Stock/Inventory Control - Help.

Jul 7, 2006

Hi guys,

Before you say anything, yes i have spent endless hours searching the forums for what im trying to find. The simple fact being that i can't find anything that fits my situation or i simply can't understand it.

Heres the problem -

I've been given the task, by a family member, to design and build a database. The database is for his carpet shop/warehouse. Being of such a business the warehouse always has stock coming in and going out. The manager can't keep track quikcly enough.

He therfore needs -

- A database of products in stock
- A history of old stock and who it was sold to (which customer/invoice)
- An easy, user freindly, way of entering stock as quickly as possible as it comes in
- A form for orders, which, in the top half the customer information is entered and in the bottom half a products/stock search by the stock ID/number to find the products they are buying. Also a subtotal/total box.
- The stock needs to be deducted from the stock/products list when it is bought and goes into a history database/table.
- Reports based on Orders, with only relevant information, for customer invoices.
- A stock search facility where all stock, present and past, can be searched to see what is most popular according to manafacturer, colour, quality etc.

It is not a shop/EPOS application that i am trying to create. Its simply a stock control system which, as a bi-product, produces invoices and reports etc. It goes without saying that, as staff members don;t have extensive computer knowledge, the whole database must very user freindly and simple and clear etc.

Now MY problem -

I can produce simple databases and can set up straight forward queries/reports etc. But the whole stock update thing really confuses me.

- i dont know what the set-up/design of the database should be
- i dont know how to do the stock update thingy
- i dont know how to create a search facility for products being purchased
- i dont know how to move the stock from the stock table into a history table with the customer/invoice information
- i dont know, qithout creating 10 different queries, how to make a stock search facility which the user can determine the criteria for searching
- i dont know how to make the whole thing look simple and user friendly!

What im looing for guys is for anyone to point me in the right direction. i Might sound lazy just asking for people to help a bit but i have spent weeks trying different things out, using examples, reading books, EVERYTHING. It all seems complicated until someone explains it to me. I dont mind doing it all myself but i dont know where or how to start. Can anyone suggest a suitable design/set-up? Can anyone provide a sample/example i could look at that is very similar? Can anyone help in any ways what so ever. I thought i was fairly good with computers but this proves that when it comes to advanced access im just a noob. if anyone can help a guy in need what so ever please do.

you all sounded really helpfull in other posts and i hope you can do the same for me. please remeber im a bit of a novice so be gentle! Thanks in advance for any help that you can provide me with.

All the best, James :)

Importing Daily Excel Spreadsheets Into Item Inventory Access Database

Feb 1, 2005

Hello,

I am not sure how complicated of a job this is, but we want to be able to import our daily recievals of inventory into our existing inventory database instead of entering it by hand. I try using the wizard, however when I get to "finish" it says there was an error and it was not imported.

I don't know much about access but I was hoping one of you could point me in the right direction.

General :: Maintain Stock From Daily Input-output Table

Feb 17, 2013

i have a production database in which i have different sections processing on the same product. i have a daily production entry form on which datewise entry is done for each section.

i want to maintain the total stock of each section (sectionB) with productName, input from sectionA , production from sectionB, balance (input-production) . presently i used query for this .. but i need a stock table in which entries should be inserted by an automatic query .. how should i achieve this :

1. by an append query who runs every time to append the quantity when a daily entry is made .??
2. by an update query to replace the quantity with a qty from totals query ?

i.e. what is the best method to maintain inventory from input & output tables ?

General :: Changing Stock Levels For Inventory Database?

Feb 7, 2015

Im building an inventory database for my company and have the tables, relationships, forms and query's built but im struggling to figure out a way to make all the quantities move around when I have a purchase order or sales order that either adds to removes from inventory.

My database is fairly simple as all I need to do is track what is coming and going and what is the current levels of inventory. I have for instance a product table that has all the information on what products I have and what their part numbers, item number (primary key), description and so forth, separate customer tables and supplier tables, as well as an inventory table setup similar to the northwinds database. I used queries to combine my purchase order and purchase order detail tables and to combine the sales order and sales order detail tables to make sales orders and purchase orders through their respected forms and all is good in that sense but it doesn't move the inventory numbers just lists what is in each purchase Order/Sales order.

