Reports :: Show Number Of Records Returned In Parameter Query
Mar 9, 2013
I am trying to use Dcount to find the number of records in a query and put it on a text box in the header of a report. The query is a parameter query. The button opens a form which asks for start and end dates, the query reads those dates from the form and the report displays the correct number of records that fall within the date range. The query is based on another query, which is based on the table. I tried =dcount("*","qryName") but I get #error. Maybe becauase of dates? or parameters?

Hello all. I need some help calculating the total number of records returned in a query anytime i run the query.
I have a form that creates an SQL statement and changes the querydef at runtime and displays the results in a listbox. I want to include on my form a percentage of the total records from the table based on the records returned in the query Ex. (5/10) so I can use this information on a report.
What I am trying to ultimately acheive is to calculate an attrition rate based on the number of (clients that leave in a given period / total new clients added in the given period )
thanks for your help!

I'm trying to run a line of code after doing a Query Search that reports back the total number of results pulled from the search. I've dug around and found some useful code, but nothing that gives the results I'm needing. Most everything gives me the total number from the query. I'm also using a Split Form.
The process goes: Enter numeric search in Text10 and hit the search button to run the following macro: [studentID]=[Forms]![Query1]![Text10]
It then gives me the requested information.I have a second text box (Text19) that needs to display the number of pulled results. I've written VBA that only gives me the total number searched for studentID or for the entire Query.
Can I simply add an additional line to the Macro?

i have a query that returns anywhere between 0-20ish records, and i need an efficient way to count how many records are returned. any ideas?
i was also wondering if there is a more efficient way to do this:
Code: [Text127] = DLookup("[Comments]", "orderheaderz", "[OrderNumber] = " & GlOrderNumber)[Text175] = DLookup("[Performed]", "orderheaderz", "[OrderNumber] = " & GlOrderNumber)[Text177] = DLookup("[Model]", "orderheaderz", "[OrderNumber] = " & GlOrderNumber)[Text179] = DLookup("[Serial]", "orderheaderz", "[OrderNumber] = " & GlOrderNumber)[Text181] = DLookup("[System]", "orderheaderz", "[OrderNumber] = " & GlOrderNumber)[Text183] = DLookup("[HComments]", "orderheaderz", "[OrderNumber] = " & GlOrderNumber)[Text201] = DLookup("[Labor]", "orderheaderz", "[OrderNumber] = " & GlOrderNumber)
mabey i could condense them into one Dlookup somehow? any ideas?
thnx for your help

Hi guys, I have a query that displays records that fall between 2 dates (using 2 input text fields). How can I make it dispaly all records if the user just leaves the dates blank?
I've searched through some forums and found that I can make this happen by using IS NOT NULL. But when I tried putting it in the OR row in my date field (and all other places), the result is that the query displays all records that have a date value regardless of my other filters.
Can anyone point me in the right direction where I should actually place the IS NOT NULL? I attached my Query view for easier understanding.
Thanks a lot!

Hi,
I have made a query from different tables; however, my query is returning about 5 rows for each person because some fields in the query return more than 1 row.
Is there anyway to fix this problem?
Thank you,

Hi all, I've searched this with no success.
I have a ODBC (Firebird) table linked using a DSN connection which has >300 fields. In Access, the linked table only show 256 fields (max for Access). Otherwise the link works fine. I have no control over the source Firebird table.
What I'd like to do is limit which fields from the Firebird table are shown in Access. I don't need all the fields, but I need some that are at the end and are not linked in the current setup.
I'm very much a novice at using ODBC, but can I somehow use SQL or some other method to specify which fields to show in the linked table?
Thanks for any suggestions,
John

I have a strange 'bug'.
I wrote a query to return the TOP 32 items for a key. Works fine:-
SELECT TOP 32 [my Disks Coefficients sub].[thier Disk ID] FROM [my Disks Coefficients] AS [my Disks Coefficients sub] WHERE [my Disks Coefficients sub].[my Disk ID]=1 GROUP BY [my Disks Coefficients sub].[thier Disk ID], [my Disks Coefficients sub].coefficient ORDER BY [my Disks Coefficients sub].coefficient;
I then plugged this into a query in the WHERE clause using In (Select Top .....;); [changing the =1 condition to pick up the correct id from the emcompassing query]:-
SELECT [my Disks Coefficients].[my Disk ID], [my Disks Coefficients].[thier Disk ID], [my Disks Coefficients].coefficient FROM [my Disks Coefficients] WHERE [my Disks Coefficients].[thier Disk ID] In (SELECT TOP 32 [my Disks Coefficients sub].[thier Disk ID] FROM [my Disks Coefficients] AS [my Disks Coefficients sub] WHERE [my Disks Coefficients sub].[my Disk ID]=[my Disks Coefficients].[my Disk ID] GROUP BY [my Disks Coefficients sub].[thier Disk ID], [my Disks Coefficients sub].coefficient ORDER BY [my Disks Coefficients sub].coefficient;);
This runs fine but the the number of items returned is for each key is less than if I run the Top query by itself for each key seperately? So when I run it stand-alone for ID 1 I get 127 rows (there are many equal coefficients); when I run it as a sub-query I get only 121 rows for ID 1!
Anyone any ideas?
Martin

