Preventing Duplicates

Hi, How do you normally prevent duplicates being inputted into you forms.
My Idea is this
The input text box doubles up as a dropdownlist of current values held in the database for that field.
So when you access the organisation form and go to the first text box as you enter the 'I' for IBM All the orgs with 'I' appear. When you see that the organisation your inputting already exists you will stop and move on to the next form.
I dont know how to do this, so currently I have set the field OrgName as Indexed: Yes (No duplicates) but this isnt really any good as the user enters all the other details and clicks submit before the error message comes up.

Hi,
I have a form and within that form there is two combo boxes and one text box. When one choses a value from one combo box, and then chooses a value for the other combo box and then enters the value into the textbox I don't want the user to be able to enter the same arrangement. That is I want to prevent duplicates on that combination. Also if they do this I want a Message Box to appear saying that that this combination already exists
I was thinking of using a multiple field index to prevent the duplicates, but I don't know if this is a wise thing to do. Can someone give me some help to see how I can prevent duplicates or offer another solution to prevent duplicates on the combination of the values.

Hi all,
I've got a database with a members table and an events table and a participation table which is like an 'intermediary table' which just has fields for MemberID_fk and EventID_fk.
The form at the moment has a combo box for Members and a combo box for events. This works well but the problem with it is that there is no safeguards to prevent a member from joining the same event many time.
Ideally i'd like for the combo box of events to be updated once the member's been selected to only include events the member has not signed up for.
If anyone's got any suggestions i'd love to hear them. The only constraint i have is that this has to be prevented when it is entered in the form.

Access 2007 - I am using the oft used, frequently posted and shard code from srfreemen - modified as below. now I know I sort of broke commandment # 8 - Thou shalt not copy and paste other people's code without at least attempting to understand what it does. but I honestly did try to understand what it does.
I keep getting runtime error 3078 - cannot find the input table or query 'tblEnrolment_Committee_Master'. It is the name of a table in my database but I am missing the very basic element of how to get my form (which draws all of it's fields from that table) to look it up or identify it.
Likely because of a silly basic error. Normally - I wouldn't attempt such things but my work needs me to ensure no duplicates exist in this case AND it's already a primary key - but I don't want to wait until the whole form is filled out for it to identify the duplicate!
How to get the tblEnrolment_Committee_Master to be included in the search and erase this error ...

I am trying to modify an inventory management database. I want to prevent duplicate entries to specific fields in centralized table. The table is called Work Stations. Its function will be to track various computer equipment by a specific work station name. Each of the items will have a unique asset tag.
The primary Key for Work Stations is WS-ID. The fields I am trying to prevent duplicate entries in are WS-Computer, WS-Docking Station, WS-Monitor_1, WS-Monitor_2, and WS-Switch. Each of those fields are primary keys in 4 different tables that conation more detailed information about item. The exception is WS-monitor_1 and WS-Monitor_2 have a one-to-many relationship with Mon-Asset Tag in the monitors table.
The goal I am trying to accomplish is when a work station ID is created or modified duplicate entries are prevented to those fields listed above. The computer, monitors, docking station, and switch fields in the work station table may contain data or may be null.
I have tried to set the Indexed Option to Indexed (No duplicates) for each of the fields and I have also tried setting Yes to Ignore Nulls in the index option on the table design tab for the individual fields. Both options have returned the same error stating the changes would create duplicate values, in the index, primary key, or relationship.I have not created form for this table yet as I was trying to get no duplicates option to work first. I have verified the data and the only duplicating fields are the Null fields

How to prevent duplicates on the combination of two fields - text & numeric?
I'm currently using the code below that warns users when the combination of two fields have already been used. (Combination of the TWO fields has to always be unique so if used again will warn the user)
Works well when both fields are numeric but fails when the JobDetails field is changed to text in the main table (tblPPMPLanner)

