Saving Multiple Values To A Single Record

Oct 22, 2005

I want to have a box with yes/no choices defining the Lessons a Student chooses. Sth like this
Because the Lessons are quite plenty and they change from time to time, I don't want to have them predefined in the Sudent table, but to have a related table containg the Lessons providing more flexibility.
My problem is how to assign the Yes/No values from the form to a single record. ANy suggestions?
A first thought is to create a List from Lessons table, with 2 columns. 1st the Lesson and 2nd the Y/N box. Every Lesson would have a value like this:
1,2,4,8,16,32,64...
With this way the sum of the Lessons would be unique for each combination and it could be saved in a single record. But such a solution is not so practical.
Any alternatives?

Thnx in advance

Charting Multiple Values From Single Record

Feb 11, 2008

This particular database generally looks at reporting individual records as opposed to summary reports. So for a particular data record i have the following data [x1][x2][x3][x4][x5][y1][y2][y3][y4][y5]

I need to chart (scatter) these figures as paired x,y variables for display on a feedback report such as

x1,y1
x2,y2
x3,y3
x4,y4
x5,y5

For some reason i simply can't wrap my head around haw to make this happen.

Many Thanks in advance for any help.

Cheers

Modules & VBA :: Saving Single Record In Form As PDF In Access 2013?

Jul 3, 2013

I need to save a single record (preferably the current record) as a PDF. I have created a form for my boss to calculate bids. He wants to save each record individually as a PDF to upload into our service software program to attach to client files. I can save a selected record as a PDF if I print the selected record first. We need to eliminate having to print it first as it is just a waste of paper and an unnecessary step. I am kind of thinking that VBA and attaching that to a control button on the form is the way to go, but I am new to writing code and I am completely confused!

Forms :: Search For Multiple Values In Single Field

Apr 21, 2013

I have a table in which there are approximately 15k records. The name field has approximately 2500 unique values. I need to search the table for multiple names and return the results from the table. This would then be used as a report. Due to the users being very novice, a form is needed for the search.

Example:

Search for Smith, John; Wilson, Bill; Jones, Jeff

Return
Name Year Brand Make
Smith, John 1999 Oldsmobile 88
Smith, John 2001 Chrysler 300s
Wilson, Bill 1994 Porsche Carrera
Wilson, Bill 2007 Kia Sporty
Jones, Jeff 2004 Chevrolet Camaro
Jones, Jeff 2011 Chevrolet Impala

My knowledge of forms is basic, however, I can be a quick learner if on the right track.

Forms :: Multiple Records From Single Form Based Upon Checkbox Values

Feb 10, 2015

Currently we track areas of non-conformance for a fleet of flight simulators. Each flight simulator has a particular ID number. In some instance an area of non-conformance is associated with a single simulator, at other times it is a fleet wide issue and applies to all or some simulators. In order to track as well as advise leadership and the contractor responsible for maintenance of the simulators of the situation we generate individual response letters.

In order to track each instance of non-conformance my idea was to create a new record for each deficiency. In the event that it is applicable to multiple simulators I would like to fill out the form with all pertinent data and then place a checkbox associated with each simulator and when the record is saved, it creates one record for each simulator with a checkbox ticked.

Once the deficiency on each simulator is fixed, I would check a box for a field called rescinded, which would remove that particular deficiency on that particular simulator from the active list of deficiencies but the others would still remain because they are associated with unique records.

Forms :: Single Column Combobox To List Values From Multiple Fields

Apr 8, 2013

I have a data base with names, email IDs, phone numbers of 5 types(example quality, security, IT,finance etc) of person from ten different project teams. I created a basic form for the end user to enter values and created fields for each of the person's name, email ID etc based on the personal type( liek quality, IT, finance etc) on each team. The background table contains records of almost 200 people now.

All of these people will be trained for one task and some will be trained for multiple tasks. I know how to make the combo box allow multiple values/selections but, i cannot list out all 200 personal names in the combobox's rowsource/value list. Is it possible to combine all different name fields and list out all personal(of one team), so that the end user can just select multiple names for that team who have been trained and so on. i need to set the rowsource of the combobox to the values of all personal from one team so the team leader can just go select who has been trained and who has not.

General :: Form Control To Combine Multiple Field Values Into A Single Text Box?

May 10, 2013

I'm trying to set the control source for a control on my report that describes the number of portions that goes into a box. Sometimes there is a specific number of portions per box and sometimes it's a range. When the number of units is specific, then it is entered into the MasterCaseMinUnits Field. If there is a range of units possible than the min is entered into MasterCaseMinUnits and the max is entered into the MasterCaseMaxUnits.

