Queries :: Populate Rows With Duplicate Information
Jul 24, 2013
I am trying to connect individual responses to a survey to a series of variables describing each environment where the survey was conducted. I have about 1,400 individual survey responses (of about 34 questions each that have been separated into columns) and about 42 environments that are described with 30 different criteria each. They are matched by the environment description
- A line for each respondent and their survey answers
- On that same line would be the criteria of each environment.
Thus, the environment criteria should be repeated several times..However, when I join the fields in a query and require both fields to be equal, When I prioritize the environment panel, I only receive 42 records and the survey responses are blank. Prioritizing the survey panel gives 1,400 rows, but omits the environment info.
how do I populate the environment information variables on each row of the survey responses, even if that information duplicates the same variables on other rows?

Currently am trying to get together two separate Access Databases into one, which is the way it was always supposed to be.
Basically, this person accidentally created a duplicate of the database in question, and has been updating both independently at different times, meaning that whilst a lot of the database information is duplicate, there are some instances where each separate database copy has unique information on both existing contacts, and new unique contacts.
The database itself is about schools, and has tables concerning information such as calls made, contact details, school details, etc etc. Obviously all of this needs putting back together into one set of tables in one file.
I've been messing around with append and import functions, but am having issues with duplicate ID fields with append queries, and a general lack of direction on the best way to go about fixing this problem, if its even possible.
Here's an example of what i've been trying to do:
INSERT INTO Contacts ( ContactID, ContactTitle, Name, Surname, JobTitle, TelephoneSTD, Telephone, FaxSTD, Fax, Locale, SubjectKeyword, SchoolID, Reply received] )
SELECT [1Contacts].*, [1Contacts].ContactID, [1Contacts].ContactTitle, [1Contacts].Name, [1Contacts].Surname, [1Contacts].JobTitle, [1Contacts].TelephoneSTD, [1Contacts].Telephone, [1Contacts].FaxSTD, [1Contacts].Fax, [1Contacts].Locale, [1Contacts].SubjectKeyword, [1Contacts].SchoolID, [1Contacts].[Reply received]
FROM 1Contacts;

I have a form with a subform attached.
on the Main form you select the student then you enter letters sent out in the subform.
Basically there may be 22 letters going out all the same just to different students.
so the standard letter type will always be the same as will the date field
I know you can duplicate a record if its the same student saw that in the wizard however is there away of "holding" the information in certain fields so that its autoamatically filled in when you select the next student?

I have attached a portion of my database. if you go into the form called frmtest, select a branch from the very top drop down, select a detail and click the Edit button.how to have the information populate all the fields for editing. The Cost and Quantity fields work but my combo box fields don't properly work. The top combo box populates but when the record is updated it doesn't save the id. The second combo box doesn't even put the data in the data box.The main table where IDs and fields are is the BRANCH_EXP table, it's a linking table which links tables with many to many realationships.

I have a list of projects and am creating a query that tells me their duration based on beginning and ending dates. These beginning and ending dates can be edited by the user, and frequently, there are multiple beginning dates. When I query the projects, instead of getting unique project numbers on the left hand side to create unique rows, I get many of the same projects with different start dates. I would like to use the FIRST start date only for every project and not have multiple rows with the same projects being counted multiple times.
Is there any way to delete the excess rows and keep the original row? I've read a lot about using DISTINCT and UNIQUE INDEX with SQL but it seems as though these are only available for tables and not queries. Bright ideas, anyone?

How can I create an alert message to tell the user that there are an existing work order number in the table? I don't want it to restrict the entry, just inform the user that there is an existing work order number, do they want to continue.
Btw, the code will be attached to a combo box (cbowonum).

