Query Forms Don't Work W/back-end Database
May 18, 2006
Goal: : To improve an application's performance by basing sub forms and combo
The application has a front and back-end. There is no SQL server involved. I use a module for, seeking out the back-end and automatically linking to the back-end in order that I might be able to provide updates. This has worked for me since first setting everything up.
First let me define what I mean by, “sub form” as to how I am designing my application. I have a number of, what I call, “main (unbound) forms” that are used to open up separate application modules. Each module contains a number of hyperlinks to each of the other application modules. Also, each main form (application module) contains a tab form with bound forms. Therefore, I am calling these lower level bound forms, sub forms and basing them on query files instead of tables. Many of the tables have fields for collecting information across a second form. I did not want to bring back all the fields when they are used in any of the two are three forms bound with the same table.
Problem: When I base either a main form or a sub-form on a query, that particular front-end query form no longer links to the back-end database table via a query file whenever I import everything g into a new/fresh version of the front-end application. Whnever I open one of the query files via the form, I get an error message in each of the fields indicating it can't fine the field even though the table is listed with all the fields. No, I do not have the same problem with forms based on tables.
I suspect that my problem is in what I am calling a main and sub form; and that the main form is really the first level bound form and never the top unbound form if one is used. I have a lot of forms. I just wanted to get some feedback on
my suspicions or find out what else could be the source of my problem before re-doing everything.
Thanks,
John

Hi all
I am facing disaster after two months of solid work on this database, the deadline is the morning of the 25th and just when i thought i had got it all working i then put the main bulk of the data into the database and the main search query won't work, it freezes and ends with 'invalid argument', when its the same argument as before when there was less data in it. also the relationships window is acting somewhat strangely, i cant seem to move the tables around within it, this is the same for any databases on my computer (im guessing this could be something to do with my Access on my computer)...
A quick note about the search function. it runs three queries dependent on each other, the master query runs of a sub query which runs off an inititial query (this was found to be a very good way of dealing with null values in the database). two of the the tables it runs off is a one to many relationship with the main table so not all contacts will have that variable, but i don't see why this would affect the query. in short the first query in the sequence searches for a status of a contact, then the second uses these results to search for a sub status then the final query searches for publications contacts want from the sub status query. the three tables it runs from are contacts, status(which includes substatus) and publications.
well, it really is the 11th hour here, quarter past the 11th hour to be honest. short of throwing my computer out the window and running off to a tropical island does anyone have any ideas....????
many many many many thanks in advance....

I've got a single form ("Lead Data") that has Cascading Combo boxes that work perfectly, entering data into "tblLeadData":cboMatterTypeIDcboMatterIDcboAttyIDcboPlglID Attorney & Paralegal are the people assigned to the Matter. My problem is in finding a way to allow a specific Attorney or Paralegal to filter for only his or her records. I made a query of tblLeadData that works perfectly as a query, but when I use it as a filter in an "on click" macro event, it doesn't work. I suspect it's because of the cascading combos, because I've successfully used this kind of query based macro filter in the past.
Okay, more on how it is set up. The same people are always assigned to a specific matter, so when you pull down the Atty & Plgl combo boxes, there's only one person. So it isn't a true Parent/Child relationship, but it's working. And there were two advantages of this set up over an autopopulate set up (which I considered): 1) When I change something in the reference tables (refAtty and refPlgl), it also changes in tblLeadData & 2) in case there's an exception to the usual assignment pattern, we can just leave Atty & Plgl blank and put the correct assignment in a text box called "AssignmentNotes."
So my query of tblLeadData that works, qryLeadDataAssign, uses the following fields:
tblLeadData.AttyID
refAtty.Atty
tblLeadData.PlglID
refPlgl.Plgl
tblLeadData.AssignmentNote
Expr1: [Atty] & " " & [Plgl] & " " & [LeadAssignmentNotes]Criteria: Like "*" & [Who?] & "*"
The Join Properties in the query between tblLeadData and refAtty is set to "2: Include ALL records from 'tblLeadData' and only those records from refAtty" where the joined fields are equal." And the same for Plgl.
When I run the query, it asks me a single time, "Who?", I put in the name and it pulls up all instances of the name from any of the 3 fields. It acts as a "contains" filter, not an "equals" one.
As for my cascading combos, here are the settingsMatterTypeIDRow Source:
SELECT refMatterType.MatterTypeID, refMatterType.MatterType, refMatterType.[MatterType] FROM refMatterType ORDER BY refMatterType.[MatterType]; On Change Event:Me.cboMatter.Requery
MatterIDRow Source: SELECT tblMatter.MatterID, tblMatter.Matter FROM tblMatter WHERE (((tblMatter.MatterTypeID)=[Forms].[LeadData].[cboMattertype])) GROUP BY tblMatter.MatterID, tblMatter.Matter, tblMatter.Matter ORDER BY tblMatter.Matter;
On Change Event:Me.cboAtty.Requery
[Code] ....
I put a button on the form and put an embedded macro as an "On Click" event. The macro is an "ApplyFilter" and the filter name is qryLeadDataAssign. When I click on the button, I am asked to enter
data 3 times:Enter Parameter Value: Atty
Enter Parameter Value: Plgl
Enter Parameter Value: Who?
Clearly, the expression in the query doesn't function in the button. And the result, no matter what I put in, is that all of the records are still there, although the filtered button is activated.
I tried putting the expression from the query into the macro builder window, but I for sure don't know what I'm doing there and haven't been able to make it work.

