Reports :: Blank Fields - Counting Times?
Feb 12, 2014
I have a report that is pulling data from a query and on the report, i have a controlled field that is supposed to count only data where a field says "no". Here is the string.
=Sum(IIf([Caller Used Resources]="No",1,0))
when i run the report i get the four results that say no, but i also get a blank field counting the times when this field is blank. If this field is blank, i don't want it to show anything.

Suppose we have a report that outlines several fields, one field shows the City. In the report, this week, we see 10 records "New York", 8 records "Houston", 7 records "London", 3 records "Paris" and so on.
Next week's report outlines different cities and different number of records. I need to have in the report footer a "recapitulation" , a field that would say :
New York 10
Houston 8
London 7
Paris 3
Total 28
Next week cities and number of records might not be the same, we may have
Tokyo 12
Singapore 14
New York 6
London 7
Can i make my report in that way that it will count the values without using VBA ? I tried the count values option but it counts the overall report, does not take into consideration the different values.

I have a report based on a query. Sometimes some of the fields on the report are blank because the information is not available. Is there a way to not show the blank fields on the report and to move the next field up into the space?
I have tried using Is Not Null on the query criteria but if any one field is null it doesn't show any of the others on the report.
I have currently got it so that the height is set to 0 and can shrink = yes and this seems to work but the field is still there (although hidden) - I would rather it was removed completely if it is blank as I am hoping eventually to make the output for each field show on a PowerPoint presentation and I don't want blank slides which I think this solution might do??

I designed and used an Access 2003 for some time but I have recently updated to Access 2013 and want to rejig and improve my database. My query is that I need to print invoices from my database, there is a header section with my details, then a section with the customers name and address at the left hand side, and the invoice details such as invoice number, invoice date, PO number, credit terms, etc. at the right hand side. I would like to remove any blank lines from the customers address but to still have the invoice details at the right formatted and spaced correctly. Is there any way of doing this, the canshrink property will not work due to the invoice details which still need to be printed to the right?

I have a report (Access 2007) with subreports that is being exported to pdf. It all works fine on PC except for on a virtualbox and a laptop. When the user exports the report to pdf, it leaves some subreports blank! If the report is opened in the DB it pulls data as it should and all looks fine.
In the report, the missing data is from 4 subreports in the same top section of the report where a 5th subreport also resides. Subreport 5 is displayed OK. There is no dynamic formatting nor filtering in the reports.
These two machines had to have the 2007 Microsoft Office Add-in: Microsoft Save as PDF installed for the PDF export to work at all. Both machines are up-to-date on the latest windows updates. The virtual box runs XP while the laptop runs Windows 7.
This is the strangest error I have ever encountered as it only partially fails and it cannot be replicated on a regular PC.

I have a report with a number of calculated fields, and information that is pulled from the form that calls the report. Pulling the information is done in the Report_Load() event by setting the report.txtBox = Form.txtBox. When I open the report in acPreview all the calculated fields are populated as they should, and when I open the report in acNormal mode (which is what I want) the calculated fields remain blank.

I want to use to count how many times a record is displayed in the period and lesson field, in another table, so that this data can be used to show how many people are attending a class. e.g how many times people are attending art 1, by counting how many times art one appeared in the first table.

My student is doing a project on question paper generation in which he selects questions from each lesson needed and also some of these questions have images associated with them. So, if these questions are selected, the image control in the report displays it.
If there is no image, the space for the control is left in tact. I tried changing the visible property for the image control in the Detail_Format event procedure. But this code is not reached at all and the space is still left. I am not storing the image directly in the field but its path in a text field.
I want that the space occupied by the image control removed. I tried the suppression thing but obviously it did not work.

I have created a query with parameters and a report from the query. The report is requesting the paramater multiple times but the query is running fine. How to resolve? Again, the query requests the parameter once but the report multiple times (6x).

I've narrowed my problem to a subreport that prints multiple copies of the report based on the number of items generated in the subreport.
i.e. If I have an instructor registered to teach three classes in the subreport, the main report will print three time (identical). An instructor with two classes will print twice (identical).
No button...just good old "print" how? why? where?

I set up what I thought was a simple query in my DB using it to create a report containing a subreport.
I kind of works, however Access is asking me for the parameter value [Extract Date] multiple times, when in theory it should only ask once!
In addition (and likely related) the Access is then repeating the output multiple times.

So i have a union query pulling together about 3,000 records from other queries.
I arranged all the counts and data I need to fit onto one page, but the report is copying that page (minus the header) for each record in the union query. I'd much prefer a one page report rather than a 3,000 page report.
Why does it do that? All I want is a one page report, how can I make that happen?

I have a question related with a report i`m using to print labels. I am not familiar with Access and this is quite a challenge to do it alone.
In the attached file there is a report called "MICRA", when started it asks that you want to select (default is 1 and special select in this case is 11) and next it asks "SPS", the value entered there is printed in the bottom right corner of the report.
My question is is it possible if in the SPS field is entered a special value (for example "MASS") to print 30 labels of each selected label with text in this fiels = "val.1"; 15 with text in the field = "val.2"; 10 with "val.3" and 10 with "val.4" and after that to print next label with same rules...
And if not entered "MASS" to print just 4 copies of every label.

