Query: Access Macros, Autodeleting Rows And Updating Table Names

Oct 11, 2007

I'm a bit in over my head. Unfamiliar with Access macros, I need to write a bunch of them for work, and soon. Unixen I can deal with, largely undocumented convoluted Access macros are something else....

My current problem is: I have a table. The first column has a value in it for almost every row. However, there are six other columns after it. I need to write a macro to automatically delete all of the rows that don't have data in the last six columns. Microsoft Help is, as always, of zero use. The FindRecord feature allows me to use expressions to search, but of course, the help fails to tell me what syntax Access uses.

Oh, and it asks me to select a table from the drop-down list. Can I use wildcards here? Is there a way to get it to automatically open the newest table, or will we have to change the macro accordingly each month?

Most tutorials/guides I'm Googling rather brilliantly repeat the same things the help does, AKA, are useless. (Why do they bother writing them if you're not giving new information...?)

I'd ask about the other various access questions I have, but I can pick them up as I go, this is the most pressing question.

Only Updating New Rows In Duplicate Table

Jun 5, 2007

Good morning to you all.

I have a problem that I thought would be quite simple......
But 3 days later I am still trying.

I have a form which populates a table by one set of users (Simple enough) they can only add records.

I also have another set of users who want to access that table through a similar form but with a couple of added fields.
They will not be able to change anything only add their comments to what they see in the new fields supplied. Once this has been done it cannot be edited ever.

So I made a "Make Table Query" and added 2 new fields to that, so when I clicked on the query it came me the last update from the previous table. Problem was everything that was added in the extra fields were deleted!!!!

I would like to update the 2nd table with items that have been newly added to the first table, leaving all the items on the second table the way they were!!!!!!!

Anyone got any ideas please

Updating Multiple Rows In One Update Query Help Please!

Mar 7, 2008

I have one table, I want to update multiple fields in that Table with values.Currently I have on update query for each update. So for exampleRows: Commercial Quotes, Cover Notes, Personal QuotesWill have the values: Yes, No, Yes in them.I need to update those fields, if they say Yes to Commercial Quotes, Cover Notes or Personal Quotes depending on the field obviously. And blank them out if it says No.Currently I have 30+ different queries I have to click individually one after the other to update each row. I was wondering if theres a quicker way of doing this all in one hit.I have a tiny bit of SQL knowledge. So one of the queries I've figured out I've converted to SQL but again it only updates one instance...UPDATE Enabler_Data SET Enabler_Data.[Commercial Quotes] = "Commercial Quotes" WHERE (((Enabler_Data.[Commercial Quotes]) = "YES"));I tried whacking an OR replacing the ; and repeating that statment replacing Commercial Quotes with Cover Notes but it errored out on me.This is where I get completely stuck and my meagre knowledge fails me so any help would be useful. Thanks in advanceMatt

Big Ol' Access Problem (Forms, Macros, Importing, Query, Etc

Mar 31, 2008

Okay, so I just got a big project dumped into my lap to rebuild a database that was lost. This DB would import data from a couple excel spreadsheets and a text file, compare them to find any records that are missing from one or the other then spit that information back out in two reports. To make things harder, the person who uses this DB isn't the most computer literate and needs to be able to do everything with the push of a button. For this project I'm using Access 2003 with a possible need for 2000 backwards compatibility

First Issue: Importing. Is there ANY way to save an import so a macro could run it without the user doing anything? The other option is linked tables, but is there any way to update the data in those links because some of it needs to be changed. Also, can linking combine two excel spreadsheets into one linked table?

Second Issue: Information updating. As I mentioned before there is some information that needs to be updated before we can do comparisons. There is a field in both record sets that could be used for comparisons except for the fact it is formated all wrong.

In the excel spreadsheet it is set up as just a string of numbers like "3125" or "55879", but in the text file they added some preceding digits to this number code. The text file adds "HM" and a number of 0s to each number so that the field is a uniform 10 digits long. Like "3125" would become "HM00003125" and "55879" would be "HM00055879". So each record needs to have this data either added to it or trimmed off. The problem here is the variable number of 0s. I created a macro that would use the Len function to test how many zeros need to be added and update the field, but it can only run on one record at a time.