how the Forms work I am trying to put some of them in Navigation Form and my commands does not work as they did in Form."Home app" is the navigation form, "Apeluri_neinchise" is the subform of "Home app" and "Combo1" is the criteria based on which a query shows a specific data.
What is the proper formula for query criteria?
[Forms]![Home app]![Apeluri_neinchise].[Form]![Combo1] (I tried this but it's not workink)

Howdy all.
I need to take my database 50 miles to a factory site so that an engineer and I can review/modify all the records, ~450 so far.
Can I copy the front end and back end files to my laptop, review edit the data offsite, and then overwrite the back end file on my server when I get back? Are there any issues with doing that?
Thanks,
bugleboy

I need a database that will contain employee names and three job titles they will choose.
When a Job comes open I want to search the entire database and pull together a report that will show every employee that has chosen that job as one of his her three choices sorted by hire date.
I also would like a seperate table with the job titles and position codes that can be filled in automaticaly on the main form by typing the position code.
I have a database started with some of this but I can't get it to work right!
First I haven't got a clue how to make the job choice combo boxes link to the three textboxes on the form where the job titles chosen will be displayed.
Can someone please Help me?
Thanks

We are currently running a FE / BE splitted database abd would like to back the back end up (to a sepearate location) every 15 minuutes by using the On Timer event.
Troiuble is, I believe I cant use the CopyDataBaseFile method whilst other users are in it and it would be too much hassle kicking everyone off!
Manually copying and pasting is good, but would really like to crack this one
Any suggestions please?

I have been asked to take a database created last year and re-design it to make it more user-friendly.
Not a problem, I thought when asked but I am running into a little problem...(the database designer)
In my opinion, to make a system more user-friendly there is a necessity to access the code and tables in order to gain a reasonable knowledge of the way in which it has been constructed. Unfortunately, although I am allowed to LOOK at the front end, I am not allowed any further access to coding or back end information.
At present middle management are siding with the database designer as they feel that from a security standpoint, access needs controlling (I can agree with this to an extent)
Does anyone have any ideas of how I can talk the management round or any suggestions for a way through this issue?
(Oh, and I'm not allowed to build them a new database and substitute it...I already asked)
Regards
Jason

Hi, I am not sure where to put this thread hopefully someone here can help me.
I have spent a good deal of time developing a very effective access database for a client. It is split into a front end and back end and connected using the Linked Table Manager when necessary.
The front end is quite loaded with queries, reports, forms, macros etc and the back end simply has the tables.
The front end is about 15 mb and the back about 8 mb.
Current set up is a small workgroup network with about 4 -5 consecutive users at any one given time.
I am looking for some advice on how to set up or facilitate getting the backend on the internet so anyone with a front end can access it outside of the LAN.
Today I set up an account with WebDrive which can connect to and assign a drive letter on your pc to any FTP, HTTP site.
I made the connection with WebDrive and using the linked table manager successfully linked the tables on my local machine to the back end on the FTP server - and actually ran the database at a pretty good rate.
I noticed however that it was downloading the backend to my local pc and once I closed the (a) form it was uploading the data back to the server? Very slow and often threw errors.
This of course is not what I wanted. Has anyone heard of doing this? Any work arounds or setting params would be greatly appreciated.
I have been told to create the DB in ASP but I do not have any idea on how to do that whatsoever...
Any advice or insight would be awesome!
Thanks!

I am trying to repair my back-end database but am having trouble. Everytime I select 'Repair Database' I get the following error:
'\BE_Data.mdb' isn't an index in this table. Look in the Indexes collection of the TableDef object to determine the valid index names.'
Can anyone tell me what this means, or more to the point, can anyone tell me how to fix this problem.

I plan on using Excel as the front-end and Access as the back-end only. (all queries and forms are in Excel). A single Access database will be queried from multiple Excel files that will be located on the share drive (Linux server). Access tables contain memo, text and number fields. Data will be sent to Access tables and records will be appended/deleted; all via Excel.
There will be multiple users interacting with a single Access database via multiple Excel files located on the shared drive. Users will be interacting from different workstations with Windows 7, all have Access 2010 and Excel 2010 installed.
This process works for me from my workstation but I am not sure what will happen when other 4 people will be sending/appending/deleting records to the same Database? How do I make this work? What settings do I need to check in Access to make this possible?

I have a database which is split so that several people can have a 'front end' to the database to access one common back end. This works fine on a network but I thought I could load the backend up to my webspace and then with the links manager point to it, but it doesn't work. I get an error report of 'not a valid file name.'
The website is [URL] .... and the backend database name is Probus_data_A.accdb and so I entered [URL] .... as the address in link manager.

