Removing A Subset From A Main Table
Aug 2, 2007
I have 3 parcel tables. Table 1 contains the parcels of the whole county. Table 2 contains open space parcels and table 3 contains preserved farmlands. I would like to remove parcels in tables 2 and 3 from table 1. Tables 2 and 3 are subsets of table 1.
Basically I have these:
Table 1
PIN attribute1 attribute2 .....attribute6
1
2
3
.
.
.
52,000
Table 2
PIN
5
8
9
12
18
335
789
.
.
.
N
Table 3
PIN
41
51
66
3
78
903
1245
.
.
N
Note that tables 2 and 3 only contain PINs
Does anyone have a script for this problem?
I would appreciate your help on this. Thank you.

I have been writing a stock control database for my small Jewellery Shop and thanks to all the help and encouragement I have received here can see the light at the end of the tunnel - until I reaised a major design error!
My system is based around every product having a unique Product Code in the form ABC1234
AB is a 2 letter code for the Supplier
C is the category (Ring, Bracelet, Pendant etc)
1234 starts at 1 and gets incremented by 1 for each different product
The problem is that I have no current way of recording different sizes for rings with the same Product Code. So when I run a stock level check I may have 3 rings with the code JWR0021 and if my reorder level is set to 2 I would not reorder any of them. The ring may be a top seller in larger sizes but nobody buys them in the smaller sizes, I am sure you can see my problem.
What I want to do is to add another table for ring sizes but still keep the same Product Code. That way I can keep the code as ABC1234 but have A,B,C etc as subset of data for sizes.
What would be my best way of doing this without having to re write everything?
As usual any suggestions will be most welcome.

How to sort a subset in a query. I have three fields BatchID,Month and Year. The BatchID can have multiple months and years. I would like to order the final sort so as the Batchs appeared in the order of the highest date combination with in each Batch.
The following is the SQL of my first Query which establish's the lowest and highest date in each batch.
Code:
SELECT tblRevOnlySelYear.BatchID, tblRevOnlySelYear.OperatorID, Max([Year] & IIf(Len([Month])=1,0 & [Month],[Month])) AS Expr1FROM tblRevOnlySelYear
GROUP BY tblRevOnlySelYear.BatchID, tblRevOnlySelYear.OperatorID
HAVING (((tblRevOnlySelYear.OperatorID)=1))
ORDER BY Max([Year] & IIf(Len([Month])=1,0 & [Month],[Month]));
The next SQL is the second query which results in the Batchs in the correct order by year but the months are not correct.
Code:
SELECT tblRevOnlySelYear.BatchID, tblRevOnlySelYear.OperatorID, tblRevOnlySelYear.Month, tblRevOnlySelYear.Year, qryRevTest4_1.[1stDate], qryRevTest4_1.LastDateFROM qryRevTest4 AS qryRevTest4_1 INNER JOIN tblRevOnlySelYear ON qryRevTest4_1.BatchID = tblRevOnlySelYear.BatchID
WHERE (((tblRevOnlySelYear.OperatorID)=1))
ORDER BY qryRevTest4_1.LastDate;

I have a form that when initially displayed shows all client records in my database with the ability to add new ones through a "Add New" command button. I have another command button called "Search" that displays a second form containing a dozen or so fields to search and filter down on.
When the Search button is pressed, I display search form and enter data in some of the fields for searching. I then click ok and the main form should now display a subset of the records based on the data I entered on the search form.
My dilemma is that the WhereCondition of the docmd.OpenForm doesn't work. The doccmd works to open the form when I don't include the WhereCondition, but the moment I put the WhereCondition in, I get an unknown runtime error (3000).
Here's the code. I've stripped out most of the search fields to target just the one until I can get it working, then I'll add the others back in.
Private Sub cmdSearch_Click()
Dim varWhere As Variant
' Initialize the search string to Null
varWhere = Null
If Not IsNothing(Me.srchLastName) Then
varWhere = "([p_last_nam] LIKE '" & Me.srchLastName & "*')"
[Code] ....

