Queries :: Adding New Records To Table - Random Number No Duplicates
Jul 31, 2013
I have a form which allows the user to add new records to a table. After the user had entered all the information into the form, they click a command button to add the record. In addition to adding the new record, my command button runs an query which is supposed to generate a random number between 1 & 1,000,000,000 and update the record ID field with that number.
Here is the formula I have been using in the "update To" now of my query: Int((1000000000-1+1)*Rnd()+1)
My problem is that I keep getting duplicates. You would think that the chances of getting a duplicate number would be pretty small with this large of a range, but I get a duplicate almost every time.
I have tried indexing (No duplicates) the field in the table, but that did not work. When my query generated a duplicate number, the record was just not added to the table.
I also tried a two step approach:
1-Make a table of all in use record ID numbers from my table (tblIdNo)
2-Update new record with a random number that is not in tblIdNo
This was a no-go too
How to build an update query that will update each new record added to the table with a random number between 1 & 1,000,000,000 without any duplicates? This seems like it should be so simple, and I am starting to get really frustrated.
I would prefer to accomplish this through a query/queries (if possible) rather than with 100 lines of code. This database is not for me, it's for another group, and the individuals in this group are totally freaked out by code.

Is it possible to run a SQL command to update a field within a table with random numbers?
More specifically - random long integers linking back to an ID (autonumber) field in another table?
Background to this is, I have multiple static data tables related to each other by long integer identifiers (autonumbers)
The structure is fine but I haven't been provided with the actual data yet - but for development purposes, I need to work on other functionality which requires that this data be present.
So I want to fill my table with dummy data such that I can go off and work on the remaining functionality, but then just go back and clear it all out once I get the actual data.
I have one 'main' static table, which links back to other tables, which I have already populated with dummy static (i.e. company names, locations etc) Now I want to go into my main table and populate those fields in each record with a random ID. I don't mind doing this field-by-field (there's only a handful) but I've a lot of records in there (~1000) so I'd rather not do this record-by-record.

I'm trying to insert 10% of a dataset from dbo_billing into another table Random_Temp. Another form is open when this query is to be ran that passess in the billyear and billmonth... I'm sure it's a syntax issue as I can isolate the random number part and it displays the appropriate data, I just can't re-write it to insert into the other table:
INSERT INTO Random_Temp ( indx, peopleId, audited )
SELECT TOP 10 PERCENT b.indx, b.peopleId, b.audited
FROM dbo_Billing AS b
WHERE (((b.billYear)=[Forms]![billing]![billyear]) AND ((b.billMonth)=[Forms]![billing]![billmonth]) AND ((b.recertifying)=-1))
ORDER BY Rnd(-(1000*b.indx)*Time());

I'm trying to create a query that generates random numbers for each record, sorts them by that field, then selects the top record. This should randomize the record being selected.
I can use the Rnd([ID]) function which does appear to generate a random number. Problem is that each time I exit the program and come back in, it always selects the same record. When I remove the Top = 1, to show all the records, every row does have a different random number but it does not appear to be sorting by this field.
If I run the query, here is the number I get: 0.98609316349029
Exit the program, restart, and run the query again: 0.98609316349029
If I refresh the query, the second and third time does appear to be random but the first result is always the same. how to generate truly random numbers?

I would like to use an append query that appends data from a union query into a table, but doesn't add duplicates based on a certain field.
I have been trying to use this code, but it doesnt seem to work.
INSERT INTO [Cotton13/14]
SELECT DISTINCT [Contracted Farmers].*
FROM [Contracted Farmers]
WHERE NOT (SELECT * FROM [Cotton13/14] FROM [Cotton13/14] AS [Cotton13/14] WHERE [Cotton13/14].[OF Codec] = [Contracted Farmers].[OF Codec])
Cotton13/14 is the table I want to append to and Contracted Farmers is the union query. However the code is giving me an error.

Is there any way to highlight duplicates across a number of records on a continuous form (conditional formatting I presume)? My continuous form is filtered on load to show only the records relating to the specified date (specified before opening the form), and there is one field that I would like to highlight if there is a duplicate value in the same field on another record on the form. Is this possible?

I am fairly new to Access 2013 but am trying to create a query that will select random records from three totally unrelated tables and display the results together as if one table -- think video slot machine wheels. Each table has two fields - ID which is the primary key and NAME. The data in the tables are names of states, names of colors, and types of animals. Each table has a different number of records. My end result is a table that selects X number of random records from each table and displays them side by side like this:
Desired Result:
Animal Color State
cat red Ohio
dog blue Texas
fox green Iowa
I have been able to create three individual queries that will pull X number of random records by using:
SELECT TOP 10 Animals.[ID], Animals.[Name] FROM Animals ORDER BY Rnd(-(100000*[ID])*Time());
SELECT TOP 10 Colors.[ID], Colors.[Name] FROM Colors ORDER BY Rnd(-(100000*[ID])*Time());
SELECT TOP 10 States.[ID], States.[LongName] FROM States ORDER BY Rnd(-(100000*[ID])*Time());
Using the three queries above I get three separate lists. how to make one query that will randomly pull from all three tables and make the display above?

