Queries :: Convert Boolean Fields To Integers / Blank For Null Values

May 22, 2015

I have a query which returns, among other things, a number of boolean fields. In some cases, there will be a genuine True or False value in each of these fields; in others, it can and should be Null (e.g. as a result of a 'failed' LEFT JOIN of some description, where there is no associated record in the joined table which fulfills the criteria)

So something like this :

Code:
SELECT [tblTable2].[fldBooleanField]....
FROM [tblTable1]
LEFT JOIN [tblTable2]
ON [tblTable1].[SomeID] = [tblTable2].[SomeID]

However, I will be writing the result of the query to a text file and here's the problem. I want to show a numeric value for a genuine True / False (i.e. -1 and 0 respectively using the standard boolean conversions in Access) and a blank for any Null values.

So I tried this :

Code:
SELECT CInt([tblTable2].[fldBooleanField]) AS fldBooleanField....
FROM [tblTable1]
LEFT JOIN [tblTable2]
ON [tblTable1].[SomeID] = [tblTable2].[SomeID]

However, currently when I look at the exported recordset in Notepad, I am getting 0's for both False and Null values (and -1 for True)

How I can adapt my query to keep Nulls...null? And convert the genuinely present boolean values to integer form?

Only thing I can think of is to use (untested) :

Code:
IIf([tblTable2].[fldBooleanField] Is Null, Null, CInt([tblTable2].[fldBooleanField]))

But there's a number of boolean fields in there, all requiring the same treatment.

Replace Null With Zero In Crosstab Query

Jan 9, 2006

Hello.

I have a simple crosstab query, which is designed to give a monthly total (numeric) and a yearly total for the value of orders placed by a number of customers.

The query is based on another query which simply extracts order records for a particular year.
For some customers, certain months will be blank as there were no orders placed.
I would like to use the crosstab query on a report, and I would like to replace the blanks with zeros.
I have searched for examples of query expressions using the nz function and attempted to apply some. I have, however, had no success in converting the blank monthly totals to zeros.

Can anyone help me achieve this?

The query is as follows :

TRANSFORM Sum(AmountQueryLastYear.SumOfAmount) AS SumOfSumOfAmount
SELECT AmountQueryLastYear.DeliveryName, Sum(AmountQueryLastYear.SumOfAmount) AS [Total Of SumOfAmount]
FROM AmountQueryLastYear
GROUP BY AmountQueryLastYear.DeliveryName
PIVOT Format([ShipmentDate],"mmm") In ("Jan","Feb","Mar","Apr","May","Jun","Jul","Aug","Sep","Oct","Nov","Dec");

An example of expressions I have tried is :

Expr1: NZ([SumOfAmount],0)

In it's own column in the query design grid.

Queries :: Replace Null With Currency Zero?

Jul 31, 2013

I have always relied on Design View to create my queries, usually with great success, but in so doing, I have not become familiar with SQL view, so can't solve this problem:

I have a very simple query whose only function is to sum the payment amounts received for each contract number:

SELECT Payments.[Contract Number], Sum(Payments.[Payment Amount]) AS [SumOfPayment Amount]
FROM Payments
GROUP BY Payments.[Contract Number];

It is then used in subsequent queries to create an accounts payable report. It works great as long as at least one payment has been received on the contract, but if NO payments have ever been received, the Sum is actually null, so that record doesn't get included. I need a way for this query to return zero or currency zero 0.00 for all contracts with no payments yet, so those contracts will be included and the next query in line will see a zero.

In my search, it seems I need to make use of the IsNull function in my SQL (the check expression would be the sum of payments, the replacement value would be zero) OR I need to include a WHEN or WHERE in my SELECT statement above? I just don't know enough about SQL to make this happen .

