Reports :: How To Build Weekly Report Even When No Data Exist For A Week
Jun 11, 2013
how to build a weekly report to count the number of computers that have entered a defined process. I have four processes and I need the report to show counts for each process even if it's zero. The report is supposed to show the history of each process and not just the current week. Is this possible to do in a single query? Or do I have to make multiple queries?
I have a table that holds the history of each workstation including the workstationName, date of the record, the phase of the workstation, and the status of the phase. Another table holds the phase codes and phase statuses for lookup purposes.

I have an excel spread sheet that is linked into access 2003 via a table. This spread sheet is updated by personnel in another location and I have to run a weekly report on engines stored in that table that are below a certain performance level. The column heading is MGT Margin and I have to list all of the engines that are below 20 degrees. Can I run a query that looks at this table and produces a report of all the engines that are only below 20 degrees? I currently have to cut and paste each engine from the updated spread sheet every week onto a separate spread sheet and import that into access to run the report. Can a query be used to run the required report? I have attached a screen shot of the query that I am putting together to try and run this report.

I've restructured my 'application' to have one table and a lot of query/forms. In light of not figuring out the combo box situation I altered the requirements and what I needed thinking I may have an easier go of it, but alas not exactly my experience. I have 5 reports that I want to filter them by week(start of the week). I have a function which can turn any regular date entered to the start day of the week(monday). I thought my best way about this would be to fill a combo box with all the accepted dates through a separate table's column.
Is there a way to pop a dialog box when the user clicks to generate the report that will prompt them to choose a week then run that criteria against the report and only bring back that date?

Im creating a database that we can enter jobs into.A job will consist of 3 seperate parts, Called "Trusses", "Walls", "Posis". They will each have a different delivery date and possibly a delivery time.
I am having trouble creating a report that gives me a week view, Monday to Friday, that shows what deliveries are on each day.The main thing here is there is one job entry, with the 3 parts. So there will need to be 3 seperate entries on the report for each part of that job.

I've been asked to edit a current report that lists our production in week number order. I need to look at way we can 'flag up' orders that are within a 4 week period from the current date.
For example,
10 Orders in total in our database. 5 of which are due the drawings back within 4 weeks from today (26/02/15). I'm looking for a way for the report to show the 5 orders as priority, either by formatting the orders in bold, a different colour or under their own heading/group.

I've created a report based on a query that shows me the jobs that have been added to tblJobs between two selected dates.
The report works fine and displays all the information I need, however other than being sorted by day of the week i.e. Monday, Tuesday, Wednesday etc. The records just run on one after another.
I want to create a page break, so that a full week is shown on a single page before then forcing a new page when it moves in to the next week.

Colm and Baxter, you've been great helps to me so far, and I will include you in the special thanks in my programming credits. I ask your help once more-
My program tracks how many calls are received per day at the office. I have a report showing a chart (thank goodness for wizards ) that lists the calls per day. This all works fine, and I was extremely proud of myself for doing so. However, after thinking about it, I realized that after a while, my client might not care to see ALL of the calls per day ALL of the time, and might wish to see maybe a week's worth or a month's worth at a time. I was thinking I could solve this by using a form to enter "from" and "to" information, but I'm not quite sure how to apply this so it would work with my report.
Also, if I can get this to work, on this same form I would like to have an option field that the user can select so that the usual options (today, this week, this month, this year, all) require only a click, rather than having to figure out what days are in this week (a tedious task, I know, but we're going for efficiency here ) but they also have the option of seeing specific dates they want.
The fields that I'm using for this are very simple- tblCustomer.CallDate and tblCustomer.LeadType, where CallDate is just a date and LeadType is a string from a lookup table that is either "Call-in" (the one I'm tracking) or "In-field".
I know this sounds like a lot of coding, but I'm sure if you could get me started, I could figure out the rest myself. It's just that the way Access does dates is so confusing to me, and I have midterms coming up and not a lot of time to figure this out by myself from scratch. Anyways, thanks for your help in advance!
Jason

I have made a query that was supposed to update my reports every week with new inquiries that we get.
I thought i had solved this but when i opened the report this morning, it's just showing last week's.
I have this as the criteria:Between (Date()-7-Weekday(Date(),2)+1) And (Date()-Weekday(Date(),2)+1)
It's probably wrong.

