Queries :: Merge Duplicate Values With Unique ID

Feb 28, 2014

I have a query with over 85,000 lines of data where each row has a unique id but the unique id appears multiple times within the table. For example, there is a unique numeric id tide to various types of pets across four columns. So the id number 1 could appear in four different rows each with different pets. See the first attachment "Original Table"

I want to be able to create a table that has one for for each unique id with all of the corresponding pet data. See the attached "Desired Table".

Tables :: More Than One Unique Values - Prevent Entry Of Duplicate Combination Of Fields

Nov 4, 2014

1. I have a database (see attached) with three tables all of them with the same fields. The first three are numbers (InCo_No, Proto_No, Year_No). Each of these fields (numbers) can be the same in the other table(eg. Year_No), but the combination of the three cannot be.

How can I prevent the entry of a duplicate combination of these three fields?

2. I want to have a form to fill the three tables separately, depending the values in the other fields.

How can I do this?

Queries :: Merge Unique Data With Same Persons Record

Jun 14, 2013

As mentioned before on a different topic I am building a database to sort through publication authors. I currently have the table sorted in a way that only the main author is listed for the 3000 records. Now I need a way to remove duplicate entries on a new table. Each entry is a different publication. Each record has a DOI code that is unique and an author which might be a duplicate. I want a new table listed by author once and a new field that list all of the DOI numbers for that author.

I know how to do a query to show only the unique names, but how to I also get the database to combine the records that share the same author.?

Queries :: Merging Two Separate Databases With Duplicate As Well As Unique Information

Jun 12, 2013

Currently am trying to get together two separate Access Databases into one, which is the way it was always supposed to be.

Basically, this person accidentally created a duplicate of the database in question, and has been updating both independently at different times, meaning that whilst a lot of the database information is duplicate, there are some instances where each separate database copy has unique information on both existing contacts, and new unique contacts.

The database itself is about schools, and has tables concerning information such as calls made, contact details, school details, etc etc. Obviously all of this needs putting back together into one set of tables in one file.

I've been messing around with append and import functions, but am having issues with duplicate ID fields with append queries, and a general lack of direction on the best way to go about fixing this problem, if its even possible.

Here's an example of what i've been trying to do:

INSERT INTO Contacts ( ContactID, ContactTitle, Name, Surname, JobTitle, TelephoneSTD, Telephone, FaxSTD, Fax, Locale, SubjectKeyword, SchoolID, Reply received] )
SELECT [1Contacts].*, [1Contacts].ContactID, [1Contacts].ContactTitle, [1Contacts].Name, [1Contacts].Surname, [1Contacts].JobTitle, [1Contacts].TelephoneSTD, [1Contacts].Telephone, [1Contacts].FaxSTD, [1Contacts].Fax, [1Contacts].Locale, [1Contacts].SubjectKeyword, [1Contacts].SchoolID, [1Contacts].[Reply received]
FROM 1Contacts;

Queries :: Query Records With Both Duplicate Values And Different Values?

Jun 18, 2013

I'm trying to determine the SQL to return only those records in a table which have duplicate values in each of two fields, but different values in a third field. Here's an example:

Code:

AcctNum FoodType FoodClass
------- -------- ---------
A123 Apple Fruit
A123 Apple Fruit
A123 Grape Fruit
A456 Potato Vegetable
A456 Potato Perishable
A789 Carrot Vegetable
A001 Banana Fruit

For the above table, I'm trying to return records which have multiple entries for AcctNum + FoodType, but DIFFERENT values for FoodClass. So for the above table, the query would return:

Code:

AcctNum FoodType FoodClass
------- -------- ---------
A456 Potato Vegetable
A456 Potato Perishable

It returns these two records because there is more than one record with for the AcctNum + FoodType (i.e. 'A456' + 'Potato'), but DIFFERENT values for FoodClass (i.e. one record has 'Vegetable' while the other has 'Perishable').

Queries :: Count Unique Values Without GROUP BY

Sep 15, 2013

I am currently using the below code to query values that have a unique "OverrideDescription" and where by the "Upload Date" is always the latest.

SELECT t1.*
FROM [DaisyServiceRates-Amended] AS t1 LEFT JOIN [DaisyServiceRates-Amended] AS t2 ON (t1.OverrideDescription = t2.OverrideDescription) AND (t1.[Upload Date] < t2.[Upload Date])
WHERE t2.OverrideDescription IS NULL;

However I also need to be able to do a unique count of the [OverrideDescription] field.

I have found methods whereby I can do use, but they all use a GROUP BY function, the issue being that when I use this method it prevents be from updating the values saying "recordset not updateable".

Any method that does not use the GROUP function. I did also try preforming the COUNT on a separate table and doing as JOIN, but this also prevented updates to the date.

Queries :: Manifest - Query A List And Then Show Only Unique Values

Oct 1, 2013

One Manifest can have many line items. One line item can only have 1 designation. Each manifest may have many line item with same designations.

