Printing Current Records

Aug 29, 2007

Hi Guys (again),

Hope you can help and I'll explain this as well as I can but I've put it in general as it's a culmination of things.

I have written a call monitoring database for a call centre (all good so far), but they want historical searches (again all good). I've written the relevant queries for these so that the searches can be done for Adviser, Manager and also by a date range. However, they now want to be able to print out the current search from the screen.

The way I have done it is this. I have written the report be adding in a subreport and putting in the relevant historical search form, and then written a macro that is assigned to a button on the historical search form to print the current record.

The problem that I am having is that when they click on the button to give them the history they fill in the relevant advisor or manager name and the date range which gives them the info in form format but, when they click on the button to print the current 'screen' if you like, it asks for the information again. I know this is because the actual report is written from the same query but is there anyway that it will just print what's displayed on the screen? I don't do VBA so if it has to be done that way could you please display it as it should be inserted.

I do hope that that has made sense and that someone can at least help me, cos you're all wonderful and I've had some really excellent help in the past from this site.

Thanks in advance.

Donna x :confused: (as always)

Reports :: Printing Current Linked Records Only

Jan 7, 2014

I have a main form with a subform. The subform has linked tables from the main form. People are on the main form with the index PersonId and they are linked to incidents by IncidentId.

I want to put in two buttons.

First put a print report button for each subform whereby it will only produce a report for the records I can see on screen . i.e. if a person is linked to two incidents I just want the report for those two incidents.

Secondly I would also like a print all button on the subform where it prints reports containing the current IncidentId number.

Printing Current Record

Nov 20, 2006

This could go in forms or reports, I think but:

I have a database which I am developing over time as I see ways of improving it and as I learn bits of vba. My current problem relates to invoicing (that I have probably created for myself!): I currently have two invoice report layouts because of different invoicing addresses.

I now want to add a cmd button to my invoice entry form that will firstly preview, then print the current record. I found elsewhere in the forum a way of previewing just the current record by way of specifying in the underlying qry the ClientID so that it selects the record displayed on the form.

I have this line of code which then previews the invoice:

DoCmd.OpenReport "rptInvoicePrivateClients", acViewPreview

This does not take account, though of the different invoice layouts.
I think strictly speaking I should only have one invoice report, but what I want to say is this:

If the client is a private client, then preview rptInvoicePrivate,
Else preview rptInvoiceLocumWork

I have tried entering this code that does not work

If SolicitorID = "1" Then
DoCmd.OpenReport "rptInvoicePrivateClients", acViewPreview
Else
DoCmd.OpenReport "rptInvoiceLocumWork", acViewPreview
End If

It comes back with a message that SolicitorID is not defined, but I have included Option Explicit.

Any help please

Printing Only One (current) Record In A Report

Jul 19, 2007

Hi Everyone,

I'm probably going about this the wrong way all together, but what I'm trying to do is print a single record from a form in a report.
Basically after the client fills in the form they can print their "results report" using the click box (command button) in the bottom corner of the form. When the client clicks on the button it prints all the records ("result reports") of all the clients...no good of course.
Here's the code for the button:

Private Sub PrintSingleChamber_Click()
On Error GoTo Err_PrintSingleChamber_Click

Dim stDocName As String

stDocName = "SingleChamberPrintOut"
DoCmd.OpenReport stDocName, acNormal

Exit_PrintSingleChamber_Click:
Exit Sub

Err_PrintSingleChamber_Click:
MsgBox Err.Description
Resume Exit_PrintSingleChamber_Click

End Sub

Can someone point me in the right direction? :confused:
Thanks again,

Mark

Printing The Current Record Which Has A Subform

Jan 11, 2006

Hello,

I have done a search on this forum and found all the postings relating to printing only the current record for a report. I have a command button and have followed what these posts say. The report prints the current record but leaves out the data from the subform.

The database is a recipe organizer. The main form is called Recipes and the subform contains the ingredients for each recipe. This subform is called Ingredients.

I set up a command button with the following code:

Private Sub Print_Recipe_Click()
On Error GoTo Err_Print_Recipe_Click

Dim stDocName As String

stDocName = "Family Recipes"
DoCmd.OpenReport stDocName, acNormal, , "[RecipeID] = " & Forms!RECIPES![RecipeID]

Exit_Print_Recipe_Click:
Exit Sub

Err_Print_Recipe_Click:
MsgBox Err.Description
Resume Exit_Print_Recipe_Click

End Sub

Since the RecipeID is used in both forms and the report, I thought it would be the best field to use since it linked all the information together.

So what do I need to do so that the subform data prints out on the report?

