Queries :: Unique Query Is Giving Duplicates
Aug 4, 2015
I have a unique query which lists all the films that we are screening over the next 3 months. I have added a COUNT field so that I can see how many of each films we are screening.
The problem is that i get duplicates of some films - and this may be because we may hold several copies of some films. I have attached two images which might explain this better!
What I could do with is knowing how to make it so that i get a list of films booked and how many of each, regardless of which copy of the film is used.
The SQL is:
Code:
SELECT DISTINCTROW dbo_Films.[film name], Count(dbo_Films.[film name]) AS [CountOffilm name]
FROM ((dbo_Films INNER JOIN dbo_filmCopies ON dbo_Films.ID = dbo_filmCopies.tblFilms_ID) INNER JOIN dbo_EventsFlicks ON dbo_filmCopies.ID = dbo_EventsFlicks.filmCopyID) INNER JOIN dbo_Venues ON dbo_EventsFlicks.venueID = dbo_Venues.ID
WHERE (((dbo_EventsFlicks.datefield)>=#8/1/2015# And (dbo_EventsFlicks.datefield)<#1/1/2016#))
GROUP BY dbo_Films.[film name], dbo_Venues.southhub, dbo_Venues.northhub, dbo_Films.Specilaised
ORDER BY dbo_Films.[film name];

I'm attempting to create an append query that will add new records only if there isn't an equivalent record already existing. Typically I would add the existing table to the query, and only add new records if the same do not exist. In this case, the table is maintaining records over time (start date and end date).
I have 4 tables:
[t_employees]
employee_ID
employee_name
[t_cities]
city_ID
citiy_name
[t_city_assignment]
city_assignment_ID
start_date
end_date
employee_ID
city_ID
[t_temp_employees]
effective_date
employee_ID
city_ID
I'm checking if [t_temp_employees].[effective_date] <> [t_city_assignment].[start_date]. However, if the employee has historical entries it will still add a record (in fact, it'll add multiple records).
How can I append a new record only if one for the same time period does not exist?

I have imported a large number of emails into a table tbl_requests.
I had intended to have unique file tbl_requests.date_opened unique, but have ended up with a lot of duplicate records (i.e. tbl_requests.date_opened is not unique !). How to delete any duplicates? I have 15,000 records...

I have a table that has multiple records (count >1). I used the find duplicate records and then made it a delete query, however, this resulted in deleting all the records that had count >1. I need to retain distinct record, and delete the extra records. Using select distinct.. I do not want to use VBA to achieve this, but at the same time be able to incorporate the steps in a module that would execute the queries in a sequential order and achieve the same results.

I have a client database that has recently had multiple duplicate entries. I need to reduce or negate this erroneous activity. I have a client table where I record amongst others, the following;
key
[christian_name]
[family_name]
[dob]
......
I believe that to prevent duplicate entrie via form I have created an additional field called "unique" given it as a unique index which I want to have populated with the joined fields first_name & last_name & dob (IE johndoe01/01/90), and then as user enters a new client it wont allow a duplicate.
However I need to fill all the existing customers (3600+) with the relevant joined existing data. If I create an expression I can cajoin the fields in a select query but when I try to make an update query the same syntax comes up with empty fields.
select query sql that worked to show field ...
SELECT divers.christian_name, divers.family_name, divers.dob, [christian_name] & [family_name] & [dob] AS Expr1
FROM divers;
update query that was empty ..
UPDATE divers SET divers.[unique] = [christian_name] & [family_name] & [dob];

Hi,
I have a problem with getting the right result with a query.
To this topic I attached a part of my database including 2 queries. The queries are almost the same, except the first field. In query 1 is the total 'Group By' and in query 2 'Count'.The other fields are parameters, which are the same in both queries.
My problem:
If I run query 1 then the result is 31 rows with unique ID's. When I run query 2 the result is 35, because the query counts 4 duplicates.
The correct result I want is 31. That means count the unique ID's. I am able to show the ID's with query 1, but I am not able to count them correctly. I tried to add 'DISTINCT' in SQL view but that didn't help.
Also other solutions written in this forum didn't work.
Thank you if someone (with more query/SQL experience) is able to help me... :o

