Parameter Query - Allow User To Select All
Oct 10, 2006
I want to be able to have multiple parameter queries, but the user needs to have the option of entering a parameter or not limiting the output at all. How do I let the user choose "all", or what do they type in so that nothing is excluded?

Hi, I need help in creating a parameterized query.
I need to show only certain fields depending on the value of the parameters.
For example, I have a table with fields: ID, Name, Phone Number, Address, DOB.
The parameter can only be value of A, B or C.
If the user input A as the parameter in the query, only field ID, and Name will be shown
If the user input B as the parameter in the query, field ID, Name and Phone Number will be shown.
etc.
Is there any way to do this, rather than to separate the query into 3 queries for each of the parameters? Thank you.

I have form with a button on it that launches a parameter-based Select query (which served as the source for a report). I didn't have any validation measure in place, so if the User supplied a bogus value, a blank report was generated. While not technically an error, it would seem more polished to generate a warning message if the User supplies a bad query value and prompt them to re-enter.
Having read other posts along these lines, I've added an unbound text box to the form which the User fills in first before clicking the button. When the button is clicked, it executes code that uses the DCount function to make sure the text box value is in the source table, and if it is then it runs the parameter-based Select query. My question is how to pass the value in the text box to the query as a parameter. Below is a sanitized version of the code that I've generated so far.
Private Sub SingleItemRptB_Click()
If DCount("[FieldName]", "[Table]", "[FieldName]=[TextBoxValue]") = 0 Then
MsgBox "Item not in database. Please check value and re-enter."
Else
DoCmd.OpenQuery "SingleItemQ", acViewNormal, acReadOnly
End If
End Sub

I created a form that has 3 multiple drop-down selections that is supposed to select records from [TableName_1] based on those selections. I initially created the query using the query designer with actual "hard coded" selections to make sure it worked. When it gave me the expected records, I changed the criteria from the "hard coded" option to the input form's control reference [Forms]![FormName]![ComboName]. I did this one at a time and tested after each change.
After the first change, I got exactly what I expected.
After the second change, it seemed okay. (note: I put the criteria on the first criteria line in the query designer, not on the second line)
After the third change, I get the dreaded: The expression is typed incorrectly or is too complex to be evaluated....
Here is the SQL:
SELECT M_Lending_Institution.InstitutionName, M_Lending_Institution.GeoRegionID, M_Lending_Institution.SpecialtyID, M_Lending_Institution.SBA
FROM (SELECT M_Lending_Institution.InstitutionName, M_Lending_Institution.GeoRegionID, M_Lending_Institution.SpecialtyID, M_Lending_Institution.SBA FROM M_Lending_Institution) AS LenderSearchQuery
WHERE (((LenderSearchQuery.GeoRegionID.Value)=[Forms]![LoanSearch]![CmbPrefGeo]) AND ((LenderSearchQuery.SpecialtyID)=[Forms]![LoanSearch]![CmbSpecialtyArea]) AND ((LenderSearchQuery.SBA)=[Forms]![LoanSearch]![CmbSBA]));
And once this is sorted out, yes I want to be able to allow for all records to be returned if any of those fields is NULL. I've read a LOT of posts around this subject, but I can't seem to find anything that answers my question without jumping into advanced VBA code.

I'm using an Excel spreadsheet that is importing external data from an access database in which I've got a field where the name of a person checking materials out is entered. it is currently set up, and I cannot change it, as a free form field. So folks enter information in a variety of ways.
For example, Larry Martin might be entered as "Larry Martin" or "Martin, Larry" or "larry.martin@somewhere.com". I'm trying to run a query that would look in that field for any entry with the string I enter, such as "Martin."
I've tried setting the criteria like this:
Like "*" & [Which Last Name] & "*"
However, when I try and run the query I get a message telling me the system is expecting two parameters.
Does anyone have any idea what I'm doing wrong? I've been banging my head against this for awhile now and am thoroughly stumped! All assistance, as usual, is greatly appreciated!

