works great from the parent form but I decided to change the format and call it from a lostfocus event in the subform instead. Now I keep getting error 3314:"You must enter a value in the tbGuests.LastName field".
The code should copy the parent form fields and create x number of duplicate records according to a field on sub-form. It then runs an append query to add the information from the subform.
Code:
Private Sub GuestsInParty_LostFocus()
Dim partymsg As Integer
Dim dbs As dao.Database, rst As dao.Recordset
Dim F As Form
Dim intHowMany As Integer
Dim intCounter As Integer
[code]....

See attached picture where I am stuck at?
I have a table that holds UK Postcodes and a customer table that holds customers.
I am trying to create a relationship between the 2 so when I enter a postcode in the customer table this is then related to the postcode table.
The main problem I have is that there is a lot of duplicate postcodes in postcode table so the primary key is simply a number as you will see in the picture.

Is it possible to define 2 dates and create a record for each day in between? I am creating a "sick occurence" database. I want to define the first day the individual calls off sick and the day they will return, then calculate how many sick days they will be using. However, I need to take into consideration any relief days or assigned time off.
Basically, I want to be able to assign what is going on everyday between these 2 defined dates. Be it, holiday, annual leave, personal leave, sick leave, or regular relief. If further clarification is needed, I can go more in depth.

I am trying to create duplicate records from a main form frmManagers which has a subform frmSubMeasure. I have placed the duplicate button on the main form. It creates a duplicate of the main form data and gives me the option to add new record to the sub. I want the duplicate to be created on the sub form for me to just edit the scores.
I don't know how to pass the sub form data to be duplicated I thought the append query which I used would update the tblSubMeasure table which created the subform frmSubMeasure.
In the sub the append query do update the form with the new MeasureID from the mainform and the form is available to enter new data. I want the subform data to be duplicated as well
In the query I included all the fields from the tblSubMeasure table and this is appended to the same table tblSubMeasure and I place a tag on the MeasureID using "[Forms]![frmManagers].[Tag]"
Code:
Private Sub btnDuplicate_Click()
Dim dbs As DAO.Database, Rst As DAO.Recordset
Dim F As Form
'Return Database variable pointing to current database.
Set dbs = CurrentDb
Set Rst = Me.RecordsetClone
[Code] .....

Is there any way it would be possible to have a number automatically created using NZ() or DMax function; based on certain criteria and also when creating the number preventing a duplicate number creation in the even of a simultaneous record creation?
Here's my example:
I have a CCN Number (Currently the employee manually types it in; and it is the primary key. What I would like is to take out the human element (error possibilities) and let access create it for the employee.
Here is how the CCN looks and the breakdown of each section (the important part's will be the first 3 sets of numbers):
96-06-184-100-000
96 = Region Code
06 = Current Year
184 = Julian Calendar Date (based on the receipt date field)
100 = Filler number based on day of the week (Eg. Monday = 100, Tuesday =
200, etc.)
000 = Filler numbers (Should always be Zero's (000)
I need to find away to pull this information from a table of some sort and combine it to create the CCN and to then add 1 (incriment) to the 4th set of numbers. Example 100 (1st record of the day) 101, 102, 103, etc.
Any help or ideas would be greatly appreciated.

This is a errand database where each client can have several errands and some errands are related to each one and other.
Since each client can have several errands and and each errand is related to each one and other, then the client. I thought i need key which can work as a ClientErrandID, so i can tie the errands together. My idee is to use the ClientErrandID as an text auto incrementing field with a string like: (Errand-A-xxxx).
Lest say the range would be from (Errand-A-0000 to Errand-A-9999) And when the string hits "9999" at the end the "A" will switch to a "B" and the number counter would start over from "0000"
How should the table relationship look like?When a user is adding a new errand to a client, how should the function work?
Should all the associated errands be created in the background and granted the same Errand_ID when the main errand is created?Can i create a incrementing text field with vba & queries?
How would the code structure look like?Is there any examples on a incrementing text field with code available?