I have a table [maintable] that holds print records, with the following fields :
id,userlogon,printername,pagecount,color(yes/no),duplex(yes/no),timestamp and papersize.
I want to create a query that will show the following:
Sum of pagecount where papersize like 'a4' and between 2 dates but FOR EACH USERLOGON.The dates will take them from 2 fields in a form so i will use this
"WHERE (((maintable.Timestamp)>=[forms]![reportsform]![frmdate] And (maintable.Timestamp)<DateAdd("d",1,[Forms]![reportsform]![todate])))" and some more..
So i want the query to show, first the userlogon then a field to show sum of a4 then a4 color prints etc..(remember,i want the between 2 dates criteria to be global,to the whole query)
here are all of the criteria fields i want:
1) - papersize=A4
2) - papersize=A4 and Color=True
3) - papersize=A4 and Color=False
4) - papersize=A4 and Duplex=True
5) - papersize=A4 and Duplex=False
6) - papersize=A4 and Color=True and Duplex=True
7) - papersize=A4 and Color=True and Duplex=False
8) - papersize=A4 and Color=False and Duplex=True
9) - papersize=A4 and Color=False and Duplex=False

When entering information on the form, there is a combo box with 4 options
Started
In Progress
Verified
Complete
There are several different areas on site here and i'd like to be able to set up a report which will count the amount of the above 4 possibilities for each section. For example i'd like the report to look something like below
Area A
Started 1
In Progress 6
Verified 3
Complete 5
Area B
Started 3
In Progress 9
Verified 21
Complete 11
So i'm displaying the number of jobs in each section and how far along they are at a glance

As part of the report I'd like to have a table that would list all different values in column in column A and the number of times they appear in the table in column B.I have a bit of a hard time how to populate the table the easiest way.I have all the values in a separate source table, so first column is easier. but do i have to write the dcount statement for each row for second column?Could I display results of query as subquery in report. If you have a bunch of textboxes with increasing names like NameBox1... for for/next loops in reports... is there an easy way to assign those names?

I have an activity report which has multiple entries for the same date by club members. I have managed to build the database:
2 Tables
2 Queries
2 Forms
1 Report
Which list attendance's and activities by Member and Date and Prints each one starting on a fresh page..What I wish to do is count each Club Members total days attendance. I have tried using the Totals button but I don't know enough about expressions to get it to count multiple dates as 1.
Everywhere I have looked can tell me how to count between dates, around dates, workdays in a year etc. etc. etc. but none give me multiple dates the same counted as 1.

I've been struggling with getting a report to simply count records (I don't need any detail other than the counts). Here is what I have:
Table CompressorRoundsT contains these fields (many more actually but these are the ones I care about for this purpose):
Date, Shift, Round
Possible records in the shift field are 1st, 2nd, 3rd and the round field has Rnd 1 and Rnd 2.
For each date, I need to count the number of records per shift and per round. For example, the report should show that on June 7th, 1st shift has 14 records for round 1 and 14 records for round 2. Same for 2nd and 3rd shift. I don't need any other details of what the records contain, just the counts.
I've had some success but the layout ends up too spread out because it is including the individual records instead of just showing the counts and it isn't grouping the way I want.
It's a report for management to see how many readings (rounds) were missed in a period of time.

I have a report which is based on a query. The query combines information from TBLDwgReg and TBLDwgRegDtls. The unique field linking these two tables is DrawingNo. The query - QRYDtldDwgReg - is showing 99% of the information I want to see.
My problem is this - one drawing can be revised several times. I have my report grouped by IssuedBy and then grouped by DrawingNo. In the group footer for IssuedBy I want to count the number of drawings issued by a particular consultant. For example...the structural engineer has issued 17 drawings for a particular project but when I do a count it is returning a total 27 because some of those drawings have been revised.
I tried grouping in the query and counting the DrawingNo field there but that's not working either.

I remember reading a tut on how to count records using Running totals in a report - but I cannot remember where I read it. It went something like this.
In the section that you want to count, add a field with record source '=1' and make it a running total for the group.
In the header (one level up from where the running total resides) add a field with record source =Max(RunningTotalField)
Although the 'intellisense' sees my 'RunningTotalField' when I create the above mentioned formula, when I run the report, its asking me to input the value for the 'RunningTotalField'?
Have I confused some concepts or am I on the right track?

I have been pulling my hair out over a query application and I'm looking for some help...
For instance, I have a table with [PrimaryName], [SecondaryName] and [JobDate]. I want a query that will display if there is more than one occurrence of the same name in either name field on the same date.
If it were just one field I could do this using GROUP BY and HAVING but because I need to check both name fields I'm stumped. I tried a union query but that seems to group multiple occurrences together as one entry.
Any help is appreciated.