Is it possible to have the user select which field is added to the query through a parameter? In my query I have a table where each record has a part number and has sales number for each month. When the user runs the query I want them to be able to select which month is returned.
My table basically looks like this:
PartNumber,Jan,Feb,Mar,Apr,May etc.
01PartNumber,15,20,30,25,28 etc.
02PartNumber,12,14,12,16,20 etc
I want the user to enter "Mar" when prompted and return the parts numbers with values from "Mar".

I have a report that is fed by a parameter query. When a command button (Command23) is clicked a parameter box opens and the user enters a subsystem number. A report for that subsystem then opens.
I want to open the report with VBA and show a message if the user has failed to enter a subsystem number in the parameter box and just clicked OK.
The problem is I don't know how to refer to the parameter box and detect if it has been left empty before clicking OK. I first tried to use IsNull in an If statement with Command23.Value, but now realize it is the value in the parameter box I am after, not the "value" of Command23.
How can I change my code to detect if the parameter box has not been filled out?
Private Sub Command23_Click()
If IsNull(Command23.Value) Then
MsgBox "You did not enter a Subsystem", vbOKOnly, "No Criteria Entered"
Else
DoCmd.OpenReport "rptTESTInfoBySubsystem", acViewReport
End If
End Sub

I have an append query that currently looks like this URL...This query automatically adds the machine parameters for a product code and lot number into the running condition log. This is so the user does not have to manually go in and tediously select each machine parameter.
The running condition log also has a date field to specify what day and record number the machine parameter's value was recorded on. When I run the query the appended rows look like this. The product and lot are defined by user parameter and there are actually about 36 machine parameters
Code:
Productstockcode LotNo Day Record Parameter ActualCond
PE-500 130816m71 StockTemp
PE-500 130816m71 Zone 1
PE-500 130816m71 Zone 2
My question is: how do I modify the query to automatically add the date and record number in one shot? It needs to be user defined at the time of the query because this data is not stored anywhere else in the database. For each 36 machine parameters the day and record would be the same.

I have a query with multiple fields that is being run off of 3 parameters (linked for selection in a form). The problem is, I wanted to enable a select all feature, so I included a "Or ... Is Null" part in my criteria section, so that when nothing is selected, the query/report returns all records.
Okay so the problem is whenever I run the query with nothing selected for the parameter and then return to design view for the query, a new field has been created in the query design, titled with the expression I use to pull the parameter value from the form. This is frustrating because then that is causing errors in another report I run that pulls values from that query.

Hi,
I would like to run a simple select query, where the CRITERIA is based on the user choice.
I have a form with a combo box, with a few choices, and a button that will trigger a macro with one query for now. I can store the choice in to a variable e.g. "town", using Microsoft VB code.
How can I transfer the variable to the CRITERIA field in the query, so whenever I chose a specific "town", my query will select the records for that specific town.
I want to use one query, and I don't want to have to "hard type the criteria in to the cells' query", but I would like to use a variable that can change and will be read it from the user choice through combo box.
If I am not clear enough, please let me know.
Thank you!

I have Access2003 and a problem creating a simple method of constructing a union query.
I am using a commercial paradox databse that has a habit of creating a new table every time a certain action is performed. There is currently a set of 160 tables with identical fields. The database allows me to view data in these tables individually. I would like to pull the information together, from between 20 and 30 specific tables at any one time, and view the data in one table.
I have linked the tables in a an access database and would go about viewing the data by creating a union query containing each of the tables of interest. Then appending the info in these tables to a new table.
Unfortunately manually adjusting the SQL expression is a bit cumbersome to say the least I am wondering if it possible to select the tables of interest from a List Box on a simple form and have those selected inserted into the union query ?
Alternatively, the table names are actually a field within a different table. Another field within this table actually determines whether they will be of interest. So ideally I could query that table to tell me which tables need to appear in the union query. Again I would like the union query generated automatically as a result of that query.
I am confident, perhaps without good reason , that this must be possible ....
any help much appreciated.

