Queries :: Multiple Entries For Same Date - Merge Data Into One Entry

Right now i have a qry that takes ID - Name - Order - RepeatOrder - Month - Department.
Now when i run the qry what i want is a grand total of Order/Repeat Order by Name for the Month, what is happening is the qry is creating multiple entries for different departments. I even have Department "Group by" but still causing the issue, For example:
For APR:
4/1/14 Dep A 12 2
4/1/14 Dep B 10 2
However i do not want them separated, how to i merge the data into 1 entry? 4/1/14 22 4?

I am trying to customize one of my query table, so that it shows the latest review date of an employee (with multiple entries). I have gotten the SQL statement to work so that it shows the latest employee review date which is greater than the current date. But if the employee has 2 records after the current date and I want it to show the latest entry of the 2. I don't know to put add a sub-Select statement or whether to add another criteria in the Where criteria.
e.g. Current Date = May 25, 2005If Employee A's next review date is set for June 1, 2005 but has already been reviewed (the next review date is May 31, 2006). The query will show the June 1, 2005 and not the latest entry of May 31, 2006.
Because there are 2 review dates that are after the current date. What should I do to make only the latest entry appear?
Below is the my VBA code so far, which produces the above result.
SELECT tblEmp.fname, tblEmp.lname, tblEmpWorkHistory.[current store], tblEmp.position, tblEmpSalaryHistory.salary, tblEmpSalaryHistory.next_review_date

I have created a rather large data entry form for one of our departments which will be used to run a mail merge document. The merge is run off of a query of the form, rather than the tables themselves...I think that is what I've read is the right thing to do?
Anyways, most of it is working great so far but I've run into an issue where a few of the form fields are combo boxes. In access and in the query the data looks correct, but when you look at it in word (in edit recipient list) and after the merge, it will have a file path name instead.
So a combo box that has "Medical Plans and Visual Plans" in that field in the query, comes over saying "c:Users
ameAppData
Ex: New Hires are provided information about Medical Plans and Visual Plans.
Ex: New Hires are provided information about MeC:UsersbrooksAppData
It always shows the first two letters before putting the filepath name in there.
I have tried doing it multiple ways...a lookup to another table, lookup right in the field itself....get the same results.

I have a database that makes use of standing orders. That means that if a client has a standing order to receive products during for example 4 time as year (quartely at the end of the month). to automate the new entry by copying an old entry in the database.
Let's say I have a client where we will have to send a product at the end of June, it will look at a field where the next send date is, and when it reaches 2 weeks for that date, to create a new entry in the database based on that entry. This way, it will pop-up in our open cases and we are aware of it and also will be visible in our report.

I've got a table tblPatienten, a table tblRechnung and a form frmRechnung.
The primary key in tblPatienten is KundenNummer, the primary key in tblRechnung is RechnungsNummer. The relationship between tblPatienten and tblRechnung is one to many.
Now, every patient (stored in tblPatienten) is allowed to make multiple orders (stored in tblRechnung).
How can I assign each new order entry in frmRechnung to an existing patient in tblPatienten?

We have two facilities that receive four different types of shipments. I wanted to set up a database to track these shipments. Is there a way for me to set up tables such that the person entering the information can leverage the same date and location field for each entry type? For example, we may only receive two types of shipments today and four tomorrow. I want to avoid having the clerk enter the date and location two times today and four times tomorrow for each data entry.
Here's an example of what I mean above:
Date Location Type Qty
5/16 1 A 10
5/16 1 B 1
5/17 1 A 1,000
5/17 1 B 100
5/17 1 C 1
5/17 1 D 11
I'd like for the clerk to select from a fixed number of locations (1 and 2) and a fixed number of types (A, B, C, or D) and provide the date and quantity received.

i have a report that displays 12 fields of date sorted by a case number. I have a problem when there are two or more entries in the db with the same case number, but different data in the other 11 fields. My report displays each of entries in the db for the case number, but carrys the the data from the first of those entries through out all the entries. I'm not looking for an exact solution here, just for someone to get me pointed in the right direction. Is it a sorting and grouping error or something of like?

