Queries :: Append Distinct Records Only If Field Have Changed
Jun 5, 2013
Using a database 2010. I have a monthly import from a spreadsheet to one of my tables. Sometimes it has the same previous data from prior month or months that has not changed. I don't want to keep appending this data to my table if none of the fields have changed.
Is there a way to append data to table only if fields have changed in an append query? Ex. (Name, Address, PhoneNum, Rate) If all fields are the same; don't append. If one or more fields are changed; append.

I have a table with the following values.
EMPLLOYEE_ID
JOB
PAY_DATE
LOCATION
Most employees have 10 to 15 rows. I only want to pull ALL rows for employees ONLY if there is a distinct count from DATE_PAID greater than 1. There are cases where an employee might have two pay checks generarted for the same PAY_DATE.

I have a database with an import process which normalises incoming data and appends to various tables. No issues with that. I also have a function within that process which counts the number of new entries for a summary popup when the process has completed.This works by querying the staging table, prior to the append, into a recordset and using the .RecordCount to increment the count (multiple files can be imported at once so this effectively provides a running count, per file, to give a total for the whole import)
I thought it was working fine but this morning I noticed that the count which appeared on the popup was 1 greater than the number of actual new records. I checked the source files and noticed that, for whatever reason, there was a duplicate entry in there. So I presume that's why the count was out by 1.
There's no integrity issue in the main tables as the composite primary keys ensure that duplication shouldn't be a problem. Indeed, the record in question, duplicated in the source, appears only once in the main table post-import. So not too worried about that.
However, I need the count in the popup to be accurate (it tells the users how many new entries require further investugation). And what's puzzling me is that I use DISTINCT in the query, which I would have thought should eliminate any potential dupes in the recordset and thus provide the correct count. It seems it doesn't?
Code:
Public lngNewBalancesTBI As Long ' Defined in a separate module...
-------
Dim dbs As Database
Dim rst As Recordset
Dim strSQL As String
[code]....
Why the dupe, which is still present in the staging table, also makes it over to the recordset, even though I'm using DISTINCT?

I have a table with duplicate records (which is ok) and I want to return distinct data for each client.
It works fine when there is only two fields returned however, when I add a third field to the query it no longer returns only the Distinct records - I am getting Duplicates returned.
I.E
SELECT DISTINCT tblClient.ClientNo, tblClient.Name
FROM tblClient
Works fine with only the Distinct records for each client returned
However
SELECT DISTINCT tblClient.ClientNo, tblClient.Name, tblClient.Address, tblClient.OrderValue
FROM tblClient
Now returns Duplicates!
Is there a limit to the number of fields to be returned using DISTINCT or what else could be the problem? Should I be doing this some other way?

I built an Append Query to take records of 'Leavers' from my Primary Table and add them to a Secondary Table named 'Leavers. This worked perfectly, but on reflection I determined that I needed to append a further column 'Notes' which exists in the Main Table but not in the Secondary Table.I amended the SQL statement as follows, but the query now fails stating that it doesn't recognize the field 'Notes'.
INSERT INTO Leavers ( [Member ID], Surname, [First Name], [Address 1], [Address 2], Town, PostCode, Phone, [E-Mail], Notes )
SELECT [Mail List].[Member ID], [Mail List].Surname, [Mail List].[First Name], [Mail List].[Address 1], [Mail List].[Address 2], [Mail List].Town, [Mail List].PostCode, [Mail List].Phone, [Mail List].[E-Mail], [Mail List].Notes
FROM [Mail List]
WHERE ((([Mail List].Leaving)=True));
Does this mean that one would need to recreate a new Secondary Table to incorporate the additional field? I have attempted to edit the secondary table by merely adding the 'Notes' field but that doesn't seem to be possible.

I keep getting the above error in access 2010 and cannot see where the error is. I have checked that datatypes are the same. It keeps referring to type conversion failure and didn't add (1) record due to a key violation.
Code:
INSERT INTO Requests ( [Request no], [Date-time received], Customer, Dept, Type, [Service level], [Received by], [Date-time due], Quantity, [Cust requestor], Status )
VALUES (9896, NOW(), 'DEMO', 'Demo Ltd', 'I', 'S', 'LT', NOW(), 1, 'LT', 'O');

- I have a module which runs queries on linked sales spreadsheets, to merge them in to one Access table.
- To prevent duplication of sales, the primary key merges the sales record and item number fields.
Today, it's found 103 key duplication errors, which is fine. But it's still adding data to the table. The data seems to be fields which aren't even mentioned in the query. It only does this when the query is ran from VBA.
Code:
MergeEbay = "INSERT INTO tblSales ( SalesRecord, SKU, PostCode, Shipping, Quantity, SalePrice, SalesRecordSKU, DateAdded )" & _
"SELECT exEbaySales.[Sales record number], IIf(exEbaySales.[Custom label] Is Null,'0',exEbaySales.[Custom label]), exEbaySales.[Buyer postcode], " & _
[code]...