Good morning to you all.
I have a problem that I thought would be quite simple......
But 3 days later I am still trying.
I have a form which populates a table by one set of users (Simple enough) they can only add records.
I also have another set of users who want to access that table through a similar form but with a couple of added fields.
They will not be able to change anything only add their comments to what they see in the new fields supplied. Once this has been done it cannot be edited ever.
So I made a "Make Table Query" and added 2 new fields to that, so when I clicked on the query it came me the last update from the previous table. Problem was everything that was added in the extra fields were deleted!!!!
I would like to update the 2nd table with items that have been newly added to the first table, leaving all the items on the second table the way they were!!!!!!!
Anyone got any ideas please

I am working with an Excel file of raw data aggregated from an annual customer relationship survey that has been sent out since 2010. The file has approximately 20,000 rows, meaning the survey has been taken around 20,000 times. Unfortunately, each time a customer takes the survey, it is included in the raw data as a separate entry. Therefore the file has numerous duplicate email addresses, corresponding with unique data for each time the survey was taken. Another issue regarding the data, is that in the first year the survey was sent out, the distribution mechanism "broke" and the survey was sent out multiple times (and completed multiple times) in the same year by the same customer, so the surveys are not necessarily uniformly distributed, if that makes sense.
I have been interested in isolating the common respondents (those who have taken the survey across multiple years, albeit not necessarily consecutive years). Up to this point, these respondents have been isolated manually using a pivot table, however I am now looking to enter the raw data into SPSS (a statistical analysis package), in order to view the drivers of these common respondents.
Therefore, I would like to be able to isolate these common respondents and the data corresponding with their surveys from the raw data in a separate worksheet or file. I have tried various formulas to do so in Excel to no avail. Is there anyway to accomplish this in Access or would a more complex database be needed?
Ideally the final product would have the common respondents' information from multiple surveys in one row and would be able to be filtered by feedback date (found in the raw data), so that hypothetically one could select a month and be able to tell how many customers considered to be common respondents completed a survey within that month.

I've got a table which lists accounts with an associated charge. If the account has multiple charges, then the account appears multiple times, for each charge. I'd like to consolidate the duplicates without losing each charge that is associated with the account.

Trying to pull information from a text box on double click to populate a combobox on another form...
keeps coming up "type mismatch"
I call lngAccount as recognised on mouseover... ("Business Account" is the value I want)
I can't get it to work!
For info, the form I'm calling from is a subform located FrmMainMenu/FrmAccountsMainMenu and the control source is [Account]
the form I wish to populate in on FrmTransactions (it is a main form only) and the combobox is cboaccountselect - **I've seen the obvious mistake with no reference to this whatsoever, corrected it, and still not working**

I am in the process of (attempting) to develop a database and application for Parking & Violation Management. I have two tables at this point: "Parking Registration" and "Violations" that are linked by a "Permit #". I have developed a form that will allow the officer to enter either the "Permit" or the "Licence Plate" of a vehicle to run a "Vehicle Check" query to produce specific information for the vehicle in question; which is what I wanted, kind of... The problem is that the resulting data pops up in "table" format, and contains multiple fields, making review of the data difficult due to its lengthy, linear nature. Is there a way to have those results appear in text boxes either on a separate form or the "Vehicle Check" form itself?

I'm trying to figure out a way to get my access database to auto-populate data into a field based on the information I type into the first record.
So what I'm looking to do is that when I type a name into the UserName Field it will automatically fill in the rest of the field with the same information.
To clarify I'm looking for a way so that when I type something into one record it will fill the rest of the field in with that same information.

Issue: We are trying to remove duplicate information for one fiscal year in an ODBC then import and append the correct information from an Excel spreadsheet. The process we have followed is
Copy Master Access file and paste new file (to test, so we do not loose original data)Rename new file TEST.accdbCreate a delete query for Fiscal Year dataDelete information for duplicated Fiscal yearImport correct Fiscal Year information to a new table from ExcelAppend table to master table (ODBC)
Questions:
After being granted permission to delete information, it worked once and now no longer works. When the permissions are reviewed it appears that everything is still granted but the following message is received:
Why does Access change all copies of SDA, even if filenames are different and in different folders?
When we append table, why does it duplicate information?

