Queries :: Cannot Edit Group By Query - Fields Reverting Back To Blank
Jun 8, 2013
I have a query where I group by EmpID, so duplicates do not show up. In this query I have two fields with no data. These fields are to be filled in after the query is run in a form. However, these fields are not editable due to the group by feature. I tried two unbound fields, which does allow me to type, but doesn't save the changes once I click out of the field. The field then reverts back to blank.

I have a query that I made for about five fields, where the criteria is
Like "*" & [Forms]![DATA SEARCH]![Box] & "*"
Where box is the name of the field that I am searching for.
However, some of the fields in my form are left blank, which makes this refuse to give any results when I try to query it with a form. The other problem that I have is that the fields are bland in different parts of the 1,000 some-odd row table, which was imported from MS Excel.

I have an unbound textbox with certain value. I want the user to be able to change the value, but first, I want them to get a question about it. I have added the following code to the before update event for that textbox. If they answer "No" to the question i want the value to go back to what it was, but if they say "yes" then I want the value to stay and a table to be updated.
Code:
Private Sub txtCustRepID_BeforeUpdate(Cancel As Integer)
Dim CallIDVar As Long
Dim sName As String
Dim CustRepIDNew As String
Dim CustRepIDOr As String
CustRepIDOr = Me.txtCustRepID.Value
[CXode] ....
The code for "Yes" works well, but when the user selects "no", the value in the textbox does not reverse back to the original value.
What do I need to do?
Also, I would like to add a message box that says "The value has been changed from (original value) to (new value)" How do I do that?

I have a form with a date field that has a default value of =IIf(IsNull([DueDate]),Date()+14). I use the form for new entries and for modifying entries. So if it already has a value in it then don't put the default in For new records the default is fine until someone changes the date to something else and then enters other info into another field that has a default value.
How can I stop the date field from reverting back to the default value after someone has changed it.

I had to modify how I was storing data on one of my tables. I changed checkboxes to an option group with the values ranging from 1 to 4.I need to count each of these entries for a report which will run them into another formula.I am trying to use the below - obv I'm doing something wrong.
Code:
Police: Sum(IIf([OType],1,0))
And this is the original SQL for my queries if needed:
qry_BLT_RCCounts1
Code:
SELECT Year([tblBlotter].[EntryDate]) AS [Year], Month([tblBlotter].[EntryDate]) AS [Month], Sum(IIf([OType],1,0)) AS Police, Sum(IIf([OType],3,0)) AS Ramp, Sum(IIf([OType],2,0)) AS Terminal, Sum(IIf([OType],4,0)) AS AOA, ([Terminal]+[Ramp]+[AOA]) AS TRATotal, ([Police]+[Terminal]+[Ramp]+[AOA]) AS TotalChecks, Year(DateAdd("m",-1,[tblBlotter].[EntryDate])) AS PrevYear, Month(DateAdd("m",-1,[tblBlotter].[EntryDate])) AS PrevMonth
FROM tblBlotter
[code]....

I have created a database for my hobby of being an (American) football official. I have one table of officials and another for matches to track the matches that I have worked. There are 3-7 positions that officials can work in any one match.
I want a query that will tell me which officials I have worked with and in how many matches (in total regardless of position). I have created a union all query to give me a list of officials names each time they appear. Rather than giving me the result as the names it comes back as the ID numbers from the Officials table.
The SQL query is:
SELECT Ref FROM Matches WHERE Ref Is Not Null
UNION ALL
SELECT Umpire FROM Matches WHERE Umpire Is Not Null
UNION ALL
SELECT LineJudge FROM Matches WHERE LineJudge Is Not Null
UNION ALL
SELECT HeadLine FROM Matches WHERE HeadLine Is Not Null
UNION ALL
SELECT BackJudge FROM Matches WHERE BackJudge Is Not Null
UNION ALL
SELECT SideJudge FROM Matches WHERE SideJudge Is Not Null
UNION ALL SELECT FieldJudge FROM Matches WHERE FieldJudge Is Not Null;
The field used in each position is a full name field ([Surname] & ", " & [Name])

