Modules & VBA :: Information Message For Duplicate Field
Jun 8, 2015
How can I create an alert message to tell the user that there are an existing work order number in the table? I don't want it to restrict the entry, just inform the user that there is an existing work order number, do they want to continue.
Btw, the code will be attached to a combo box (cbowonum).

I have a searchable form that display information on agreements other companies have with us. If a company requests an inspection we have 30 days to go out and complete it.
I am trying to create a message box that will display all inspections that are due within 5 days when the form loads. No luck so far, only broken dreams.
Is it possible for message boxes to use expressions and display information that fits the criteria?

I currently have a field on a form thats indexed (no duplicate values). What I want, is if the user types a existing social in the field, that it lets them know the social is in use and that the record will not save.
I believe this will have to use the before update event for my pSocialSecurity control and that I will need to use the DCount function.

I need to be able to produce an error on a form where the user attempts to create a new user that already exists. The error needs to be produced when the save button is clicked.
See below for the existing code on my save button which exists in form, 'frmAddEditUser':
Private Sub cmdSave_Click()
If IsNull(cboManagerID) = True Then
MsgBox "Please select a manager", vbExclamation, "Details Missing!"
Me.cboManagerID.Requery
[Code] ....
Currently, if I attempt to create a user with the same Payroll ID as an existing user, my 'User details saved' message box is displayed and to the user it looks like a new record has saved successfully which isn't the case.
I need a message box to appear displaying something like "Payroll ID n already exists" where n is the 'PayrollID' of the duplicate record. (Is it possible to combine a value from a certain control and ones own custom text?)
Note: PayrollID is a combination of letters and numbers, i.e. two letters, followed by 5 numbers, e.g. JD12345.
For reference, the table/field and and control are called, '[tblUser].[PayrollID]' and 'txtPayrollID' (on 'frmAddEditUser') respectively; it is from this field and control that I want the error to be produced if the user is entering the same values which are existing in 'tblUser'.

I have a form with a subform attached.
on the Main form you select the student then you enter letters sent out in the subform.
Basically there may be 22 letters going out all the same just to different students.
so the standard letter type will always be the same as will the date field
I know you can duplicate a record if its the same student saw that in the wizard however is there away of "holding" the information in certain fields so that its autoamatically filled in when you select the next student?

I have a data entry form [Resources] and I would like to display some information about holidays in the form footer. Once the user has picked a combination of Trainer_Name and Start_Date I would like the 'On Change' or 'On lost Focus' event (not sure which would be the best) to perform a datediff calculation.
The datediff calculation would compare the difference between the start date entered on the form and the most recent past Start_Date on a query called [Hours Holiday_P1].I could adapt the same code to also look for the difference between the End_Date on the form and the next Start_Date on the Query.The idea is that when resourcing trainers I know how long it is since and how long it is till their next holiday.The sql for the query is
Code:
SELECT Resourcing.Start_Date, Resourcing.Trainer_Name, Resourcing.Duration, Time.Hours, [Hours]/7.4 AS Days
FROM (Resourcing INNER JOIN Employees ON Resourcing.Trainer_Name = Employees.Trainer_Name) INNER JOIN [Time] ON Resourcing.Duration = Time.Time
WHERE (((Resourcing.Start_Date) Between DateSerial(Year(Date())-IIf(Month(Date())<4,1,0),4,1) And DateSerial(Year(Date())+IIf(Month(Date())>3,1,0),3,31)) AND ((Resourcing.Activity) Like "Holiday*"))
ORDER BY Resourcing.Start_Date;

I have a tblManualRewardIncident in there I have 3 fields I want to have my staff in put these rewards via a frmRewardIncidentEntry However im concerned over another staff member in putting the same data so I want the form to highlight on update that a duplicate is there already so cancel the data entry.
The 3 fields that need to check and match are StrataID , DateOfIncident , EndDateOfIncident these are all in the tblManualRewardIncident and appear as buttons in the form frmRewardIncidentEntry the buttons are as follows
cboStrataID , txtDateOfIncident , txtEndDateOfIncident
I want the VBA to run when I CLICK another button on same form cboSQCDP..All 3 fields must match exactly to flag a issue.
StrataID , DateOfIncident , EndDateOfIncident from tblManualRewardIncident
If it doesn't find a match continue and add the inputs in these boxes to the table if it finds a match flag a message and delete the data from the form.