I have created two DBs, one Back End, and one FrontEnd. My FrontEnd contains all the UIs/Forms, Linked Tables, and the queries fetching data from linked tables, and the Back End consists of all the Tables.
Now, in my Model, the BackEnd DB will be stored in a common drive and will be accessed by multiple users through same FrontEnd.
Now when I am trying to fire a query in FrontEnd (aka FE) DB, it is locking up the Back Up database. Even though I have set the RecordLock property to No Locks to query and the form.
how to remove the locking?

Hello everbody,
I'm sorry if my thread is in wrong section, cause I'm first time on this great forum :(! I hope you'll undrestand me ;)
My problem is with my database for my coffee bar, man who made database is still, and I don't have somebody to repair my database unfourtanetly :(
I formatted my C:, cause I installed new OS Windows XP PR SP2, and everything is deleted, but I save this .mdb file, but I don't have instalation CD for this program, cause man who installed me this database didn't give me instalation file :(!
And I saved this .mdb file, and now I try to run this POS.mdb,I can open "POS KASA" in english POS CASH, and I see articles - (ARTIKLI), and value of them it account values of them, just program doesn't count for me like before "sume" or "total" of EX. one count, for example coca cola 2.5 KM, fanta 2.5 KM = 5 KM, and now he doesn't count sume - total in program total is "UKUPNO", if somebody to know to repair this, or something another what is importing to work this database like before, please help me, database is on bosnian, if you need translating just ask me, cause I don't know to edit this file, and to have access to change words :(!
1'st colone in program interface (bosnian - english)
Sifarnici -something like codes
Artikli = Articles
Ulazi = Inputs
Storno racuna = storno count
Pregled storno racuna = review storno count
2-nd colone in program interface
Dokumenti - Documents
POS kasa = POS cash register
Dnevni promet = daily exchange
Trenutni saldo kase = current saldo of cash register
3-rd colone in program interface
Reports
Printanje prometa po broju = Printing exchange by number
Printanje prometa od datuma do datuma = Printing exchange from date to date
Printanje trenutnog prometa = Printing current exchange
IZLAZ = EXIT :)
Actually for me the most important is POS CASH REGISTER, cause it doesn't count total value of one count , total = ukupno doesn't work, sume doesn't work, and I can't give on my guests count, and I have problem with inspection cause I don't have counts :(, please help me and if you can repair this; IN ADVANCE TNX MUCH!

Hi
I was wondering if any one could help me.
I have a database at work with 5500 records, how ever the first 1000 have been lost. There remains records for each customer but the first 1000 records showing what they ordered have disapeared.
I have back ups of the database going back with the first 1000 records complete.
How would i take the 1000 records and add this to the current database where the information is missing? so it wouldnt mess up recent records?
could some one provide me with a step by step account. Would be much appreciated!
Many thanks

Hi,
I have a split database. The front end with forms etc is distributed to users and the back end with tables sits on a shared drive.
I have been trying to set the security on this and quite frankly it's driving me mad. I managed to get the security set with 5 user groups and about 100 users - it all worked well on my PC but when I distributed it, the copies open with the Admin as user, no password required, resulting in no security whatsoever.
Further reading showed me that I had to change the owner of all objects from Admin to a new adminitrator, who I named Custodian1. This I did. I then created a new database while logged on as Custodian1. So, the new database has all objects owned by Custodian1 and the database itself is owned by Custodian1.
The book said I had to delete the Admin user but, after asking if I was sure that I wanted to delete the user, Access would not let me.
I went through the Workgroup security wizzard a number of times to try to reset things that way, all to no avail. I then did the whole ownership change thing with the back end database and relaunched the wizzard. Still unable to delete the Admin user.
My final attempt was to use the wizzard and create a new WIF rater than edit the existing file. And still, I cannot delete the Admin user and distributed copies have no security.
I don't know how this ties in, but the distributed copies do not seem to be linked to the WIF although they find the Back End database, in the same shared drive/directory with no problems. If I set a password on a distributed FE database copy, it then cannot be opened as the users are not defined.
I'm obviously missing something fundamental to the whole process. A further difficulty is that I have the live database FE/BE, working copies FE/BE, The security wizzard backups FE/BA, and all the directories have similar names. On top of that, I have my normal none database duties to distract me. I'm finding it very hard to keep track of where I am or what I am doing.
Any help most gratefully appreciated and received.
Regards,
Keith.

I have created an access 07 database and split it to a back-end and a front-end with linked tables.
I wish to deploy it an a network of 4 computers, 3 of which are running on XP. The back-end will be on a computer running on XP. Now, from the instructions I have come across online, the Back-end has to be located on a folder where all users have Red and Write rights!!! And I am thinking, if the users on this network can actually see the back-end since it is on a shared folder where they have all the rights, then does that not compromise the security?
Is there a way of linking to the back-end on a network WITHOUT the users being able to access the back-end?