I have a competition ranking contestants. A contestant can compete multiple times, each time with a unique registration number.
I am trying to sort by score to rank the contestants, however the contestants can only receive one rank - their highest score (not a sum of their scores, only one score). ? ?
Example:
Registration Name Score
2345 Sally 247
3456 George 230
4672 Sally 255
What I want to see:
4672 Sally 255
3456 George 230

I have a query based on 2 tables, joined on Memberid, the result showing :
Table1 Table1 Table1 Table2 Table 2 Table2
Category Association Memberid CustomerName E-mailAddress MemberID
Board Member(Lookup,integer) SAMGA(Lookup,integer) 44 Smith smith@abc.co.za 44
Board Member ADHTY 44 Smith smith@abc.co.za 44
Grower SAMGA 44 Smith smith@abc.co.za 44
I only want to show 1 row, based on the duplication of E-mail address. I know i should be using the row_number function, but cannot get to the result I want.

I'm building a Bradford Scoring DB, everything is running smoothly apart from one niggle I would really like to get around and automate.Essentially, I'm hoping to run a difference sum query which is fine when it's on the same row, but the issue I'm having is that I'm trying to calculate this from another row, linked by name. This inturn will workout the difference between the two absence episodes i.e. it's been 80 days since their last absence end.
I did find a method which would view the previous AutoID, but this worked well for the whole table, but not within a query limited to name. The obvious workaround is to allow the team leaders to enter this manually, but this could be a/ open to small errors b/ mildly time consumingI, like most, work with people who want info NOW and with little effort.

I have a table of events that includes fields for ages, a Start Age and a End Age.
I want to make a query that pulls up how many programs have been provided to a given age group. How can I make it so that the query will understand to include records that have the given age group in between the Start Age and End Age fields? I.e. if I set the query to 3rd Grade, records that start at 2nd Grade and end with 4th Grade are included in the results as well.

In the scheme below, I want to fetch all the info in Table3 for all the Tiers that has the AppID in Table2. There could be more than 1 Tier using the AppID. I don't know if I'm clear though.
Code:
Table1 Table2 Table3
AppID (PK) _ AutoNb (PK) AutoNB
Name Tier (FK) ---_ Name
- AppID (FK) \_ Tier (PK)
Here's my failing attempt...
Code:
SELECT Table3.*
FROM Table3
WHERE Table3.Tier = (SELECT AppID
FROM Table1
WHERE Table1.AppID = 2002);

i tried this two solutions but the result is error
Solution 1

I am trying to split a field that typically contains a revision level and a revision date in a single entry as follows:
(Rev Level) {Space} (Date: MM/DD/YY)
REL 10-30-14
A 11-20-14
C 11/13/14
Note: dates use either - or / as separators. 99% of the time, there is a space between revision level and date.
Is there a simple way to write an update query to take the value in the current field, strip away all letters and spaces (but not - or /), and insert the remaining value into the revision_date field?

How I might select all the records within a query except for the most recent one? I have an AutoNumber ID field and a date stamp to use , but I can't figure out how to exclude just the biggest record.I am trying to run an update query on the After Insert Event, so that when the user inserts a new record it will mark down similar older records as 'superceded'.
At the moment I can select all the records, and I can select just the largest one, but I can't seem to take one away form the other. Here is the SQL in it's current state:
Code:
UPDATE [Personnel-Qualifications] SET [Personnel-Qualifications].[Superceded?] = True
WHERE ((([Personnel-Qualifications].PersonnelID)=[Forms]![Personnel]![PersonnelID]) AND (([Personnel-Qualifications].QualificationID)=[Forms]![Personnel]![Child21]![qualificationID]));

I have the following scenario and do not wish to use a crosstab for various reasons. I am combining three queries into one. The last query has information as follows:
Project Type Rev Budget
12345 Debt 100,000
23456 Impact 50,000
34567 Other 25,000
There are hundreds of these line items. The first two queries hold the project information as well and that would be the field that I would use to join each query. Currently the information above is in line form and I need to put it in column form to coincide with my other data. The final result needs to have the following column headings:
Project, Desc, Exp Budget, Expenses, Debt, Impact, Other, Rev Budget
Please note that the first four headings come from the first two queries so I have this taken care of. how do I change the query to put the Type by line item as a column heading and sum the Rev Budget accordingly without creating a table and doing appends or update queries? Can it be done in the query where I am combining the three queries?