I would like to use an append query that appends data from a union query into a table, but doesn't add duplicates based on a certain field.
I have been trying to use this code, but it doesnt seem to work.
INSERT INTO [Cotton13/14]
SELECT DISTINCT [Contracted Farmers].*
FROM [Contracted Farmers]
WHERE NOT (SELECT * FROM [Cotton13/14] FROM [Cotton13/14] AS [Cotton13/14] WHERE [Cotton13/14].[OF Codec] = [Contracted Farmers].[OF Codec])
Cotton13/14 is the table I want to append to and Contracted Farmers is the union query. However the code is giving me an error.

I have a find duplicates query with the following SQL:
Code:
SELECT tblData.Vendor, tblData.[Loccurramount EUE], tblData.Last4, tblData.ID, tblData.Line, tblData.CoCd, tblData.[Document record number], tblData.PurchDoc, tblData.Reference, tblData.Curr, tblData.[Entry dte], tblData.Status, tblData.Version, tblData.Outcome
FROM tblData
WHERE (((tblData.Vendor) In (SELECT [Vendor] FROM [tblData] As Tmp GROUP BY [Vendor],[Loccurramount EUE],[Last4] HAVING Count(*)>1 And [Loccurramount EUE] = [tblData].[Loccurramount EUE] And [Last4] = [tblData].[Last4])))
ORDER BY tblData.Vendor, tblData.[Loccurramount EUE], tblData.Last4;
This works fine however I want to add another clause to the WHERE and I'm not sure how. At the moment the query highlights duplicates where the Vendor, Loccurramount EUE and Last4 match. I want to further restrict it so that it only finds duplicates where the Vendor, Loccurramount EUE and Last4 match BUT the number shown in version Does Not Match
So if two records have the same details for Vendor, Loccurramount EUE and Last4 and also have the same Version number then they don't show in the result.

I am using a software drawing program that intelligently link information from a drawing to a database and vice versa. I have many tables and queries that I have created over time that enable auto populating of tables, creation of tables and so on. All of which enable me with tabular documents for ordering purposes.
The problem I currently have is: - I want to create a table that looks at an existing table, analysis various fields for duplicate information and then adds one record to a new table. This is to enable me to create a spares list based on the entire list.
I have a full valve list with various items, some duplicates some not. I am required to produce a spares list that considers only one of each type.

I used the wizard to create a find duplicates query. I know for a fact that 15 records are duplicates. I'm getting over 300 records. When I dumped the data into Excel and did a pivot table to count the number of records by account number only 15 had a total count of 2. All others only had 1. Why are the ones with no duplicates showing? I just want to see the 15.

I am building a select query which is grabbing data from multiple tables with items being linked by a unique field "Certificate_ID".
I have created joins between table A and Table B, and Table A and Table C, linking both by Certificate_ID
All have the join property set to select all Records from table A, but only those from Table B and Table C where the joined fields are equal.
Table A has 5000 records. Am I correct to assume that my query should only return a max of 5000 records as well? When I select Certificate_ID from A and another column from B it only gives me the 5000 unique records. When I add in a column from Table C it is however returning something like 7500 records, with several being duplicates with the same data in every column.
Why it is choosing to duplicate records and give me more than I want. I am sure I am overlooking something simple.