Basically, I have a database table that is maintained every week. It is about e-mail account licenses for Office 365.
Each column represents a week of license data for every mailbox account which is about 10 000 plus users with the date as the field headers( something like "License information as of 06122013").
Basically, I have created 52 queries based on the license type I require to be calculated & I have a form created to control it. However, right now it is all output only as I have yet to create any user parameter to specify on any of the queries about the date I want
As I am currently unsure how to specify all the queries to use one field date header which I want the user to specify via drop down list in order to calculate all the licenses on this specific date.
For example, if I want to see the license information for 06/11/2013, I would choose "License as of 06112013" & it would then run all the queries based on the header specified earlier & output that information on the form.
Right now the queries are all configured as the "Select" type.

Is it possible to run a basic select query to pull records based on multiple strings entered by a user?
I have a query with field criteria - Like '*' & [Type In MMDBID:-] & '*'
This allows the user to input one MMDBID and the records are retrieved from the db.
I can also use the OR statement in the same field criteria "AB123" OR "BC123", and all records based on those values are pulled back.
But I cannot get the user to input multiple values and I tried amending the SQL string based on the OR criteria above
SQL statement (Like) is below :
SELECT tblFund.MMDBID, tblFund.[Investment Name], tblCodesLive.[IOE Code], tblCodesLive.[Uptix Code], tblFund.[Red Payment Deadline]
FROM (tblFund INNER JOIN tblCodesLive ON tblFund.MMDBID = tblCodesLive.MMDBID) INNER JOIN tblContact ON (tblFund.MMDBID = tblContact.MMDBID) AND (tblCodesLive.MMDBID = tblContact.MMDBID)
WHERE (((tblFund.MMDBID) Like '*' & [Type In MMDBID:-] & '*') AND ((tblFund.Editing)=False) AND ((tblFund.Closed_Fund)=False));

I have a database with lists clients across the UK. I have now been asked to provide options where users can select clients grouped by geopraphical area e.g say clients in Scotland.
I can of course do this but having numerous identical forms where the source queries have different parameters depending on the regions required.
The only problem with this is that I would need numerous forms and queries. Additionally, there are options on the form to navigate to linked forms which would all need to be unique.
What I would like to have options on my main (Switchboard Type) Introduction Form to select the region. The code on the relevent command button would include the parameter. I would therefore not require the additional forms.
The open form codes includes:
Dim stDocName As String
Dim stLinkCriteria As String
stDocName = "frmClients"
DoCmd.OpenForm stDocName, , , stLinkCriteria
I feel i need something after "frmClients" such as qryClients.ClientArea = "Not Scotland". Various attempts to incorporate something has created errors.
Any quidance on code would be appreciated.
Thank you...Paul

I am creating an absenteeism database which has the following tables:
tblEmp - PK - auto number, EmpId, First Name, Last name
tblFunction - PK - FID (autonumber) has departments
tblTL - PK TLID (autonumber) has list of team leaders
tblRelated - pK - Id (auto), EmpId, TLID, FId as long integeres
tblCodes - CodeId (auto), list of absenteeism codes like late, mia, etc
EmpLeave - pk - autonumber, empid, codeid, hours, date of absenteeism
I have a Qry_Master which just joins all the information together as it gets updated on a monthly basis
Now, I am trying to create a form where the user has option to select one or more tls and one or more codes and when they hit the button, it should come up with all emps that have those codes and report to the team leader selected.
In my form, I have made both my list boxes as multiselect and i have Qry_frm that is a parameter query but when i run the button nothing happens and i cant seem to figure it out. I have attached the sample database to this thread.

Query
SELECT s.contracttypename, sum(s.sumrtr*v.pct) AS [predicted $]
FROM sumrtr AS s, varcurve1 AS v
WHERE s.mdiff=v.monthodr and s.contracttypename=v.contracttypename
GROUP BY s.contracttypename;
I have varcurve1 varcurve2 varcurve3....
I want to provide a mean (interface?) for user to choose varcurve1 varcurve2 varcurve3 to run above query.
for eample if user choose varcurve1
the query will run
SELECT s.contracttypename, sum(s.sumrtr*v.pct) AS [predicted $]
FROM sumrtr AS s, varcurve1 AS v
WHERE s.mdiff=v.monthodr and s.contracttypename=v.contracttypename
GROUP BY s.contracttypename;
if user choose varcurve2
the query will run
SELECT s.contracttypename, sum(s.sumrtr*v.pct) AS [predicted $]
FROM sumrtr AS s, varcurve2 AS v
WHERE s.mdiff=v.monthodr and s.contracttypename=v.contracttypename
GROUP BY s.contracttypename;
is there a way to do that?
Thanks