This may seem like a silly question, but I can’t find the answer to it on this forum. People only say 'Remove the table links' but never how. I can’t seem to be able to remove the table links completely, so I only have one database file (no backend or frontend). I can’t seem to do it though the Table link manager or any other way. Any help?
Thanks in advance

Hi,
I'm running MS Access (2002 SP-2)
I have a table that has the following columns in it:
Sent NBR (text) / Sent Date (date/time) / PIC (text)
It's a customer listing of our customers and which long distance carrier they have selected. Unfortunately my data also shows OLD customers that no longer own that phone number. Because of this, various phone numbers are listed numerous times, but only the Sent NBR with the most current Sent Date is the one I need to see. The others are irrelevant and need to be deleted. I'd manually delete the duplicated Rows but I have over 115,000 duplicates!!
Do you guy know of a way to eliminated the duplicates for each Sent NBR and only show me the Sent NBR's with the Most current date?
Any help would be greatly appreciated!

I created a form to enter the lookup data and build the SQL string to create a recordset in VBA that is a subset of the original data. Using the Form wizard I created a form that displays ALL of the records in that original table (actually a QUERY). What I want to do is open this second form but have it reference the recordset I built in VBA.

Hi.
I regularly import tables with many fields from a third party application into Access 2000.
These fields all have captions as well as field names (obviously!) but I give them much more meaningful "friendly" names. But to do this I must first manually delete all the captions.
Is there an easier way?
Thanks in advance.

I have a table with at least 13.000.000 records. There are many duplicates records... For example
ID Name Family mobile car number chassis Register_Year
1 Roy Jalbout 9999 123456/G ASF4546 2005
2 Roy Jalbout 9999 854658/G GRK554JFJD 2009
3 Tony Elishah 1234 854658/G GRK554JFJD 2012
4 Sam Markos 5478 854658/G GRK554JFJD 2014
5 Roy Jalbout 9999 123456/G ASF4546 2005
As you can see ID Number 2,3,4 have the same car but every one bought from another so it's not duplicates
The duplicates here is the ID's number 1,5. So how to remove the duplicates. I remember you i have at least 13.000.000 records. I try to make a query to find duplicates then i make a copy of the original table and than i should make a primary key then append the data from the original table to the copy table, but here i have more than one criteria
When I made a query to find duplicates the result was 680.000 records and every one have a minimum 2 duplicates an maximum 4 duplicates so it's about 2.500.000 duplicates records at least....

I am very new to access less than 1 week since i started trying to build an horse racing database, i am trying to link data from 2 different sources via the horses name however one source displays this with the horses country of origin in parenthesis foe example FRANKEL(GB) and the other source displays the name as just FRANKEL, to be honest i haven't yet tried the link but guess it will fail.
I am therefore looking to get rid of the parentheses and their contents from an access table field and create another field without them.
In Excel i use the formula B1:
=TRIM(REPLACE(A1,FIND("(",A1&"("),FIND(")",A1&")")-(FIND("(",A1&"(")-1),"")) and that works fine.
I guessed the solution for Access would be newname:
TRIM(REPLACE([frhorse.NAME],FIND("(",[frhorse.NAME]&"("),FIND(")",[frhorse.NAME]&")")-(FIND("(",[frhorse.NAME]&"(")-1),""))
But this doesn't work as in returns undefined function "FIND" in expression error.

To keep it short and sweet, my query set up is: Employee, Team Name, and then I have the same field in the column as I do in the data and it presents pass/fail data. I have the data shown as a percent of the row so that there is a success rate shown but I want to remove the grand totals from the rows because it is obviously going to be 100% every time and it's unnecessary.

I have a database with an import process which normalises incoming data and appends to various tables. No issues with that. I also have a function within that process which counts the number of new entries for a summary popup when the process has completed. This works by querying the staging table, prior to the append, into a recordset and using the .RecordCount to increment the count (multiple files can be imported at once so this effectively provides a running count, per file, to give a total for the whole import)
I thought it was working fine but this morning I noticed that the count which appeared on the popup was 1 greater than the number of actual new records. I checked the source files and noticed that, for whatever reason, there was a duplicate entry in there. So I presume that's why the count was out by 1.
There's no integrity issue in the main tables as the composite primary keys ensure that duplication shouldn't be a problem. Indeed, the record in question, duplicated in the source, appears only once in the main table post-import. So not too worried about that.
However, I need the count in the popup to be accurate (it tells the users how many new entries require further investugation). And what's puzzling me is that I use DISTINCT in the query, which I would have thought should eliminate any potential dupes in the recordset and thus provide the correct count. It seems it doesn't?
Code:
Public lngNewBalancesTBI As Long ' Defined in a separate module...
-------
Dim dbs As Database
Dim rst As Recordset
Dim strSQL As String
[code]....
Why the dupe, which is still present in the staging table, also makes it over to the recordset, even though I'm using DISTINCT?