Forms :: Stock Inventory - Opening Form And Passing Data

Jan 9, 2014

I have a form that displays a stock inventory, one of the fields I use is called [ItemCode].

On the Stock_Inventory form I have 10 command buttons that open other forms to display additional product information.

These were previously sub_forms that sat in a tabbed control box within the Stock_Inventory Form but as it now takes a while for the form to load (lots of queries running each time you search for a product) users are getting slightly frustrated.

So, what I decided to do, was move each subform from the tabbed control into a new form and open that form when it is needed by the user.

OK, when I open Stock_Inventory and search for a product [ItemCode = "ABC123"] and then want to see the Sales_History, I have to open my new form, Stock_Inventory_Sales_History, within this form are two sub-forms, each subform has a field called [ItemCode].

However, when Stock_Inventory_Sales_History opens it asks me to input the parameter [ItemCode] twice, I presume this is because the Stock_Inventory_Sales_History does not have a record source and that the subforms need [ItemCode="ABC123"] to run each query and return the data.

I need to pass the [ItemCode] from the Stock_Inventory form to each of the 2 Subforms that are on the Stock_Inventory_Sales_History form automatically.

Modules & VBA :: Automating Daily Import Of CSV File

Aug 10, 2013

We receive a daily csv file from another database and we are trying to automate this process as much as possible.

At the moment, the other system will extract any new records, save a file as importddmmyyyy.csv in a specified location e.g. c:importpendingimportddmmyyyy.csv and then make a call to open access giving access the file path as follows

masaccess.exe "C:mydatabase.mdb" /nostartup / Excl/ cmd Filepath="c:importpendingimport09082013.csv"

I have configured access to automatically open a form, "ImportForm" when it opens, and I have configured this form to automatically run an event procedure on loading "importdailyfile".

My problem lies in writing this procedure. Basically I need it to run the Transfer Text command (I have already create an import specification)

DoCmd.TransferText acImportDelim, "myimportspec", "table to append the data to", filepath, true

The problem I am facing is that as the filepath changes on a daily basis given the naming conventions (which i cannot change) and my knowledge of VBA s pretty basic, I don't know how to make the procedure pick up the filepath that the other system is providing in the call to open access.

Modules & VBA :: Daily File Import Timestamp Shift

Mar 17, 2014

I have a daily file to import. If I hard code the entire file name my code works. My problem is getting around the daily name change of the file. The owner has an automated process that creates the file so the name every day is slightly different due to the timestamp. Here's an example

Today's file is "mydailyfile_20140317_1035.xls"
Tomorrow will be "mydailyfile_20140318_1033.xls"

I can account for date using "sFileDate = Format(Now(), "yyyymmdd")".The hour/minutes is never the same.is there a wildcard solution??

Modules & VBA :: Automate Process Of Uploading Inventory

Jan 3, 2014

I have a large database of items we sell on Amazon, I am looking to automate the process of uploading the inventory.

I am uploading a tab delimeted text file using the following code,

With CreateObject("msxml2.xmlhttp")
.Open "POST", strURL, False
.setRequestHeader "Host:", "mws.amazonservices.co.uk"
.setRequestHeader "User-Agent:", "VBA"
.setRequestHeader "Content-MD5:", md5hdr2
.setRequestHeader "Content-Type:", "text"
.send c2a
Forms!Form1.Text3.value = .responseText
End With

I am confident I have the signature and the MD5 Header, but I cannot get the data into Amazon!

I keep getting a non-descript error "InputDataError".

When debugging my Play API, I was told that the "send" command was not uploading the file contents, it was uploading the filename! So c2a is a string variable that contains the tab delimited data. This works like a charm for Play, but no joy for Amazon.