I am trying to connect individual responses to a survey to a series of variables describing each environment where the survey was conducted. I have about 1,400 individual survey responses (of about 34 questions each that have been separated into columns) and about 42 environments that are described with 30 different criteria each. They are matched by the environment description
- A line for each respondent and their survey answers
- On that same line would be the criteria of each environment.
Thus, the environment criteria should be repeated several times..However, when I join the fields in a query and require both fields to be equal, When I prioritize the environment panel, I only receive 42 records and the survey responses are blank. Prioritizing the survey panel gives 1,400 rows, but omits the environment info.
how do I populate the environment information variables on each row of the survey responses, even if that information duplicates the same variables on other rows?

hi,
the below scrip was taken from another forum member.
i have put this in the Forms / error VBA
but i still a little lost
i have set 3 fields to be indexed not to allow duplicate information (Forename, Surename, DOB)
i was then advised to error trap so it would highlight that i have enterd a duplicate record on typing in the DOB (As that as third feild to be entered)
so i then used the below script, however this doesnt highlight that it is a duplicate it just doesnt let me go on to the next record, the only time the error message is highlighted is when i go into design mode.
anyideas on where to go from here.
Private Sub Form_Error(DataErr As Integer, Response As Integer)
If DataErr = 3022 Then
Response = acDataErrContinue
MsgBox "Tis MerID alredy exist!"
Exit Sub
End If
If DataErr = 2169 Then
Response = acDataErrContinue
MsgBox "Tis record will not be saved!"
Exit Sub
End If
End Sub

I've got a table which lists accounts with an associated charge. If the account has multiple charges, then the account appears multiple times, for each charge. I'd like to consolidate the duplicates without losing each charge that is associated with the account.

I have struggled with this for so long now I hope someone can help.
I have a form called frm_Collections which is run from the query (qry_Collections). When I type into the Reg field in the Form I would
like the user to know if the Reg details have already been used in a
previous record. The database can have duplicates in this field, however a
"Warning Message" would promt some investigation.
I have tried loads of DLookup on Before Update, but really need setting of
in the right direction.
Thanks

I have a form - see attached image.
The first text box is called Job_No. When a number is entered here how can I check that the number doesn't already exist when the user tabs to the next box. Then if it does exist display a custom message to the effect "This already exists" and not the Access default duplicate error message.
Thanks

Hello to you all, it's my 1st post here…
How can I change the default message (as you can see in the picture) that appear every time that I try to update my record?
I want to write something like "You Have to select a different Number"
And one more question, the message only appear when I'm pressing the record selectorbutton only after the user has already filled all the form) is there a possibility that I can write a code that will check for duplicate data immediately after the user typed it?
Thanks for your help

Hi!
I have a form which is based on student records. What I'm trying to get Access to do is to bring up an error message as soon a duplicate student number has been entered. At present I've managed to replace the Access standard error message 3022 with my own by using the following code:
Private Sub Form_Error(DataErr As Integer, Response As Integer)
Const conDuplicateKey = 3022
Dim strMsg As String
If DataErr = conDuplicateKey Then
Response = acDataErrContinue
strMsg = "Duplicated record. Please recheck your data."
MsgBox strMsg
End If
End Sub
However the error message only appears when you try to leave the form (e.g. start a new record). I would like the error message to appear as soon as the user leaves the Student Number text box on the form. Is there anyway to do this?

I have a code that works great from the parent form but I decided to change the format and call it from a lostfocus event in the subform instead. Now I keep getting error 3314:"You must enter a value in the tbGuests.LastName field".
The code should copy the parent form fields and create x number of duplicate records according to a field on sub-form. It then runs an append query to add the information from the subform.
Code:
Private Sub GuestsInParty_LostFocus()
Dim partymsg As Integer
Dim dbs As dao.Database, rst As dao.Recordset
Dim F As Form
Dim intHowMany As Integer
Dim intCounter As Integer
[code]....