Thanks
GeekyGirl

Printing Current Record On Form And Subform

Oct 21, 2006

I currently am trying to print the current record that I have selected on my form and the subform that I have on the same page. If I try to print selected record it will only print out the main form correctly and will print out the first record on the sub form. I have tried to make a reprot of the current form and it only will do the main form and nothing from the sub form. I am willing to try whatever method would work in getting this to work. Thanks

Printing A Report Based On The Current (new) Record

Nov 23, 2006

Hi All,

Having a problem with a report, I have a form that i use to enter a new record to my database, what I want to do is put a button at the bottom of the form to print the record (via a report)

If I base this on a record that already exists, it works fine.
However,
If I have just entered the record the query the report runs off doesn't see the new record. To print that record I have to exit the completed record, then go back in to it and print.
My aim is to remove this additional part of the process, I'm sure it's something really simple, but can anyone help?

Many Thanks
Paul

Forms :: Navigation Form Printing Current Record Out As PDF

May 31, 2014

I have made a navigation form that prints the current record out as a PDF and also the option to send the current record by email as a PDF. Both work perfect when you open the form outside the navigation form. But when you open it inside the navigation form, it does not print any of the information.

The problem is in the Query report, In the criteria box for field [RequsetID] it has

Code : [Forms]![FRMRequestForm]![RequestID]

(The above works outside the navigation form.)

I have also tried adding the navigation form name

Code : [Forms]![Main]![FRMRequestForm]![RequestID]

But none work.

Printing Parts Of Records In A Specific Format

Oct 27, 2005

i've created a database for city permits to be issued (which works perfectly thanx to alll your help), but now i need to be able to print out 1 permit at a time when it is issued (immediately after the data has been entered into the forms). i have 3 tables & 3 forms: contractors/owners, permtOrders (which has tabs for the different types of permits), and permitOrderDetails. the problem is the forms are set up for data entry (and only open in add mode for obvious reasons)...i need to be able to print an actual permit (like the carbon copy, landscape kind that usually tears out of a book). once the user enters the information into the forms, i need a little bit of that info from each form to be carried onto the actual printable permit. i'm not really sure how to accomplish this. :confused: i don't really know if i explained this right, but any suggestions are greatly appreciated.

Printing A Single Records Report From A Continuous Form

Mar 7, 2006

I've been trying to get my head round this one , but i'm just to thick to get it.

I have a continuous form that lists all items at a certain location.
The user selects a record by clicking on the record selector and then clicks on a command button with this code:

stDocName = "DivingInspectionCert"
stLinkCriteria = ("EquipmentID = " & Me!EquipmentID)
DoCmd.OpenForm stDocName, , , stLinkCriteria

The user then enters inspection details in to the "DivingInspectionCert" form which i want to store in a table (DivingCert) which will relate to the item. On completion of this form the user then clicks on a command button with this code:

DoCmd.RunCommand acCmdSaveRecord

If Me.RecordsetClone.RecordCount = 0 Then
MsgBox "There are no items to Print", vbInformation, "EquiTrac"
End
Else
DoCmd.OpenReport "DivingInspectionRpt", , , ("EquipmentID = " & Me!EquipmentID)
DoCmd.Close

When i click on this button, the report doesn't print and i get a message "No current record".
The inspection details are not stored in the table.
I did have the forms RecordSource based on the table "DivingCert" but that didn't work and i have just tried a query but it is still not working.

Would be much appreciated if you can help me.
Thank you

Modules & VBA :: Printing Code Slowing Down Printing Reports?

Feb 25, 2014

I was having trouble just setting each report with a particular print method - for some reason they just kept forgetting their individual settings and resorting to default on the machine.

This meant reports were printing on the wrong paper, or the wrong size paper, the wrong orientation and some times refusing to print if it couldn't find the paper (which is useful in runtime as it doesn't display error messages)

So I used Reports(rpt).printer properties (I forgot where I found this) to hard code the printer properties into each print command... this meant I had to use another function to insert the variables.

So all I had to do was say:

Code:
PrintMe("Invoice","InvoiceID",iID)

and a report would print to exactly how I wanted... but it's just too slow!

See attached for full code, I have a niggling feeling it may be the function: PrinterOK, to make sure the printer exists or not.

Code:
Function PrinterOK(sPrinterName As String) As Boolean
Dim MyPrinter As Printer
PrinterOK = False
For Each MyPrinter In Printers
If MyPrinter.DeviceName = sPrinterName Then
PrinterOK = True
Exit Function
End If
Next
End Function

I know it's the printing code, because if I stop the printing and just preview then it shows up almost instantly.

Only Return Current And Following Records

Oct 1, 2007

Hi.

i.e
I have a query with the following sort of information:-

MonthAmount
08/2007£100
09/2007£200
10/2007 £55
11/2007£60

As today being the 1st October, I would like the query to return the values for Oct and Nov.
The same values would be returned on the 31st Oct, but then the following day, only the Nov value would be returned...so, basically, it only returns the values of the current month and following months..