I've built a PostgreSQL database for some ecology data and am trying to use MS Access 2010 to make a front-end for it.
I've created a form to display site data; it includes such fields as site ID, site name, county, state, landscape, etc. (There are more, but if I can get the idea down with a couple of these, I should be good to handle the rest). One can click through the form and see 14 pages of site details, which is fine because there are 14 sites.
What I want to do now is make a search form in which one can enter values for site ID, site name, county, etc, and somehow get the pages of the display form that match those values. It's not terribly important to me how that output looks - whether it's a list of matches that allows for clicking on a match and showing just one page of the display form, or whether it's a filtered subset of the display form pages that one still clicks through to view them all.
if there is code to write, where do I type it? Do I start my search form by making a form with the search fields as values, or is there some other way? How do I make those search fields into search boxes rather than display boxes?

I have a make-table query that pulls all the fields from 1 table (MainTable), and creates a new table with a date stamp based apon a form value entered (New Table = MainTableWithDate).
Currently, I setup the query to pull info from the form field like this:
DateField: [Forms]![frmmain]![DateField]
However, when the make-table query is done - all date fields are blank (all other fields are correctly created), and when I look at the new created table (mainTableWIthDate), the typeassigned to the date field is "Binary" (in the form, I've specified LongDate).

Here's a query that the bottom listview in the attached form i.e. a listview representing a table of calls(many) to fims (1 top listview)
Code:
SELECT calls.id, calls.firm_id, calls.called, calls.said, calls.spoke_to, calls.next
FROM calls
WHERE (((calls.firm_id)=[firms].[id]))
ORDER BY calls.called DESC , calls.next DESC;
When I run the thing...I get a dialog asking me for firm id.
I want to change this so when I move up and down the firms LV (top)... the bottom LV updates taking firm id from the top LV with focus.

Hoping someone can help me with this DELETE query. I have a Main table that's being updated by a Temp table that's an exact copy of the Main table but with a subset of records.
1) Insert records from Temp table NOT found in the Main table - this query I have worked out below - not tested, but the results look correct.
Need Help Here...
2) Delete Records from the Main that are not found in Temp table with an exception...only DELETE records where certain key fields are matching. i.e. If S.CAD_NAME, lngStoreNumber are a match to what's in the Main table. While
Temp table:
lngStoreNumber - CAD_NAME - lngcomponentSerial
1 - "CHK" - a
1 - "STK" - a
2 - "CHK" - a
Main table
lngStoreNumber - CAD_NAME - lngcomponentSerial
1 - "CHK" - a - LEAVE (EXISTS In Both Tables)
1 - "CHK" - b - DELETE (lngStoreNumber & CAD_NAME composite Found /lngcomponentSerial NOT Found in Temp)
1 - "STK" - a - LEAVE (EXISTS In Both Tables)
1 - "RMM" - a - LEAVE (lngStoreNumber & CAD_NAME NOT Found in Temp)
2 - "STK" - a - LEAVE (lngStoreNumber & CAD_NAME NOT Found in Temp)
2 - "CHK" - b - DELETE (lngStoreNumber & CAD_NAME composite Found/lngcomponentSerial NOT Found in Temp)
3 - "CHK" - a - LEAVE (lngStoreNumber = 3 Not in Temp table Subset)
Rule: Only delete the records for a particular CAD_NAME and lngStoreNumber from the Main table leaving all other CAD_NAME/lngStoreNumbers.
I'm running these updates in batches of lngStoreNumber. So the Temp table will only contain subsets of what's to be deleted from the Main table thus the need to link on the key fields only NOT to delete a Subset of lngStoreNumber/CAD_NAME. I think I've tried every possible query that doesn't work.
Here is query #1 to insert records missing from the Main table that exist in the Temp table. I think what I need is a variation of this???
SELECT D.*
FROM Main AS S RIGHT JOIN Temp AS D ON (S.CAD_NAME=D.CAD_NAME) AND (S.lngcomponentSerial=D.lngcomponentSerial) AND (S.lngStoreNumber=D.lngStoreNumber)
WHERE S.lngcomponentSerial is null AND S.CAD_NAME is null AND S.lngStoreNumber is null;
THANKS.

