Reports :: Hiding Field That Is Only For Sorting Purposes To Group Data

I have a table of about 250 items that are sorted based on two fields. I created a query of the table and hide one of the fields because it is only there for sorting purposes to group the data.
For example, I have a "Type" field. In the type field, I differentiate the items with different categories, such as "Materials", "Safety", etc. My next field is "subtype" which assists the "Type" field being sorted properly for my needs. In the "Materials" category, all of the items are either "Fencing", "Plastic", "Wire", or "Miscellaneous". I am sorting the "type" and "subtype" fields in ascending order so that all the "materials" are grouped together, and all of the "fencing, "plastic", etc are grouped together within the materials field.
I am creating a printable report and I do not want the "subtype" field to be on the report, but I need the "subtype" field's sort to be affecting my data so it is grouped properly. I'm having difficulty, is there a way to hide fields in reports?

I'm trying to group data in a report from single table using grouping and sorting and I want the percentile of every record over group total. I'm using a query to fetch data from table, however I'm unable to get percentage of every single record over group total.
I want to display the report as attached image in single report. I'm unable to get data in "Perc" field. It's populating wrong values.

Hi all,
My problem is as follows:
I am trying to generate a report, which is based on a query, which references a form that has an option group containing four options.
I want to sort the data according which option group radio button has been selected (they the values of 1,2,3,4).
Originally there were only 2 options and the query said (in SQL view):
ORDER BY IIf(Forms!frm_08_reportsort!opt_sort_by=1,TBL_Acco untManager.Name,TBL_SiteContactDetails.SchoolName) ,
This works fine for 2 options, but I can't figure out what command i should use for more than 2 options :confused:
Any help would be much appreciated :)

I have a report where I number pages based on the Store (muliple stores in report but page numbering resets when Store changes) I do this by manipulating the page number field on the report by code in the report sections to reset it and to increment it.

The report has a Page Header with various fields and labels and that's been fine however I've had a request to hide a field on subsequent pages (i.e. print it on the 1st page of each store then hide it).
So I added the following code to various sections, but can't get it to work correctly. The fields (label and text box) appear on Page 1 for the first store then get hidden but never return even though when I step through the code it is functioning 'correctly'. The GroupHeader code is performed but the fields don't get displayed on the report. I think is isn't re-painting that section but adding code to the Paint event does nothing, and in fact doesn't actually get run, so not sure when that event is triggered.

I have a report that has a field (4) whose data is in the form of NO.1.1.2, NO.2.1.1, NO.1.12.3, etc. It is not allowing me to have the report display with those in order, sorting this field is not offered. My report is being grouped by Fields 1, 2, and 3, no sorting. How can the data then displayed in Field 4 be in order of those numbers. Sorry I don't know more about Access and I'm having to do this without support. Thank you

I am building a form where I would like to group fields into 3 groups, A, B & C. I know I could put all groups on their own subforms but I'd like to see if there is a way to simplify it all on one form since there aren't much fields for each group.
I would also like to hide each group when the user clicks 'hide group A' and shift Group B & C up. Then move them back to their original position when 'Display Group A' is clicked.
Same for each group. If Group B - Hide is clicked, Group C is moved up.
I've got each group tagged appropriately and I can hide/display them all properly by a For Each Control loop. Now, how to I move them all up/down a specific amount in addition to that? I would think it would be just as easy but my objects are moving by using the Grid Y property

I have a working report which groups by a status field. Let's say I have Status (AA, BB, CC, DD, EE). It is grouping and summarizing fine. I would like to be able to merge some groups. So I would like to be able to Group on (AA/CC, BB, DD/EE).
What would be the best way to approach this?

My report is grouped by a Billing Group #...within each billing group there are sub invoice numbers that are tied to the main billing group # (they all have the same billing group # but different general invoice numbers). I need to pull data if one of the general invoice # invoice dates is greater than or equal to a specific date entered.
In other words: If a Billing Group # and one of the Invoice Dates is greater than or equal to a specific date entered then pull ALL GROUP data to report.

