Reports :: Report Built From Union Query / Accessed From Form

I need to create a census report from the employees we serve and their dependents, by company. I have a union query of the Employees table and Dependents table to put them all on one list, then a form where you can type the name of the company you need, with a button that opens the report. This works great, except for the fact that sometimes we don't need the dependents; if a company has over 100 Full-Time employees, we only need the employees. I've added a check box ([IncDep]) on the form, asking the user if they want to include the dependents, but I don't know how to get this to filter the report. I have a Relationship field on the tables that specifies an employee as a "Subscriber", so I'd like to filter the report where [Relationship] = "Subscriber" but I don't know how to do this. The union query specifies both Employees.Relationship and Dependents.Relationship to the text box [Relationship], but when I do something like

Reports :: Union Query - One Page Report Copied 3k Times

So i have a union query pulling together about 3,000 records from other queries.

I arranged all the counts and data I need to fit onto one page, but the report is copying that page (minus the header) for each record in the union query. I'd much prefer a one page report rather than a 3,000 page report.

Why does it do that? All I want is a one page report, how can I make that happen?

I'll ask in stages:
Can the results of a Union query show up on a report?
My expected results would be something like this.

SumofPT SumofOT SumofST Range
75 80 80 5-Day
120 14 Day
175 120 30 Day

Or am I going about this the wrong way.
I have 5 queries named the different ranges
I prompt for a sum total for a given date range
Individually they work.
The Union Query prompts me correctly. That's as far as I
have gotten.

Help With Union Query For Report

Morning Everyone,

I'm currently working on a database that will store Employee Names and their Hours Worked for bookkeeping purposes. The form we have composed currently takes information on a Job to Job basis (i.e., 1 sheet per job) but has several text input fields for the various employees who may have worked on that job (i.e., EmployeeNameA, EmployeeNameB, etc.). The problem lies in our report. Since we have to report on an employee basis rather than a job basis our report requires more complex code.

Through browsing several forums and doing a lot of googling, I learned that the best way to report several fields is to run a union query and compile the data. I did, and now all the EmployeeNameA's B's and C's are simply "Employee" under a new query titled "Employee Query".

I've hit a brick wall since I have no idea how to make the report produce one employee's name alphabetically from that query, then subsequently report all his hours worked for each day of a pay-period week; then list the next employee's name, then all his data, etc. I have the dates set up fine, and the employee union query includes the hours worked and everything else that needed to be compiled, but names refuse to show up when I try to DLookup the union query. I may not need to do a Dlookup, I may be way off. I need some help!

General :: Query Can No Longer Be Accessed From Excel

I have a query which I have connected to an excel worksheet. The query displays as a table in excel. Recently I've decided to reorganise the data that goes into the query, however the query itself hasn't changed, there's a chain of queries all feeding data into each other to arrive at this final query, and it's further up the chain that I did the reorganising.

Now when I try to open the workbook, I get this error (the workbook is set to refresh data whenever it is opened)The query did not run, or the database table could not be opened.Check the database server or contact your database administrator. Make sure the external database is available and hasn't been moved or reorganised, then try the operation again.

If I try to edit the data connection or create a new connection, the query I've been using also no longer appears in the list of queries and tables I can get data from.The problem is, this wasn't the sort of reorganisation that I could do incrementally and then see what specifically caused the connection to fail. The query was out of action altogether until I'd finished the reorganising. So it's a bit complicated and I don't know what kind of things could cause a query not to be available to make a connection with Excel.

I am able to see from the list of queries I can connect to where the first query in the chain comes that I can't connect to. The only thing about this particular query worth mentioning is that it uses the Nz() function (it adds together sales figures by month from a list of sales, and in months where there are no sales, there is no data, hence null, when logically I want it to be zero, hence the use of the function).

Queries :: Union Query - Multiple Records On One Report

I have a database that has over 20 tables in it and am using Access 2000. Unfortunately I cannot change the structure as it performs specific functions, so I am stuck with it.

I have created a Union Query from these tables yaking data from 5 fields using the Serial Number entered by the user.

SELECT[Workstation].UnitPart,PropertyTag,UnitSerial,Date,Technician
FROM[Workstation]
WHERE((([Workstation].UnitSerial)=[Enter Serial No.];
UNION
SELECT[LAPTOP].UnitPart,PropertyTag,UnitSerial,Date,Technician

I use a bar code scanner to scan the serial number, and it goes through the tables and returns the results along with the other specified fields.