Good Morning
Looking for the user to select a product name from a drop down box (not type in) when running query / report which will return details on only that product rather than all others in the query.
I have got major problems with the custom dialog boxes -- have got a table of product names, a query called current stock ( active products) . I can easily get a standard dialog box by putting [product code] in brackets in the query and this is not a problem. However in getting a custom dialog box I have had lots of problems.
Created a form called form999 which has product name field as a combo box and this has been named master1 . Clicking the form on it's own brings up the dialog box correctly and the drop down box selects the current products which is should do.
However linking it to the query I have put [Forms]![form999]![master1] in the query and it will not link unfortunately and is driving me mad.
Upon running the query it simply brings up the standard dialog box with [Forms]![form999]![master1] as the "enter parameter value. Understand code is required to get the OK and cancel macros working etc but when I click the query it should bring up the custom box which is the first stage and it is not ?? Any assistance would be greatly received.
Are there any sample DBs which have a field or related parameter as a customer dialog box -- have looked for examples without success.
many thanks and regards

Hello everyone,
I've made a form where the user can fill in a field ID... and than by clicking on a button another form will be opened with the data of that person (with that ID that's filled in). But if the user fill in an ID that is not currently in the database, there will be also shown another form, but than with no data.. Now I want that if the ID is not known, to display a message or something (like "this ID is not known, try again") and not to open the form..
I've used the following code under the button:
Private Sub openenFormulier_Click()
On Error GoTo Err_openenFormulier_Click
Dim stDocName As String
Dim stLinkCriteria As String
stDocName = "Onderzoek"
stLinkCriteria = "[Qr_Ant_PG.ID]=" & Me![ID]
DoCmd.OpenForm stDocName, , , stLinkCriteria
Exit_openenFormulier_Click:
Exit Sub
Err_openenFormulier_Click:
MsgBox Err.Description
Resume Exit_openenFormulier_Click
End Sub
Hopefully someone can help me!
Thanks,
Ankie

How to proceed and what is the "accepted" version of events.I have created a report, a dynamic method statement actually, and want my user to be able select some data to appear in the report. Report is rptMS01, it is fed from a query and has some fields to automatically populate [Company], [Site], [Postcode] etc. All of the static text is in CanGrow textboxes to sidestep the report height limit. The report is opened by a button on a form which uses a macro to open only for the current site. All OK so far.
My boss would like a section/text box/subreport to select the personnel involved in each method statement and this to appear on the report. So, on clicking the button on the form which would usually open the report directly, some kind of intermediary selection form opens instead with a list of all personnel. User can then select which personnel to involve and on clicking OK this appears in the designated box on the report. A CanGrow/Shrink textbox would be ideal!
Do I need to include this in the current query which feeds the report? I know a listbox can have multiple selections but how would I reference this? How do I keep the other fields as well? Should I create a table with the personnel list?...

I have a form that allows the user to select a record in a combo box. When this selection is made I want a 2nd form to open and give the user a place to enter additional info about that item selected. I have the forms working correctly but now I would really like to add the 2nd form to the first form as a subform but when I try this I get the message"The expressing is typed incorrectly or is too complex to be evaluated..." There are no fields on the first form that link directly to the 2nd form - because the combo box in an unbound combo (the selection in the combo box is what the 2nd form opens base on) I tried to add this as a subform with no parent/child info and I get the message stated.
I was hoping to make the 2nd form not visible until the selection was made in the combo box then make it visible for the info to be entered. Would really like it to be on the same form not as a separate form opening.I believe I just found that the reason for the message. It seems not to be a subform problem but is because the selection in the combo box needs to be made BEFORE the form can open. So now the question is - how can I make this a subform and avoid this error when the main form first opens. I will test the visibility and see if not visible until the selection clears this up.