I am in the process of creating a training database that includes levels of proficiency with certain tasks for employees.
In one of my reports I would like to appropriately display with tasks the employee "Cannot Perform";"Can Perform with Assistance";"Can Perform Alone";"Trainer" (straight from the field list of the task). But I can't seem to get the hierarchy correct. Tried it in a PivotTable too as I thought similar to PTs in Excel you could get some kind of "count" of values. Couldn't make that happen either.
Each employee has a proficiency rating on about 20 different tasks. Proficiency input is controlled by a field list. I would like to structure this part of the report like so:

EMPLOYEE PROFICIENCIES
--Cannot Perform Task
----Cutting
----Trimming
----Grinding
--Can Perform With Assistance
----Painting
----Fixing
----Drilling
etc. etc. So in this case the Field itself would become the value being grouped. I know there has to be some logic either in a query or SQL.

Despite Google I can't seem to figure this out.
I have some data in a format similar to:
Name / Style / description / speed / distance
john / driver / careful / 80 / 5500
mary / driver / careful / 70 / 7000
pat / racer / reckless / 100 / 6000
anne / driver / careful / 75 / 1000
peter / racer / reckless / 110 / 6500
don / snail / slow / 60 / 6000
I want my report to total by style, without details and to look like:
driver careful 13500
racer reckless 12500
snail slow 6000
How do you get a report to sum the group items by a specific item and to hide the details of that group summing?

Hello everyone,
Im trying to set up a combobox on my Customer Contact Information form, where you can enter a phone/fax/cell/pager or any misc number, and it will bring up the appropriate customer.
Is it possible to make a query that will show the different phone number fields as one field?

Hi,
I have a command button that opens a report. The report has many subforms in it. I am sending open args which existingstewardship. I want one of the labels of the labels to be visible if the me.openargs = "existingstewardship". the code is not working. I have tried to debug when I do this I have found the open args are null and I am wondering if the open args are null is this because they were sent to the main report from the command button and the subforms in the main report do not get passed the open args.
Does anyone have any idea ? how I could make the box visible or not visible in subreport from the command button. The other option I have would be two different reports. Thanks PWF

I have a report which shows a set of events. In this report each row has a sub report which show the guests that are attending. What I would like to do is to use a button to drill down into each individual event and hide it again on clicking the button (like a toggle button). I have used the following code which is attached to a button in the report (each event has a button)
Code:

I have used this in conjunction with the 'Can Grow' option and it works almost perfectly. The only problem is it shows or hides all sub reports at the same time instead of just the sub report in the given row.
Is there a way I can target the individual sub report when pressing the button?

I am trying to hide a text box based on the contents of another text box in the same report. Here is the code:

I have generated a report with my entire list of personnel, and I have created a column that generates thier age based of another column using this:
=DateDiff("yyyy",[Birthday],Now())+Int(Format(Now(),"mmdd")<Format([Birthday],"mmdd"))
Now my question, im trying to hide the rows of those who age is older than 26. If thats not possible maybe highlight the entire rows of those under 26, i used conditional formatting to highlight the age, but not the entire row.

I have a report based on a query with 3 fields (Tested, RMA, OpenRMA). The query searches all the tables in my database and gives me a count of the equipment tested, RMA reported and open rma.
The report has two fields (Equipment, NumberTested) with a total below and also a total of the RMAs and OpenRMAs. I'm trying to hide RMAs and OpenRMAs from appearing in the body and only showing below the total. All three totals are showing correctly, but I am still seeing RMA and Open RMA with a null in the count in the body.
So in the report's Equipment.control I wanted to put
Iif([NumberTested] is null, null, [Equipment])
Meaning if the numbertested field is null the equipment field will be blank, if it is not just leave what is in the equipment field there, but it returns a #Error in the printout. It seems to handle the two null records correctly. Trying Equipment.Value also returned the same error.