I am creating a database where the records of individual students are to be moved to different table depending on where they are in the graduation process. In order to do this, the secretary will enter the student in the "90 Hr Request" table (think of it as the first step), and move them down the line of tables (4 in total) until the final "Completed" table. Each table in the progression has more and more fields. However, a student (with their ID number as the primary key) can only be in one table at a time.
I understand this does not sound like a traditional database, as the data is not normalized. However, this is being used more as a filing system than anything else. Their data is primarily paper based (for legality reasons), but wishes to keep it organized in a database so they can run queries and print reports.
Currently, I am creating a macro that will run specific queries (in an order). I have made an append query that will move the records over, then I used a update (to null) and delete query combo to delete the old individual record. I made the delete + update query work by using a selected criteria.
How to make the append query move only one student's record at a time.

I have created a linked Excel table in Access 2010 called 'tblExcelLinked' and I have a form called 'ASB Log Form' for the purposes of presenting the data in a more readable manner that is easier to view, plus link other fields of data that are not directly related to the 'tblExcelLinked'.
Because there is no unique ID in the 'tblExcelLinked' to create a relationship, I have created a table called 'tblASB', which allows me to add other table data linked from same d/b.
I now want to update the 'tblASB' with data from the 'tblExcelLinked', but only append new records from 'tblExcelLinked', but my inadequate append query is duplicating the records each time I run it, rather than just adding the new ones.
Once sorted my next challenge is a macro so that this runs automatically rather than being manually triggered.

No records are being imported. I am getting a validation rule violation but I don't have any rules. The forename and surname are straightforward text boxes and the ID is an autonumber.
Code:
INSERT INTO table_candidate ( Cand_ID, Cand_forename, Cand_surname )
SELECT candidates.Cand_ID, candidates.Cand_forename, candidates.Cand_surname
FROM candidates;
1. Is your append query trying to assign values to the primary key field? Could that be the source of the duplicate?
Yes but there are no duplicates
2. Do you have any other fields that are "Indexed: No Duplicates"? Any compound indexes?
No
3. Is the query assigning values to a field that is a foreign key to another table? Is it possible that these values do not match the values in that other table?
No. All child tables are empty.
4. Is there a validation rule on the table itself?
What this means.
5. Does the query attempt to assign a string with no characters in it (as opposed to a Null value) to a text field that has its Allow Zero Length property set to No?
Both fields are text and all records contain information
Required = No
Zero length = Yes
6. Is there a Default Value in one of the fields that is NOT being assigned by the query? For example, a foreign key with zero as the Default Value?
No
7. Is there data that is outside the range a field can accept, e.g. an integer larger than 32767, or a Null to a Yes/No field?
The length of the text in each record is not greater than the set limit
8. Is one of the query fields arriving in a format that Access is not understanding, e.g. for a date, or for a currency?
No

Hi,
I'm trying to populate a read-only field on a form with the time and date the record was last changed.
This is to acheive seeing a list of records that have been updated this week for example.
I have this at the moment:-
Private Sub Form_AfterUpdate()
Last_Updated.Value = Now()
End Sub
When I've updated a record it won't save and when I try to move onto the next record it does nothing, the button clicks but no response.
Does anybody have any idea where I'm going wrong or have any suggestions?
Would appreciate any help.
Thanks,
Dan

I am using an append query to move data into another database. One of the fields being imported is a date field in text form (20141201). I need it appear in the final database in text form (01/12/14) I have tried using several date conversions and cant get this work. Ideally i need the final value as a text rather than date.

I want to set a table field's default value to whatever is displayed in a certain field on a certain form at the time.In other words, say I have a database with a table called TABLE1, and two fields called NAME and SCHEDULENUMBER. I have a form called CreateSchedule with a SCHEDULE NUMBERCONTROL form and a NAME form, and I can enter names onto it, and it records to the proper SCHEDULENUMBER. So if I pull up SCHEDULENUMBER 4, and add three names, when I go back into TABLE1, I can see those three new names, and each one has the SCHEDULENUMBER set to 4.
What I'm trying to do is write an APPEND QUERY to copy a list of names from a different table, and paste them into TABLE1. The problem is that the other table doesn't have a SCHEDULENUMBER field. What I want to do is put a button on the CreateSchedule form that runs an APPEND QUERY, and sets the SCHEDULENUMBER to whatever value is displayed on CreateSchedule's SCHEDULENUMBERCONTROL field.
I tried setting a default value in TABLE1's field properties for that SCHEDULENUMBERCONTROL field, but I keep getting error messages. I just want TABLE1, whenever I add a new record (regardless of how I add the record: manually typing it or clicking the append query button) to look at the form CreateSchedule, and set it's own SCHEDULENUMBER field to whatever is displayed in CreateSchedule's SCHEDULENUMBERCONTROL form.

