Reports :: Get Data Fields From Another Table Based On 2 Dates In First Table
Oct 29, 2014
Anyway, I would call myself intermediate level at best with Access. I never expected to have to do so much with it, but when my bosses found out I could do Access basics, they began demanding more and more.
I manage an EMR from which a datapull occurs on discharge to various access databases.
They wanted me to add a triage patient data pull to track what procedures are being done to triage patients. So I built a database with the following 2 tables.
tblTriageVisits and tblTriageProcedures
tblTriageVisits has the following fields
-Patient ID
-Export Time
[Code].....
The tblTriageVisits stores all the patients triage visits. The other table stores what was done to each patient on those visits
It should also be noted that this EMR exports times in number of seconds since 12/31/1975, so TimeProcFMS is the number of seconds since that date for example.
The pulls work great and the duplicate record elimination method works great.
I have to design a couple of different reports based on this data and one in particular has pretty much flumoxxed me.
I need to make a report that lists each patient by date they were there and then shows what was done to them. I have tried several different variations of this as both queries and reports. The report breaks down when I try to get it to show just those procedures that would be for that triage visit. I got to the point where it would group by day and then sort the patients alphabetically. Then I added in the visit fields. And it would put all triage procedures for that patient from all their visits in each visit.
So, I was like great, let me filter out those that don't occur between the two dates, admission and discharge
I used the following two formulas (the first one on the procedure name field the second on the procedure date field)
=Switch(DateAdd("s",[TimeProcFMS],#12/31/1975#)>=[Admission DateTime OB DateTime] And DateAdd("s",[TimeProcFMS],#12/31/1975#)<=[LD Discharge Date/Time DateTime],[Procedures FMS])
=Switch(DateAdd("s",[TimeProcFMS],#12/31/1975#)>=[Admission DateTime OB DateTime] And DateAdd("s",[TimeProcFMS],#12/31/1975#)<=[LD Discharge Date/Time DateTime],DateAdd("s",[TimeProcFMS],#12/31/1975#))
And they work, sort of. They do eliminate those procedures that occur outside of the date range I am looking for. However, the access report still leave spaces in the report where the filtered out items would be.
Did I approach this problem correctly? And if so, how do I get rid of those spaces?
Note, I can read and mostly understand SQL, but am not comfortable working in it yet. And the Access SQL box gives me a headache, it is so jumbled up.

I have a table which includes a start date field and completion date field for housebuilding.
I am trying to extract all records that have either a started date or a completed date between 2 dates supplied by the user. I have tried to use Between on both fields but that doesn't return results between the fields.
It workd if I just do it on EITHER the start date field OR the completion date field so that implies to me that I need to break it into 2 queries, one returning start date recrods and the other returning completion date records but then I would need to have somthing that removes records that appear in both the start date and the completion date results.

My situation is this. I have 3 tables that I have imported from my mainframe system, between these 3 tables I have the data of product code, description, supplier code, supplier name, order method, and ABC code.
I am trying to create another table that I can capture daily Out Of Stock data for products.
What I would like to do is to enter the product number in the first field of my new table, and then the remaining fields will auto populate with the correct details based on the product data stored in the parent tables that I have imported.
How can this be done?

I am new to VBA and I'm trying to write a query that will update a table with dates based on user input. For example a user will run data each Monday and that date will be day01. The date table has 28 days total and I need each day row to update with the next date i.e. day01 is 12/30, day02 is 12/31, day03 is 1/01 etc..I am having issues just running the update the query. I get a too few parameters error message on the strsql statement. There are only two columns in the table, order_day(date column) and date_value(text). I want to update order_day. I also need creating a loop so it knows to go back and add days to the other values.
Here is what I have:
Code:
Sub Update_Dates()
Dim rs As Recordset
Dim db As Database
Dim lmsg As String
Dim transactiondate As Date
Dim strsql As String
[Code] ....