I have 4 tables on my dbase. On the last table underlies all records pertaining to customer payments.
tblCollectionData
ColID - PK
PolID - FK
Amount
ORDate
ORNumber
I want to add another field which i would name -- CollectionNumber. In this field, i need an incrementing number for each PolID.
For each PolID (no duplicates), there could be 1 to 6 records of payment. I need the number to start at 1 for each unique PolID.
Please help me on this. I've been looking at different posts but i still can't find answer. :-(
Thanks!
Sheila

I have a table called tblCompanies in which I have a field called CompanyName that is indexed set to "no duplicates". However, I want access to be able to pick out probable duplicates instead of only exact duplicates.
So, for example, if "Butter Fingers" is entered and "Butterfingers" is already in the database, I want access to prevent the new record from being created.
The code I found on MS Developer's reference only prevents exact duplicates which seems pointless since this can be done just as effectively on the table level using an index.
Anyway, here is the code:
Private Sub CompanyName_BeforeUpdate(Cancel As Integer)
If (Not IsNull(DLookup("[CompanyName]", _
"tblCompanies", "[CompanyName] ='" _
& Me!CompanyName & "'"))) Then
MsgBox "Company has already been entered in the database."
Cancel = True
Me!CompanyName.Undo
End If
End Sub
Can it somehow be modified to do what I want it to do?

I have a table it contains a list of opening and closing values along with a date and a couple control fields. What I would like to do is duplicate a few fields from records that meet a criteria onto the same table. After that is done there will be a few updates on the new records. Looking at it, it would be: 'duplicate' where field2 <> 0 and field5 = No and field6 = Yes. All other fields on the newly created records would be their default values.

I'm not sure if I am biting off more than I can chew. I have a text field in each record in my database (Inherited) The db has nearly 5,000 records. I would like to split the field into records in a seperate table. An Example of the table as is now;
Code:
MemberIDBoats
5882Opossum(78-80) (87-89) Otter(80-84) Opportune(91-93) Turbulent(97-00).
5883Astute Auriga Aeneas Affray Amphion
2407H34 O10 Porpoise Trenchant Tapir.
I want to create a table as follows;
Code:
MemberIDBoatFromTo
5882Oppossum19781980
5882Oppossum19871989
5882Otter 19801984
5882Opportune19911993
5882Turbulent19972000
5883Astute
5883Auriga
5883Aeneas
5883Affray
5883Amphion
Etc.
Is this possible in one hit or do I need to process the records without dates first and then run another process to split those with Dates? I say dates but the field is a text field. About 15-20% of the records contain dates which are always enclosed in parenthesis.

I have some code which creates a record in an external csv file to provide information to upload a vehicle to the website. It works fine with the exception of creating duplicates when, for example an option to amend a record is given to the user before continuing to a new record. The option has to be in place in case there is an error in the specifics of what is important to be recorded in the database and under such circumstances the form code allows the user to tab through the form and correct any errors, but this creates duplicate entries in the csv file as the user has to pass through the 'SavePrintVehPurch_Exit' button a second time after corrections are made.
I am wondering if there is a way of altering the following code to effectively look look to see if the csv record exists and if so correct any changed field information rather than create a whole new record or create a new record where the record does not exist - The record in the csv file is determined by the 'Me.VP_VehRegMark.Value '.
Private Sub SavePrintVehPurch_Exit(Cancel As Integer)
Dim fileText As String
Dim fileName As String
Dim fileNumber As String
fileNumber = FreeFile
[Code] ....
I am wondering about introducing the something like the following ( but can't work out how to clarify comparison of the fields)
If Len(filename(fileText)) = ? Then
Do not change entry
Else
Overwrite the new detail

I am new to Access and to the forum. I made a check printing system
table name = 'burgan'
form name = 'burgan cheque'
Fields = 'PV' and 'cheque' and 'Beneficiary'
I have inserted a button (Command31).The function I would like to add on clicking the button
1. it should chose the highest value in both fields (PV and cheque)
2. Create new record
3. Increment it by 1 (both fields 'PV' and 'cheque')
4. the focus should stand on 'Beneficiary' field.

Is it possible to copy a record 'n' number of times, incrementing the date by either days, months, weeks etc?
I have a regular payments table that will need to be edited at some point should either dates, or amounts change, but... regardless of the size of the table, it's not a problem, as these will be moved to a different table and deleted once paid.
Given the example, would it be possible to copy this record and additional 5 times, incrementing the date by one week.

I have the following code that works fine:
Dim db As DAO.Database
Dim rs As DAO.Recordset, i As Integer, ii As Integer
Set db = CurrentDb
Set rs = db.OpenRecordset("PatientPrescriptions1")
ii = [RefillAmount]
For i = 2 To ii
[Code] .....
However I am trying to make it decrease the value in [RefillAMount] each time it loops through the addnew function and I can't figure out how to do the rows keep saying the same number:
If I put Refill 3 it creates 2 extra rows and all these rows now say Refills = 2. What I want it to say is
Refills 3
Refills 2
refills 1
And end there. how to do this?