Access Sql Replace Statement Null/empty Strings

Jul 31, 2007

Im trying to concatenate a bunch of fields (50 arghh) which each are either blank or just contain one letter. This was someone elses setup for an attendance register which I think is an odd way of doing it. I would have used one field and then to get the mark for a week take a substring at the appropriate position. Anyway im trying to replace an empty string field with a letter to represent the register hasn't been marked using sql statement:

SELECT [400 Student Marks].acad_period, [400 Student Marks].student_id, [400 Student Marks].register_id, [400 Student Marks].register_group, Replace([1],"","U") AS attendance
FROM [400 Student Marks];

[1] being the first register week then I would have concatenated with [2] etc...

This however causes an error each time on the attendance field so im guessing replace doesn't work on empty strings. Is there a way round this/alternative.

Thanks for any advice.

Updating To A 'null' Or 'blank'

Hi. This might sound stupid but it is a real issue for us.

How do I change this?:confused:

Likewise, there are some instances where the reverse is true.

How do I change those?

Records With Null/blank Fields Only!??

Jun 8, 2005

I'm working on a db logging replies to a questionnaire. Judging by the responses I am receiving it appears that some sections are not completed at all. I need to be able to include these blank responses when it comes to analysis.
My design splits the questionnaire into sections, each section has a data entry form with its own underlying table. Each table has a primary key (autonumber field) which relates to each organisation that has replied.
If an organisation has failed to complete a section, I still need to create a new record in that section(table), triggering the autonumber field, hence referring back to the organisation.
I know I haven't explained this very well, but if anyone can make sense of what I'm saying and can give me any suggestions on how to make this happen, I would be most grateful.

In anticipation of your replies

Replace Parameter Values In Control Source Property

Apr 28, 2007

I have a text box in a report, with it's control source property set to =[BegDt].
Upon loading the report a message box pops up and asks the user for the value of [begDt]. This occurs 3 more times for 3 other parameters.

Now I want to change the design of the report so I decided to put these 4 parameters on a form so the user can fill in the 4 values all at once rather than responding to 4 message boxes that pop up when you run the report.

The problem is now the control source properties in all the different text boxes need to be changed to [forms]![frmABC]![txtBegDt] etc.etc. There are over 100 text boxes in this report that make reference to the 4 different parameters.
Is there a replace command I can use to change all the occurrences in the text boxes or perhaps a simpler way would be to pass the values to the report through code.

I tried placing this in the report header's format event and it doesn't seem to have any effect.

Code:Private Sub ReportHeader_Format(Cancel As Integer, FormatCount As Integer)begytd = [Forms]![frmABC]![txtStDt]endytd = [Forms]![frmABC]![txtEndDt]curmo = [Forms]![frmABC]![cboMo]curyr = [Forms]![frmABC]![cboYr]End Sub

I should mention that the report uses a table (tblRecap) as it's record source. I tried using a query that refers back to the form for the parameter values but that means I have to use the query as the reports record source and that creates a problem because the report needs fields from the table to perform calculations.

Can someone help me with a solution please.

Thanks for your time.

Showing Subform Based On Whether Or Not A Field Is Blank Or Null

Sep 15, 2015

I am trying to show a certain subform based on whether or not a field is blank or null. This database is not owned by me--it's what we use to run queries and reports on the data on a centralized server for the library. It's not even in the same city--so changing the tables is not an option for me.

So, I have a subform (subform1) that is linked to the main form based on 2 fields (BibID and Item_Enum). The trouble is that the second field (Item_Enum) is sometimes blank, so the subform will not display. So I created another subform (subform2), which is a duplicate of the first one, but this time only linked on the first field (BibID). So, if that second field (Item_Enum) is blank, I want subform2 to display and subform1 to be hidden. If the second field (Item_Enum) is not blank, I want subform1 to display, and subform2 to be hidden.

I've tried putting the VBA code on different events for the form, but I can't get it to work consistently.

There are two problems, one of which I think I have fixed--but I would prefer a better solution. The VBA code doesn't run unless the form is newly loaded. I've tried placing the VBA code on different form events, but nothing works. I want the code to activate whenever a new record is displayed. The work around is that the form IS newly loaded every time the user scans a barcode for a new book. That works now, but if I need to change the way the user looks up new records, this might not work anymore.

The second problem is that the VBA code doesn't display subform1 when Item_Enum is blank. It doesn't display subform2 either, but that's the desired result.