I have an excel report which I would like to run through Access to drive trend analysis and compare with other similar reports. The excel report has a cumulative spend figure each week and not the actual weekly spend numbers, the budget figure also can change depending on the actuals.
Excel report:
Week 1
Product ID
Customer
Yearly Budget
Spend
1122
Sam
100
3
1123
John
200
4
[code]...
Will I need to create a new table each week or can I link the file and it updates automatically? Can Access store the weekly data and just update it one week at a time?

How do I hide the report footer based on the report's data ?

I have created a table for a Gym that shows which classes / activities are on which days. You will notice in the image below that i have assigned Boolean to associate a class with a day of the week.
I now am trying to create a Calendar STyle report that GROUPS all activities by the day they are on. So, for example, see below:
As you can see, all of Monday's activities will appear first (in a group) followed by Tuesdays.
One way I think I could achieve this is by doing a QueryMonday, QueryTuesday...etc so I have dataset or resultsset for each day. Then I could bring into a report, each query as a sub-report. I believe this is overly complex for what i'm trying to achieve. Also, using 5 grouping levels in one report doesn't achieve it either.

We have an older system that generates txt reports. I take these txt reports, then using Excel, I append the report headers to each record... creating a datatable. I then import this table to Access. I have not been able to figure out how to have Access perform this. In Excel, I use an "if" statement.

So I have a text box in a report that I want to pull in data from a field in another report, so the 'control' for my text box looks something like this...
=[Reports]![rptSalesReceiptSub]![Text141] (i.e Text141 is the data I want to pull into my report)
...the path is completely correct but when I run my report I get.#Name? If I run the report that has the data I want, it's fine (in other words Text141 has valid data in it)

I have data from a survey with qualitative responses. For a single qualitative question, I moved the ID & responses into a new table and categorized the response according to a bucket/theme, where each column is a new bucket. I now have 10 columns. Each response is represented in 1 or more columns. I used an excel formula to copy the response data into the column itself.
Example:
A1 // B1// C1 // D1// E1//... L1
ID // Response // Cats // Dogs // Elephants //.... Column 10
1 // I like cats // I like cats //(null)//(null)// ... (null)//
2 // I like cats and dogs // I like cats and dogs // I like cats and dogs //(null)//..//
3 // etc.
However, now I'm realizing that Access always wants to show data for all records, or at most I can limit using a WHERE clause in my query.I want to use Access to generate this report:
1. Section 1: Show all responses from the Cats bucket where there is data
2. Section 2: Show all responses from the Dogs bucket where there is data
3. and so on
I know how to do summary values, and I know how to do filtering that apply across the whole report, but this seems like more advanced filtering, where I want to see selective details differently for each field.

I'm new to Access, and I've been able to figure out a way around most of the problems I've run up against, but this one has me completely stumped. I would really appreciate any help!
I need to create a query that will produce a report that will follow the sales performance data of new agents for one year. I need to have two pieces of data for each week: number of policies sold and total value of policies.
The format looks like this:
Jan1 Jan2 Jan3 Jan4 Feb1
Number 12 4 6 3 6
Value 1554 320 229 221 1824
I have been pulling weekly sales data from an external database weekly and importing it into individual tables in my Access database. I had no problem for the first 3 months, but now I am getting the error message "Too Many Fields". If I understand it right, you can have up to 255 fields in a query. I don't have anywhere near that many. What could be wrong?
Any suggestions would be greatly appreciated!

I have an application written in Access 2007 and packaged using the Packaging Solutions for deployment with Runtime. My problem is that I've written an updated version, and after carefully saving my original Back End away from the install site, uninstalling Runtime and the FE, installing the new FE with a blank copy of the BE having the same name and Runtime, and copying the filled BE into the same folder with the FE (replacing the linked, but empty, BE) I find that SOME of my tables in the BE are not being recognized. This isn't true of all tables. I can open some of the forms and find everything there. In other cases I get the following error message "The record source "tblName" specified on this form or report does not exist."

I am a newbie, so please forgive me for such an easy question, but I am stumped. I attached a text file that shows the data I am working with. What I need to do is take each product (labeled Prod) and do a weekly sum on the quantities and compare against a set number to see if the quantity is lower or higher. For instance, I need to take column 12, regardless of value and compare it against set number. If the quantity is less, then I need to add the value of column 12 to column 13 and compare the summed value against set number. Again, if the sum is less than set number, I then need to take the value of column 14 and add it to the summed value of the previous step (sum of 12 & 13), then compare this new sum to set number. This process keeps taking place until I reach a summed value that is greater than set number. Once that happens I need to identify the column that sent me over the set value and hold that data. For instance, if column 33's (out of 52) summed value takes me over the set number, I want to know that it was column 33, so I can run further calculations against that value. The column header's are week numbers and I need to identify order points based on lead times and when I will run out of material. Is this beyond queries? I think so, but if it is, I don't know how to exactly begin the code in VBA either. I think I would use an If then Else stucture with a counter switch set from 1 to 52, unless comparison exits function, but not certain. HELP?????