I have two tables, Table Products & Table Sold and I'm trying to aggregate the products table to reduce the total number of products and I want this update to happen with all tables that share a 1 to many relationship with the product table. (table sold is one of those).I have products apple, pear, bananna. I am now aggregating them to all just be called fruit. Problem is when I make this change in the product table I get this error:
"The changes you requested to the table were no successful because they would create duplicate values in the index, primary key, or relationship. Change the data in the field or fields that contain duplicate data, remove the index, or redefine the index to permit duplicate entries and try again."how to go about aggregating data in a table that has 1 to many relationships with many other tables. I don't have any database experience whatsoever so please go easy.
I'm guessing this kind of this is extremely simple for all of you.
I'm constructing a database of network resources and devices and I'd like to automatically update the values in one field based on the values of a field in another table.
The first table is called "IP" and the fields are called "Address", "IP Type" and "Device".
The second table is called "Devices" and contains the fields "Name", "Description", "Asset Number" and "IP".
Here's an example of the tables: (ignore the "code" tag. i've only used it to align my columns properly)
DEVICES:
NameDescriptionAssetIP
XserveFile Server107203.30.144.75
ProliantXDHCP119203.30.144.15
IP:
AddressIP TypeDevice
203.30.144.75Static
203.30.144.15Static
What I want is for the Device field in the IP table to automatically update it's values based on the values found in the Devices table. In this case, the values that should appear in the Device field in the IP table are "Xserve" and "ProliantX".
I've searched through but haven't found a complete solution, just little pieces which I'm too inexperienced to put together myself.
thank you

Hi there :)
I'm not sure if I've picked the right forum topic for this... It's not a straightforward table question, and I think the only way I can do what I need is with a query of some sort. Apologies if it should have gone in 'Tables'...
The situation is: I'm creating a database (using Access 2003) in which our secretaries can enter exam marks for students. The difficulty is that there are ten papers (exams), each student's exam is marked by at least two examiners and there are at least 6 examiners per paper. Every examiner also marks more than one paper, but doesn't mark all papers.
So, I've got a table with all of the examiners and the papers they're marking and I've got a table with all the students and the papers they're taking. Because we have to enter the marks in such a way that we know both which mark an examiner gave and (obviously) which mark a student received (e.g. so we can look at statistics for each examiner), I thought the best way to do this would be to run a query that created a new table per paper in which the field names would be: Student_ID, <name of examiner 1 for the paper>, <name of examiner 2 for the paper>, <name of examiner 3 for the paper>, etc until the end of the list of examiners for that paper. The student's number would populate the Student_ID field and then the secretaries would enter each examiner's mark in their named field. Like this:
| Student_ID | A.N. Other | J. Blogs | J.Q. Public | Agreed_Mark |
1234A 72 74 73
2345B 65 68 67
3456C 71 73 72
4567D 52 51 52
Listing the name of every examiner (including those who aren't marking that particular paper) isn't an option (and would have to be hard coded into a table in any case, as far as I'm aware, either in a query or in a table design. This is something I'm loathe to do). Ideally, the secretary would be able to press a button on a form and have all the mark entry tables for all the papers created automagically.
The examiners for the different papers change every year, and not every academic marks exams every year, so this data will not remain static. Hard coding a table with examiner names would make more work for the secretaries. (I want to avoid this as all mark entering for all students is done in a single day. This means over 600 students at 3 marks per student [mark 1, mark 2, and final agreed mark] with time to contact examiners with questions... and only 2 secretaries, each of whom deals with a different section of students).
Because of the nature of the marking, it would also make quite a lot of work for the secretaries if we had to cross reference a generic Examiner_1 field with a different examiner for each paper, so the field name really must be the examiner's actual name.
Can anyone help me? I'm happy to do it with either VB or SQL; I'm not a programmer, but I can usually work out what code does even if I can't write it myself. I should be able to adapt anything presented as long as it's complete and doesn't assume that I know the basics. :) I've also got two reference books to hand: _Microsoft Access 2003 Forms, Reports and Queries_ by Paul McFedries and _How to Do Everything with Microsoft Office Access 2003_ by Virginia Anderson.
Thanks very much for your time. :)

