Reports :: Extra Spacing At The Bottom Of A Report?
Jul 16, 2013
I have a sub-report and the last row is highlight, however, there seems to be extra spacing after the last row. I removed all report/page header/footer so all what's left is the Detail section but I still have this white space after the last row.

Is there a way of formulating statistics at the bottom of a report?
Heres what i have.
The report pulls Rank, Last Name, First Name, Assigned weapon, Weapon qualification date. After 6 months i use conditional formatting to highlight the soldiers qualification date red. Im in the military that's why im tracking all this, but I need figures to report to higher, and at the bottom i would like it to show, "#Qualified", "#UnQualified","% Qualified", "% Unqualified", "#Expired","%Expired"

I created a report that only has gridlines around the outside border of the entire report (rather than around each record). I want the grid line style on the last/bottom record to be solid so it boxes in all the records. When I change the "Gridline Style Bottom" for the records, each record has a bottom gridline rather than an outside box around all the records.

We recently converted to Access 2010 after using 2000. This problem has suddenly appeared. It doesn't happen on every report but there is one in particular right now and I can't figure it out.The first page of the report is complete but it prints a second page containing only the page header and footer, the rest blank. There are only 2 detail records on the first page and plenty of blank space.
It's not the issue of the page overflowing onto extra pages because the page size bleeds beyond the margins. Everything is safely inside the set margins, and in fact as a test I brought the page width down to 4 inches with .5" margins and it still prints a second page.

I have been modifying an existing report that was formatting and printing fine but since I modified it (adding some text boxes and moving some controls around), it is now adding a blank page.
For example, If the report was normally 2 pages long with page numbers, it is inserting a blank page without page number between page 1 and page 2......

I am very experienced in Word and Excel but completely new to Access.
I have constructed an Access database containing a list of volunteers and the times at which they have volunteered.
The Reports I have written are very basic but function as intended. http://www.access-programmers.co.uk/forums/images/smilies/smile.gif
:)
However the lines of data on the Report print outs are spaced too widely. http://www.access-programmers.co.uk/forums/images/smilies/confused.gif
How can I specify the line spacing?

I have to print address labels. 10 x 3.8 cm labels 2 per row 14 per page on an A4 paper. Pretty straightforward one should say. But no. I play around with the margins, column heights and widths, row and column spacing page size wasting time. Is there a hidden and not documented relationship between those elements? For example how is the column height and row spacing linked together? How is this normally done in a professional way?

When I delete the column it appears somewhere else...

I have reports that total the figures in a column and displays the total at the bottom of the column. I would like to display the total at the top of the column since the length of the column continues to grow and I would like to see that total before scrolling down to view the various individual entries.
No matter how I try the =count(x) always shows an error. Is it not possible to display the total figure at the top of a column instead of at the bottom?

I am using MS Access 2003.I have a report whose Detail band contains a zero-height Comment field positioned at the bottom of the other single row of fields. It has Can Grow = Yes, so it sits waiting to grow if there's any data in this Comment field.
However, when this report prints, if the Comment field just "happens" to straddle two pages, it gets positioned only on the first page and gets cut off in the process. (See attachment 2.) Ideally, the entire field should display on the second page instead.
If I adjust the margins in Page Setup, I can fix this on this particular report. However, depending on the data being reported, these new margin settings can create a problem for the same report with different data. (All depends on where the Comment falls.)I'd like the report to work consistently, no matter the data or margins.

I have a report which is grouped by employee number - each group can have one or many records displayed - it works fine, but can look untidy sometimes when there are more records than will fit without wrapping onto another page; this is particularly prevalent when there are two or three groups - the third one may run over onto the next page, without group headers.
Is there anyway to force a page break at the bottom of a group if that group is not going to fit on the current page in its entirety?

I have a form that looks and prints exactly as I want it to, except for two little things. These things are extra pages. They don't appear on the print preview, but they always show up on the printer and on the pdf file when I email it. One page is blank and the last page has "Page 1 of 1" at the bottom right corner of the page. I would always limiting the printing to one page.

I have a report which shows the results of two separate queries in a simple table view.
One set of data varies in size depending on the amount of records and the other is a fixed size and never changes.
I'm wanting to make my report always show the fixed size data in the bottom right corner of the page when its printed.
I've tried putting it in the footer section of the report but don't want it to affect the size of the details section and just show next to the other query results.
Is this possible and if so how would I achieve this?

The first report example is what I get when I start on the main form and select an organization, run the report, opens report - BIG SPACE between the details and my footer section which holds a subform.
The second report is what I need it to look like, what's strange to me is I get the report correctly when I just run the report (I don't pass the organization into the report from the main form)
I tried changing the background color of the detail section and the footer section to figure out where my problem is but the space just stays white.

I have a report with an embedded subreport. It's set up in two columns, ordered across then down.
My problem is when column 1, row 1 section is taller than column 2, row 1 section. It creates a lot of extra white space as I fill in the rest of the report. Is there a way to eliminate that space or am I stuck?

