Search Form Not Finding All Records Though They DO Exist

What could cause certain records to not be searchable when performing a search?

I have created a pretty simple Search Form that I can look up a record by a Job#, Phone#, or Name. It populates a list of record(s) on the bottom pane using a split-form.

The issue that I have recently discovered is that some records are not showing up when searched, though the record does exist. I can find the record by manually going to a record in the database that is close to the one I’m looking for and then using the previous and next record button to view the record I want.

So if a record exist and has the relevant data for the field that is being searched, why would it not find it? Using the default search built into Access on the bottom record bar, I can find the record using the search criteria I mentioned above.

I also have the Search Form set that if no search criteria is entered, it will display ALL records. Even with all the records shown, these few records do not show up.

Could these few records have a feature or setting that is disabled that needs changed? If so, what to look for at this point.

Forms :: Check / Uncheck Checkbox On Parent Form If Records Exist Or Not In Subform

I have a parent form which has a yes/no checkbox in the form's record source. Then in that parent form I have a sub-form. If NO records exist in the sub-form I want the checkbox to be UN checked. If records DO exist in the sub-form, I want the checkbox to be CHECKED.

But I want this to happen as records are added or deleted from the sub-form. In other words, if the parent form is opened and no records exist in the subform then the checkbox should be unchecked. But as soon as the first record has been entered in the subform, the checkbox on the parent form should be checked. Likewise, as soon as the last record has been revoved from the sub-form, the checkbox on the parent form should be unchecked.

What code do I need to accomplish all of this?

Query Returning Records That Don't Exist!?

Hello all

I had a query which was working fine to tell me the number of weekend bookings for holiday parks for a specified year:

SELECT Bookinfx.[Park Name], Month([Start Date]) AS FilterMonth, Year([Start Date]) AS FilterYear, Count(Bookinfx.[Park Name]) AS Bookings
FROM Bookinfx
GROUP BY Bookinfx.[Park Name], Month([Start Date]), Year([Start Date])
HAVING (((Year([Start Date]))=2005));

However it has become necessary to only find bookings of specific accommodation types so I modified it like so:

SELECT Bookinfx.[Park Name], Month([Start Date]) AS FilterMonth, Year([Start Date]) AS FilterYear, Count(Bookinfx.[Park Name]) AS Bookings
FROM Bookinfx
WHERE ((Bookinfx.Day)="FRI" Or (Bookinfx.Day)="SAT") And ((Bookinfx.Nights)<=3) And ((Bookingfx.[Accom Type])="CHALET/LODGE" Or (Bookinfx.[Accom Type])="STATIC VAN")
GROUP BY Bookinfx.[Park Name], Month([Start Date]), Year([Start Date])
HAVING (((Year([Start Date]))=2005));

Now when I run this, the first problem is that it asks me for the accommodation type, which is odd as I've already specified this in the query. The second problem is that if I enter say 'chalet/lodge' it returns records telling me that there are bookings for chalets and lodges at parks that only have camping! I have trawled through the database to make sure no erroneous records exist and so I know it is a problem with the query.

If anyone can shed any light on what I've done wrong, I would be extremely grateful! :)

Delete Record Only If Child Records Don't Exist

I'm trying to have a button on a form that would delete a record from a table only if there are no child records linked to it.

If there are child records for the selected record, the button would be disabled.

Is there a simple way of doing this?

I have a problem with my database I have a combo box that will search for my record. Actually its working I input the specific number it goes to the specific record. But I want, if there no existing record in my database it will display a Messagebox that "No record Found" I try to put a code in a macro builder in a after update property field but nothing happened.

Expression code that it will display the msgbox if there's no record found.

the given code from macro builder is attached. I try to have an if else statement but I dont know how to not equal that giver conditional expression.

Search Forms - Finding A Contact And Displaying All Related Info

Hi

I am pulling my hair out with what I am sure is a simple task, creating a search form that, when criteria are entered, finds a record and displays related data/results from 3 tables. I have tried every forum and web post I can find but I think there must be something fundamental I'm neglecting to grasp.