Hi All,
Any ideas on how I do the following.
I have a table with 1500 records in it.
I want to select at random 4 of these records and append them into another table along with some other data that the query will not pick up, in this case Pilot and Month.
I guess I am having to go the VBA route but dont have a clue on how to do it.
Cheers in anticipation.
Andy.
INSERT INTO Assignments ( flightcode, aircraft, depart, destin, pilotcode, [Month] )
SELECT Schedule.Flightcode, Schedule.Aircraft, Schedule.Departure, Schedule.Destination, [pilot] AS Expr1, [MONTH] AS Expr2
FROM Schedule
WHERE (((Schedule.Departure) Like "man*"));

I'm having trouble with my VBA module.I have a random test generator which pulls records based on a category from my table into a temp table using a make table query. I use the following code:
Private Sub Command2_Click()
DoCmd.SetWarnings False
DoCmd.OpenQuery "1", acViewNormal, acEdit
DoCmd.OpenReport "WrittenExam", acViewPreview, "", "", acNormal
Reports!WrittenExam.lblTitle.Caption = "Exam Name"
DoCmd.OpenReport "WrittenExamAnswerSheet", acViewPreview, "", "", acNormal
Reports!WrittenExamAnswerSheets.lblTitle.Caption = "Exam Name - Answer Sheet"
End Sub
My querry makes the table, and then generates two reports (my exam, and the answer sheet). I'm getting an error 3211, saying the temp table is already in use by another process when trying to generate both reports. I used a Macro before, but I have a need for custom report headings, so I'm using VBA.

I have imported a large number of emails into a table tbl_requests.
I had intended to have unique file tbl_requests.date_opened unique, but have ended up with a lot of duplicate records (i.e. tbl_requests.date_opened is not unique !). How to delete any duplicates? I have 15,000 records...

Hi
I want to amend my query so that all duplicate records don't appear. For example when the query is run the information generated includes:
Day the audit took place
Room the audit took place in
Faculty the activity belongs to
Staff lecturer(s) who takes the class
Activity that was going on when audit took place
Start time of Activity
Finish time of Activity
Counted number of people in the room
Therefore, if there is an activity going on for a faculty but there is more than 1 staff name against it, I just want 1 record to appear against that faculty. Whereas what is happening for example is that there is a activity which takes place from 3pm to 4pm and the activity belongs to the Faculty of Computing and Engineering, and as the class was taken by 3 different lecturers, 3 separate records appear. I am concerned about this because the information is then used in a summary report for each Faculty for the year, so in this case the summary report will calculate 3 activities when it was just 1 activity.
It would be great if its something I could just amend in the query, and not in the source table.
Much appreciated

I have a table that has multiple records (count >1). I used the find duplicate records and then made it a delete query, however, this resulted in deleting all the records that had count >1. I need to retain distinct record, and delete the extra records. Using select distinct.. I do not want to use VBA to achieve this, but at the same time be able to incorporate the steps in a module that would execute the queries in a sequential order and achieve the same results.

I have a WO Table and a related WO Procedures Table. I would like to add a specific # of blank lines/records between each record but that # will vary. So the report will show the WO Procedure Desc then a specified # of blank lines below it and then the next WO Procedures Desc then a specified # of blank lines below it etc.
I thought to add a field to the Proc tbl called #ofLines and whatever number was entered would be the # of blank lines to appear below the record on the report.

I want whenever I'm updating or adding records to my form, the ID automatically take the value of the previous ID and increment it by 1.
The field type is text (mixed with number) - PM0000000.
I've done some research, what I understand is that I need to:
-do a lookup and
-find the MAX of the number portion.
Name of form - Payment
Name of table - Payment
Name of field - payment_id
I tried these, but to no avail...
Private Sub payment_id_Click()
payment_id = DLookup(("[payment_id]", "Payment", "[payment_id]=Forms![Payment]![payment_id]-1")payment_id + 1)
End Sub
[Code] .....

Quick question, how do I have access generate a random number between 1 and 8? I want it to generate either a 1,2,3,4,5,6,7, or 8. (no zero, no nine)
Expr1: Fix(Rnd(8-1)*10*Rnd()) is what I have been using, but this always generates the number 2? I do want the decimals to be rounded to the nearest integer, thus I have Fix.
If someone could please help me, it would be greatly appreciated! Thanks in advance.

I have a set of transactions with a Unique ID field and a date. I want to add a field based that gives me the sequence of events for each Unique ID in order of when it happened.
For example, if customer X has 6 transactions, the sequence field would have a number (1-6) in each record that corresponds to the order in which those transactions occurred. The first transaction would have the number 1, the second would have the number 2 and so on.

Basically what I have is a database for tracking/logging parcels that arrive to the office. I want to be able to generate a reference number based on the date of arrival: i.e. the reference number should be ddmmyy### where ### is a sequential number. I know that I could just use the primary key's autonumber, for the sequential number but if I do this then the sequence will not restart at 1 on each date and because we receive a lot of parcels the reference number will grow to be too big to print out on the collection slips in just a few months.
two tables (one with the date and staff on duty that day and the other with the parcel's info') with a one to many relationship
I also have a query (Named: FullLog) that picks up the following data from the tables:
Name - Description - Size - TrackingInfo' - Staff - DateReceived - Count
The field named Count is a DCount function that I used to find out the number of times each date is repeated. This is the Expression that I used:
Count: DCount("*","FullLog","DateReceived = " & [DateReceived]) [Note that DateReceived is first converted into a string using CStr()]
This is as far as I have been able to get, I have been looking for weeks for a solution to this problem but I have yet to find one. I don't even know if the DCount function is the correct way of doing it, I did read somewhere that this produces a very slow query.
Effectively what I want to be able to get is something of that resembles the following
DateReceived - ReferenceNo
051013 051013001
051013 051013002
051013 051013003
061013 061013001
061013 061013002
071013 071013001
071013 071013002
071013 071013003
071013 071013004
071013 071013005
081013 081013001
081013 081013002

101013 101013001
