Pairing Records From Excel
Jul 26, 2015
How to pair records. I have been asked to create a database for marriage bans. I have the data in an excell file with the following columns.
ficheno, page no, entry number, date, year, forename, last name, condition, occupation, minister.
Ok no problems creating and inputing the data to a table and creating a form to show the data and add a search button.
However I have realised that in the spread sheet
Line one and line two are "a couple" as are 3 and 4 and 5 and 6 etc etc.
So on my form I would like the details from a pair to be shown , similarly when a search is done by surname I'd like the results to show the pair.

Hello All,
I'm having trouble pasting a series of records of text from an excel sheet to a table in access.
The field (Instructions) in the main table gets its values from another table (Instructions) with Inst_ID(autonumber) + Text.
The (Instructions) table was constructed based on the unique values found in the pool of all records (611) in the excel sheet - 102 unique records.
The problem occurs when i paste the bulk of records (611) to the field in the main table - stating that #The text is too long to be edited"
- My Field Size for the respective field in the main table is set to "LongInteger"
- In the Instructions Table the text records are set as "Memo"
What happens is that only 529 of the 611 records are allowed to be pasted the remainder end up in the "Paste Errors" table, which i then confirm exist in the Instructions Table.
This also happens for other fields where i attempt the same approach (unique values from excel to table, then pasting of 611 records to respective field in the main table) but here i'm able to paste a mere 30, 52, ... records of the total of 611.
Reading through the forum for this subject i found that what could be done (Long Integer + Memo), I believe, has already been done.
So i was hoping someone could provide some help for this issue, or to figure out if what i'm trying to do is not possible.
It must be said that some of the Instruction's text really have a large character count but certainly less than 65,xxx (memo)
Thanks for any help provided.
Kind regards,
Ode.

I currently have a database that is missing various pieces of information, we are getting a temp in to complete this. I don't want the temp adding data directly into Access so I have exported the table that needs updating into Excel.
How can I then import the new data without altering current data.
I know this is no problem for new records, but if I have a current record with a few fields of information missing how can I just import information into the blank fields. This can't be a manual process as there are hundreds of records.
Any comments would be much appreciated!

Hi there
I have a spreadsheet that I have successfuly imported into Access but now I would like to maintain it, update/append/delete records etc.
The spreadsheet is produced weekly and Intend to import it into my Access database on a weekly basis there are around 20,500 records and 15 Fields. I have kept the Field names in Access the same as the spreadsheet, except that the Access table has an ID field with PK and autonum. There are no other tables involved, it should just be a straight import update append ...but how?
I am looking for the best way to approach carryingout a regular update, is it best to bring the new import into a Temp table? and then carry out the analysis of what has been changed, deleted or added?
Also the queries to do this, how exactly do you get a query to scan through all of these rows and columns.
one last thing is it possible to create a table during the update/append process that will log all of the changes or flag the records using A=Append, D=Deleted U=Updated...
I've tried looking at various forums but mostly all I find is people with similar problems and no definitinve answer.
thanks

I have Office 2010 working on XP Pro SP3.
This is the first time I have tried to append/import a bunch of names and addresses from a spreadsheet into my access table.
I thought it would be easy with all the integration of applications but it's not. What happened to the bit where I could match the fields where it's not quite the same name and set the type so it worked OK.
All I seem to be able to get at at the moment is a wizard which does a very poor job and won't allow me to append the records. I tried exporting the Excel as CSV - same thing - error messages.
Is there a way of matching up the fields so everything works? What am I missing - this should be a cinch right?

I have a query in acess which brings data from different tables. Each month I print this query and I send to a person that will modify the numbers (manually - yes with a pen) and give it back to me. Then I update it manually (in the computer) and print it back to verify.Once I have the final version done, I have to put the updated data into access again. And this is the part I would like to automate (since its not possible to automate the first step because the other person is a retarded on computers and want to use a pen).
So how can I import the data I updated in excel to access? As far as I saw I can only import data into a table, not update using a query. Plus while we are making this manual updates, the data in access is changing. So copy and paste is not an option since the order of the records in the query will be heavily different.

I need to import an excel sheet containing updated tickets to my access ticket database. They have unique IDs in the form of a "Ticket ID" field.
I could just use an append query to add the new tickets to my database, but there are some changes on the excel side to tickets that already exist in access as well. What would be the easiest way to facilitate this import and overwrite all tickets with matching Ticket IDs to the new ones contained in the excel file?
I already have the excel file imported into it's own table, so it's a matter of updating my main table off of this temporary table containing the excel tickets. The field names are the same across both tables, it's just a matter of updating the info contained in them.
This will need to be repeated for multiple different excel files, so the easier the better!