Hi this is my first post... so hi all :)
ok what i have is a table with contact details 900k plus
there are about 90k of which are duplicates.
this is the basic feilds that are important in this case.
Id, data_source, data_recived, data_code,
what i want is to have a table with unique records (no dups in data_code)
this table will look like this...
Id, data_code, Num_dups, dup1_source, dup1_date, daysbtw_Dup1_dup2, dup2_source, dup2_date, daysbtw_Dup2_dup3 ,dup3_source, dup3_date, daysbtw_Dup3_dup4 ,dup4_source, dup4_date,
I know there is no more than 4 dups of each record.
what i want from this is a table that will give me a record of how many dups for each record then all the dates that they were added and the date between each record entry.
if anyone can help it would be great .

Hey, all! Thanks for helping, here is my situation.
I have a table with about 70,000 records that have duplicate Address field values. The rest of the field values for those records are different. When I do a find duplicate querry I get the result that 17,000 records have the same address. However, when I do the append qurrey as instructed here: http://support.microsoft.com/?kbid=209183 I get a total of only 600 records in the new table. I have tried deleting all of the indexes for both the new and old table, with no luck.
I'm using Access 2000 on XP Pro.
If anyone could help with this I would greatly appreciate it!

I have an Access table with an indexed key that is currently set to duplicates OK. There are not supposed to be any duplicates in that field. But it is possible than a small number have crept through.
Two questions:
1. What would happen to those duplicate records if I changed the setting from duplicates OK to no duplicates?
2. Is there any way to ferret out those duplicate records first and change them manually? The table currently has 48000 records so it would be a pain to go through them page by page. (I know how to export them to Excel, where the dups can easily be found; I was just wondering if something could do it within Access.)

I would like to prevent the first 24 rows in a table from being deleted by the user, after these 24 rows they can be deleted. Is there anyway of protecting them etc without putting them in a separate table?

I have a Switch Board and when I click to view a report on it the report automatically opens in maximize view, this is what I want. What I dont want is when I close the report for the Switch Board form to be maximized as well
How would I be able to prevent this??

I have developed a database in Access which has user permissions implemented. These are set so that only Full Data Users have permission to delete information.
However, it has come to my attention that users can get around this by creating a query and then deleting records displayed in its results. I can't understand why this is possible, because the permissions should prevent this.
Can anyone help?

I have a table with a blank record at the begining and populated records thereafter. I used the cmd button wizard to create a delete button for that table. Is there a way to prevent the blank record (record 1) from being deleted by the command button but still allow all other records to be deleted?

Is there anyway (other than making that field a primary key) to prevent the same value being entered into a different record?
E.g.
If under 'Name' Radion has already been written, I want an error message coming up saying there is already a record with radion.

I am currently using this code in the before Update event of the Surname Textbox on a form. The first Textbox is FirstName.
The second one is Surname.

I have a form with fields being input to a table to create records in a query. The query is dispalyed in a ListBox.
People are forgetting to create a New Record, selecting an existing record in the List Box and overwriting it.
How can I prevent this?
Please, no code solutions - I don't understand those. Events and macros I can just about grasp.

I have two different fields in a table. Month/Year and Location.When a user is entering data in a form, I want a message to be displayed if the location AND month/year are the same to tell the user that they are entering a duplicate record. I can't put unique keys on either of these fields because there is going to have to be duplicates in each field.

Ok, I'm a little concerned.
Having somehow managed to type the only admin account password twice incorrectly (the same way) when changing my password, and being locked out, I searched for an MDW cracker. I found a handful of different programs that claimed they could tell you the passwords of Workgroup Level Security (ranging from $20-$50). I downloaded the demo of one, and all my users were listed (and all passwords under 4 characters). I applied a 3rd party "patch", and all the User Passwords were listed instantly (even one password that was set by Access which was 12 characters, made of different cases and numbers).
The overall time it took including finding the software, finding the crack, and running them against the mdw took under 20 minutes.
Since our Access databases here carry sensitive data, including payroll information, and Vacation Information, I'm a little concerned by this.
The impact is limited simply by the fact that only a certain number of people have permissions to access the location where the MDW file is. However, almost everyone in our IT department has this ability.
Anyone have any further suggestions or ways to help minimize this risk?