I want my report to look at the mastercasemaxunits, if it is blank it will only display what is in the MasterCaseMinUnits field. If there is a value in the masterCasemaxUnits field, then it will display the masterCaseMinUnits & " - " & MasterCaseMaxUnits. this is the code I'm Using:

Code:

=IIf(Nz([MasterCasemaxUnits],[MasterCaseMinUnits])=[MasterCaseMinUnits],[MasterCaseMinUnits],[MasterCaseMinUnits] & " - " & [MasterCaseMaxUnits])

When I run my report, the control displays: #Type!

Multiple Notes - Single Record

Jul 20, 2015

So I have a list of jobs and each job is subject to change from the original plan.

Each change needs to be documented and dated. So what I want is a form where the site can be selected and a note written. When this is saved, a record of the current time would also be needed.

The form aspect of this seems fairly straight forward to me. I just cant visualise where the 'notes' will be stored.

Assign Multiple Names To Single Record

Jul 18, 2013

I have a Project Database where I keep track of projects throughout my plant. A project can have one owner or several owners working on it. Is there a way to assign multiple owners to a project?

I tried doing a subform but I don't like how it looks on the form and when I try to do a query that filters based on a person's name, the form has to be a single form rather than a continuous form which is not what I want.

Is there another way that I can accomplish this?

Tables :: Field For Multiple Sales On Single Record

May 7, 2013

I have a tblCustomer table to track customer information. One field is for flights the customer books. I expect that a customer might book more than one flight, which should affect what he owes. (My tblFlights table includes fields for the cost of each flight.) How should I make the Flight field in tblCustomer so it accepts multiple flights and reflects on the customer's final bill and my own accounting tables that I haven't even created, yet?

I'm probably overthinking everything. This is just an Intro to Access class, and I only need 3 tables with 1 relationship. So far, I have 9 primary tables, 4 duplicate tables (for M:N relationships) and 11 relationships. I have to have tables for financial data, customer info and product/service info. I wasn't sure what I would need for my fictional airline, so I created tables to track everything I could think of, hoping to cover all 3 required types of data in the process.

Queries :: Return Multiple Rows From A Single Record In Database

Jul 16, 2014

For each record in my database, there are observation periods which are recorded in the format dd/mm/yyyy hh:mm:ss, titles as follows

1st Obs Start
1st Obs End
2nd Obs Start
2nd Obs End
3rd Obs Start
3rd Obs End.

I have been asked to create a query that will quickly show how many obervation periods commenced in a particular month. What I am trying to do is create a column that will be named Obs Start, and another, Obs End. For each record ID, this would then show as follows:

ID......Obs Start.............Obs End........
1....[1st Obs Start].....[1st Obs End]....
1....[2nd Obs Start]....[2nd Obs End]....
2....[1st Obs Start].....[1st Obs End]....
2....[2nd Obs Start]....[2nd Obs End]....
2....[3rd Obs Start].....[3rd Obs End]....
3....[1st Obs Start].....[1st Obs End]....
4....[1st Obs Start].....[1st Obs End]....

etc.

I could then quickly count how many obs periods started within the desired month.

Reports :: Creating A Report Based On Single Record In Multiple Item Form

Jan 8, 2014

I'm currently working on a database which requires invoicing as a part of it. The invoicing is done based on quarters, and I want the users to be able to use a multiple items form, listing all of their clients, to create the invoices. Each invoice must be created individually so they can be e-mailed to the client, and saved to the clients folder. So I was wondering if it would be possible to create individual invoices for clients using a multiple items form.

Max Value For A Single Date/multiple Time/single Tag ID Combination

Oct 18, 2007

Hi, thanks in advance for any help you can offer. I've got a table that has

Date
Time
Tag ID
Power Level

throughout the day a computer listens to several tags (transmitters) and records the power level of the signal generated by the tag each 3 seconds. What I'd like to do is build a query that gives the Date, Time and Maximum Power level reading for each tag ID. I only want 1 record per tag per day

I've tried using "group by" and max in the query but this gives me all the times throughout the day.

anyway, thanks again for looking

cheers, Shaun

Modules & VBA :: Sending A Single Email To A Single Record In A Query

May 15, 2014

I am trying to create a form with a button attached to each record that would allow the user to click the button and it would automatically open outlook and fill in the TO:, SUBJECT: and BODY: fields. Here is the code that I currently have:

Code:
Private Sub Command33_Click()
Dim strEmail As String
Dim strMsg As String
Dim oLook As Object
Dim oMail As Object
Set oLook = CreateObject("Outlook.Application")
Set oMail = oLook.CreateItem(0)

[code]...

