I have been working on a simple data base for some time now (beginner level) and am still trying to improve it. I would like to do something but before that I would like to have your opinion to know if it is even possible?I have a query QryMainReport:

Start Date/Time
End Date/Time
Employee

At the moment this is what the format of my report looks like (I removed other unnecessary fields):

StartTime----------EndTime---------------Employee

I would like to do as a report. (Dates would always be from Sunday to Saturday). I am not sure it is possible to do that. I suppose first it would mean:I would have to do a query to separate the times from the dates?I would have to find a way for Access to find the unique dates and unique names?Does it mean I have to use cross tab queries?

As mentioned before on a different topic I am building a database to sort through publication authors. I currently have the table sorted in a way that only the main author is listed for the 3000 records. Now I need a way to remove duplicate entries on a new table. Each entry is a different publication. Each record has a DOI code that is unique and an author which might be a duplicate. I want a new table listed by author once and a new field that list all of the DOI numbers for that author.

I know how to do a query to show only the unique names, but how to I also get the database to combine the records that share the same author.?

I am new to Access and am trying to reduce a dataset I am working with to make it managable for Excel. I have three columns which have three unique parameters and one column with numberical content.

Column A Column B Column C Column D
NJ Red Monday 10
NJ Red Tuesday 20
NJ Yellow Wednesday 30
NY Red Monday 35
NY Green Tuesday 40
NY Green Wednesday 60

I want to elimiate column C from the dataset, and sum column D for every unique combination of Column A & Column B. I have figured out how to reduce down the dataset to get a list of all unique combinations of Column A&B,what formula I can use in a query to sum column D on my table for every unique combination of column A&B. This is a simple SUMIF in excel, but my dataset is too large for excel.

I am using a software drawing program that intelligently link information from a drawing to a database and vice versa. I have many tables and queries that I have created over time that enable auto populating of tables, creation of tables and so on. All of which enable me with tabular documents for ordering purposes.

The problem I currently have is: - I want to create a table that looks at an existing table, analysis various fields for duplicate information and then adds one record to a new table. This is to enable me to create a spares list based on the entire list.

I have a full valve list with various items, some duplicates some not. I am required to produce a spares list that considers only one of each type.

I have a basic query off a currency table :

Now - I have a separate table of balances, which is linked to the currency table by the same CcyID, and which also has identifiers to link it to other tables (e.g. AccountID)

As part of the above query, I want to return the count of unique AccountID's in the balance table for each currency. So in other words, I want to know, for each currency, how many unique accounts exist?

Each AccountID could appear one or more times in the balance table (one-to-many relationship), so I only want to count the number of unique ID's.

So I started with the following :

But this just gives the number of AccountID's per currency (regardless of duplication within them)

I found this article which informs me that a Count(Distinct) query won't work in Access and to use subqueries instead.

That is Group by Field_1 and only show the records which has Field_2 with the max. value of Field_3

Is there a way to append a pivot table to a table or possibly make a query based on a pivot table? I need to get a count of Part Numbers and I need the average price for all these parts. Additionally I want to ignore a count of less than 3.

Also I am having trouble filtering on the count in the pivot table... haha, so I was gonna Query on it later on.

Adding A Unique Identifier Field To A Table With Lots Of Data

Hi,

I wonder if someone can help with what must be an easy solution to this problem.

I have a table with 350,000 records, but without a unique identifier field. I just want a simple incrementing number field to become the primary key but dont know how to add this in. I cannot add an autonumber as there are two many records - it falls over.

Ive tried exporting it all to excel, but as well as being cumbersome, something went wrong and so I'm back to square one.

I think there must be a way to add an incrementing number either via a query or in VBA but I dont know how. Please can somebody provide a solution.

I use Cognos to pull raw data from Oracle. I take this data and put it into Access 2010 tables to then run queries. Because the people creating the data in Oracle are often slow, I run back data to catch missed information, typically two months. For October, for example, I'll run October and also September and August.While I have new data, I also have a great deal of duplicate data. How can I ensure that I append only the new data and exclude the duplicate data?

I am using Excel/VBA as a frontend and Access backend. The sheet2 stores the queue name and Queue number. We have to update the sheet1 from column L to column O by looking for the values from the Access table for the date selected from the comboboxes. Now In sheet 2 , it says Queue number and in actual in access table it is the combination of Type & Type1 & Type2. So we have to look for Type & Type1 & Type2 in the table and find out total Batches ,Total Envelopes,Total documents and total pages and then store the values in the ExcelSheet1 from column L to column O.

The following formulas will be used in the select statment:

Total Batches = count(BatchNo) for date selected
Total Envelopes=sum(Envelopes) for date selected
Total Documents=sum(Cases) for date selected
Total Pages=sum(Pages) for date selected

I have a table like so:

I'd like to extract just one TestPos record (TestPos = 1) per Patient ID. And I always want to select the record with the earliest date. So the result would be:

PatientID VisitDate Complaint TestPos
1 4/5/2003 Coughing 1
2 4/2/1988 Unknown 1

I can do this but it requires 3 queries: a SELECT query where TestPos = 1, a GROUP BY PatientID query and MIN(VisitDate) to get the desired record per patient, and then another query that links the two so I can get the additional variables (e.g., Complaint).

Is there a way to do this without using 3 queries? Seems inefficient.