Quick background:
My database has 4 tables, Firm, Contacts, Mailout and FileNote
The database is contact-centric (ie, everything is linked to a contact record, multiple contacts are held against firms, mutiple file notes are held against a contact, contacts can be attached to multiple mailouts)
I need to search for a contact record based on multiple criteria (keeping it simple, lets say a combination of first_name & last_name OR first-name & firm_name OR their specific contact ID)
I need a 'results form' (not just a datasheet view) that displays all information related to that contact (i.e. all files notes + ability to create new ones, firm contact information, and mailout history)


I've created a Main form with Firm, Mailout, Contact & Filenote subforms embedded that enables me to scroll through every contact and view all related detail (as above) and add file notes & modify data very nicely. My problem is I can't search, I can only move through each record sequentially. Very handy when we have 4000 contacts!

I realise I'm probably a complete wally but could someone please explain to me the vital steps I'm missing? I've tried unbound fields, I've built SQL queries & command buttons (but results are dumped into a datasheet)....I'm lost.

Forms :: Value Missing When No Records Exist That Meet Filter Criteria

I have a main form with 3 subforms. Each subform is identical except for the value of the filter property. The filter is for the same field, but with a different value for each subform. So, for example, the first subform has a filter of:

while the second subform has a filter of:

[WBS Element]="PPE" And [Period]=Forms!frm_ProjectFinancials!Period

and the third subform has a filter of:

[WBS Element]="EXP" And [Period]=Forms!frm_ProjectFinancials!Period

The recordset for each subform results in a single record with numeric values in each field or no records at all. When the resulting recordset is empty (no records), the bound text fields on the subform display as blank. I want these fields to display 0 instead of blank so I can use them in other calculated fields. Functions such as Nz or IsNumeric do not work since there are no records and the values are neither null nor numeric.

How I can display zeroes in the bound fields when no records exist that meet the filter criteria? Or is there a way that I can dummy a resulting recordset to have all zero values when there would otherwise be no records?

Using Form To Search Records

Hello Friends,
I had a problem with my database although the problem is very easy because I am out of touch I am not able to solve it. I am attaching my databases along with this thread.
I want that if the user enter First, Last or Inumber in a text field in the Form "search". After pressing the button ‘search’ a the form ‘search_results’ opens and displays all data records that match to the entered parameters.
By clicking on the data record the form ‘candidate’ opens with this specific record and the form ‘search_results’ is closed.
I would be happy if someone help me.

Search For Records In A Form Via Combo Box

Dear all,

I'm trying to incorporate a combo box in my form to navigate through records. The plan is to select a piece of equipment listed in the combobox, and that record will then be displayed as an "after update" action.

However, I have tried through coding I have tried before and utilising the wizard to create this combo-box, but each time I get a "Complie Error - Can't find project or library".

The section of code is shown below:

Forms :: Search Bar Is Only Looking At Current Form And Not At Records

I have several forms in a navigation form. On all the forms, the little search bar at the bottom shows # of 103 records. On my navigation form it shows 1 of 1 and won't allow me to search.It would seem that the search bar is only looking at the current form and not at the records.

I am building a search form in my DB. I have got this working by using a text search box on the main form which then links to a subform that shows the results. This works great, however, when the form is first opened, it shows all the records that be searched. Is there any way that I can stop this? I just want the subform to be blank until a search is ran.

How To Search Sub Form Records From Main Form?

The situation is like this:

I am designing a db for a dental clinic. I created 3 tables as follows:

1.T_Patients (P_Code(PK) and other fields)
2.T_Diagnosis (P_Code(Fk), ToothRecId (PK) and 32 text fields for 32 tooth named (UR1 to UR8, UL1- UL8 for Upper left / right Arch and LR1 to LR8, LL1 to LL8 for Lower left / right Arch)
3.T_Pmts (P_Code (FK), PmtRecId(PK) and other fields

I created one main form based on T_Patients tbl and similarly another 2 forms from other 2 tables. In the main form I placed 1 sub-form and 2nd sub-form. Bothe the sub-forms are Master / Child relationship on form over P_Code field in the main form.

Single character length has used for all the 32 text fields in table T_Diagnosis. So only one single B, C, D, F, M could be entered.

Normally we search patient’s profile by patient’s code or by name that displays in the main form. But the client needs to search patient’s record by tooth criteria.

There may many tooth fields in the first sub-form that are null and only some of them with any one of the B, C, D, F, M character. Bcz there is very rare chances of damaging all 32 tooth of the patient.