I am trying to write code for a form. When the user enters the "Number of Payments" and the "1st payment date" it will fill the amount of the payment into a specific month.
For example: 1st payment date would be 10/24 the payments would be bi-weekly and the amount would be $50.00. The number of payments would be 4. I would need it to put $50.00 into a field called "October" $100.00 into a field called "November" and $50.00 into a field called "December". In excel I would do this simply by using a (date)+14 formula. I am sure that I need to do this with loops but where to even begin.

Hi,
I have an access database with 8 tables and as many queries and forms. Our company uses an application that performs backups of other companies data, this data is imported into access into one table. The backups are scheduled to run overnight, but sometimes they do not start for whatever reason. We need to use a query to identify when a backup does not start, so therefore to identify when data does not appear or exist in the table.
This problem is only concerned with two tables. In one table i have the backups policies (Backup Policy) and the details about when the backup should run. In the other, the main table (Backup) is the actual data that has been imported. So far I have queried only the backup policies that should run, but i need to go one step further and compare this to data in the Backup table that does not exist.
Im not sure whether this should be a bit of code in the query that compares data in the Backup Policy table with that in the Backup table when it is not present.
Ideally i need something that says. "If a particular policy name does not appear in any record in the Backup table, report back a list of policy names."
OR
(Lookup a list of policy names in table backup policy,
if these policy names do not appear in the backup table, report back a list of the policy names,
if these policy names appear in the backup table, do not report back a list of the policy names)
If anyone has any ideas if this is possible, and how, I would be most grateful. Also, if it involves the use of code or functions etc I may need a little bit of guidance!!
Let me know if you need any more details of the table structures.

Hi,
I put a Dlookup function to compare the new entry in a form and the code is like this:
If (Not IsNull(DLookup("[empno]", "Attnd_tbl" , "[empno]=[empnotxt]")))then
MsgBox "This Employee Already Exists"
cancel = true
Me!empnotxt.undo
end if
end sub
this works for comparing one field only, since I want to check if the employee is already entered on a certain date, how do I put two fields in this function to be looked up if for example "[empno]and[date]","Attnd_tbl","[empno]and[date]=[empnotxt]and[datetxt]"

My employer is using Windows XP Pro and Office 2003 (a few machines have Office 2010, but not mine). Furthermore, the machines are running the Japanese language OS, which has caused some comparability issues with my English XP/Office 2003 at home.
I have a form containing an unbound textbox, with the name MIS. The form's Current event has the following code:
If IsNull([[ResignationDate]) Then
MIS = DateDiff("m", [NichiiGakkanStart], Date) + Int(Format(Date, "mmdd") < Format([NichiiGakkanStart], "mmdd"))
ElseIf [ResignationDate] > Date Then
MIS = DateDiff("m", [NichiiGakkanStart], Date) + Int(Format(Date, "mmdd") < Format([NichiiGakkanStart], "mmdd"))
[Code] .....
The calculates (correctly) the Months in Service of the employee who's information is being viewed.
Now, I am trying to create a report which lists the employees by work locations. The above , and other calculated information, is to be displayed in the report.
I used the wizard to create the report, using data from two different tables (employee & location).
I need to display the calculated information above for every employee at every location.
Example:
"Work Location"
"Employee Number" "Given Name" "Family Name" "Months in Service"
The report, as it is now, displays all work locations and the above employee info except the calculated data.
I've read up on using calculated fields in tables, and I'd prefer not to take this approach.

I've got a database written in Access 2010 that shows many reports. When the report is selected and data is available, it is shown as a full screen preview with the print dialog box displayed over it. However, I am having a problem in that when there is no data, a message box is displayed that's invoked from the 'on no data' setting but when it's dismissed the report is still displaying. How do I prevent this from happening?

Is it possible to mask data in a report? I have a report that contains a field for an ID number. Depending upon who is receiving the report only a partial ID number can be shown.
Example: Instead of showing ID#: 123456 the report can only show ***456.
