Preventing Duplicate Selection Of Combo Box Values

May 5, 2014

I am working on a database to track IT assets with third parties. I have a table called "Equipment" that includes info like model, serial numbers, purchase price, date, location, and "Asset ID". I have a second, single field table called "asset tag" that is just a list of asset ID tags, XYZ1000, XYZ1001, XYZ1002..

I created a one to one relationship between the two tables on the following fields: "equipment.assetID" and "asset tag.asset ID"

Once an "asset ID" is used, I would like it to either be grayed out or disappear from the list of available ID tags. Basically, I want it so that each "asset tag. Asset ID" can only be used once.

Preventing Duplicate Records Involving Null Values

Jul 22, 2005

I have a table with a multi-field unique index:
PatientID
TestId
TestDate
Examiner

The problem is, date and/or examiner can be blank until that information is updated. I want those null values to be understood as actual values so that multiple instances of that "waiting to be updated" record do not occur. Is it possible for Access to understand my indexes in the following way?

PatientID----TestID----TestDate----Examiner----(Index)
1------------1---------07/18/05----AD----------1107/18/05AD
1------------1---------[blank]------[blank]------11

and therefore not allow another record like the second one to be added? The ignore nulls property of my index doesn't seem to affect this issue?

Thanks!
Carly

Field Values Based On User Selection In Combo

Dec 9, 2005

Hello,

I'm stuck! I want to create a form which has a combo box where you select
someone's name, and their address appears in another text box on the same form. The names and addresses are in a table called "cardholders".

I'm doing separate combos for first name, surname cos I think that's the only
way you can do it.

The fields in the table are credit_add, credit_name & credit_surname. The combos are called "cardholder name" "cardholder surname" etc. This is the code in the text box where I want the address to appear:-

=DLookUp("[credit_add]","cardholders","[credit_name] = '" & [cardholdername] & "' And [credit_surname] = " & [cardholdersurname])

Can anyone help?

Thanks.

Queries :: Sum Table Values Based On Combo Box Selection?

May 20, 2014

I am trying to write a query that gets all the telephone hours from a worker done under supervision in a town (qry_svhoursbytown). I have a table that has the workers details, including town (Crisis_support_workers), then another table that has what hours each worker has done (Supervision_Hours). The town is selected from a combo box on the form (frmSearch), under the heading total hours by location.

I try and select Bathurst then press recalculate results and in the text box next to supervision hours, it says 66, but if you look in the Supervision_Hours table, there is only 11 hours for the workers that are in Bathurst.

In the query, I have the sum total of the hours field in the Supervision_Hours table, the Town field from the Crisis_support_workers table with the total selected as Where and in that criteria I have [forms]![frmSearch]![ComboTown], then I just have the town field displayed.

What do I need to change to get it to sum correctly?

I have attached the database below so people can take a look.

Forms :: Combo Box Values Based On Selection On Another Combobox

Jun 6, 2014

I am having issues with my combo box populating values based on the selection from another combo box.

Database : contains 2 tables: Staff_List, Level_Type and a form called frm_Test
The first combobox cboLevel gets its value from the Level_Type table with the select statement SELECT [Level_Type].[ID], [Level_Type].[Level_Type] FROM level_Type;

The values to be displayed on the second combobox cbo_Name is expected to be dependent on the Level selection made from the first combobox i.e if Level 1 is selected in cboLevel then only Names of people in Level 1 will be displayed in second combobox.

The select statement I put there is SELECT Staff_List.ID, Staff_List.Staff_Name
FROM Staff_List
WHERE ((([Staff_List]![Level])=[Forms]![frm_test]![cboLevel]));
This is not displaying anything in the second combobox after I tried it in the Form view, just empty.

General :: Cascade Combo Boxes With Duplicate Values

Jan 18, 2013

I'm trying to Identify a particular entry in my table for editing via combo boxes. The same serial number will come in multiple times but a different job number each time it comes in. To identify a record for editing I need the user to identify the serial number in combo1 and then the job # in combo2 (cascaded combo boxes).

The issue I'm running into is that combo1 has dozens of serial number duplicates (combo2 is acting as it should). When I change some settings around I'm able to get combo1 to eliminate duplicates but now combo2 only shows 1 job # when there should be dozens for that serial #. I need all like serial numbers to show their job # in combo2 and I have not had any luck surfing around the net/forums/experimenting.

I'm pretty sure I have to use a Junction Table but I haven't messed with that and I'm not 100% sure that's the best/only way to do it.

Hi again, thanks to all for the help given so far.

Is there anyway (other than making that field a primary key) to prevent the same value being entered into a different record?

E.g.

If under 'Name' Radion has already been written, I want an error message coming up saying there is already a record with radion.

Preventing Duplicate Entries

Aug 2, 2006

Hi all,
I am currently using this code in the before Update event of the Surname Textbox on a form. The first Textbox is FirstName.
The second one is Surname.

************************************************** **

If (Not IsNull(DLookup("[FirstName]", _
"Employee", "[FirstName] ='" _
& Me!FirstName & "'"))) And (Not IsNull(DLookup("[Surname]", _
"Employee", "[Surname] ='" _
& Me!Surname & "'"))) Then
MsgBox "Someone already exists with the same name! Please check for duplicates", vbCritical, "IPDMS"
Me.Undo
End If

************************************************** **

However once the user has entered the surname and tries to save the record the MsgBox is coming up.
Basically what is happening is the first name is coming up as the duplicate entry only.
I need to prevent the whole name (first name and surname together) from being duplicated.

Thanks if you can help me.

That is a user will not enter for examply "Payables" in the Primary Skillset, and Secondary Skillset fields.