Private Sub Form_Load()
If Me.ITEM_ENUM = "*" Then
Me.subform2.Visible = False
Me.subform1.Visible = True
Else
Me.subform2.Visible = True
Me.subform1.Visible = False
End If
End Sub

I've tried changing the condition to Me.Item_Enum = null, and changing the false/true results accordingly, but that didn't work either. In that case, only subform2 is visible, whether it should be or not.

Field Criteria: Is Null; There Are Null Values In That Field; No Records Are Returned

Nov 16, 2007

I think the title pretty much sums it up....

I have a query where data is first sorted by user input; first field's criteria: [fieldname], then by another field's criteria: Is Null.

I know there are records containing null values in the second field, as I have run a select query with the criteria: Like "*", to make sure they are null, and not zero-length-strings.

The query is refusing to return any results...

Any ideas?

Modules & VBA :: Unbound Subform Has No (null) Records - Form Stays Blank

Aug 4, 2015

The unbound Parent form has a listbox (SQL Server) , the selection updates the SubForm with a primary key ID. The Subform is a ReadOnly view from an Oracle Linked table. It populates with a Select * From Oracleview where ID = listboxID The code is at the link shown below update: The subform uses textboxes linked to the read-only record.

The main form can populate, no problem. However the SubForm data source is either populated OR is Null.

If it is Null, the subform stays blank. Two Objectives:

1. Set a boolean variable flag in the parent (main form) that subform record exist or that it is null. e.g. Parent obtain recordset count property from Sub form
2. Display the subform with blanks.

Queries :: Make Replace Query To Look In Order To Find What To Replace

May 6, 2014

I have this working query:

Code:
INSERT INTO TB_SISTEMAS ( LOGIN, SISTEMA, PERFIL, DATA )
SELECT Left([dbo_BACKUP_ACESSOS.LOGIN],255) AS LOGIN, dbo_BACKUP_ACESSOS.SISTEMA, Left([dbo_BACKUP_ACESSOS.PERFIL],255) AS PERFIL, dbo_BACKUP_ACESSOS.DATA
FROM dbo_BACKUP_ACESSOS
WHERE (((dbo_BACKUP_ACESSOS.SISTEMA)<>"ACTIVE DIRECTORY") AND ((dbo_BACKUP_ACESSOS.DATA)="2014-03-23"));

But Iwant to be able to use a set of data to be used in the Replace Statement, so I create a table to add each string I would like to have replaced by "nothing", and trying to make the replace query to look there in order to find what to replace.I also created a table where I will list the systems that I dont want in the select, so I removed the "ACTIVE DIRECTORY" and replaced by the colum that have the list of system I dont want listed.This is the result:

Code:
INSERT INTO TB_SISTEMAS ( LOGIN, SISTEMA, PERFIL, DATA )
SELECT Replace((Left([dbo_BACKUP_ACESSOS.LOGIN],255)),[PREFIXOS_E_SUFIXOS]![Valor],"") AS LOGIN, dbo_BACKUP_ACESSOS.SISTEMA, Left([dbo_BACKUP_ACESSOS.PERFIL],255) AS PERFIL, dbo_BACKUP_ACESSOS.DATA
FROM dbo_BACKUP_ACESSOS
WHERE (((dbo_BACKUP_ACESSOS.SISTEMA)<>[SISTEMAS_EXCLUIDOS]![Sistema]) AND ((dbo_BACKUP_ACESSOS.DATA)="2014-03-23"));

The thin is that this keeps asking me to enter the parameter value for "PREFIXOS_E_SUFIXOS!Valor" and for "SISTEMAS_EXCLUIDOS!Sistema"

Blank Values In Report?

Oct 30, 2014

I have two issues with the report generation from a query:

(i) Sometimes blank values appear in the report in the serial number column generated dynamically (setting the control source property =1 and running sum = overall), but when clicked inside the particular box, the correct serial number appears

(ii) When grouped on a field, the particular field value appears sometimes more than once in the report inside the same group.

How to get rid of this?