What I need to do is have either a trimming or adding updater for that field that runs in the background (either through the macro button or when loading a query) to make those fields compatible. It also would be preferable to work through linked tables.

Thankfully, there isn't any sort of rush on this paticular project. If you have any advice on any part of this project, please post

Thanks in advance

Cannot See All Rows In Access Table

May 2, 2012

My work has a sql server db, and all the tables in our Access db is linked to them for reporting reasons for the secretaries. Why all the rows for one table are not showing up in Access?

I go into SQL Server Management Studio and I can see all the rows, then when I try to go into Access 2010, I cannot see all the rows. I have already updated the table in Access through the Linked Table Manager. However, nothing changes.

Query - Access - Match Names

Mar 16, 2006

Quick question… I am trying to accomplish something that I believe it is fairly simple. At least in Excel, it is. I have two tables with names. I am trying to create a formula that will compare name in table 1 with a name in table 2. If the names match (exact matches only) it will let me know. Something like =IF (NAME1=NAME2,”TRUE”,”FALSE”) in Excel. I have trying using Iif, but it returns that I cannot divide by zero. I have linked the tables, so if I query NAME 1 and NAME 2, it will only display names on table 1 that are found on table 2.
Any help would be appreciated.
Thanks,

Help With Access Macros

Aug 18, 2004

I have a report that spans 4 years, and for each year it takes about 25 queries to produce the report. The queries for each year are only different in one number in the criteria, so what I'm trying to do, instead of having to manually copy and edit all of those queries every year, is make a macro that will do it instead.

I can make it copy all the queries and rename them, but I can't make them change the criteria in the queries.

Make Table Query And Expression Names

Aug 31, 2007

Hi all,

I have a Make-Table Query that has five expressions. I have changed the properties of these columns so that, when you view the query, it shows the column names I have chosen. So, instead of Expr1, I get "Haggis", and instead of Expr2, I get "Cold Toast".

BUT, when this query creates a table, the column headings revert to Expr1 and Expr2. Is there any way to make my custom column headings stick in the new table?

I should add that I frequenty run this query and overwrite the table. Thus, even if I go into the table and change the field headings, as soon as it is overwritten these changes revert.

How To Pass Table Fields Names From VBA To Query

Aug 15, 2014

I've been developing an Access database to keep track of my company's ongoing projects. There's also a form to browse the history of users actions within the program. It's based on table tbHistory that stores actions and parameters as numbers (for example eventId = 1 is "logged in" and eventId = 2 is "logged out"). I've been using a query to translate those numbers to text with a syntax like:

Code:
IIf([tbEvents].[EventId]=1 Or [tbEvents].[EventId]=2;[tbEvents].[EventDesc];IIf([tbEvents].[EventId]=5 Or [tbEvents].[EventId]=6;...

It worked fine but eventually the expression within expression builder has grown to the level that exceeded allowed limit and I couldn't develop my statement any more.. I decided to develop a vba function that would take eventId as a parameter and would retrieve a string, here it is:

Code:
Public Function translateHistory(eventId As Long) As String
Select Case eventId
Case 1 To 2
translateHistory = ""[tbEvents].[EventDesc]""
Case 6
translateHistory = "[tbEvents].[EventDesc] & "" <b>"" & [tbFormDesc].[FormName] & ""</b>"""

[Code] ....

And in my query I replaced that extremely long expression with just translateHistory([tbHistory].[eventId]). It seems to work, but the result it brings is a pure string with table names and fields - in other words, the query doesn't recognize it should be replaced with appropriate value. Here's the output I get:

Of course I'd like "[tbEvents].[EventDesc]" to be replaced with appropriate value of field "EventDesc" from table "tbEvents" as it used to be.

How To List All The Column Names For A Given Table Using A Single Query?