I'm creating a query which pulls together the numerical values of 32 separate fields. Each field has the potential to have a value in it ranging between 1 and 9, but most fields will be blank.
I want to prefix the value (if the value is not null) with a 2 or 3 character-long code relating to the field name.I then want to combine them all together in a query so I can easily copy and paste the output to a spreadsheet. Here is what I have so far, with just 9 of the field names, and it's already looking a bit clunky.
Code:
IIf(IsNull([zam_adm]),"","ADM") & [zam_adm] & " " &
IIf(IsNull([zam_cts]),"","CTS") & [zam_cts] & " " &
IIf(IsNull([zam_crs]),"","CRS") & [zam_crs]& " " &
IIf(IsNull([zam_IPB]),"","IPB") & [zam_IPB]& " " &
IIf(IsNull([zam_opr]),"","OPR") & [zam_opr]& " " &
IIf(IsNull([zam_owl]),"","OWL") & [zam_owl]& " " &
IIf(IsNull([zam_pmi]),"","PMI") & [zam_pmi]& " " &
IIf(IsNull([zam_wl]),"","WL") & [zam_wl]& " " &
IIf(IsNull([zam_sgt]),"","SGT") & [zam_sgt]
The output, unfortunately, is putting spaces between empty fields and I'm not sure how to prevent this in the syntax?

I can't find anything in "access reports 2010" which allows me to adjust the line spacing. The default spacing is "huge", yet line spacing is set at 0cm.
Quick note: line spacing is the distance between detail lines.

I have been an MS Excel man all along my career and I am a novice in MS Access.I have created a table, [Initial Customer Approval] which records data from a Form, [Initial Customer Approval]. Once the data is entered in the Form, I need to do some calculations based on the data entered in some of the fields in the form.I created 6 different queries for the six possible values in those fields. now for each of those queries I created respective reports.I placed a Print command button in the Form.
1. When I press the Print button it should open the report for the current record in the Form. (Currently It Opens all the reports simulatneously, with only one relevant report containing the current record; other opened reports being blank.)
2. If user presses the Print button before pressing Save button then system should prompt user.
Here is the code (Please note [reference number] is the unique ID generated for each record entered in the tabe through form):
Private bSaveClicked As Boolean
Private Sub Form_BeforeUpdate(Cancel As Integer)
If Not bSaveClicked Then
MsgBox "You are trying to navigate away from the active record. Please either save your changes, or press ESC to cancel your changes.", vbOKOnly + vbInformation
Cancel = True
[code]...

I am trying to create a P&L statement in access. I know what I want to come out at the end. I am just starting to play with access and having trouble getting what I want to come out of it.
On the sales side I have a query that gathers all the revenue sources and calculates a total for each date. I then use a second query to just take out the data I want for the P&L report. I created a sub-report that displays the data I want. I use the grouping and grand total features to get the total into the report footer. So far so good.
On the expense side I created a form of a query to manage the one to many relationship to capture the data for expenses (one purchase with many line items). I created a query based of this query to get the relevant data for my expense sub-report. I created the sub-report and got everything looking and calculating the way I want it to. I use the same grouping and grand total features to display the data in the report footer. Still good.
I created a new main parent report with the two sub-reports (sales & expenses) on it and even was able to pull the totals from the sub-reports into the main (so currently the subtotals of the two sub-reports are displayed twice). Now when I try to use the textboxes I used to pull the sub-report totals into the main report to perform additional calculations (sales - expenses) I get #error. I have tried different things and gotten ?name.
Control source for the two textbox controls on the main that display correctly, but don't let me do any further calculations.
=[rptP&LExpensesOverview]![AccessTotalsAmount]
=[rptP&LSalesOverview]![AccessTotalsTotal Sales]
To do the subtraction I have tried using the references above, as well as just using the names of the unbound text boxes in the report that bring the totals into the main report.
As a work around, I tried to build one query with all the data from sales and expenses, but can't "filter" based on date and get the data I want in the query results because the two sets of data are not necessarily related. I either get a long list of records, or no records (I am currently only playing with about 5 days of data).

How do I hide the report footer based on the report's data ?
I'm trying to hide if number of users = 1
The report's data is a query built inside the report's RecordSource, not a self standing query.

I've done this once entirely by accident and can't seem to duplicate it...
I have a report. It has the following:
Report Header: Logo and title
Department Header
Supervisor Header
Group Header
Detail
Department Footer: Totals
Report Footer: Overall Totals for all departments
Here's my question.
I have combo boxes on my main form that filter this report. The combo boxes are referred to by the query that runs the report. How do I get proper unfiltered overall totals in my report footer?

I have a report that displays incidents, their details, consequences and a photo. Among the details is a severity rating high medium or low, I have been asked to make the report shorten the records which have been given a low severity (because it takes up as much space as the more important/severe ones).
The only method I can think of is to use the onformat event, to shrink and make invisible all the fields that I don't want to see if the severity field shows 'low'.