I would like to scan up to 16 or more different serial numbers and have it return the results. Perhaps scan the first 16 serial numbers, then run the query? Is that possible. The serial numbers are unique and will return a combination of laptops, printers, monitors, etc...

I have created a report from the above union query and it works perfectly with only one serial number entered.

Forms :: Limit Number Of Records That Can Be Accessed In A Form

I have a database that has transactions since year 2009. I want the users to only be able to view and edit transactions that were entered in the last 6 days. I was initially able to do this by putting a filter in the Property Sheet section of the form and choosing Yes for Filter on Load.

However, a user was able to discover that by clicking on Clear All Filters, the filter I set was also cleared, thus making them see all the transactions beginning year 2009.

Report Design Response Is Slow - Based On UNION Query That Returns 12K Rows

I have a front end that is connected to three back end files. The front end is on my local computer while the back end files are on a network drive.

There are a lot of calculations that go into the queries and intermediate queries. For a report, I have based it on a UNION query.

But when trying to design the report it takes about 45 seconds just to do any one thing, e.g.;
- Add Groupings
- Add Grouping Headers//Footer, sorting option
- Add bound textbox

Needless to say this is very annoying.

The union query itself runs fine (takes about 15 seconds to run) and returns about 12,000 Rows. The union query looks like this (I changed the field names to make it read easier, hopefully);

One solution I came across when searching the forums was to use an Append Query to append the query results to a table and base my report on that. This does indeed fix the problem.

But what I was wondering if it was is my query design that is causing it to be slow or is it just the fact that I am returning 12,000 rows?

In case it matters, I wanted to mention that I can’t use the report wizard to create the report. When I select the union query, the fields will be showed for awhile then they just disappear. That in and of itself doesn’t cause any trouble since I am creating the report using the design view and not the wizard.

I have two tables containing (let's say for simplicity) questions and attachments (pictures). I am trying to perform a union query to join all the questions and pictures into one report, but it won't let me union the attachment because 'the multi-valued field 'TableA.Pictures' cannot be used in a union query'.

I have searched and searched for a solution (and got kind of close) but i still can't get it to work. The best I can do is union everything like below, which gives all the questions as desired, but says #Error in the pictures column:

SELECT TableA.*
FROM TableA
Union
SELECT TableB.*
FROM TableB;

(Note tables A and B have the same structure, several yes/no and open text questions as well as one attachment field. )

Using a table with employees, I created another with equipment that uses a lookup to assign each piece of equipment to an employee (more than 1 piece of equipment can be assigned to each employee)

I want to be able to select records using a form, either by checkbox or listbox of which employees to include in the report that shows what equipment each is assigned. The problem I am having is creating the form/code to create the and/or query to generate the report.

Two users located in the same office recently upgraded to Access 2010 don't get the same results for this report as I do (I still use Access 2003).

Other staff located in different offices use Access 2010 and get the same report results as me.

Reports :: Navigation Form - Passing Query Parameters To A Report

I have a navigation form that will have 6-8 tabs. We were using about that many databases, but we are finally consolidating them into one. The result of us using so many databases has been the multitude of forms and reports that were necessary for each database prior to merging them together.

The problem: There will be anywhere from 12-20 (text boxes) that the user can use to search anything in our database. What we need to have happen, if possible, is for those search parameters to show up in the header of our report if they have text in them. If the text box is blank, it should not show up in the header of the report.

I have read how to to do the start/end date technique, but I do not know if that would work for what we are doing since the boxes would only show up if they are populated by the user.

I am trying to generate a report that is based off of a query. The query has a form filter that it needs to filter the data. I keep getting a jet engine error and couple others.

The form has year, start week, and end week on it. I can get the query to work fine. When I try to open the report, Access says it doesn't recognize the " [Forms]![frmUptimeFilter]![StartWeek] " as a valid field name or expression.

I'm working on the Navigation Form template in Access 2010, which is new to me. It appears that one needs to use the BrowseTo command to open up a form in the built-in subform module. I'm trying to create a couple of buttons where each button opens a form in a different data mode; one in read-only and one in add mode. Here is the syntax I used for read-only:

DoCmd.BrowseTo acBrowseToForm, "frmSales","frmNavigation.NavigationSubform", , ,acFormReadOnly

frmSales is the Sales form I want both of the buttons to open and frmNavigation is the Navigation form. It seems to be ignoring the data mode part at the end however. It only will open in Edit mode. Is there something I'm doing wrong with this command?