I have a main table that is imported weekly from another Access DB which I have no control of. I also have a new table with a notes field and a product ID field. The issue is the product ID field in the main table is constantly growing. When I created a query with all of the fields from the main table and the notes field from the notes table I could not enter any data into the notes field unless the product ID was already listed in the notes table. Is there a way to make a query update the notes table or a macro to add the missing product IDs from the main table to the notes table?

First of all apologies for the lack of proper terminology I'm a novice Ms Access user and I like to thank everyone in advance for trying to help.
Ok here is the situation:
I have two tables, NewJobs and Contacts which have the following fields.
Newjobs
--------
JobID (AutoNumber, Primary Key)
JobName
JobDate
JobDescription
JobOwner (Linked to table 'contacts' via LookUp)
Contacts
---------
DisplayName
EmailAddress
Department
Extension
Ok basically what I want is to have a form based on table NewJobs which will allow me to enter new jobs into the database. When I get to JobOwner a drop down list linked to 'Contacts' table will show me all the data from column 'DisplayName' and allow me to select it (saves time on typing). I have already done this and its not a problem.
Now I would also like in the same form to have additional fields from table 'contacts' such as EmailAddress, Department and Extension which will autofill with the right information soon after I select a JobOwner from the drop down list.
So for example if I select 'Joe Bloggs' Access will automatically fill the additional fields in the form with Joe's information (department, extension etc) from the Contacts table.
I hope all this makes sense. Thank you all for your support.

Dear All
Since last week I am working on a Database which I will use for my company. To make a long story short, I didn't find any appropiate softwares nor examples on the internet, hence, with my some knowledge in Access, I am trying to make this "to be" useful tool for my self.
Short brief on the project:
This is going to be used for a trading company to register:
- Suppliers
-- Products
- Customers
-- Inquiries
-- Orders
-- Offers
*Relations:
- Suppliers can have one or many products
- Customers can have one or many Orders / Inquiries / Offers
Problems:
(I have tried many different ways, but going nowhere)
1) The "Customers" table have 3 tables (Orders/Inquiries/Offers) linked to it - and all are based on the primary key "CustomerId". --> How can I make a form to enter these data linked?
2) Under "Orders" I want to select supplier from the Supplier table and Product from the Product table -- How?
I know this is a lot of info and probably too vague, but if someone could assist me with a few problems - then I would really really appreciate it and compensate somehow.
Looking forward for your help.
Best regards

I have my main form which is connected to my main table - Query 1
I have a lookup table (actually a view from SQL Server) which holds my user name - the username used to login to the database- just one value.
In my main form I have a 'Logged By' field. I want this field to default to my login name when I process a record.
I thought it would be as easy as connecting the lookup table to my main form and then in default value typing My_login.user_name.
Apparently not. It just has the #Name? in there.
Anyone have an opinion on this ?
I can use the =environ("username") in the default value which works to good effect but different users use each others PC and I would like the field to be defaulted to thier database login and not thier windows on.
Please help ! It seems so small and its driving me ceeerazy !

I would like to add a textbox to my main form so that users can enter in some extra data regarding the job they are working on. This text box should tie to the current record of the main database, tableJobLog.
Is it best to keep this textbox as a field in the main database, tableJobLog? Or should I create a separate table (perhaps tableJobNotes) with just this text field and link the two tables?
I would think that having it in the main table would make the table grow considerably in size after some time.
If creating a separate table is better, I would need some guidance on how to do this.
Thank you very much.

I have a main table and multiple other tables that I want to link to each row of the main table. The main table "Data" consists of columns (Name, x, y) where "Name" is the primary key and all values are unique. Each of the other tables have columns (Name2, z) where the value of "Name2" is the same in each row and also corresponds to the table name.
I want to make each table a subdatasheet of "Data" where each row in "Data" shows the values in the table corresponding to its name. (i.e. where Name = Name2).Below is what I have so far, but the code doesn't work because linkchildfields and linkmasterfields need to be run from a subform.(?)