Modules & VBA :: Daily Renting Cars System - Adding Dates When Client Not Paying

Jan 16, 2015

I'm making a daily renting cars system. The client should pay every day ( day by day). Everything is ok but if the client pay at these days....

dd/mm/yyyy
01/01/2015
02/01/2015
03/01/2015
10/01/2015
11/01/2015
12/01/2015

At the date 15/01/2015 i want to check the payments. How to let the system show me that the dates

04-05-06-07-08-09-13-14-15/01/2015

the client didn't pay the fees

Opening the payment form and make a new record everyday even if the client didn't pay and finally by a query I'm getting a list where the payment date field Is Null, but is there any other solution without adding the dates manually.

Modules & VBA :: Inventory - Show List Of Items That Aren't Already In A Table

Jun 19, 2015

I have a list box that allows multiple selections [Inventory]. I also have a combo box that has multiple selections [Shows].

Right now, user selects from list box and from a combo box and clicks a button. On button click, the items from the list box are associated with the PK from the combo and stored in a junction table. This allows me to quickly associate many inventory items to one show.

I realized that there I currently have no way to prevent duplicate Inventory+show records in the junction table besides having a composite key. This would be fine except no records get inserted into the junction table if there's a duplicate entry.

Ideally, I think that the user should select from the combo box [Shows]. This should narrow down what shows up in the list box [Inventory] in a way that Inventory items already associated with the show are not displayed.

If I have 10 Inventory items and Inventory items 1-5 are already associated with Show 1; after I select the combo box, the list box only displays Inventory items 6-10.

Here's the associated code

Option Compare Database
Option Explicit
Private Sub cmdAddRecords_Click()
Dim strSQL As String
Dim db As DAO.Database
Dim rs As DAO.Recordset
Dim ctl As Control

[Code] ....

Modules & VBA :: Form Event To Update Stock?

Nov 14, 2014

I have an order form with an order details sub form. Both are bound to their respective tables and function correctly, with the OrderID being inserted automatically into the order details table.

However I am using VBA to update and check stock and have it working when attached to a separate form called process orders. Which event would be the best place to place this code. I do not really want to have the process orders form. Would it be on the master form or the sub form. I thought of placing it in the after insert event on the subform, but there can be many order items per order and it will run before I have finished adding order items. I tried it in the after insert event on the master form, but I think that this will run the code too soon as at this stage the order details will not have been written to that table.

Modules & VBA :: Changing Stock Levels Of Multiple Product Components By One Command

Feb 11, 2014

I have the following form and subform combination:

The subform is linked to the main form by way of the "ProductID" control. (It's hidden in the subform).

Basically, each product (the finished article) is made up of many components.

What I would like to do is this:

1. Increase the stock of a "Product".
2. The Stock level control on the main form will then increment as much as selected
3. Contrary to that, I would like each component to decrement the relevant amount based on how much of the component is used up to make the product.

E.g. If I have Product A and it contains 2 components of which component A is used once per product but component B is used twice, then when I increase stock of product by 1, then component A goes down by 1 and component B goes down by 2. But If I put two of a product in to stock, I would obviously need component A to go down by 2 but component B to go down by 4.

I am thinking I need some way to loop through each record in the sub form for the current form, such as "Do While Not", or a "For Each". And then stick an Update query within the loop, but to be honest I can't think of how I need to address it!

Currently, if an error occurs in the macro, a 'Msgbox' message is generated (by the database macro). But with Access not visible and Excel visible, the process cannot continue unless the user knows to click on the 'Microsoft Access' icon in the task bar to bring Access to foreground and acknowledge the 'Msgbox' message.

I'd like to activate the Access window from within the database macro.

It changes dates to today from whatever the date 'was'.. perfect.. however, as I'm still learning SQL, is there a way, to make the copied subform's date into today as well...this is my adapted code from the SQL part..

Code:
'Duplicate the related records: append query.
If Forms!FRMREGISTERMain!frmJustSubRecordsDEPOSITS.Form.RecordsetClone.RecordCount > 0 Then
strSql = "INSERT INTO [tblSplits] ( TopLineID, TransDate, Memo, Category, SubCategory, Credit, Debit) " & _
