Possible To Limit Records Displayed In A Subform

Is it possible to hide previously added records which have been added to a subform? For example a user adds their selections and closes the database. They then re-open the database and rather than displaying their previous selection - its blank ready to start again?

Changing The Order Records Are Displayed In A Subform

Hi everyone. I need help on this one

I have a form with a subform. The subform is basically the sale history of the item on the main form (The main form shows a record and then the subform reports its history). This all works fantastic, except that on the subform, every time a new record is entered, it goes to the bottom of the previous one, so after a while, if I want to enter more history into the subform, I have to scroll down through all the older ones to get to the more recent ones.

How can I do it so that in the subform the most recent entry is always at the top and each time a new record is entered, the older ones move down one. This way the most recent records are always on display and older ones move down as they become less important. Likewise, the empty record used to enter data is also at the top!

Limit Records In A Subform? Best Way?

I have three tables;
tblPallet
PalletId
DateDespatched

TblBox
BoxId
PalletID

TblKitting
KITID
BoxID
Model

Process
The users will be adding a kitting item to a box. Only 10 items are allowed in a box (no more no less) and the box needs to have its own Id Number and then the box is placed on a pallet. 40 boxes are allowed on a pallet (again no more no less) and the pallet is despatched. Then a new pallet is set up.

I am trying to think of the easiest way to do this as I am a little new to Access. Any tips in the right direction would be greatly appreciated. I thought about a series of subforms from a main pallet form but am not sure how to introduce a limit to the number of records in a subform. Perhaps Ive bitten off more than I can chew (I hope not)

Scenario: Main Form/Subform
Subform is a Continuous form.
Enter Payroll via Subform
Via Combo, select a Employee on Subform

Using CarryOver for Employee

Problem: Can't add new Record for a new Employee.Because of the Limit Records Code.?

Unbound Subform Counts Toward Two Subform Depth Limit?

I didn't know that Access is supposed to only have 2 subform deep. On my form, I have three subform deep. However, the master form is unbound, not linked to subforms, and nothing more than a container for tab pages which contains their own subforms and has no code directly associated with data. There is a code to move subform to new record when tabs changes, but that's all.

Does that mean there is really only two subforms deep from the topmost form on the tab page or the subform depth has been exceeded whether the master form has no role in data transaction?

Prevent Subform From Being Displayed In A Mainforms Datasheetview.

Hi folks.

I would need some help with Access 2003.

I have a mainform, which contains a subform.
The mainform is bound via the recordsource-property to a query.
The subform is NOT bound to any recordsource and is NOT 'bound' to the mainform in any way.
It is just beeing displayed (i use it for custom filter technics).

My problem is now:
When i switch the mainform to the datasheetview, i will have (unluckily) the possibility to 'expand' each recordset via the plus-symbol on the left side of each record.
When i do this, my subform will be displayed.
But i don't want that!
My target would be, to tell the mainform not to show the subform in it's datasheetview, or better, not to display the plus-symbol at all.

Is there a way to fulfill that?

Total Of A Field In A Subform Displayed In Actual Form.

I am setting up a database to run a shop. In my 'Orders' form, i have a subform of the order details (The item (combo box), price, quantity and subtotal (price*quantity).

In the form in which the subform is displayed, how can I display the total of the subtotals? Is it easy, could anyone show me roughly what i need to write?

Modules & VBA :: Controlling Fields In A SubForm Displayed In DataSheet Mode

I have a Form to Display Projects that has a SubForm displaying Sub-Projects related to them. The main Project Form has a Combo Box which allows a user to select a ProjectID to display. The SubForm has a ProjectID Field as well. When the Project ID is selected in the Main Form, only the appropriate Sub-Projects are displayed in the Sub-Form.

On the SubForm, there is a Field named ActionID, which uses the following VB Code to limit the availability of the Fields in the SubForm that apply to Dates. If the selected Action is Install, only Install related Dates should be available. Likewise, if the selected Action is Remove only Remove related Dates should be available.

Code:

If Me.ActionID.Column(1) = "Install" Then
Me.AssetInstallMonth.Enabled = True
Me.AssetInstallYear.Enabled = True
Me.AssetRemovalYear.Enabled = False
Me.AssetInstallMonth.Locked = False

Everything seems to work as expected until there is more than one Sub-Project is the SubForm and they do not contain the same Action. In these cases, it appears as if the Sub-Projects in the SubForm are not being treated as individual records. If Sub-Project is Added or Modified to have an action of "Install", all records are treated as Install Records (only Install related Dates are available), regardless of their content.

Is there a way to update the properties for only the row that has been selected?

Query Based On Records Displayed

I have a continuous form based on a query with the criteria as all records where a certain field is null. From this form, the user can fill in values for the null field. I then want to click a button on the first form to open another continuous form showing the same records so the user can go on to do something else. The problem I have though, is that if I base the second form on the same query as the first form, any records where the user has filled in a value for the previously empty field will now not be included in the query results. Is there a simple way of doing this?

Hello again my forum o' saviours, Current filter: WHERE (Assignments.[AcademicYear]) Like ([Please Enter Academic Year])AcademicYear is a field in the Assignments table (duh). In this same query, I have a couple fields (equations and if/thens built on the assignments table) that will need to be used as further filters. I thought something like WHERE ((Assignments.[AcademicYear]) Like ([Please Enter Academic Year]) )& (len([groupwinterbox])+len([groupspringbox])+len([groupfallbox]) > 3) would work, but I keep getting pop-ups asking what the values of the three query-based calculations are. Where did this noob screw up?