I need urgent suggestions as to how to prevent access to the database window even when the SHIFT key is pressed when loading the app.
This is very important so as to increase data security and prevent unauthorised data change by users.

Hi everyone,
This is in regards to user security. I'm a relatively new user to Access (and this forum). My company uses Access 2000 and I'm taking over a database thats used by several departments at my company. This database contains sensitive information so I put user security on it using the wizard. Due to the nature of the database, a particular user group needs to have the ability to create new tables. The problem is this: No matter what I do with the user group security settings, I cannot prevent other user groups from creating new tables. Is there a way to prevent certain users from adding a table?

I was wondering if there is any way of stopping people from seeing the tables that I have created and the relationships between said tables?
I want to restrict access so that users can only see the forms and access the reports that I've created but am not sure how to go about stopping people from seeing, never mind altering, the table names and structures. Can anyone help??

I'm not sure if this is a Table question or a Form question...
After a user enters data into all the fields on my form (ticket #, date, time, etc) and submits that form, I want to prevent them from going back to that record (or any record, for that matter) and make a change to it. Currently, they can do a "Find" on a specific ticket # while in the form and make any kind of change they wanted. ie: change the time they reported to a work site...
Is there an easy way to prevent this from happening?

Hello everyone.
It has been many years since I played with this stuff and I probably wouldn't be now, if not for an emergency.
I know there is probably an example here that all ready explains what I need, but honestly, I am not real familiar with the terms and wouldn't know where to begin looking for it.
I am old and don't intend to make a career out of this, I just need to fix a database. We had a bookkeeper at our small business who, for years, maintained our mailing list. It was her own design, though she knew nothing about it and learned as she went along. We never interfered because she did her job flawlessly in her own little, confussing round-a-bout way.
She is gone now and we have to make heads or tails of this. We decided the quickest and easiest way was to blow the old db away, use as much of the basic fields that we could sacrifice and start over. It's just a simple mailing list, but it contains over 9000 records.
Her method of entering records was from the table view. Yep, starting a new line at the bottom of the table and then entering the 94 fields of information that applied to the new record.
I have created a form today that does this now and simplifies this process.
Her method of preventing multiple records, was to scroll down the table and see if she had already entered the record previously. This is my question.
My first approach to resolving this issue in my new form, was to create a ComboBox on the form to do a lookup using Last and FirstName. Due to the fact that this ComboBox will need additional fine tuning that I don't understand, when I use it, it does auto-complete the last name "Anderson" as I type it and it highlights the first "Anderson" record in the db, but It doesn't do any sorts in this same ComboBox to bring the rest of the "Anderson" records to the top so I can then check for a matching FirstName. I'm sure this requires changes in the property of the ComboBox that I don't understand.
Or, maybe I shouldn't even be using the ComboBox.
Actually, I would bet there is a way that I can alter my table so that it would not allow me to put in a duplicate record and therefore, eliminating the need to even look anything up.
Any ideas or direction with this would be greatly appreciated. Since I am only the person creating this and not the person(s) that will actually be using it, I should find a method for this that will be simple for anyone adding records.
Hopefully, in a day or so, I can be done with this and get back to my real job here as a mechanic, not a programmer. :eek:

I have a form and sub form, the sub form is populated from a query and has a column of checkboxes. Basically these checkboxes get checked as part of the form, but only a maximum of five are allowed to be checked. Is there a way of achieving this?

Hoping someone can help me here. I have a form which is maximised on startup which also has the min/max and close button disabled. What i'd like to do is also prevent the user from restoring the form to ie. click the restore button which then makes the form smaller as i'd like the form to permanently remain maximised.
I'm not sure if this is possible, but if not is there a way to size the form to fit the height and width of the screen as if it was maximised regardless of the screen resolution the user is using.
Any help would be appreciated.