I'm having trouble with syntax for using VBA on a report in Access 2007. I need to some hide 3 text boxes if one of my fields is empty in a table. The table name is: 'ALM-RESP' with rows grouped by: 'TAG NAME' and the field I'm checking is: 'Rev 002 Author'. I've tried having a rectangle to cover it up but I'm having trouble using the IsNull command and setting the visibility of the rectangle. Here's my code:
Private Sub Detail_Format(Cancel As Integer, FormatCount As Integer)
If IsNull([ALRM-RESP]![TAG NAME]![Rev 002 Author].Value) Then REV2BOX.Visible = False
End Sub
Basically I'm having trouble checking if the field is empty and then setting the visibility.

SELECT tblLOADS.L_ID, tblLOADS.BROKER, Max(tblLOADS.Pudate) AS MaxOfPudate, tblLOADS.Material, tblLOADS.Driver
FROM tblLOADS
GROUP BY tblLOADS.L_ID, tblLOADS.BROKER, tblLOADS.Material, tblLOADS.Driver
HAVING (((Max(tblLOADS.Pudate))>0));
Problem: It's datasheet view displays all of the records for BROKERS, PUDATE, MATERIAL & DRIVER, instead of ONLY the records for the last PUDATE of each of the BROKERS, with their corresponding MATERIAL & DRIVER fields.

I'm creating a db that provides project listings in the work queue, along with the due dates and a bunch of other data.
I have created a table [recurring projects] that stores the projects that are done frequently. Once I do some field manipulations on this table, I append them to a master table with all projects [projects] - ad hocs, non-recurring, etc.
Most, not all, recurring projects are due 14 days from the date of assignment, however it varies. I've created a query that populates the due date 14 days or whatever the user has inputed for working days from the assignment date.
All works good with this functionality.
Here's my problem:
There are some projects that are due on the 1st, 15th or some designated date each month. Typically the projects are assigned a due date prior to the month due (i.e. February projects are assigned in January). Since the due dates change each month, is there a way to code a query to look for the first process - 14 days - and if it is null, then populate with a day of the month due.
For example, the field [days_to_complete] = 14 so the query will populate 14 days from 1/31/07 resulting in [due_date] = 2/14/07 OR [days_to_complete] is null, but [day_of_month] = 1 , which I need to create the [due_date] = 2/1/07
I'm racking my brain and pencils are being cracked!
Thanks,
Nathan

Hello: Is there (simple) way that I can populate a field based on the values of two other fields? For example, in a list of new employees, if a new employee starts on Nov 30 and works in the Administration Department, his human resources contact is Mary. If a new employee starts on Nov 30 and works in Sales, his contact would be Fred. I hope this is clear! Many thanks!

Hi everyone,
Need some help here! I have a table where different types of records are recorded. Let say for argument's sake my tblMain looks like this:
RecID (autonumber)
EntryType (Combo box linked to my tblEntryType)
Field1 (text)
Field2 (text)
I then have tblEntryType which lists the different types of entries to be made and which fields are required on my form and what the lables should be. The structure looks more or less like this:
EntryID (autonumber)
EntryName (text)
Field1Req (true/false)
Field1Tag (text)
On my form, my record source is tblMain. When my user makes a selection in the combobox EntryType, there is a lot of code behind the AfterUpdate function like this:
If EntryType.Column(2) = True Then
Me.field1.Enabled = True
Me.lblfield1.Caption = Me.entrytype.Column(3)
Else
Me.field1.Enabled = False
End If
I find this setup a bit labour intensive, especially as my form has quite a few fields! Is there a way that I can "look up" which fields are required from the table and enable/disable and label based on my tblEntryTypes without me having to creating so much code/use the "column" function.
Let me know if I am not making myself clear and I will be glad to try explain so more!
Tx in advance,
Mel

I have a form for entering safety training which includes Training Date and Expiration Date, this form is called "Scheduled Training".
The table containing training courses with their requirements and frequency is called "Course Requirements". Within this table I have a "Frequency" field (1, 2, 3, 4, 5, 6) and another field "FrequencyPeriod" (Year, Month, Initial, As Needed).
What I'd like for the Expiration Date on the form to do: Use [ScheduledTraining].[Training Date] and look at both the [CourseRequirements].[Frequency] & [CourseRequirements].[FrequencyPeriod] to populate the Expiration Date.