Queries :: Pass Table Names To Delete Query

Aug 27, 2014

I use the following code to delete from a table all records except those meeting the WHERE criteria:

Code:
DELETE tblABC.*, tblABC.SubjectID
FROM tblABC
WHERE (((tblABC.SubjectID)<>99 And (tblABC.SubjectID)<>432));

I'd like to run this exact same query, but on many other tables, all of which are stored in tblTablesToClean (TableID, TableName).

Any good way to have Access loop through the list of tables in tblTablesToClean, each time passing the name of the table into the DELETE code and running the code, until all tables have been processed?

Macros To Update Table?

Aug 8, 2007

Okay, here's what I'm trying to do... I have a form, and I want to be able to automatically log the time that users are working on that particular project. This is my thought process, and I just can't get it to work. I'm using Access2000, and I'm still somewhat new to figuring it out.

1st Time button - start time - this would be a macro that goes and updates a table that has the start time, end time, project id and an autonumber field (so it will just keep adding to the table). There would be a date & time stamp that goes into the start time column.

2nd Time button - end time - Same basic function - it would put a date/time stamp into the end time field.

I want to use this to create a record to show how long the user was working on the project (end time - start time = time worked). I've tried setting up macros, and I can't get them to actually update the table. I've had little experience with macros and I could really use some help.

Thanks!

Retrieving Rows From Multiple Table To Fill MS Access Report.

Sep 20, 2006

Hi,

I am using VB.NET 2003 and MS Access XP for a desktop application. While developing the application we have a reached a situation where we want to print a report which retrieves records from four tables. Till here it is easy to think that it can be done by a simple SQL JOIN query, but following is the complexity:

The first table stores a single row.
The second table stores multiple rows related to the Primary Key field defined in Table One.
The third table stores a single row related to the Primary Key field defined in Table One.
The fourth table stores a single row related to the Primary Key field defined in Table One.

The above SAVE RECORD option is performed when a user fills a Form of my application. As stated above, all the four tables are inter-related with a Primay Key field (TNo) defined in table one.

I also have a MS Access Report that will print information retrieved from all the four tables. The Report has some of the fields from each of the above table. The SAVE operation is performed in this way:

(1) A unique TNo is generated for a new record that is about to be created.
(2) All the entries are saved in their respective tables (mentioned above.)
(3) An access query will fetch the records pertaining to this TNo from all the tables to fill the report.

I want to know how to write such a query when I have to fetch multiple rows of a table in between. Is there any way that I can pass the TNO as a parameter to this query that is saved in MS Access?

Queries :: Query To Insert Missing Rows From Another Query / Table

Oct 8, 2013

I am using an Access 2010 DB to keep track of a schedule. Essentially, at least one person needs to be signed up to work for every hour of every day in a week.

Tables:
Days with 7 records
Hours with 24 records
Workers with as many people that sign up to work the different hours
Schedule signifying the worker, day, and hour which are signed up.

As of now i have a query that relates these results and gives me a line detailing the worker/time information for the slots that are signed up for. What I'm TRYING to do is to create a query that gives me BLANK worker info when there is no one signed up for a particular hour.Currently my Schedule table has the following:

WorkerID | DayID | HourID
----------+---------+--------
1 | 5 | 12
4 | 5 | 13
16 | 5 | 15

What I'm looking to do is have this table matched up with another table (or query) that provides every combination of day/hour. When an day/hour combination is skipped, the query will be able to "fill in the blank" with a row. Like this:

WorkerID | DayID | HourID
----------+---------+--------
1 | 5 | 12
4 | 5 | 13
| | 14
16 | 5 | 15

Updating A Table In Access Using VB

I have a form that updates a table. It's got some convaluted logic (I didn't write it I swear ). I am trying to add some VB code so that when the form closes, the table (TableA) opens, all records are selected, and any commas are replaced by periods. The table should then be saved and close.

I know how to open, select records, save, and close, but I can figure out how to get it to do the find and replace. Any takers?

Thanks,