I have a tblhealthrecord that has many multiple entries for the same animalID. Would like to pull up all records from this tbl for one animal. I can sort them later but just need to know what to ask for so I can read upon them. I at first thought this could be based on date but not really since you could have multiple entries in one day.

I have a query that feeds a report. This report shows a "Set" and the "Charge Numbers" associated with it. Each set could have a possibility of more than one set of IT numbers. This means there could be say 2 entries for set "D7" and IT numbers for both of them.
As a result when I run the query, and say the set has 2 Charge numbers, it will bring back 2 results, with 2 charge numbers on each of them, which is correct. So if a set had 4 charge numbers assigned to it, 4 results would show with 4 charge numbers for each result.
Is there any way I can make it only show one of those results as they are identical?

Im doing a late note record entry for my school.
Basically a student is allowed to be late three times before they get detention.
I want to record
1. Student Name
2. Late Date (a maximum of three late dates need to be entered)
3. What time they arrived on the corresponding date
4. Whether they have a note or note
6. Their reason for being late.
7. A checkbox for detention.
It would be great if someone could help me with this, I understand it needs to go into seperate tables but I run into difficulty when I want to record the dates.
For example I created 3 tables, LateDate1, LateDate2 and LateDate3 all with the relevant info (time, note reason) but I think there must be a clearer and simpler way to do this?!

im in the middle of developing a database to log DOWNTIME of various machines in the factory. Basically myself and others will use it to log breakdown details and the amount of time (in HH:MM) the machine was off.
I have a form which will list details of a certain machine in a list box which i can populate using a query.
The list box will display 3 columns: Date of Breakdown, Machine Name and Downtime
I then have a text box below this that i would like to display the TOTAL amount of downtime for that machine (The listbox may have different information in it depending on the query criteria, e.g. It might display a certain month for a certain machine).
THE ISSUE i am having is its proving to be difficult to get the correct sum of the accumulative time to display correctly in the text box.
Is there a way i can use a query to calculate the total time of a column and return a value which is formatted as time (like this hhhh:mm or dd:hh:mm) or preferably use some VBA code on the form itself to total up the DOWNTIME column of the list box and display it with the correct format in the text
I have gotten close, but as the total amount of time exceeded 24 hours, it went past 00:00. I'm assuming it treated it as a clock and went into the next day? This is NOT what i am after, i need the total amount of days, hours spent on the machine and not a time of the day.

What the database currently has: A payment entry form consistenting of many fields. This form populates a payment entry table. Some of the fields within the payment entry form are linked to other tables and queries for data (such as a recipient list).
What the database now needs: A group payment option. Should ten people attend a dinner, the total cost needs to be divided among the attendees, and then the payment entry form table populated with ten different entries and the subdivided cost of the dinner per person.
My thoughts: The most ideal thing to do is to have a hidden recipients window show up when the user indicates that this is for a group event. The user could then add all the additional recipients (beyond the primary which is already collected on the form), and the total amount for the meal. The database would then generate an entry for each recipient listed, dividing the total cost among them, and then simply duplicating the rest of the information as is.

I'm fairly new to access and have been tasked with fixing a database that to my knowledge is built incorrectly but due to budget constraints and the time it would take to build a new one, we have to stick with this one. Here's my problem, in the database is a form that we use to create new entries in a table but when I try to create a new entry through the form, it creates multiple entries in the table with the rest of the data split between all the new table entries. Is this something that is caused by us moving over to the most current version of Access? Is there a way to fix this problem given the software we are using? At one point I had recreated this table because we had been having issues with other aspects of the database (security deposits were not being updated when entered through this form).

I have a shared db where there is a requirement for more than 1 user to enter data in the same form and hence the same table. Up till now there has only been 1 data entry clerk so there has not been a problem.
Would accessing the same form by different users cause a problem, assumming they are inputting different records?

I have a report that is derived from a table (tblDocs) the structure of the table is:
EmpId docType docDate comments
(number) (number) (Date) (text)
This table will have several entries for each employee. There will only be a few times that a comment will be entered. On my report, I will have a field for the comments and I would like ALL of the comments for each employee combined into one text box in the report There will be blank entries in most of the records). I think the control source for this might be a query, but not sure. I set the properties of the text box to can grow.