Running Access 2010 and developed this query to filter out data from a table between times on 2 dates (day before report run and day of report). Covers data from a shift that carries over to the next day.Trouble is, the PC i developed on still operates the query as expected. However, on the PC the database resides (not networked just stored) and operates, the query brings up no data at all unless I remove the Time filtering.
This PC used to operate correctly up until early this year (about 18 months operated correctly) when the PC was replaced due to failure. Access version is the same and I am at wits end to what the cause is. Here is what my query looks like:
Quote:
SELECT Breakdowns.BreakdownDate, Breakdowns.Time, Breakdowns.Shift, Breakdowns.Downtime, Breakdowns.Equipment, Breakdowns.Conveyor, Breakdowns.Fault, Breakdowns.Stopper, Breakdowns.Gate, Breakdowns.Dolly, Breakdowns.Carrier, Breakdowns.FaultType, Breakdowns.Comments, Breakdowns.Tradesman
FROM Breakdowns
WHERE (((Breakdowns.BreakdownDate)=Date()) AND ((Breakdowns.Time) Between #00:00:00# And #6:29:00#) AND ((Breakdowns.Shift)="Night")) OR (((Breakdowns.BreakdownDate)=Date()-1) AND ((Breakdowns.Time) Between #22:30:00# And #23:59:00#) AND ((Breakdowns.Shift)="Night"));

I created a form in Access that retrieves data from a table. Inside the form, I am able to access/populate data fields with data from the table. I also have data fields, inside the form, that requires key-in data. I have some how lost the ability send all data field information to a second table and clear existing data fields for new entry.
Questions: What settings, code or buttons can I use to send/store data field information to a new table? What settings, code or buttons can I use to automatically clear all data fields from my form once data has been sent to the new table?

I have an Access database with several tables and a multitude of subforms which are displayed on a single master form. The subforms are used to facilitate data entry. In several of the tables there are fields which are related and I would like to have some of these fields updated based on the results entered in the related field (i.e. the answer for one field depends on the other).
Field 1Field 2
[facing][DISC_CODE]
un3
up1
dn2
Field 1 is a simply a description of the basic dataset. This field is already set-up on form as a combo box that allows the user to choose one of three options. Field 2 is a code number used by another piece of software to identify a particular symbol. It is a new field being added to the database. There are 200 codes that identify a wide range of symbols for different types of data and I don’t want to have to look them up when I, or my assistants, are doing data entry.
My question is this; is there anyway to have the DISC_CODE value, Field 2, automatically entered in the table when the value for Field 1 is selected in the combo box on the form?

But i need to be able to see each entry that was put in each month. I do not want it to just show the most recently modified information, and I want it to show the date f these.

Last week some very altruistic folks here helped me solve a many-to-many relationships quandry, and I am hoping that there may some others out there who can help with another question.
I have a feeling this is simple, but I can't quite get my head around it, and have not been able to find it in the past forum threads, but....
I want to create a tblJobs that has information about our clients' Companies, as well as Contact. As there can be many Contacts for each Company, my current setup looks like this:
tblContacts
ContactID (Pkey)
Name
Lookup_to_qryCompanies_to_Contact(shows Contact's company)
tblComanies
CompanyID (Pkey)
Company Name
(Client info is included as embedded table based on qryCompanies_to_Contact)
qryCompanies_to_Contact
Company (from tblCompanies)
Contact (from tblContacts) (one-to-many)
In my new tblJobs, I would like to have a combo box in which I can input the company name, and then the next field will have another combo containing ONLY names of the contacts affiliated with the chosen company. (I will also eventually like to make a form that allows the same function, but am assuming that the process will be the same for updating the table trhough a form as it would be updating it directly).
Thank you for any advice!!

but the fields become disable to all records, not only to the records under the right condition. Why?