Hi!
I have done a query which has calculated fields, but I can't edit the stored fields directly from the query, instead I have to go to the table so as to edit it. Is this the way it works or is something wrong?
SELECT [INSTRUCCIONES DE EMBARQUE].N_OP, [INSTRUCCIONES DE EMBARQUE].[N° FAC EXP], [INSTRUCCIONES DE EMBARQUE].[FECHA CUMP], [INSTRUCCIONES DE EMBARQUE].[DERECHO PGC], [INSTRUCCIONES DE EMBARQUE].[VTO DER EXP], [INSTRUCCIONES DE EMBARQUE].[IMPORTE REINTEGRO], [DETALLE CONTENEDOR].CANTIDAD, [DETALLE CONTENEDOR].[VALOR FOB], [INSTRUCCIONES DE EMBARQUE].[TIPO DE CAMBIO], [TIPO DE CAMBIO]*[VALOR FOB] AS [PRECIO VTA (ARS)], [PRECIO VTA (ARS)]*[CANTIDAD] AS [TOTAL(ARS)], [TOTAL(ARS)]/[TIPO DE CAMBIO] AS [TOTAL(USD)]
FROM [INSTRUCCIONES DE EMBARQUE], [DETALLE CONTENEDOR];

I have 2 tables (tblItemsQB and tblItemInfo) that have a 1 to 1 relationship linked by the "PartNumber" field. The tblItemsQB table contains a description field and 2 price fields (this table is downloaded from Quickbooks). The tblItemInfo table contains additional fields with information on the part that isn't contained in Quickbooks, like OrderType, Phase, SubSystem.
I import the items from QB into tblItemsQB and then do an outer join with tblItemInfo to link all the information for the part. If I have created a new part in Quickbooks, when I do the outer join (I include all records from tblItemsQB) I can see the new part but since the part number doesn't exist yet in tblItemInfo, I can't add the information to the fields in that table.
What is the easiest way to create the new PartNumbers (those that exist in tblItemsQb but not in tblItemInfo) in the tblItemInfo table so I can add the other information to it?
thanks

I have a query which selects a material ID and material name from one table and the associated manufacturer, supplier, and packaging type from three other tables. Some of the manufacturer, supplier, and packaging data were imported from an Excel spreadsheet and did not have data for those fields, so those fields are blank. When I run the query, I only get the records which have all fields filled out. How can I get the records where the material ID and material name are filled in, but the manufacturer, supplier, or packaging type are blank? Here is the query I'm using currently:
Code:
SELECT tblMaterialSpecifications.ID, tblMaterialSpecifications.Critical, tblMaterialSpecifications.MaterialSupply, tblManufacturer.Manufacturer, tblSupplier.Supplier, tblPackaging.PackageType
FROM tblPackaging INNER JOIN (tblSupplier INNER JOIN (tblManufacturer INNER JOIN tblMaterialSpecifications ON tblManufacturer.ID = tblMaterialSpecifications.ManufacturerID) ON tblSupplier.ID = tblMaterialSpecifications.SupplierID) ON tblPackaging.ID = tblMaterialSpecifications.PackagingID
WHERE (((tblMaterialSpecifications.ActiveInactive)=-1))
ORDER BY tblMaterialSpecifications.Critical, tblMaterialSpecifications.MaterialSupply;

I'm trying to create a query that will compare the data in 3 fields in a record, choose the largest (I also have a criteria to order by if more than 1 field has the same entry and it's the largest of the 3), and then group by that.The fields I will need are as follows:
PRODUCT table:
ProductName
Chemical
ChemicalAbstract
PhysicalState
NFPAHealth
NFPAFlammability
NFPAReactivity
qryQuantityOnHand query (which doesn't link directly to the PRODUCT table, it links through associations with other tables):QOH...I will eventually need information from another table for the final reports, but I don't think it has to be included in this query.
The fields NFPAHealth, NFPAFlammability, and NFPAReactivity each may be 0, 1, 2, 3, or 4...I need to ignore blanks; if 1 of the above fields is blank, they will all be blank.For any record, I need to compare the number in those 3 fields to each other, and choose the largest number and group by that rating.
In other words, if the largest of the 3 numbers is a 3 in the NFPAFlammability field, all those products need to be grouped together.If the same number appears in at least 2 of the fields, the order that determines the grouping is: Flammability, then Health, then Reactivity..Ultimately the report will be grouped as follows:
Flammability
Rating 4
Product 1
Product 2
Product 3
Rating 3
Product 1
Product 2
Product 3
Rating 2
Product 1
Product 2
Product 3
Health
Rating 4
Product 1
Product 2
Product 3
[code]....
and each of the groups will be sub-totalled.I'm stumped at trying to create the query in the first place.The added aggravation here is that we are dealing with 23 stores, each with their own mix of products. I have another table that contains the information about which products are in which store.