Now my clients want to search based on the data which are B, C, D, F, M characters. Means once he types C (stands for Cavity) in a search text box then it should bring all the sub-form records that hold value C in any of the 32 fields.

1.How can I do this when the search based on SUB-FORM and not over the main form?
2.The entered criteria value might by in other field also. Like say if entered C then this value may be in any of the 32 fields. So how it would bring all records?

I am confused how to do it. I attached a pic of my form for your ready ref. :confused:

I would really appreciate if somebody could help me.

Finding Duplicate Records

Hello

I've had to export data from an old third party database to Access with the task of reporting on the data. I have a client table and work tables, one for each year going back to 1992. In the original database, the clients do not have a date of when they were set up. I need to find out how long clients have been with us, so I thought of going back through the work tables 2006 to 1992 and finding out where they first occurred, by looking for duplicate records in the tables. Is this a simple enough thing to do? The client table and work tables are linked through the field Client.

Finding Records Between Dates

Hello, i need to have my database find records that were entered between two dates. To do this i made a query that included the dates the records needed to be in between....[date1] and [date2]. Then i had the record dates be called [sent date]. i made my query and in the criteria for [sent date] i wrote
(Between [Date1] And [Date2])
when i enter the two dates [date1] and [date2] the query does not show the records that are between that date. why is this happening? is there and easier way? another way?
For example, say that i have records with their [sent dates] equaling 12/30/2004, 1/1/2005, 10/1/2005
i want to make it so that when the user inputs a records with dates [date1] and [date2], that those records will show up if their [sent dates] are between [date1] and [date2]. if [date1] is 1/1/2003 and [date2] is 1/1/2006, all of the records will show up.
if [date1] is 12/31/2004 and [date2] is 1/3/2005, then only the record with the date 1/1/2005 will show up.
how can i do this?

It's combining data from 2 system Identified by E or L. The data is similar but not exact & I'm comparing it using the description. What I need Access to do is find the record that doesn't "zero-out". In the example above the record it should pull is the last one "Kroger $389.74". How to do this but I do have a query/report that will subtotal based on the LOC-RC field.

All using access 2010. Here's the situation. I built a searchform according to datapigtechnologies video. Used a query with criterias on fields i want to search on the form: ex.

It worked fine i thought until i ran the same query outside the form without the criteria field. I filtered the query for the same result and the one used on the search form did not return all data records for that particular result set. Ex. on the searchform; I select the fields I wanted to filter then ran the query. I come up with only 9 records when it should be 18 I get with running the exact same query without the criteria and manually filter the results.

have set up a navigation form which contains 5 unbound subforms that are made visible or not visible thru the on click event of command buttons on the main form, the subforms have a command button with an embedded macro that searches for a record based on what has been keyed to an unbound text box on the subform, this works fine when the sub forms are opened independently of the navigation form but when the search is done from within the main form, the error message is, "....cannot find the referenced from frmAQIFAList" subform, I tried referencing the main form name infront of the subform name but this also doesn't work, perhaps this would be better with code ? or is it because the subforms are unbound ?

Queries :: Search Form That Fetches Records In Nested Tables?

I have three tables, tblPeople, tblAddresses and tblVehicles. I have a form called frmPeople that shows a single person record, and has subforms with the list of addresses and vehicles for that person (each record has several). I want to create a single search form with each of the fields in my tblPeople, tblAddresses and tblVehicle tables, and allow the user to type anything into any of the fields on the search form, and have the search form fetch records that match.

So far, I have the query built, and the tables all linked the right way (I think), and I have all the search fields coded. And it works GREAT... except for this one little issue: If I do a search, and I put "Smith" in the last name field, I will get several Smiths in my search result, one for each address and vehicle combination. In other words, if I have ONE Smith in the table, and two vehicles and two addresses for that Smith, the query results give me FOUR Smiths! One with Vehicle1 and Address1, one with Vehicle2 and Address1, one with Vehicle1 and Address2, and one with Vehicle2 and Address2.

What I would LIKE is to have ONE record in the query results, and that record shows me that one Smith. And if I then search for "Plymouth" in the VehicleType field, and I have Smith in the name field, I'll get ONE record, and it will be the one of Smith with his Plymouth (Vehicle2).

Here is how my query looks right now (this one ONLY has the last name and vehicle search function to save space), and this is the one that gives me multiple results (which I do NOT want, unless multiple PEOPLE match the search criteria):