I am assuming I put something in the criteria of the query under the month? I have tried a number of things, with none working!!!

Thanks for reading....

Frank.

Use Current Date To Change A Value In Records

Aug 12, 2006

I have a db that is a checkbook register. I use a field in each transaction record to tell whether the transaction is current or is a future transaction (if it is in the future then it doesn't yet affect my balance). For instance, if the item is not scheduled to be paid for two weeks (I schedule payments with online banking), I check the "future item" box, then that record for that item isn't included in the report that tells me my current balance. How can I automatically take away that check mark on records when the date in that record becomes todays date (or before today)? Because at that point it is no longer a "future" transaction but is current. I could do this manually but it seems like there should be a way to do it automatically.

Referencing Fields From Non-current Records

Mar 11, 2008

Another problem has thrust its ugly head into my personal universe.

I have a report to make that is to show a break down of employees hired in each month since Oct. '05 and to show what percentage of the total for that month remain.

I have created one query that grabs each of the relevant personnel;

SELECT Right(Str(Year([dbo_personnel]![originalapptdate])),4)+" -"+Str(Month([dbo_personnel]![originalapptdate]))+" : "+MonthName(Month([dbo_personnel]![originalapptdate]),True)+" '"+Right(Str(Year([dbo_personnel]![originalapptdate])),2)+" Hires" AS hire_month, [dbo_personnel]![lname]+"; "+[dbo_personnel]![fname]+IIf(IsNull([dbo_personnel]![mname]),""," "+Left([dbo_personnel]![mname],1)+".") AS name, dbo_personnel.badge, dbo_personnel.originalapptdate, IIf(IsNull([dbo_personnel]![dateoftermination]),[dbo_personnel]![assignedorg],"EOS'd") AS EOS
FROM dbo_personnel
WHERE ((Not ((dbo_personnel.badge) Like "R*" Or (dbo_personnel.badge) Like "9*")) AND ((dbo_personnel.originalapptdate)>=#10/1/2005#))
ORDER BY dbo_personnel.originalapptdate;

I've saved this query as "2-yr Service Check Baseline."

And then this query that does the count;

SELECT [2-yr Service Check Baseline].hire_month, IIf([2-yr Service Check Baseline]![EOS]="EOS'd","EOS'd","Active") AS EOS, Count([2-yr Service Check Baseline].EOS) AS CountOfEOS
FROM [2-yr Service Check Baseline]
GROUP BY [2-yr Service Check Baseline].hire_month, IIf([2-yr Service Check Baseline]![EOS]="EOS'd","EOS'd","Active")
ORDER BY [2-yr Service Check Baseline].hire_month, IIf([2-yr Service Check Baseline]![EOS]="EOS'd","EOS'd","Active");

The output from the second query stores the Active count on odd numbered records and the terminated ones on the even numbered records.

So, to get the percent left, I'd need to sum the two count fields from the two relevant records and then divide this into the Active count.

But, in the report, how do I reference a field from a record other than the current one?

Thanx in advance for any help!

How Do I Only Show Current Records Image?

Oct 12, 2005

Hi

Just wondering if anyone could help me with my little problem :)

I am making a register (as in a class register of students) I have a table with the lessons on and one with students on. I have made a relationship between them etc.

I have a form where the parent allows you to choose which lesson you want to view, and the subform displays the students for that lesson. This all works fine.

My problem is that I also want a picture to be displayed for the student that is currently selected, I have managed to update the picture by using

Private Sub Form_Current()
[student_picture].Picture = [student_image]
End Sub

student_picture is the name of the image on the subform, the student_image is a row in my student database that contains the location of the image e.g. c:abc.jpg

and this works at updating the image that is show. The only problem is that the image is shown on all records/rows. Is there anyway of making it so that the image is only displayed on the current row?

Thank you

Neil

Email ONLY To Current Subform Records

Jun 9, 2006

I have been reading quite a bit on this and other forums about email automation and looping queries to gather email addresses. However, I am unable to restrict my list of email addresses to only that are currently being viewed in a subform.

An image of my form is attached. I have 3 tables being used:

Events
Contacts
EventAttendance

The EventAttendance Table is a join table to determine which Contacts attended which Events.

When I try to loop a query to capture email addresses, I am only able to return email addresses for the entire query (all people attending all events) not just those that are listed in the subform for the current event.

How do I adjust the code below to only use the emails that match the EventID I am viewing?

Private Sub Command19_Click()

Dim rs As New ADODB.Recordset
Dim strEmail As String

rs.Open "EventAttendance Query", CurrentProject.Connection, adOpenDynamic, adLockOptimistic

strEmail = ""
Do While Not rs.EOF
strEmail = strEmail & rs!Email & ";"
rs.MoveNext
Loop

DoCmd.SendObject , , , strEmail, , , "test", "Test", True

rs.Close
Set rs = Nothing

End Sub