Removing Built In Form Views

I am trying to remove the built in form views from access 97. Is it possible to remove the navigational functions of the form while in view mode (ie first record, previous record, search, next record, and last record)? There is also an arrow bar that has no functionality to it placed at the left side of my forms that I would like to get rid of. Is this possible? Thanks for your help!

I have been an MS Excel man all along my career and I am a novice in MS Access.I have created a table, [Initial Customer Approval] which records data from a Form, [Initial Customer Approval]. Once the data is entered in the Form, I need to do some calculations based on the data entered in some of the fields in the form.I created 6 different queries for the six possible values in those fields. now for each of those queries I created respective reports.I placed a Print command button in the Form.

1. When I press the Print button it should open the report for the current record in the Form. (Currently It Opens all the reports simulatneously, with only one relevant report containing the current record; other opened reports being blank.)

2. If user presses the Print button before pressing Save button then system should prompt user.

Based on information from a earlier thread.... I created a Union query that pulls information from multiple tables and fields.

Passing Values On Form To Union Query

I'm currently working on a database which provides copier and postage activity in my department, using Access. I'm trying to debug a query which is called by a form that accepts input for a particular month and year. Whenever the OK button is clicked, it gives a message "The Microsoft Jet database engine does not recognize 'Combination Query' as a valid field name or expression."

"Combination Query" is a union query which calls two intermediate queries, each of which in turn calls a base query. Only one, the query responsible for gathering copier activity, is a crosstab query.

The problem I believe lies in either or both of the base queries only when the form is used. When I use a regular parameter query, I receive no error messages.

Here is the SQL code I used for each:

I edited this to make it look similar to a recommendation posted on another forum, but sometimes I would get the message "The Microsoft Jet database engine does not recognize '[Forms]![frmObtainMonthlyInfo]![cmbMonth]' as a valid field name or expression."

I also included PARAMETERS [Forms]![frmObtainMonthlyInfo]![cmbMonth] Long, [Forms]![frmObtainMonthlyInfo]![cmbYear] Long; as the first line in the intermediate tables, but I still receive the same error message.

I'm wondering if there was something I overlooked or if there was a way around this. I can post the other queries if you need those. Many thanks in advance for your help.

General :: Union Query And Form Coding

I have 2 tables, (will just call them tbl1 and tbl2 for this example) each with a column AppNumber. The AppNumber may appear in both tables or individually in either one.

I want to be able to show, or flag, on a continuous form which Appnumber's appear on tbl1, tbl2 and on both. This is so the user can click a button and bring up another form with more data relevant to the AppNumber.

I have written a union query to show all results from both tbl1 and tbl2 which contains 4 fields AppNumber, DateApp, Surname, Forename but I can't tell from the query results what AppNumber's appear on each table. Here's what I would like to show on the continuous form:

Built Form On Top Of Table - Use Combo Box To Update Value On Form

I have a table called input and a "form" input made on top of that same table. When I input the data on the form it updates properly no issues.

I have another table main. i update the vendor name using combo box from main.

It works like that.

SELECT main.[Vendor Number], main.[Vendor Name]
FROM main;

And I update the vendor name using control source =vendorname.column(1)

I have even achieved the same thing using DlookUp .

The problem is that it saves on the Form but the data from Dlookup or from comboBox updates for "Vendoe Nmae" is not saved in input table.

Pass-thru Queries - Can They Be Built As A Parameter (prompted) Query?

I have developed some complex pass-thru queries in Access, looking at DB2 data. I am hoping to be able to make these queries 'prompted' for easy use for my less technical colleagues. If these were developed in IBM's QMF tool, I would build the prompt like &MemberID, for example, if I wanted the user to input a value for Member ID. Access pass-thrus don't recognize this, and it throws an error. Anyone have any ideas on how I can do this?

Crosstab Query Built On A Select Query

I have a crosstab query built on a select query.It works perfect. However, when I try to use the "Between [BegDate] And [EndDate]" it tells me access engine can not recognize it.If I use this in the actual select query it works fine. But when I try to use the crosstab query it gives me the above error.

Also, I'm using two undbound textboxes on a form for [BegDate] and [EndDate]. I have the syntax correct in my select query and it works fine. But it won't work with the crosstab query.