Currently am trying to get together two separate Access Databases into one, which is the way it was always supposed to be.
Basically, this person accidentally created a duplicate of the database in question, and has been updating both independently at different times, meaning that whilst a lot of the database information is duplicate, there are some instances where each separate database copy has unique information on both existing contacts, and new unique contacts.
The database itself is about schools, and has tables concerning information such as calls made, contact details, school details, etc etc. Obviously all of this needs putting back together into one set of tables in one file.
I've been messing around with append and import functions, but am having issues with duplicate ID fields with append queries, and a general lack of direction on the best way to go about fixing this problem, if its even possible.
Here's an example of what i've been trying to do:
INSERT INTO Contacts ( ContactID, ContactTitle, Name, Surname, JobTitle, TelephoneSTD, Telephone, FaxSTD, Fax, Locale, SubjectKeyword, SchoolID, Reply received] )
SELECT [1Contacts].*, [1Contacts].ContactID, [1Contacts].ContactTitle, [1Contacts].Name, [1Contacts].Surname, [1Contacts].JobTitle, [1Contacts].TelephoneSTD, [1Contacts].Telephone, [1Contacts].FaxSTD, [1Contacts].Fax, [1Contacts].Locale, [1Contacts].SubjectKeyword, [1Contacts].SchoolID, [1Contacts].[Reply received]
FROM 1Contacts;

Issue: We are trying to remove duplicate information for one fiscal year in an ODBC then import and append the correct information from an Excel spreadsheet. The process we have followed is
Copy Master Access file and paste new file (to test, so we do not loose original data)Rename new file TEST.accdbCreate a delete query for Fiscal Year dataDelete information for duplicated Fiscal yearImport correct Fiscal Year information to a new table from ExcelAppend table to master table (ODBC)
Questions:
After being granted permission to delete information, it worked once and now no longer works. When the permissions are reviewed it appears that everything is still granted but the following message is received:
Why does Access change all copies of SDA, even if filenames are different and in different folders?
When we append table, why does it duplicate information?

I have a single table in my database and I have to make a form for entering contact details for clients, staff, funding bodies and everyone else into this table. There is a phone number and what code I would use the get it to check if the number already exists.
If it does, I wanted it to return a custom message telling you what entries it already exists for by displaying certain fields so that they can be identified, such as name and organisation, but then I wanted the custom message to allow you to confirm entry of the data anyway. This is because there may have been an error in entry or as some people may be contacted on the same phone number, I want it to allow the option to continue and enter the data anyway.

I have tried the code below, but I am not getting what I need. I have a table [Student Info] with a field [Student ID] as the primary key and many other fields. I added the Student ID field to my form, [Student Add]. When I input an ID that already exists I get an error code as expected but then my form still loads. I currently have a second form for updating student info [Student Update] for which I have a parameter form that asks for the Student ID. I would like to use just one form to add and update students if possible. So, if you add a new Student ID you can enter all pertinent data. However, if you enter a duplicate Student ID the form should populate with that student's information.
If I must have two forms (1 to add and 1 to update) and a duplicate Student ID is entered into the Add form, the user should get a message stating that the record already exists. Then, (Option 1) force the Add form to close without saving or (Option 2) give an option for opening the Update form. Either option is acceptable at this point because I am stuck.
When attempting to use the code below, I get a data mismatch error on the "Answer = DLookUp......" line.
Here's one I use on Social Security numbers for a pop up when a duplicate....
SS# is stored in table "tblApplicant"
Private Sub SocialSecurity_BeforeUpdate(Cancel As Integer)
Dim Answer As Variant
Answer = DLookup("[SocialSecurity]", "tblApplicant", "[SocialSecurity] = '" & Me.SocialSecurity & "'")
If Not IsNull(Answer) Then
MsgBox "Duplicate Social Security Number Found" & vbCrLf & "Please enter again.", vbCritical + vbOKOnly + vbDefaultButton1, "Duplicate"
Cancel = True
Me.SocialSecurity.Undo

I would like to create a custom pop-up Message when one attempts to add a duplicate record.
Currently, I have a default pop-up message when you try to add a duplicate record. I set the field as Indexed= yes(No Duplicates) which generates a default pop-up message but it is technical and wordy. I would like to be able to simplify the wording to just let the user know not to add a duplicate record.