I am trying to import a series of records from Excel into a table in Access 2010. The field names in the Excel table match the field names in the Access table. The field formats are the same as well (both set to numbers).
I am receiving an "unparsable record" error for all fields in the Excel file that are being entered into fields in Access that are 'lookup' fields that allow multiple entries.
The Exel fields have been filed in with the 'numbers' that correspond to the correct 'lookup' selections. There is only one item in the excel field -> while access will allow multiple entries for the field, I for the records I'm importing I only need one.
For the fields that are 'lookup' but allow only one value the excel data is being imported and displayed correctly in Access.
Do I need to format the fields that are matching to multiple entry fields differently or in a special way?

We are developing a work evaluation for all of out employees on the shop floor.
While Access is way easier to update and allow for quicker ways to gather information, our requirements is that we must display a training matrix. While access has great reporting features, it is tough to get it a format with all users listed on top, tasks listed on the LH side and knowledge levels showing what level each user is at for each task.
I am limited by standard practice on how to display it so I was curious to know if information updated in Access can be updated on an Excel spreadsheet as well. I know in Excel you can format one spreadsheet to update another but I can't figure out away to have Access do the same thing.

I have a sales sytem in Access 2010.New customers have to be imported to MYOB daily. I have a query that finds new customers and appends them to a table for importing at a later stage. I export the records in that table if the field "imported" is set to false. The results are exported to Excel so they can be imported into MYOB after some additional data is added. If there are no records to append to the import table I want to stop the export from happening. I am new to VBA and don't know how to express that the select query "000 Append New Customers...." should only run if the append query has records. If there are no records found, I want to put a message saying "no records found". Here is the code I have behind the command button:
Private Sub PrepCustcmd_Click()
'Turn warnings off
DoCmd.SetWarnings False
DoCmd.OpenQuery "000 Append New Customers to MYOB Customers", acViewNormal, acEdit
[code]....

Access Database 2010 is used to capture progress on accounts. We are able to perform remedies on multiple accounts in the field and would like to update the records in Access all at once (by batch) rather than one-by-one.
I would like to export specific records from Access into Excel, make the updates to the records in Excel, then import the changes back into Access. I am looking for the updated Excel spreadsheet to overwrite the existing data in Access for that particular record.

I'm building a data base for my company, which is composed of items we sell. I then need these records to populate our pricebooks, which are excel worksheets, under multiple workbooks.
So essentially, I would like to have all the fields separated by vendor, series and series items, then populate the proper Excel worksheet (within a supplier's workbook). I have the know how to build a query to narrow down a particular vendor/series/groupofitems, but I don't want to be creating an enormous list of queries which have to be run each time.
I also have the know how to create a joined table which pulls the item list into the proper group, creating one large table with every vendor, series, and items. But what I'm looking for is some type of hybrid, which will allow me to export all of the items to their corresponding worksheets in one fell swoop. This will be done regularly as prices from suppliers change, certain colors are discontinued, sizes added, etc.
I'm guessing when I use the query which creates the large table with all the product that it's indexed, and that I would be able to use this to then import the data into excel/export the data to excel. But I'm not sure about this.

I am creating a small Access application that will allow me to update my Call handling system's site table.
It uses an mdb file, and I wish to add new sites (from new contracts) to the SCSite table.
I recieve regular updates of new sites from existing customers, so want to create a simple macro that will
1: import (from an excel file) the new sites and add these to the existing SCSite table
2: Check for duplicate records using the Site_Num primary key
3: Merge non duplicate records into existing SCSite table.
Is this possible, and if so - how? VBA? Macro builder? Query?
A Swift response would be great, I have had a look through previous posts - but to no avail!

I am trying to create a database by compiling records from multiple excel sheets. however, since most of the clients still uses the excel sheets to enter records, I am thinking if it's possible to create a linked table in access from these excel sheets that are hosted on an online server.
also is it possible to merge multiple linked tables together? if they have the same field range, so they will append when the linked tables gets updated.

I searched the archive and didn't find quite what I was looking for, so..
I have an Excel 2003 spreadsheet work-in-progress being used as a template (developed by others) to prepare project cost estimates in a complex regulatory environment. We are 'modelling on the fly' for a number of projects until we are comfortable with the estimate model, after which time I intend to incorporate our 'stable' estimate methodology into Access. Meanwhile, I am 'stuck' with the Excel spreadsheet.
I have a project tracking database (Access 2003), and I want to be able to track my estimates. I do NOT want to embed my spreadsheets into the db, just a filelink. There can be more than 1 estimate per project.
Ideally, the user should be able to define a project in the Access db (or select one already defined) and click a 'make estimate' button, which would generate a new Excel file in a predefined directory (based on the present version of the .xlt file), give it an appropriate filename (based on the Access ProjectID and estimate sequence number for that project if there were others already), open up that workbook in Excel, and then autopopulate some cells based on information showing on the original form in Access!
A separate button for 'Open existing estimate' will eventually be required, but I think I could do that if I can get someone to walk me through the steps required above.
I am somewhat familiar with vba in Access, but am an absolute rookie when it comes to excel.
Edit: I left out that I would also add an appropriate record to a table like tblEstimate which would contain the link(s) to the estimate(s). This table will obviously contain a FK to tblProject