I have 2 linked tables, tblPN & tblReceivedDate. tblPN has field PN and tblReceivedDate has field [Received Date]. The tables are used to record the receipt of different part numbers and the date they received. I want to use a query to count how many times a part number is received. The catch is that I only want to count a part once even if it is received more than once on the same date. With the data in the attached DB the count for PN 123 would be 5.how to configure the query to do what I need to do?

Queries :: Find Data In One Table And Put In Field Of Another Table Then Update

I have an "order details" table that needs to populate a field called "Voucher" with data from another table called "codes". The "codes" table also has a true/false field called "allocated" because once allocated the code cannot be re-used.

I am trying to work out how to automatically allocate the next unallocated code in the "codes" table to each record in the "order details" table when that order details record has a DiscountID of "92".

Order Details Table Fields and conditions/criteria:
ID - primary key
DiscountID - only when the DiscountID = 92
Voucher - only populated when Discount ID = 92

Codes table Fields and conditions/criteria:
ID - primary key
code = text field with a code like "einstein01", "einstein02"
Allocated = False

Is there a way to put the next available code into the order details record then mark that code as allocated in the codes table. Then, move on to the next order details record that has a discountID = 92, input the next unallocated code and mark that code etc. etc.

Ideally, I would like to do this to happen via an event when the Order forms button "Close" is clicked.

Finding Unique Data Using Date Field

Hi

I have a table called SWAPS which contains information on each user and the different equipment he has been issued. Query at the moment contains 5 fields

Payroll, Surname, Firstname, Mobile No and Date sent.

SQL for this query is as follows

Select Swaps.PR, Swaps.surname,swaps.firstname,swaps.[mobile no],Max(Swaps,[Date Sent] as Lastdate

From Swaps

Group by swaps.pr, swaps.surname,swaps.firstname,swaps.[mobile no]

Order by swaps.pr;



Now when I run this I get the results I want by date so I get



123456 Smith Fred 0788411025 12/3/8

456789 West Bob 012555447854 13/1/8

So it correctly ids all the last dates for me as I want to see the latest issue date for that user. Now I want to add in another column to this query which contains the serial number of the equipment issued and heres where the problem lies. If a user has been issued more than 1 piece of kit, I get all the serial numbers irrespective of date. How do I get it to display the serial number for the latest date?

What is considered the right approach to ensure a record entered in a form is unique. For example if i have a field:

Brands. Flavour
Walker. Ready salted
Smiths. Cheese and onion
Doritos. Ready salted
Walker. Ready salted

So what is the best way to ensure the third entry is fine as whilst ready salted already exists it doesnt exist for doritos but the fourth entry would pull up a msgbox refusing the entry as it is a repeat of entry one.

MS Access Help - Unique IDs

Hi everyone,

I have over 180,000 records that I need help on. Here are key fields I have:

Students
Address1
City
State
Zip
Year applied

My problem here is that, for example, say these students apply for Financial Aid. Each year a student can apply for aid. However, the data collection never got the people’s SSN, so there is not a unique ID. It only created a unique ID by autonumber only. What makes this complicated is that students sometimes change their names. For example, let’s use Joe Schmoe applied for the following year with these names:

2001: Joe Schmoe
2002: Joey Schmoe
2003: Joseph Schmoe

Now, I could tag it by zip to filter it down, but anyone looking at these record can tell these 3 records are the same person, but Access reads it as 3 different recordsets. I do not want to manually manipulate the data (i.e. make the name congruent OR create a unique ID for these 3 records and joining tables). To manually manipulate all 180,000 records is crazy.

The record of over180,000 came from various sources through excel. The DB was created using only 1 table.

Is there a way to manually manipulate the data in an easy way? Thanks for all your help, guys.

The main table for the database I am working on contains the following fields:

ID
Mfr Control Number
Initial or Follow-Up
Follow-up Number
Suspect
Date of Initial Email
Date Received
Date Submitted
Date of Report
Serious
Brief Description
Causality
Notes

With some additional qualifications I wanted to find records that had an intial report but no follow-up. Which translates too I want records that are unique in the Mfr Control Number field (no duplicates).

I am trying to build a query and keep getting hung up on the unique aspect of fields. I started by trying to query only "Mfr Control Number" fields that are unique (no duplicates). As best I can figure for some reason I can not add any additional fields to that query. My current query is set up in the query build table such that I have added "Mfr Control Number" in two columns. The first column in Total I have "Group By". In the next column I have set Total to "count" with a criteria of 1. If I try to add any other fields from my table than I seem to lose those unique results. But I need to further filter to get the exact information I need.

I want criteria on the "Initial or Follow-up" field to only bring "initial"
I want criteria on the "Serious" field to only bring "serious"
I want criteria on the "Date of This Report" field of "<Date()-"15""

Is there some way to take the results of that initial query to then build a another query based just on those records? I could then apply the further criteria and run my report. Or is there a way to do this in one step?

I've tried to make clear my intention but know it can be difficult to get this kind of stuff down in writing in a clear fashion. I have to be careful to keep information confidential also so some of the details are vague.

I have a query with over 85,000 lines of data where each row has a unique id but the unique id appears multiple times within the table. For example, there is a unique numeric id tide to various types of pets across four columns. So the id number 1 could appear in four different rows each with different pets. See the first attachment "Original Table"

I want to be able to create a table that has one for for each unique id with all of the corresponding pet data. See the attached "Desired Table".