I have a query which returns, among other things, a number of boolean fields. In some cases, there will be a genuine True or False value in each of these fields; in others, it can and should be Null (e.g. as a result of a 'failed' LEFT JOIN of some description, where there is no associated record in the joined table which fulfills the criteria)
So something like this :
Code:
SELECT [tblTable2].[fldBooleanField]....
FROM [tblTable1]
LEFT JOIN [tblTable2]
ON [tblTable1].[SomeID] = [tblTable2].[SomeID]
However, I will be writing the result of the query to a text file and here's the problem. I want to show a numeric value for a genuine True / False (i.e. -1 and 0 respectively using the standard boolean conversions in Access) and a blank for any Null values.
So I tried this :
Code:
SELECT CInt([tblTable2].[fldBooleanField]) AS fldBooleanField....
FROM [tblTable1]
LEFT JOIN [tblTable2]
ON [tblTable1].[SomeID] = [tblTable2].[SomeID]
However, currently when I look at the exported recordset in Notepad, I am getting 0's for both False and Null values (and -1 for True)
How I can adapt my query to keep Nulls...null? And convert the genuinely present boolean values to integer form?
Only thing I can think of is to use (untested) :
Code:
IIf([tblTable2].[fldBooleanField] Is Null, Null, CInt([tblTable2].[fldBooleanField]))
But there's a number of boolean fields in there, all requiring the same treatment.

Hello, I have a table (Projects) with original projects and amended projects. All information regarding each project is inputted in the fields for original projects. Only limited fields are inputted in amended projects;new loan amounts or a new closing date may arise infrequently for amended projects. When there is a new closing date for an amended project, and it becomes part of a query all other fields are blank for that record, How do I populate the original project data into the blank fields of an amended project. I frequently have to create queries based on the fiscal year of closingdate field and I need to know the commitmentdate (field) and other dates that are in the original projects records. I hope this is not confusing thanks in advance. :confused:

My table looks like this:
Sales(a)||Date(a)||Sales(b)||Date(b)||Sales(c)||Da te(c)
1) 50 05/06 75 06/15 100 08/15
So I want to show all sales with the criteria - Date >05/01 <07/01.
The final query totals will be
Sales||Date
50 05/06
7506/15
So the issue is that there are 38 rows with similar data in each column
I have the table in this format because I also have a form that feeds off this table and it needs to be in this format-but I would also like to run a query/report from this table that summaries sales. I also know that since there is more than 1 date value in the row, this is going to make the query difficult to run (each date is linked to a certain sales total).
I guess what I want to do is transfer the horizontal data to vertical data (with certain criteria)
Please help!!!

I am trying to help someone with a complex problem (so it seems to me) but I will first ask about what should be a simple thing....
First goal: to COUNT the number of times a TYPE of visit is made.
There are several different TYPEs but only interested in tracking 2 of them.
When a crosstab query is created - if one of the 2 parameters are not "met", a blank is returned. I have been reading posts about using NZ and IIf IsNull, etc to get past that - but none of them make any sense to me and the Access help suggestions do not work. Hope someone can make it clear with this information: (can't give more specifics to keep privacy intact)
The SQL was written by Access not by me. :)
Here is an example of the Crosstab SQL (which is using a previous query):
TRANSFORM Count([qryTest2.TYPE]) AS CountOfTYPE
SELECT qryTest2.CID
FROM qryTest2
GROUP BY qryTest2.CID
PIVOT qryTest2.TYPE;
-----------
qryTest2 SQL: (Grouping by to remove dups)
SELECT DISTINCTROW tblM.CID, tblM.[M#], tblM.LNAME, tblM.FNAME, tblM.YMDBIRTH, tblC.ClDOS, tblC.TYPE
FROM tblM LEFT JOIN tblC ON tblM.[M#] = tblC.[M#]
GROUP BY tblM.CID, tblM.[M#], tblM.LNAME, tblM.FNAME, tblM.YMDBIRTH, tblC.ClDOS, tblC.TYPE
HAVING (((tblC.TYPE)="Out" Or (tblC.TYPE)="In"))
ORDER BY tblM.CID, tblM.LNAME, tblM.FNAME;
Thanks for you time! :)