I have a table for gathering interview scores for candidates from multiple reviewers (example below)
Field1 - RankID
Field2 - Presentation Score
Field3 - Writing Score
Field4 - Applicant Name
etc.
Each applicant will be interviewed by multiple reviewers. I want a report to display the data is grouped by Applicant name, but sorted by Score.
Applicant2 - average presentationscore = 5
Applicant1 - average presentationscore = 4
Applicant3 - average presentationscore 2
it seems simple enough to group by applicant name and sort by PresentationScore, but this does not work. I have used the grouping and sorting feature in every combination I can think of and it always keeps the Applicant Names in order whether I group first on PresentationScore (which will then give me several entries for same applicant) or not. What am I missing?

I'm working on a project where I must send roughly a thousand individual reports to a thousand different email recipients with .pdf attachment.I know I'll need to add a table that designates the email address by SHIP_TO_CODE. Then create a form with the email subject, body, etc.. I don't neccessarily have to have the reports saved to a folder; I really just need them emailed to each account.
I was thinking I could modify the code some to accomplish my goal, but I'm not sure what to put. Maybe add a SendObject in there somewhere.CODE that I have now that saves the report to a folder. (I want to modify some to send email attachement instead)

I'm working on a project where I must save roughly 1000 individual access reports based on the group to a specific folder in pdf format.
Problem:The code I found on this site works, but not exactly the way I need it to. Using the current code (pasted below) all of the pages of the report are being saved to pdf for each group, instead of just the single page. For example, all 1000 pages of the report are being saved to each pdf file, when I only want the 1 page for each of the groups.
I believe that the problem lies in the filter for the Open Event code, but I don't know how to modifiy it to make it work the way I need.

I have a form that the user can select a report using options through 'group options'. These then open up the report using specific queries. One report many queries.
The queries are the same except for the filter criteria.
I created 1 query then copied the rest and adjusted the criteria. I am sorting on a numerical value.
All the queries sort fine in preview but not in the report except for 1.
If I copy this query and alter the filter criteria it solves the problem.
I want to know what am I missing.
All this is done using VBA.

I have data from a survey with qualitative responses. For a single qualitative question, I moved the ID & responses into a new table and categorized the response according to a bucket/theme, where each column is a new bucket. I now have 10 columns. Each response is represented in 1 or more columns. I used an excel formula to copy the response data into the column itself.
Example:
A1 // B1// C1 // D1// E1//... L1
ID // Response // Cats // Dogs // Elephants //.... Column 10
1 // I like cats // I like cats //(null)//(null)// ... (null)//
2 // I like cats and dogs // I like cats and dogs // I like cats and dogs //(null)//..//
3 // etc.
However, now I'm realizing that Access always wants to show data for all records, or at most I can limit using a WHERE clause in my query.I want to use Access to generate this report:
1. Section 1: Show all responses from the Cats bucket where there is data
2. Section 2: Show all responses from the Dogs bucket where there is data
3. and so on
I know how to do summary values, and I know how to do filtering that apply across the whole report, but this seems like more advanced filtering, where I want to see selective details differently for each field.

Hi there (first posting on site - and an access newby too!)
I have managed to generate a report which shows me how many students undertook courses throughout the year. I have been able to put totals to my report for each intake and for each campus, and have hidden the student data on the report. However the report is many pages long as although the student data is hidden it still takes space on the page.
How can I get the report to just give me the totals of each intake and a total for each campus?

I have a Report based on a query in Access and I need it to sort in a different manner and can't seem to make it do that as the item I want to sort is a formula ...
Right now it sorts like this - first on month and year - oldest to newest - which is great.
Second sort is sorting on the reviewer's name which I don't want, I want it to sort on their monthly total - (number they reviewed within that month) with the one with the most reviews first - but that is a formula (see below).
What I have currently:
January 2013 Monthly Total: 7 % of Grand Total 100%
Reviewer 1 2 28.6%
Reviewer 2 4 57.1%
Reviewer 3 1 14.3%
This is what I would like:
January 2013 Monthly Total: 7 % of Grand Total 100%
Reviewer 2 4 57.1%
Reviewer 1 2 28.6%
Reviewer 3 1 14.3%
The formula is in the Reviewer Name Header and looks like this:
Reviewer Full Name =Count([Review Date]) =Count([Review Date])/[AccessTotalsReview Date1]