I have a very simple database that keeps a track of line performance figures, i have attached a part of it as an example:
In my lines table are 8 production lines
in my log table i need to keep a track of the data,
what i would like to happen:
i need a form that when i open it all the production lines i have are displayed and next to each line are 2 data entry fields so i can enter a performance and an output figure for each line in one go, so in this instance i would like 8 lines and 2 entries per line.
at the moment i have to do each line individually.
i would also like this to grow should i add more lines
how can i best sort this please.

The below isn't the actual use but it is easier to explain like this...
I have a system set up on access and I have a front page (form) where I can enter the reference number (1141#2) of a building (YELDR for example).
This then fills in information in the other fields on the front page. For example address, number of doors and entry codes.
My problem is that this only displays one door and one entry code. I need it to display all doors and all entry codes so that I can just type in my reference number and have something that looks like the below but for all of them. It works fine at the moment but only for one of the results when there can be up to 10.
Reference No. YEDJR <---------------- I ENTER THIS
Address - high Street - London - UK <-------------- All of these fields are populated using the query
Doors - Green - front <-------------- All of these fields are populated using the query
- Red - side <-------------- All of these fields are populated using the query

I know this is probably nowhere near enough information but is this possible? I don't know SQL so i would have to use the designer.

As mentioned before on a different topic I am building a database to sort through publication authors. I currently have the table sorted in a way that only the main author is listed for the 3000 records. Now I need a way to remove duplicate entries on a new table. Each entry is a different publication. Each record has a DOI code that is unique and an author which might be a duplicate. I want a new table listed by author once and a new field that list all of the DOI numbers for that author.
I know how to do a query to show only the unique names, but how to I also get the database to combine the records that share the same author.?

I have been trying to figure this one out for a while and I can't seem to find anything helpful. I'm going to present a simplified version of my problem to help keep it simple.
I have an "Activities" table that contains fields:
ActivityID
ActivityName
I have a table of 7 Risk areas which contains fields:
RiskID
RiskName
What I need to do is to create a form that will allow the user to select an activity and then, for each of the 7 risk areas, input a risk measurement.
This involves the creation of a 3rd table to collect the user input which would contain fields:
MeasurementID
RiskMeasurement
ActivityID
RiskID
I can do a dropdown of the Activities and have a subform that links to it but the problem I'm having is trying to get that subform to list the 7 Risk Areas AND collect the RiskMeasurement information from the user. How can I have a listing of these 7 areas from one table that are tied to inputs that go into another table? This seems so basic and simple yet I have tried numerous things and all have failed.
I hope this was clear. Any help is appreciated.

I am having an issue with a database I'm creating. It is a root cause analysis database. One of the fields is Target_Date. I need to set up queries that alert us if the target date is coming up, (in a week or so), or if it is past due. The issue is that some target dates are simply, "Next Run", which is to say that the corrective action must happen on the next run of the particular item which, at that point, has not been scheduled.
In order to do the above query, the dates must be formatted as Date/Time as <date() will bring up all dates regardless of whether they are in fact less than today if they are in text format. However, this restricts the ability to put in the target_date of "Next Run". Next Run will be required for another query in which we will specify the products coming up and it will let us know which "Next Run" items associated with those products we will do.
Essentially, I have taken the long route to ask, is it possible to create a field format that measures dates as dates and text as text?

The user is copying a date from an old form.
Sometimes the form will have the date entered as 00/00/97
How can I change the month and day to 01/01 and of course leave the year as it was.
I've tried using split with no success.

I have a date field with dates stored as MM/DD/YY, ie.10/13/09 and I want to use an UPDATE statement to change the year from 09 to 2009 but keep the 10/13/. The issue I'm encountering is when I use a wildcard in the SET portion it takes that as literal and updates with the wildcard. ie. Set Date = '*2009' WHERE Date LIKE '*09' updates the column with *2009 as the entry and not 10/13/2009. How can I update my field so I end up with 10/13/2009, not *2009?