I have a table which has 2 fields 1) Project_Priority_Number and 2) Previous_Priority_Number. If there were 100 records these would be numbered 1-100 in the order that the user originally sets the priority (this number is in addition to the record ID number). I have created a form with code that moves the Project_Priority_Number to the Previous_Priority_Number and then shows the Project_Priority_Number as blank and displays all of the records.
The user can then set new priority numbers in the blank column. Say they choose to make the old priority number 4 the new number 3 and priority 27 now becomes say 2, etc. I want the user to press a button that re-numbers the remaining ones based on their old position + or - 1 (basically to fill the gaps but based on their previous positions). I understand how to renumber if one is deleted but I don't know how to be more specific and re-number based both on their previous priority number and whether something else is now set to replace that.
For Example (the following numbers need to re-order based on previous priority 4 becomming the new priority 1 and the previous number 8 becomming 3 - so the previous 1 becomes 2 and then everything after the new 3 moves forward 1):
PROJECT PRIORITY NUMBER PREVIOUS PRIORITY NUMBER
1
2
3
1 4
5
6
7
3 8
9
10

i'm trying to get a count of how many customers made billing requests during the month of november. the query is based on one table in the database. some customers made multiple requests, but i'm looking for the number of different customers who made requests, not the total number of requests made. the following sql stuff weeds out the duplicate customer numbers and lists each unique customer number.
SELECT DISTINCT TBLBillingRequest.MemberID
FROM TBLBillingRequest
WHERE (((TBLBillingRequest.DateSCSCLogged) Between #11/1/2005# And #11/30/2005#));
my problem occurs when i try to to incorporate the count function like so.
SELECT DISTINCT Count(TBLBillingRequest.MemberID) AS CountOfMemberID
FROM TBLBillingRequest
HAVING (((TBLBillingRequest.DateSCSCLogged) Between #11/1/2005# And #11/30/2005#));
it gives me a count, but the count includes duplicate customer numbers as well, not the total of unique customer numbers, which is what i want.
any suggestions/help would be greatly appreciated!

I have a single table database for inventory. Every 3 months or so, some records get changed or updated. My manager wants to keep an archive of all of the records that have been changed so we can go back and look at an history of all of the records. So, My thought is to create an "Archive" table, appended all of the current records to it. Then, when changes are made, create an Append Query, or what ever works, to copy just the changed records from the Main to the Archive table. There are only 200 items in the inventory so it is not a large database.

I thought "Undo" was only available while in the current record.Here were my steps:
1 - Loaded form that shows 1 record per form page.
2 - Edited a record
3 - Moved to another record with status bar nav arrow
4 - Verified my edit was in the underlying table
5 - Moved back to the original record, again using status bar nav arrow
6 - Clicked my "undo" control and the original data appeared in the form
7 - Moved to another record
8 - Verified my original data was now back in the underlying table
My undo control has this vba on click:
Code:
DoCmd.RunCommand acCmdUndo

I am giving two tables and I need to create a macro that automatically updates these tables depending on the value of a Yes/No field. If it's No, it's in the 1st table TableOne, if it's Yes it automatically updates to TableTwo.
So, the best way I saw to go about is to set up an append query and then create a macro that runs it
So my tables have the values FirstName, LastName and isValid (more but keeping it short)
So for my append query, I put TableTwo in the pop up I get. Then, where it asks for the field I put it
Field:FirstName
Table:TableOne
AppendTo:[TableTwo].[FirstName]
Criteria:[TableOne].[isValid] = 1
I do this for all (it was autocompleted except the Criteria field). I tried to keep Criteria with data only for isValid but that didn't work. I wrote it for all the field names, still didn't work. Whenever I click run it says it'll append 0 rows.

hi Guys,
I have been looking at different post and checking Microsoft help files as well, but still can't seem to fix this problem.
I am having 2 tables. The first table is connected to a form for viewing and entering data, and in the second table i am just copying 3-4 fields from the first table.
I am trying to use the insert statement to insert records in the second table, and everytime i click on the "Add" button to add the records i get the following error "MS access can't append all the records in the append query ... blah blah blah"
However if i close the form and reopen it, and goto the record (as it is saved in the first database) and now click on the add button to add the fields to the second table/database, it works.
What am i doing wrong???
Any inputs will be greatly appreciated.

Three tables:
Employee, Sessions, EmployeeSessions.
Many sessions can have many employees - thus the joining table has been included.
When trying to delete an employee from the database using a form, I encounter the error:
The record cannot be deleted or changed because table 'tblEmployeeSessions' includes related records
Is there a problem with my table relationship structure? Or is it 'correct' that as the employee is supervising a session he/she cannot be deleted as this would interfere and maybe mess up the session record?