There are two issues I keep running into:

1. This code opens outlook and populates all of the fields but pastes the email incorrectly. Instead of pasting just the email (email@email.com) it pastes the html tags as well (email@email.com#mailto:email@email.com#) which means that the user would have to delete everything between the #'s in order to send the email every time.

2. I currently have the email BODY pulling from a table but this obviously limits what I can do. I would like to simply encode the BODY within the VBA code. The setup I am looking for is:
one paragraph
a blank line
a hyperlink to a website
a blank line
another paragraph

Modules & VBA :: Generate Multiple Records In One Table From Single Record In Another Table

Sep 20, 2014

I am building a simplified re-order point system - if inventory position drops below a certain level (the yellow level is this case) one or more purchase order lines has to be created in another table.

I have one table with the following field and data:

ItemId Red Yellow Green Multiple Inventory position
0001 10 30 50 5 45
0002 5 40 47 5 23
0003 11 20 30 10 5

I would like to generate new records (in another table) based on the above fields and three records.Basically the end result should look as the following:

ItemId Qty Start inv Aggregated inventory Prioritization
0002 5 23 28 Yellow
0002 5 28 33 Yellow
0002 5 33 38 Yellow
0002 5 38 43 Green
0002 5 43 48 Green
0003 10 5 15 Red
0003 10 15 25 Yellow
0003 10 25 35 Green

The logic is quite simple - if inventory position is less than the yellow value new order lines should be created in multiple qty (based on the multiple field) until the aggregated value (in table 2) is above the green value. The priotization value should be based on the start inv (in tbl 2) compared to the values in red, yellow and green in tbl 1.

Posting Multiple Values Or Entries To One Record?

Jul 14, 2014

I am trying to create a database for a company I work with which creates a food product which needs to be traceable from creation to finish. I have created a table with all of the necessary information for the creation of a batch.

1. During this batch creation, we add water multiple times which we record each time, i.e., 2cups, 2 cups, 2cups, etc. I have a field for "water", and wish to record each instance and amount of water added, but only want one record for the complete batch. Also I only need the total water amount in the batch record, but want to be able to expand to see the individual amounts as needed.

2. Also, we need to record various readings (temp, etc.) throughout batch creation. Again, same problem as before.

What is the best way to do this? I want to be able to reference this info anytime I want to check creation specs for each individual batch.

I am using forms for data entry.

Queries :: Running Total Multiple Record Values

Mar 21, 2014

I am having an issue with my running total query.

It consists of a running total per vehiclenum. All data comes from one table.

It works properly only on the first vehiclenum of the query. After that, the first "previous" odometer reading of each subsequent vehiclenum starts at some erroneous number, throwing the remainder of each vehiclenum running total.

Here is the code for the query,

SELECT qry_ODO_TotalSub.ID AS OdomAlias, qry_ODO_TotalSub.ODate, qry_ODO_TotalSub.VehicleNum, qry_ODO_TotalSub.Odometer, Nz(DLast("Odometer","qry_ODO_TotalSub","[ID] < " & [OdomAlias]),0) AS Previous, [Odometer]-[Previous] AS Difference, Nz(DFirst("Odometer","qry_ODO_TotalSub"),0) AS StartOD, [Odometer]-[StartOD] AS RunningSum

Saving Values In An Unbound Form

Aug 24, 2007

I have a form that has unbound text box controls. The user enters numeric data in each of these text box controls. I want to be able to store the values that the user enters for future use. I am using the following code which was provided on Richard Killey’s web site.
The problem is that the values that the code stores in the unbound text boxes is populated back as text values rather than numeric values.
Here is the code that saves the values.
Code:Private Sub cmdSave_Click() '--- only process Save if there is data in scheme name If IsNull(txtScheme) Then MsgBox "Please Enter A Scheme Name" txtScheme.SetFocus Exit Sub End If Dim rst As Recordset '--- use the primary key (which is always an autonumber field) to find the record '--- if it is a new record, this will find no records, as txtID will be 0 Set rst = CurrentDb.OpenRecordset("select * from tblschemes where ID=" & txtID) If chkNew = True Then '--- do we add a new record and save an existing one rst.AddNew Else rst.Edit End If '--- transfer data from text boxes to table fields rst!MVol = txtMVol rst!TVol = txtTVol rst!WVol = txtWVol rst!ThVol = txtThVol rst!FVol = txtFVol rst!SVol = txtSVol rst!SuVol = txtSuVol rst!Scheme = txtScheme rst.Update '--- save the record rst.Close '--- close the recordset Set rst = Nothing '--- reclaim the memory the recordset was using chkNew = False '--- reset the new flag '--- enable the list box and the Add New button and the Close button '--- must be done before moving focus to the list box lstData.Enabled = True cmdAddNew.Enabled = True '--- make sure the newest data is in the list box lstData.Requery '--- set the focus to the list box lstData.SetFocus lstData = lstData.ItemData(0) Call lstData_AfterUpdate '--- disable the text boxes and the Save button, and make Edit button enabled txtMVol.Enabled = False txtTVol.Enabled = False txtWVol.Enabled = False txtThVol.Enabled = False txtFVol.Enabled = False txtSVol.Enabled = False txtSuVol.Enabled = False txtScheme.Enabled = False cmdSave.Enabled = False cmdEdit.Enabled = True End Sub
And here is the code that populates the values back into the unbound text boxes after an update.
Code:Private Sub lstData_AfterUpdate() '--- whenever a new item is chosen in the list box, display the data in text boxes txtScheme = lstData.Column(1) txtMVol = lstData.Column(2) txtTVol = lstData.Column(3) txtWVol = lstData.Column(4) txtThVol = lstData.Column(5) txtFVol = lstData.Column(6) txtSVol = lstData.Column(7) txtSuVol = lstData.Column(8) txtID = lstData.Column(0) '--- primary key is in the first column (always) End Sub
How do I change the code so it stores the values as numeric rather than text ?
Thank you for any help that can be offered.