I'm sure this should be simple but I can't figure it out. What I want is for a text box on a form to display the number of records within a table.
Basically I've got a make table query which creates a table ox X records depending on how many records in the original table match the criteria. So for example:
Table A has 100 records
Query identifies 30 that mee the criteria
Makes a new table called criteria_met with these 30 records
What I want is for a textbox on a form to display "30" and update whenever the make table query runs (probably via a macro??)

I am wondering if there is a was to know if a specific field in a query has a parameter. The reason I am wanting to know this is because I have a form with a combo box that lists all queries (query names) and would like to add a subform which would show the relevant text box's for those parameters.I am planning on showing/hiding each text box with as if statment that ends with .visable = true/false.
lets say for example the query ("qryTest") has 3 fields FirstName, LastName, Age with Age having the parameter forms!menu!age>=21. i would only like visable the text box for "Age" on the subform and have the other fields invisable.I think I can work out the coding for everything i need apart from the initial vba to work out if the query field has a parameter.

I have a continuous subform. Because the records are often many, the user needs to scroll down the page.
How do I have a text box in each row that shows Record x of Total Records?
I tried setting a text box control source = [currentrecord] in the Detail area of the subform but it didn't work . It did weird things because I suspect the control is trying to show the record that has the focus or something

I am trying construct a form that will only show an invoice if all the invoice records have been approved. I have created a form that will allow the user to look at each line of an invoice and has a checkbox to approve it. If the user has selected all the boxes it will disappear from the Approval view, which is a query that shows unique values.
The problem is that if all of the lines but one are checked it will also show up in the view for the unapproved invoices AND the approved invoices. I would like to know how to structure a query that shows unique values but ONLY if ALL of the invoice line items have been approved.

I need to set up a parameter query that will show Limousine availability on a particular date.
At the moment I have the date set as the parameter and only Limousines that are booked or Unavailable on that date are returned.
How can I set up the query so that I can see both Limousines that are Available and Unavailable within a field named Availability.

I'm currently working on a report to show the differences between two records (in this case, Documents). Each Document contains a number of paragraphs which are separate objects within my database. The purpose of this is to narrow down which paragraphs require reading (i.e. remove/highlight which are duplicates).
I've set up the report to show only the paragraphs from two selected documents (I don't think there is need for more than two, but how to select two or more documents for the query), and currently I have set the 'Hide duplicates' which kind of works but not the result I was hoping for - it only hides the related field and leaves the original in tact.
I am looking for a method that hides both duplicate records (not just the duplicated fields) if possible, failing that a method that will conditionally format the remaining duplicate or all duplicates.
Looks like the Hide Duplicates hasn't quite worked either - I have two fields which are clearly different and it has hidden the longer one. Likewise another later paragraph is not duplicated and it has hidden another which isn't duplicated. If it makes any difference the field is of type 'Memo'

Hi,
I have a table with a field that shows the number of pieces that a parcel contains. It looks like this:
ParcelID, Pieces, Description
Data example:
1001, 5, Jackets
1002, 10, shoes
etc
I need to print labels for each piece that shows to which parcel it belongs. The report will look like:
1001, Total pieces = 5, 1 of 5 pieces, Jackets
1001, Total pieces = 5, 2 of 5 pieces, Jackets
1001, Total pieces = 5, 3 of 5 pieces, Jackets
1001, Total pieces = 5, 4 of 5 pieces, Jackets
1001, Total pieces = 5, 5 of 5 pieces, Jackets
and
1002, Total pieces = 10, 1 of 10 pieces, shoes
1002, Total pieces = 10, 2 of 10 pieces, shoes
1002, Total pieces = 10, 3 of 10 pieces, shoes
1002, Total pieces = 10, 4 of 10 pieces, shoes
1002, Total pieces = 10, 5 of 10 pieces, shoes
If I could populate a table where the number of records equal the value of the pieces column then it's a pretty simple report but I can't figure this out.
Can anyone help?