I tried creating a multiple field index but it does ont appear to work.

Forms :: Preventing Duplicate Entries

Mar 7, 2014

I am attempting to make a system where the lifespan of baskets in a production process can be tracked. In order to do this I am looking to create a form to input when a new basket is introduced. Each basket has a 'disc' associated with a number on (BasketNumber), however these discs are reused once the basket breaks which is making it more difficult.

I have a form (Add_New_Basket) which feeds into a table (Active_Basket); what I am trying to do is make sure that a new basket cannot be introduced with the same disc number as an active basket. The way I am trying to determine which baskets are active is that I have an end date, that is filled in once the basket has been scrapped.

Therefore I am trying to set my Add_New_Basket form to restrict me entering a new record with BasketNumber 999, if there is already a BasketNumber 999 in the table with 'EndDate' null. If there is BasketNumber 999 and EndDate is dd/mm/yyyy then it can create the entry. My form Add_New_Basket has fields ID (which is hidden), BasketNumber, StartDate (=Date()).My table has fields: ID, BasketNumber, StartDate, EndDate

Would I use a validation rule?

Modules & VBA :: Preventing Probable Duplicate Records

Jun 21, 2013

I have a table called tblCompanies in which I have a field called CompanyName that is indexed set to "no duplicates". However, I want access to be able to pick out probable duplicates instead of only exact duplicates.

So, for example, if "Butter Fingers" is entered and "Butterfingers" is already in the database, I want access to prevent the new record from being created.

The code I found on MS Developer's reference only prevents exact duplicates which seems pointless since this can be done just as effectively on the table level using an index.

Anyway, here is the code:

Private Sub CompanyName_BeforeUpdate(Cancel As Integer)
If (Not IsNull(DLookup("[CompanyName]", _
"tblCompanies", "[CompanyName] ='" _
& Me!CompanyName & "'"))) Then
MsgBox "Company has already been entered in the database."
Cancel = True
Me!CompanyName.Undo
End If
End Sub

Can it somehow be modified to do what I want it to do?

Preventing Duplicate Records Being Entered (Double Bookings)

Oct 24, 2006

I have a form which allows the user to book rooms.

On this form, there are the following fields:

BookingID: (Autonumber)
RoomID: Text box
Time:Text Box
Date: Text Box
Class: Text Box
Teacher: Text Box

The form adds this information to the Booking table.

What I'm looking to do is prevent the user from double booking a room, like being able to check if the Room is already booked at that time and date, before the new information is added to the table and the room becomes double booked.

Basically this would be checking the RoomID, Time and Date fields, as everything else is irrelevant. What would be the best way to do this?

Forms :: Prevent Duplicate Values With Alert After User Enters Duplicate Value

Dec 30, 2013

We are working on an Access (2007) database that is on a SharePoint Site (2007).

Currently the form is operational, but there is one last thing that would be nice to have.

The table is "Updated Headcount" which contains "EMP_ID" which are unique numbers stored as text.

In the event a new employee is entered in the system by another user on this site we would like to prevent any duplicate "EMPID"s from being entered and saved on the SharePoint, we would also like to alert the user and prevent the data from being saved.

All data is currently bound, so once the user makes a change it is made, no submit button is required.

We are running into some difficulties in doing a dlookup from the value entered and comparing to a column in the table.

TABLE - UPDATED HEADCOUNT
COLUMN in UPDATED HEADCOUNT - EMPID
FORM CELL user will input an EMPID - newEMPID
FORM CELL used for a dlookup to compare what user has entered to what is already in the table - duplicateEMPID

So below is what we are trying to do, we are sure there are a few commands missing....

=IIF(newEMPID=dlookup([UPDATED HEADCOUNT]![EMPID]), newEMPID, "Error, EMPID already exists")

Tables :: Preventing Duplicates Values In Fields

Oct 12, 2012

I am trying to modify an inventory management database. I want to prevent duplicate entries to specific fields in centralized table. The table is called Work Stations. Its function will be to track various computer equipment by a specific work station name. Each of the items will have a unique asset tag.

The primary Key for Work Stations is WS-ID. The fields I am trying to prevent duplicate entries in are WS-Computer, WS-Docking Station, WS-Monitor_1, WS-Monitor_2, and WS-Switch. Each of those fields are primary keys in 4 different tables that conation more detailed information about item. The exception is WS-monitor_1 and WS-Monitor_2 have a one-to-many relationship with Mon-Asset Tag in the monitors table.

The goal I am trying to accomplish is when a work station ID is created or modified duplicate entries are prevented to those fields listed above. The computer, monitors, docking station, and switch fields in the work station table may contain data or may be null.

I have tried to set the Indexed Option to Indexed (No duplicates) for each of the fields and I have also tried setting Yes to Ignore Nulls in the index option on the table design tab for the individual fields. Both options have returned the same error stating the changes would create duplicate values, in the index, primary key, or relationship.I have not created form for this table yet as I was trying to get no duplicates option to work first. I have verified the data and the only duplicating fields are the Null fields

Queries :: Preventing Repeat Values In Only One Field

Apr 7, 2013

I have a query which generates a full list of times and appointments for a given day from two separate dates using a right join and enters a "-" in the field for unallocated time slots using an ISNULL function.

I want to refine the query further so that if a single task/appointment is block-booked in multiple adjacent time slots, I only want to return the start time of the first slot, the end time of the last slot and display the task name once.

The intention is that this will be used to create a daily timetable list in an Access (2000) report with the date being specified in a Combo box in a form in which it will be embedded - though I'm not concerned about the form/report design at the moment, only how to do the query.

I've tried several variations of SELECT DISTINCT and using nested queries to no avail.