I have an excel file linked to a table in Access. Several fields are date data types in excel but are showing up as text fields in Access.
My real goal is to do a comparison between two tables, but only if the date of the one piece of data is newer than the other. I had planned on comparing the two date fields but even though I have formatted the date fields in my excel file to be "Date", when I look at the design view of my table it is showing up as "Text" and therefore I am unable to do this comparison.
I'm not sure if it's just something that I'm missing but maybe someone else knows an easy fix to this. I know this is probably a simple question, but I did search the forum and didn't find a thread that specifically dealt with this issue.
Thanks in advance for your help.

I am using Excel and Access 2010.
I have an excel spreadsheet with 8 tabs. They are all in the same format and column order. They are employees grouped by region. My ultimate goal is to merge all of these onto one excel tab, relatively instantly. I created a master tab and tried doing array formulas and Vlookups, it worked but my spreadsheet was way too slow.
My solution? Import and link them to an Access database, step complete. Create an XML export then import into Excel.
My problem? The only way to update the excel tab with the combined tabs is to save the excel file after changes, go back into Access, re-export to XML, then go back into excel and refresh the data.
My questions, is there any way to automate this process to the point that I can change excel, save, then hit refresh on my excel tab with the XML import to auto-update?

Hello,
sorry to post again my question but just cannot find a solution.
I have a table and would like to copy data into a template in excel. I know that the code will have to make a copy of the template and then copy the data into the new workbook into sheet1.
My table (table1) has 3 fields: SSN, FNAME and LNAME.
I want to copy these fields into cells B1 (for SSN), B2 (for FNAME) and B3 (for LNAME).
I will use a combo to select the recorset to copy.
My problem is how to copy data into the template. I understand that it is necessary to run a copy of the template and then copy the data into the new xls file.
Is there a way I can do this via code? Code help is appreciated. Thank you.

how i can export the data from Access to excel using Access VBA for the specified sheet using data linkage with access database. Like we used to do it manually in excel as external data from access.Like we have some codes for linking excel file to database mentioned below;
DoCmd.TransferSpreadsheet acLink, , "region", "F:DB PracticeBook1.xlsx", False, "region"
Can we have something like this to link database table in excel file automatically. So that the excel size won't be that big and also it saves processing time.

In an Access 2010 form is it possible to export select records and fields in those records to a specific location?
Code:
Set objDialog = Application.FileDialog(4)
With objDialog
.AllowMultiSelect = False
.Title = "Please select a File"
.InitialFilename = "C:"
.Show
If .SelectedItems.Count = 0 Then
MsgBox ("Action Cancelled")
Else
[code]....
The user can select the directory using the code above, but can specific fields in records be exported to a excel workbook in that selected directory? For example, if the are 5 records in the database can the fields LastName,FirstName,BirthDate in records 1,2,3 be exported to Setup.xlsx in that selected directory?

I have a table (tbl Team Info) which contains names and codes for teams within my business (>400 records) and another table (tbl Process) which contains a list of high level tasks (30 records).
I need to create something where for each team name 9in tbl Team Info) I can map them to the tasks that they undertake (in tbl Process) and assign a percentage of time then spend on each task. Each team could map to several different tasks.

In my simple database (attached), I need to mass duplicate Tasks and their Notes.
I have three tables: tbTasks (PK: Task_ID), tbNotes (PK: Note_ID), jtbTaskNotes (FKs: Task_ID and Note_ID). jtbTaskNotes is my many-to-many junction table that ties Tasks to Notes.
The main form (fmTasks), bound to tbTasks, has a subform (sbfm_TaskNotes) that displays notes associated with each Task. On themain form, you select which Tasks you want duplicated via a checkbox. The append query (quCopyTasks) will duplicate all tasks that have the checkbox checked. All good there. However, I can't figure out how to also duplicate each task's Notes.
I found Allen Browne's solution [URL] ....., but that only handles duplication of one record at a time, whereas I need to duplicate many records at a time (sometimes 10+ records). How do I go about duplicating multiple Tasks and their associated Notes?
Before you ask "why are you duplicating records?": There are times when tasks need to be re-accomplished and therefore need to have a new record. It's easier to duplicate records than it is to hand-jam everything again.