So now, I'm using the code below to prevent duplicate name entry and it is working great - EXCEPT when I enter a first or last name which contains a ' (ie, O'Tool, O'Malley, O'Hern)...anyone got any ideas for me on how to make this not happen?
The error I get is:
Run Time error '3075'
Syntax error (missing operator) in query expression '[Last Name]='O'Hern' And [First Name]='Lori'.
The code i'm using is:
Private Sub Last_Name_AfterUpdate()
'Check for duplicate first and last name using DCount
If DCount("*", "[Constituents]", "[Last Name]= '" & Me![Last Name] & "' And [First Name] = '" & Me![First Name] & "'") > 0 Then
Beep
MsgBox "This first and last name already exists in the database. Please check that you are not entering a duplicate constituent before continuing.", vbOKOnly, "Duplicate Value"
Cancel = True
End If
CustID_Exit:
Exit Sub
CustID_Err:
MsgBox Error$
Resume CustID_Exit
End Sub

How to control the below message to something like this through VBA:
"The Job: " & JobNumber & " already exists in the table." or to open an alternate form where they can make the change. Allowing duplicates is not appropriate for what I am trying to accomplish. I just want a friendly way of rerouting a user to understandable answer.
instead of this:
"The changes you requested to the table were not successful because they would create duplicate values in the index, primary key, or relationship. Change the data in the field or fields that contain duplicate data, remove the index, or redefine the index to permit duplicate entries and try again."

I was using the following code on a field (ItemCode) that was indexed to prevent duplication of records. The intent is that the user will get an error message that a duplicate exists before they enter all the data for the record and get the built in error message that Access 2003 provides when an index violation has occurred.
Code:
Private Sub ItemCode_BeforeUpdate(Cancel As Integer)
Dim Answer As Variant
Answer = DLookup("[ItemCode]", "tblQuestions", "[ItemCode] = '" & Me.ItemCode & "'")
If Not IsNull(Answer) Then
MsgBox "Item Code already exists" & vbCrLf & "Please enter unique Item Code.", vbCritical + vbOKOnly + vbDefaultButton1, "Duplicate"
Cancel = True
Me.ItemCode.Undo
Else:
End If
End Sub
Now, the index for this is based on two fields (ItemCode and Question Group). I would like to display the same message before update but don't know how to include the second field in the syntax.

I have a couple of fields in Access. To explain I will show here the fields I have and their datatype
ID: Autonummer
Amendment: Text
Basis info: Yes/No
Sex: Yes/No
Period: Yes/No
Salary:Yes/No
Shift:Yes/No
Now, in the amendment field, I've inserted a combo box, with 3 options in it. Let's say option A,B and C...The thing I want access to do, is, when option C is selected, I want fields Period, Salary and Shift to be automatically "Yes".But if option A or B is selected, the the user must choose what the other fields are going to be either Yes or No

I have created Form1 with a button and after I click the button Form2 appears (frm_Rollover_Progress). Form2 is a (poor mans) progress indicator that makes some labels visible after a section of a query has run. I have set the first label on the form to Me.lblProgress1.Visible = True but I keep coming up with Compile Error - Method or data member not found. However, when I put a button on the second form and copy in the exact same code then Me.Label1.Visible = True works. I have tried to SetFocus to an item on Form2 but still does not work.
'Open progress form to show progress indicator
DoCmd.OpenForm "frm_Rollover_Progress", acNormal, , , acFormReadOnly
'Add current changes to Total Changes table
Me.lblProgress1.Visible = True
Me.Label1.Caption = "10%"
DoCmd.OpenQuery "qry_Change_AddedQX2", acViewNormal, acAdd
Me.lblProgress2.Visible = True
Me.lblProgress3.Visible = True
Me.Label1.Caption = "30%"