For example:
Manifest #0001
Line Item 1: N
Line Item 2: H
Line Item 3: U
Line Item 4: N
Line Item 5: P
Line Item 6: H

Table set-up
CurrentCY
CurrentCYIDPK
WasteCategoryIDFK
LineItemInformation [Line Item 1, Line Item 2, etc]
ManifestDataIDFK

ManifestData
ManifestDataIDPK
ManifestNumber [0001]

WasteCategory
WasteCategoryIDPK
WasteCategory [H, N, U, etc]

I'd like to query the line items for each manifest so the end result has the manifest number (Manifest #0001) in a field and the designations (N, H, P, U) in fields on a report.

Queries :: Select Count Duplicate Values By ID

May 23, 2013

I am using Access 2010 on a Windows 7 laptop. I need a query to provide a list of ID's that have more than one occurrence of IDandDate combined but haven't been successful getting past syntax errors.

Using this table structure as an example:
ID - defined as text field
Date - defined as date/time field
TestValue

This legacy table contains a record for each test. The table should be unique based on the ID and Date combination but was never restricted to that rule. I am converting to a new table but need to identify the duplicate entries so they can be addressed by business folks.

Access 2010 query.

Modules & VBA :: Get Number Of Unique Values Without Separating Values That Belong To Same Block?

Dec 5, 2014

I have the following dataset in a table called NR_PVO_120. How do i pick out a number (which can change but let's say, 6) of UNIQUE OtherIDs without excluding any OtherIDs under any fax numbers?

So, if you pick OtherID from Row7 you then also must pick OtherIDs from rows 8 and 9 because they have the same fax number. Basically, once you pick an OtherID you're then obligated to pick all OtherIDs that have the same fax number as the one you picked.

If the number requested (6 for this example) isn't possible then "the closest number possible but not exceeding" would be the rule.

For example, if you take OtherIDs from rows 1-10 you will get 6 unique OtherIDs but row 10 shares a fax with rows 11 and 12. You either need to take all 3 (but that will raise the unique count to 8, which isn't acceptable) or skip this OtherID and find one with a fax that has no other OtherIDs and that isn't on the result set already. My result of 6 UNIQUE OtherIDs will need to contain ALL OtherIDs under any fax the existing OtherIDs are connected to.

So one solution is to take rows 1-6, 26. Another is to take rows 1-4,10-14.

There will be many possibilities (the real dataset has tens of thousands of rows and the number of people requested will be around 10K), as long all OtherIDs connected to all faxes on the result set are part of the requested number (6 in this case) any combination would do.

A few notes.

1.Getting as close as possible to the requested number is a requirement.

2.Some OtherIDs will have a blank fax, they should only be included as a last resort (not enough OtherIDs for the requested number).

my table (NR_PVO_120)
Row OtherID Fax
1 11098554 2063504752
2 56200936 2080906666
3 11098554 7182160901
4 25138850 7182160901
5 56148974 7182232046
6 56530104 7182234134

[code]....

A few sample outputs

one solution is taking rows 1-6 and 26.

OtherID
11098554
56200936
25138850
56148974
56530104
56148975

Another solution is taking rows 1-4 and 10-14.

OtherID
11098554
56200936
25138850
56024315
56115247
56148974

This is for a fax campaign, we need to make sure no fax number is faxed twice, that all people connected to that fax number are contacted under one fax sent.

Forms :: Prevent Duplicate Values With Alert After User Enters Duplicate Value

Dec 30, 2013

We are working on an Access (2007) database that is on a SharePoint Site (2007).

Currently the form is operational, but there is one last thing that would be nice to have.

The table is "Updated Headcount" which contains "EMP_ID" which are unique numbers stored as text.

In the event a new employee is entered in the system by another user on this site we would like to prevent any duplicate "EMPID"s from being entered and saved on the SharePoint, we would also like to alert the user and prevent the data from being saved.

All data is currently bound, so once the user makes a change it is made, no submit button is required.

We are running into some difficulties in doing a dlookup from the value entered and comparing to a column in the table.

TABLE - UPDATED HEADCOUNT
COLUMN in UPDATED HEADCOUNT - EMPID
FORM CELL user will input an EMPID - newEMPID
FORM CELL used for a dlookup to compare what user has entered to what is already in the table - duplicateEMPID

So below is what we are trying to do, we are sure there are a few commands missing....

=IIF(newEMPID=dlookup([UPDATED HEADCOUNT]![EMPID]), newEMPID, "Error, EMPID already exists")

Tables :: Unique Identifier - Increment For Duplicate Records

Jul 10, 2014

I'm currently in the process of doing a an overhaul of the database including a table, some odd 17,500 records long.

What I need to do is to create a unique identifier from the existing part number, almost like an autonumber, but it only increments when there are duplicates. What I mean is that there would be for example, there would be five records of say, part 000135.