I have a basic query off a currency table :
Quote:
SELECT tblCurrencies.CcyID, tblCurrencies.Ccy
FROM tblCurrencies
ORDER BY tblCurrencies.Ccy;
Now - I have a separate table of balances, which is linked to the currency table by the same CcyID, and which also has identifiers to link it to other tables (e.g. AccountID)
As part of the above query, I want to return the count of unique AccountID's in the balance table for each currency. So in other words, I want to know, for each currency, how many unique accounts exist?
Each AccountID could appear one or more times in the balance table (one-to-many relationship), so I only want to count the number of unique ID's.
So I started with the following :
Quote:
SELECT tblCurrencies.CcyID, tblCurrencies.Ccy, Count(tblBalances.AccountID) AS NoOfAccounts
FROM tblCurrencies INNER JOIN tblBalances ON tblCurrencies.CcyID = tblBalances.CcyID
GROUP BY tblCurrencies.CcyID, tblCurrencies.Ccy
ORDER BY tblCurrencies.Ccy;
But this just gives the number of AccountID's per currency (regardless of duplication within them)
I found this article which informs me that a Count(Distinct) query won't work in Access and to use subqueries instead.

My query has three fields
Query used: Web/PrintReport_qry
Session Id - number
Speaker - string
Code:
SpeakerCount: DCount("*","Web/PrintReport_qry","[Session ID]='" & [Session ID] & "' And [Speaker]<" & [Speaker])+1
My output for SpeakerCount is "#Error"

One Manifest can have many line items. One line item can only have 1 designation. Each manifest may have many line item with same designations.
For example:
Manifest #0001
Line Item 1: N
Line Item 2: H
Line Item 3: U
Line Item 4: N
Line Item 5: P
Line Item 6: H
Table set-up
CurrentCY
CurrentCYIDPK
WasteCategoryIDFK
LineItemInformation [Line Item 1, Line Item 2, etc]
ManifestDataIDFK
ManifestData
ManifestDataIDPK
ManifestNumber [0001]
WasteCategory
WasteCategoryIDPK
WasteCategory [H, N, U, etc]
I'd like to query the line items for each manifest so the end result has the manifest number (Manifest #0001) in a field and the designations (N, H, P, U) in fields on a report.

I have created a linked Excel table in Access 2010 called 'tblExcelLinked' and I have a form called 'ASB Log Form' for the purposes of presenting the data in a more readable manner that is easier to view, plus link other fields of data that are not directly related to the 'tblExcelLinked'.
Because there is no unique ID in the 'tblExcelLinked' to create a relationship, I have created a table called 'tblASB', which allows me to add other table data linked from same d/b.
I now want to update the 'tblASB' with data from the 'tblExcelLinked', but only append new records from 'tblExcelLinked', but my inadequate append query is duplicating the records each time I run it, rather than just adding the new ones.
Once sorted my next challenge is a macro so that this runs automatically rather than being manually triggered.

I have been working on a simple data base for some time now (beginner level) and am still trying to improve it. I would like to do something but before that I would like to have your opinion to know if it is even possible?I have a query QryMainReport:
Start Date/Time
End Date/Time
Employee
At the moment this is what the format of my report looks like (I removed other unnecessary fields):
StartTime----------EndTime---------------Employee
12/06/2014 01:00--12/06/2014 03:00------John Smith
12/06/2014 04:00--12/06/2014 06:00------Jane Doe
13/06/2014 02:00--13/06/2014 05:00------John Smith
13/06/2014 08:00--13/06/2014 08:00------Jane Doe
I would like to do as a report. (Dates would always be from Sunday to Saturday). I am not sure it is possible to do that. I suppose first it would mean:I would have to do a query to separate the times from the dates?I would have to find a way for Access to find the unique dates and unique names?Does it mean I have to use cross tab queries?