I have a table structure that I guess could be called a dual one-to-many-to-one, as can be seen in the attached Relationships screen print. Customer loan files are maintained in an AllFiles table, tied to the Customers and Loans tables through the CustomerFiles and LoanFiles tables. Users access the data from an unbound form called FileProcessing, where they can select a customer, and a loan for that customer. The files linked to that customer and loan then appear on a form called Files. However, I need the data on Files to be updateable, and I'm having a hard time coming up with a Files datasource that can be updated. The SQL that retrieves the needed data is:
Code:
SELECT AllFiles.*
FROM (AllFiles INNER JOIN CustomerFiles ON AllFiles.FileNum = CustomerFiles.FileNum)
INNER JOIN LoanFiles ON AllFiles.FileNum = LoanFiles.FileNum
WHERE LoanFiles.LoanNum=[Forms]![FileProcessing]![tbLoanNum]
AND CustomerFiles.CIFKey=[Forms]![FileProcessing]![tbLoanCIFKey];
I tried creating another query that just had the AllFiles table linked to the above query, but the data still couldn't be updated.

I have a simple dbase that lists individual staff members' qualifications, skills and hobbies.
One person may have 20 qualifications and another may have 1 or none.
I have a separate field for each qualification.
Is it possible to write a query that only returns fields that are not null in each record so that the subsequent report is not full of blanks? I know I can use Can grow - Can shrink on the report but I'd rather eliminate blanks via a query if I can.

I have a database for contacts and inventory, and im having a issue with the contacts part of it.
I have 2 tables, 1 table is a list of contacts with their name, contact information and the facility they work at. The other table, carries all the information for the facility(the tables are in a one to many relationship with this)
I have a query that brings them together and displays them on a spreadsheet form. This worked when it was all one table, but with the 2 tables, you cant edit stuff in form and have it go back to the tables . what would be the best way to make it editable. I separated the forms out like this so that if a facilities name changed, it could be fixed easily throughout the database.

I have a query linked to some combo/txt boxes on a form so the user defines which categories he/she is looking for then presses button and query comes up with relevant results. This works fine if the user inputs information that is actually there, but if they leave it blank it goes all wrong.
The statements I have in the query are as follows:
[Forms]![frmStockControlSigned]![comboSupplier]
[Forms]![frmStockControlSigned]![txtPurchaseOrder]
etc.
I thought the solution may be along the lines of this but it does not work:
=if([Forms]![frmStockControlSigned]![txtDate]=Null,[Forms]![frmStockControlSigned]![txtDate],"*")
basically i want to make it so the user does not have to enter criteria into evey box, thus if every search box is left blank it would show all records "*"

Hi everyone...
I'm a high school student working on an Access project for a summer internship. I needed your assistance in writing a criteria for a select query.
Table1 has the following fields:
ID, First_Name, Last_Name, Org, Email, Status
Only "Email" is mandatory, ID is autonumber, the rest are optional.
I have to create a query that will allow users to search the table with any of the fields above. A user may search with only one field, e.g. all users where "org" = "YMCA"
Presently, I am using the similar criteria for all the fields:
Like "*" & [Forms]![Search]![txt_FirstName] & "*"
The problem occurs when, for example a record exists with the following -
First_Name = Null or Blank
Last_Name = "Smith"
If you search for "Smith" in Last_Name, then the record does not show up, because First_Name in the record is blank.
How can I alter the criteria for it do search correctly?
I already tried:
Like "*" & [Forms]![Search]![txt_FirstName] & "*" & ""
Thanks,
Gautam