What I'm trying to get at is, how I would have to code to grab the existing part numbers (all formatted to be 6 digits), add an extra 2 digits to be its unique identifier, and then save it all to a Unique Identifier column, that I created.

An example of what I want is say, I have part numbers 000135 and 000136. The numbers would go up from 000135-01, 000135-02, 000135-03, 000136-01, 000136-02.... The dash is not as important as implementing the 2 digit unique identifier.

Tables :: Merge Duplicate / Similar Records Into 1 Record In Access 2010

Jun 9, 2014

Is there a way to merge duplicate/similar Access 2010 records into one record?

I have an Access table with 1,000 duplicate records, although they are similar and not exact duplicates. As you can see below, some records contain information that other records do not. Yet, the primary key is the same for all duplicate records. I want to find a way to merge data from filled cells of duplicate records into empty cells for each duplicate record. I do not want to concatenate the data (i.e. combine last and first name, etc.). I only want to fill empty cells if there is a match for it in a duplicate record. I will delete the newly exact duplicate records later. Short of correcting the records by hand.

Example

Code:
LastName FirstName SSN Address Phone Email
Doe John 123-45-7891 123 Anywhere St. NULL john(at)gmail.com
Doe John 123-45-7891 NULL (123)456-7890 NULL

Desired Result

Code:
LastName FirstName SSN Address Phone Email
Doe John 123-45-7891 123 Anywhere St. (123)456-7890 john(at)gmail.com
Doe John 123-45-7891 123 Anywhere St. (123)456-7890 john(at)gmail.com

Unique Values

Mar 1, 2007

I have a query that has an Item, ItemPrice, Allocation, and DatePurchased ordered by DatePurchased with only unique values.

I'm using it for a PO Database, when entering items purchased, I have the Item field populated with a items previously purchased, when the item is selected the Unit Price and Allocation Fields are autofilled in with the most recent values from the PO details table.

My problem is if I purchase 10 of the same Items on 10 different dates then the combo box will show 10 of the same Items, because they are not unique values because of the DatePurchased.

What I want is a query to show one unique Item entry with the most recent Purchase Price. I can get a list of unique Items, by only making a query of those and showing only unique values, but as soon as the date is introduced it no longer works, for obvious reasons.

Any help appreciated,
JOe K.

Unique Values ??

Each client has a unique client number but multiple activities.
Therefore, if I have 20 clients in the database and each has 3 activities, I have 60 client numbers, 3 *20 = 60. ( Duplicated)
My elementary problem is how do I display the client activity unduplicated so that my query returns only 1 unique client number per session.
I tried the unique records/values in the property box but still.....

Queries :: Find A Way For Access To Find Unique Dates And Unique Names?

Aug 1, 2014

I have been working on a simple data base for some time now (beginner level) and am still trying to improve it. I would like to do something but before that I would like to have your opinion to know if it is even possible?I have a query QryMainReport:

Start Date/Time
End Date/Time
Employee

At the moment this is what the format of my report looks like (I removed other unnecessary fields):

StartTime----------EndTime---------------Employee
12/06/2014 01:00--12/06/2014 03:00------John Smith
12/06/2014 04:00--12/06/2014 06:00------Jane Doe
13/06/2014 02:00--13/06/2014 05:00------John Smith
13/06/2014 08:00--13/06/2014 08:00------Jane Doe

I would like to do as a report. (Dates would always be from Sunday to Saturday). I am not sure it is possible to do that. I suppose first it would mean:I would have to do a query to separate the times from the dates?I would have to find a way for Access to find the unique dates and unique names?Does it mean I have to use cross tab queries?

About Unique Values In Tables!!!

Oct 4, 2006

Hi,
I have a situation and i do not know how to handle it.
I am developing an application for a lawyer. In the data base i have the following tables: Files, the people table (that are involved in a lawsuit), and other tables. The problem is the following: in the people table, beside the primary key i have another unique element that is social security number.
In the files table beside the primary key another unique element exists: the number and date of the file (File 1 from 15.02.2006). A lawsuit file can have more law terms: today it has one law term and maybe next week another law term so i must have the same file many times in the table with the same code and another date, but i cannot add the same file many times in the data base because a file has data about one person and the social security number of the person is unique.

If anyone can offer me a solution it would be good.
Thank you!

Unique Values To ComboBox

Oct 25, 2006

Hi guys,

I've tried searching all the threads for an answer to my problem and I can't seem to find it....

Ok I know this should be simple...

I know to use Distinct and DistinctRow to only show unique records in a combobox but all I want to do is that once a selection is chosen in the combobox to add a record to a subform, it can't be selected again.

I know in some cases you do, e.g. items on an invoice sometimes need to be entered more than once, but I'm listing Skills for Employees and I only want a user to enter a Skill once per Employee (although Employees can have many Skills, I just don't want a User to accidentally put the same Skill in twice or more per Employee...)...

What's the best optimized way of achieving this?

Sorry for my newbiness.