I am looking for a way to enable a user to fill in a number of fields on a form press a button(CreateButton) and duplicate the records how ever many times is stated in a text box(TxtQty). I also need this to increase the serial number by the amount of times stated in the text box.
There will need to be another text box (TxtNextSerialNumber) stating the next first available serial number
For Example:
TxtNextSerialNumber = AD-Oracle-00010
TxtQty = 5
Press CreateButton to create 5 records
TxtNextSerialNumber = AD-Oracle-00014
5 new records created with the below fields duplicated and the above happening.
I will then need a message box informing the user of the serial numbers created:
'You have created serial numbers AD-Oracle-00010 to AD-Oracle-00014'
Table Name: ADOracle
Form Name: ADOracleTestData
Fields Names:
CustomerName: Duplicate
PartNumber: Duplicate
OrderNumber: Duplicate
OrderDate: Duplicate
HoseKit: Duplicate
Returns: Duplicate
Comments: Duplicate
SerialNumber: + the amount shown in TxtQty starting on next serial number available.

Hi there
I want to avoid duplicate dates in the date field of my form. It's a little more tricky than it sounds though. Imagine two fields in a form; one list box of eleven values and one date field. Once i have chosen a value from the list box i enter the date in the second field. It is ok for one value to have the same date as another value (in another record) but i don't want to have duplicate dates for one value. Any idea how to SIMPLY overcome this problem?
Not really looking to fully understand how it all works, i would be happy just to fix the problem.
Cheers

I work for a company that manufactures home appliances & electronics. When those products fail within the warranty period, we are obligated to repair the units for the customers.
We have around 200 factory technicians who make those repairs. Each tech is able to make approximately 8 repairs each day. We have a dispatching system that assigns the repairs to the techs based on their availability each day. But the problem is that we have to manually enter and adjust the schedule for all 200 techs every single day, and this takes a lot of time. And of course technicians get sick, take vacation, etc, so we have to adjust the schedule so no techs will be assigned calls when they're off.
The problem: For example, currently when a technician takes off for 2 weeks, the user has to enter 14 individual records for the tech, which is somewhat time consuming. What I need is to program a button click event to determine the two dates (startDate & endDate) and append multiple records from one single entry in the form for each date in between and including the two date fields.
I know I'll probably need to create a loop that will loop through the two dates on the form and append a record for each day, so I can then cross reference the dates to the master schedule dates to make sure that no availability is opened for the techs taking time off.

I have tblWO_Points and column with firstname and lastname and dateWO column. What code do I use to prevent duplicate dates for same firstname and lastname? Also if a date is a duplicate that it wil ask if you want to go to that record?
Example:
Jane Doe Wednesday, January 07, 2012
Jane Doe Tuesday, January 06, 2012
Mike Doe Wednesday, January 07, 2012
Mike Doe Tuesday, January 06, 2012
Mike Doe Thursday, January 12, 2012
So the same dates can occur for different people but the same dates cannot be recorded for the same person.

I have the following tables in my Access database.
A < B < C < D
(The "<" represents a one to many relationship.)A given row in table A can have up to 4 children (stages) in table B (stages 1 to 4).The other one to many relationships do not have any limitations as far as the number of children are concerned.All tables have AutoNumber primary keys.When the user clicks a button in a form, I want to:
Copy all data in the current stage (current row) in table B (corresponding to a given parent row in table A), to the next stage in table B.All data in child tables must be included in the copy process.In other words, for a given row in table A, by use of buttons in the forms for each of the stages 1 3, the user shall be able to do the following:
all data for stage 1 are copied to stage 2 (for user modification), then
all data for stage 2 are copied to stage 3 (for user modification), then
all data for stage 3 are copied to stage 4
Is it possible to do this in Access 2010?

This is a real mind bender.
I am running a2k. I am merging two databases. table1 is in the backend database. table2 is linked to the second database.
I run an append query to add table2 entries to table1. The append fails for 96 recs saying key violation. Turns out I can rerun the append if I drop the zip code field.
I then try to manually change the zip code and receive the duplicate values in index, primary key, or relationship.
I ran a compact & repair the databases, still no go. I can't edit the value of the zip code. I import the table to a new database. Still can't change the zip code. I drop MANY of the indexes. Even the index on the zip code field. Run compact&repair. still getting the index message. I even re-imported to a new db again. Still same error message.
I may start again by importing JUST these two tables to a new blank db and see if I get the same issues. I'll keep you posted...but maybe there is someone out there who has seen this error before.
fyi-if I enter a new record, the autonumber field correctly increments to the next available autonumber field. (I say this because of another thread on this matter w/ autonumber fields and bug in A2003)