Saving Previous Unbound Field Values

Oct 5, 2005

hi

i have a form (A) with some unbound combo boxes which generate a subform (continuous) recordsource and the records output

after i filter the subform, i click on a subform record and open another form (B), and close form (A)

i do a bit of editing on form (B), then i click a button to go back to form (A).

is it possible to open the form (A), with the unbound combo boxes values at the same value as when form (A) was last closed, and as such the subform records output as per when the parent form (a) closed

if this is possible i can then have a button on form (B), to go to the next or previous record on the form (A) subform

apologies if this sounds confusing, many thanks in advance

Forms :: Saving New Record When Moving To Another Record In Same Subform

After entering text in the subject field and then clicking on the close button in the main form, or clicking anywhere else in the main form, the record is saved to the table. However, if I enter text in the subject field and then move up to view previous records (within the subform) and then click the close button in the main form the record is not saved in the table. How can I either save the record before allowing the user to move to another record within the subform or before exiting the subform set the focus to the new record so that it will be saved on exit?

Forms :: Values Populated From A Subform To A Main Form Not Saving To Table?

Feb 4, 2015

I am having a problem with calculated fields that are populated on the main form from the subform not saving to the table the main form is linked to.

I created a Purchase Order table that has information on what emplyee created the record, reason for order, customer information if its ordered for a customer, creation date, eta date and notes while the Purchase Order details table is for information on the supplier, product item number, product name, quantity and cost. they are linked by the Purchase Order number which is the primary key in the Purchase order table. it all looked good so i made the form with the Purchase Order Detail as the subform, i got the form all working great and how i wanted it but then i decided i wanted the supplier name and the subtotal of the cost in the main form populated or calculated by the values in the subform.

I copied the fields i wanted populated in the main form to the subform footer and added the calculation for the subtotal then added the formula to the source code on those fields in the main form so the values would populate. it all worked great on the form and the values populated as they were supposed to so i saved the record and went to look at the tables and i found that while the values in the calculated fields that I populated from the subform showed up in the form they didnt save to the table while the non calculated fields saved fine. i did some experimenting and found that if i delete the code and put the data source back to the table in the form and just type something in the text box it would save to the table but not if i had the code in and let it populate.

an example of one of the codes i used to populate the data in the main form is:

=[frmNewPurchaseOrderDetails subform2].[Form]![txtsubfrmSupplierID]

did i mess up in the code or did i do something to the relationship between the form and the table?

Queries :: Separating Values From Single Column Into Two Columns And Counting Them?

Oct 4, 2013

I have a table that has two columns "Nationality" and "Gender". I wanted to run a query that will Group the nationality and then split the gender column into two columns and after that it will count both gender columns for each nationality. When I posted this question in "Reports" section I got the suggestion to use the SELECT COUNT in SQL. It worked but only for nationality. I couldn't get it work for the Gender column. I searched alot and the only thing I got was the SQL function to split data from one column into two but that also didn't serve the purpose (check the link to see why: [URL]) At last, I went on to create a cross tab query. Selected Nationality as Row header, Gender as Column header and Customer ID as calculation point. And there I got the result I needed. The SQL Code looks like this:

Code:
TRANSFORM Count(Register.[Customer ID]) AS [CountOfCustomer ID]
SELECT Register.National, Count(Register.[Customer ID]) AS [Total Of Customer ID]
FROM Register
GROUP BY Register.National
PIVOT Register.P_Gender;

Crosstab query did the trick..