Good afternoon!
I have a database that tracks the withdraws and returns of shared tools.
The withdraw form has a check box on it that is checked to show removed when the item is ordered (this keeps that item from showing up in inventory searches). When the item is returned, that check box is unchecked, showing that the item can be withdrawn again.
When a person withdraws an item their supervisors name is also logged so that we know who to chase down when the item doesn't come back.
I have a query that is supposed to show what items are still outstanding based on a date range (I got the prompt for date range to work..yea me). However, the query shows every time that the item was borrowed.
Example...
I borrow a hammer and my supervisor is Bob. I return the hammer. It does not show as still withdrawn in my query.
The next I borrow the same hammer and again my supervisor is Bob. I return the hammer. It does not show as still withdrawn in my query.
The day after I borrow the same hammer and my supervisor is Joe. I return the hammer. It does not show as still withdrawn in my query.
Some other day I borrow the same hammer and my supervisor is Joe. I do not return the hammer. The two times I borrowed the hammer with my supervisor as Bob show up as well as the other time that I borrwed it with my supervisor as Joe shows up as well as the one that shows I still have it.
. One of the criteria in the query is essentially only show the items that have the check box checked (criteria=true). But that apparently does nothing, or (more than likely), I am doing something wrong.
This is the SQL:
SELECT tblOrder.OrderDate, tblOrder.Supervisor, tblEmployee.EmployeeFirst, tblEmployee.EmployeeLast, tblItemSpecifics.Description, tblItemSpecifics.Serial_Number
FROM (tblEmployee INNER JOIN tblOrder ON tblEmployee.GlobalID = tblOrder.GID) INNER JOIN (tblItemSpecifics INNER JOIN tblOrderInfo ON tblItemSpecifics.Serial_Number = tblOrderInfo.Serial_Number) ON tblOrder.OrderNumber = tblOrderInfo.Order_Number
GROUP BY tblItemSpecifics.Removed, tblOrder.OrderDate, tblOrder.Supervisor, tblEmployee.EmployeeFirst, tblEmployee.EmployeeLast, tblItemSpecifics.Description, tblItemSpecifics.Serial_Number
HAVING (((tblItemSpecifics.Removed)=True));

I have a field on a form (exception) that is also a column in a query. I would like to create a report an only show those records that had an exception in it. I am not sure what criteria in the query to use, but it would seem creating a report off of this query would work.

I can get the number of records to be returned but I want to run a condition if the records returned is zero. To do this, I need to put the number returned into a variable but I haven't been find a way.
For instance, this code does work:
SQL = "SELECT Count(*) AS Records FROM Table1 GROUP BY Table1.Quantity HAVING (((Table1.Quantity)=4));"
conDatabase.Execute SQL
But I want to store the count as a variable. What I want is something that look this (it doesn't work but I just want to give an idea what I'm looking for)
SQL = "SELECT Count(*) AS Records FROM Table1 GROUP BY Table1.Quantity HAVING (((Table1.Quantity)=4));"
Dim hold as Integer
hold = conDatabase.Execute SQL
If(hold = 0) Then
'tell them nothing returned
End If
So how can I go about this?
Update: I see that someone posted a solution a few threads down using queries which did work. Can I still still do the same thing with SQL strings?

I'm using a very basic query
SELECT DRAWING_desc
FROM Drawing
WHERE DRAWING_desc Like '%L%'
I've got a table called Drawing, and a column in that table called Drawing_desc
I want all records returned that have the letter "L" in them.
When I run this query, I get nothing
If I replace the '%L%' with "*" it returns all records like you'd think it would.
What gives?

I am trying to create a Membership report that shows member activity over several months.
My problem is that the software that gives me the Member Activity does not report on accounts that were not used during that month
and some members do not come in every month.
I have a Member's Details table as well as individual months activity and have queries set to show the results of each month individually (these work, obviously)
The Reports I am trying to get from Access only show the activity of Members that have some movement every month, but totally skips members that are not present for 1 or more.
The report uses these queries but fails to report any member that is not in the tables for all months.
Example:
September
Rank Member FirstName LastName Activity
1 100 Andy Todd 200
October
Rank Member FirstName LastName Activity
November
Rank Member FirstName LastName Activity
5 100 Andy Todd 50
The report needs to show: Member FirstName LastName Sept.Rank Sept.Activity Oct.Rank Oct.Activity Nov.Rank Nov.Activity
but will not because there are no values for that member in October.
I am teaching myself Access as I go, so I am sure there is an easy solution.
Any help greatly appreciated.
Andy

I have 2 tables: Table A contains [ID] (and other columns) AND Table B contains [Request ID] (and other columns).
However, [Request ID] contains several number separated by comma. For example: 10, 15, 20 etc.
I created a query with parameter with : Like "*" & [ID] & "*" under [Request ID] criteria.
Here is my problem:
if [Request ID] = 44, 60 then it is returning [ID] 4 records (4, 6, 44, & 60). Is there a way to show only 2 records? 44 & 60?