Update All Records Displayed From Form Using 1 Textbox

Hi there,

I have a form which displays data from a combo box in the header of my form.

Each row of the detail from the form contains two values from the database.. one is called case ref and the other is a checkbox for completed.

Here is what I want to do....

1) chose which rows I want to update by selecting the checkbox (I can do this)
2) I have put another text box in the header with a button.. this box captures the case ref (I have done this bit too)
3) When the button is clicked, I want to loop through all the records displayed on the form and update those with the checkbox ticked to the value of the text box header.... now I can update one row, but how do I update all of them????

Help would be much appreciated

Forms :: Send Single Record Displayed On Form Not All Records

I've created a button on my ACCESS 2010 form that will send a PDF via email. However I only need to send the single record displayed on the form not all records.

The on click command of the button sends the PDF of the report. (I read that this is what should be sent; but still get the same results.)

I don't understand how and where to attach VBA code:

I'm trying to limit the number of records entered into a database, and return an "error". Not an error exactly but it should pop up and say "the limit of 25 members allowed to sign up for this class has been met". I figured out how to go in access and create a validation rule so that "ID < 26", and it has successfully blocked records #26 and up from being saved, but it shows on the form that it was submitted. How do I get it to "know" when to say "the limit has been met"??

I am currently trying to figure out how to limit the entries into a nested sub form to just one.

for example im making wine collection database, I have a PURCHASE table, a WINE table containing the FK of the PURCHASE PK, and an INVENTORY contain the FK of the WINE PK.

a purchase can contain many wines, but one wine can only be in one inventory location.

I am trying to add all this information with one form. I fill out the purchase details, enter the info of X bottles of wine were in the purchase, and then with one of those wines selected in their subform, i enter the inventory details for that wine. I go select the next wine in the first subform and the inventory nested subform doesnt allow another entry.

I have this code loaded into the On Current event for the main form:

Limit On Number Of Records?

Is there a limit on the number of records you can have in an access database? I've got one with 8500 records and it's been a PITA! I have a webpage on our intranet so users can go and enter their information to it, and they get a nasty error whenever they try to enter information. I'm trying to figure out why and i was just wondering... i know it's not the webpage because when i connect it to my test database it works fine? so i dunno :confused:

Hi All.
Is it possible to limit the number of records in a form, to a number given in a linked form.

For Example.

tblA
StreetName
No_Of_Houses


tblB
Name
Number

I would only want the number of records in tblB to be the same as No_Of_Houses in tblA.
I have seen previous threads where you can limit it to a number, but do not know where to go from there.

Can anyone help?

Limit Records In Top N Query

I have a Top 10 query (it is based on $ amount) and everything works fine except...say I have 1,000 records and 5 are >$0 it shows those fine but since the other 995 records are $0 it shows "all" of them.
I would like to limit the record count in the query to only 10. Within that 10 records if there are $0 records then I would like to show them up to the 10 record limit.

I see both sides I think but you would think that if you say "Top 10" it would be "10".

Limit To 2 Records Of Identification Code

I am attempting to right program for work and here is my problem. Every Unit in the Army has a Unit Identification Code and my boss wants two records of each UIC stored. But when you add a new record for that UIC he wants the oldest one purged, so he only wants 2 records on file in order to maintain some sort of volume problems. Any ideas would be greatly appreciated

Access Limit Of 148000 Records?

Finally after 2 1/2 days I have the ability to bring a dbase 5.5 file in to Access 2007.

1.Do a normal export of a DBF file out all dbase.
2. Excel 2007 - open the DBF file. Note: dBase Files (*.dbf)
3. Save as a .xlsx file.
4. Access 2007 - right click on table in left columnImportexcel
5, Note: You'll be looking at a window with a yellow bar across the top.
Browse to your *.xlsx file and open.
6. Select "OK"show Worksheets nextFirst Row Contains Column HeadingsNextNextNo Primary KeyextFinishclose
7. Double Click on file in left column and there it is.

Never got other methods to work, sad to say.

After a day to get to this result, the problems begin. Every time we would change one character field from 50 char to 6 char, or whatever, the out of memory or disk space error would come up. I have 250 gig available and I'm running 4gig of memory with nothing loaded but Access 2007. I even shut down my virus checker.

So I spent a day or two trying to find a wining combo (A File Size That Would Work). And here it is, 148500 records that comprise of a 21.3m file is the breaking point. If I change a character field, 250char to 6 char, I'm ok. If I change a couple more it get the error message. 150,000 will get a memory/Drive error no matter what is changed.

Is there a option in Access that should be on. Because I find it hard to believe that an old dBase program, one step up from DOS, can handle 350,00 records all day long and Access chocks on 148000 records. Up until now I thought Access was the best thing that happened. There has to be something wrong, no software designer would have done this. I even checked for a corrupt file, the best I could. If there is a file checked out there, I’m open to it.

In Access 2010 I am previewing a customer report. I also try to give users the choice of seeing history sub records for any given customer. I have a selection dropdown box where they can chose ALL, 5, 10 or 15 in a report. To this end I set the record source in the "Open" event for the subreport. if I want all records it works fine, but as soon as I put in "SELECT TOP 5" the subreport goes invisible. I have tested the query directly and it works fine. I'm sure this worked in Access 2007