Hi all.
I have a sub query that was working until a couple of days ago when it decided to stop.
I have a Table called TblFieldValues which whenever a new value is entered into my relational Db.
Each new Value is given a ValueID and is Dated (full date/time stamp)
My Sub Query ensures that for each FieldID (ie if more than 1) it selects/shows the top most Date....But it is not grabbing all the fields for some reason???
Here is the SQL limiting criteria to a bare minimum (QuoteID)
SELECT Main.FieldID, Main.QuoteID, Main.QuoteTypeID, Main.SubSection, Main.FieldValue, Main.NumberFieldValue, Main.CalcFieldValue, Main.Date, Main.ValueID
FROM TblFieldValue AS Main
WHERE (((Main.QuoteID)=[Forms]![FrmQuote]![QuoteID]) AND ((Main.ValueID) In (SELECT TOP 1 Sub.ValueID FROM TblFieldValue AS Sub WHERE Sub.FieldID=Main.FieldID ORDER BY Sub.Date DESC)));
I had a thought it might be the way the info is put into TblFieldValues, as it is often put in via Code, in fact only when it is put via code is it not showing up as a rule.
So I had a look at the code that inserts it.
strSQL = "INSERT INTO TblFieldValue ([QuoteID], [QuoteTypeID], [SectionID], [FieldID], [FieldValue], [Date], [UpdatedBy]) Values ('" & strQuoteID & "', '" & strQuoteType & "', '" & strQuoteSection & "', '" & strFieldID & "', '" & strValue & "', '" & strDate & "', '" & strUser & "');"
'MsgBox strSQL
DoCmd.RunSQL strSQL
I had Now() in replace of strDate, but tried changing to strDate and diming strDate as Date and then setting strDate = Now() but doesn't really change it in the table.
I am certain it is in this somehow? Any ideas????
Your help will be greatly appreciated...

Hi all,
Would appreciate help on this. I have a query which combines the results of 3 queries. Once the underlying queries each has a result I get a result in my query, but if 1 of the underlying queries has no result I get nothing. (I hope this makes sense).
How can I set my query to show results even if the underlying query doesn't.
thanks in advance.

Hello everybody!
I 've created a query that copies the records of a table into the same table, creating new records. (I don't know how this is called in english, sorry). For example if have a table with 2 records when the query is run I have 4 records with duplicates. The fields of each record I want to remain the same except for one, called code. For example:
this is the table before the query is run:
surname name code
tracy john 1
spencer bud 1
and this is the table after the query is run:
surname name code
tracy john 1
spencer bud 1
tracy john 2
spencer bud 2
the code is also in an another table and is included in a textbox in my main form. Everything works fine when I run the query but I must type a parameter (code) to create the duplicated table. How can I pass the parameter to the query "automatically", using the textbox value?
Thanx in advance

Hi ,
I am using Access Application with Orcale Db as backend and this application is already in production.
The problem is.. USers Complained that the system is slow, this is because there is refresh (requery) for each Insert (When they click submit, that particular record is inserted and then a refresh has to be done to bring only unused member IDs on the User screen), i had used a Sql query using NOT IN , then i realized and now changed it to NOT EXISTS, but with this new query , if i test recordset. EOF , even though the query returns more than 13000 ..records, EOF sets to TRUE and the other part (not supposed to) gets executed. I really cant figure out why, i took the same query put it in query builder in Access and ran it , it gave 13000 records..but in VBA , this recordset is not giving expected results and so..i am totally confused..The part of the Code is shown below.
Code:newquery = " SELECT A.MEMBER_ID, A.MEMBER_NAME, A.ADDRESS_LINE1.................. FROM TABLE A WHERE NOT Exists ( SELECT '' FROM TABLE B where A.MEMBER_ID =B.MEMBER_ID)AND A.MATCH_LEVEL <> 0 ORDER BY A.MATCH_LEVEL DESC"rst1.Open newquery, Cnt, adOpenDynamic, adLockOptimisticIf rst1.EOF = False ThenForm_PHS_ASSIGN.RequeryForm_PHS_ASSIGN_SUB.RequeryElse MsgBox " No records to Process!" End If
EVEn though it should requery , it gives a message No records to process which is wrong. It works with NOT IN.... BUT VERY SLOW, NOT EXISTS IS FAST BUT DOES NOT GIVE ME WHAT I WANT..
Where am i going wrong..help pls!!!!
THANKS VERY MUCH!!
