Select X Number Of Most Recent Records

I have been tasked to determine the actual cost to build a product by summing the cost of the most recent required components to come off of our assembly line. For example, say I'm trying to determine the cost of a car with multiple sub-components (1 engine block, 4 doors, 4 wheels, 2 headlights, etc.). We make parts for all kinds of products (cars, boats, televisions, etc.). All of the data for ALL of these parts are contained in a table called PART_DATA (i.e. part ID, date started, date finished, hours spent, etc.).

Then I have a list of parts required to build a certain model car in a table called CAR_PARTS_LIST. This table contains data like (part ID, quantity needed, etc.).

If I want to know how much it would cost to build a car using the most recent car-part data, I need to pull data for the most recent required car parts to come off the assembly line that are required for a single car. That is, my car needs 4 wheels, so I need data for the most recent 4 wheels to come off the line.

How can I write a query for the "4 most recent wheel records" given that "4" is specified in the CAR_PARTS_LIST?

Find Most Recent Invoice And Most Recent Funding For Client

Hello all

I'm sure the answer is on here somewhere but trying to find it and then getting it to work is a bit of a problem, so i resorted to posting.

I have 5 tables
Partnership Details, Invoices, Funding, Communication, Communication Types.

the field Partnership Name in the Partnership Details table has a one to many relationship with the partnership name on tables: Invoices, Funding and Comunication.

What I want to do is create a query that will show the most recent invoice (detirmined by date) and the most recent funding (detirmined by date) for each partnership.

I can do this using max if I only want the feilds Partnership name, invoice date and funding date. however I want to create a report that will show several feilds from partnership details and I want to show the invoice no. and amount as well as the date and also the amount and notes field for funding

Is anyone able to help?

Display A List Of The Most Recent Records

hi. i would like this to happen....

i have a database where jobs are entered and the date and times of the jobs are kept in separate Date and Time fields.
to enter a date the user uses this method "30 12 05" and to enter a time like this "21.30"

i would like a query that will display the 10 most recent job additions according to their respective date and times. however, it will not be enough simply to view these records in a report.. what would be ideal is if the 10 records are opened.. in their original form format (goto next record...previous...(1/10...5/10) and the fields are editable like in the default job entry form. this is because after a job record has been added, maybe 20 or so minutes later, that record would need to be retreived as the last bits of information for that record will have been established.

how can this be acheived. i am clueless at the moment, so if there is a solution even resembling this scenario that would be ideal. (if a filter is going to be used...it can be either the 'date' or the 'time' fields, ideally though the query would use a combination of the two to retreive a more exact date to filter the records by)

Hello All,
I've searched and searched and can't find anything but it might be because I'm not sure what to search for.

Here is what I'm trying to do. (I'm simplifying this to make it easier to discuss)
I have a table that looks like this:
Company Date Sales
1 5/5/07 $1,200.00
1 6/5/07 $4,200.00
1 7/5/07 $2,200.00
1 8/5/07 $4,300.00
2 5/5/07 $1,200.00
2 6/5/07 $4,200.00
2 7/5/07 $2,200.00
2 8/5/07 $9,200.00
2 9/5/07 $1,200.00

I need to run a query that grabs the last 3 months for each company.

So the correct output from the above table would be:
Company Date Sales
1 6/5/07 $4,200.00
1 7/5/07 $2,200.00
1 8/5/07 $4,300.00
2 7/5/07 $2,200.00
2 8/5/07 $9,200.00
2 9/5/07 $1,200.00

Any help would be appreciated. I'm sure this has been asked in the past so even if you could help me with a keyword to search for, I would be greatful.

Reports :: Select Most Recent Record From A Table That Is Linked To Another Table

I have a basic database design, well I think so anyway. It only has two tables:

1. tblClientInfo
2. tblNotes

Basically each client has multiple notes/comments that can be linked to its record, hence the tblNotes table. The two tables have a one-to-many relationship, being that each customer can have many notes.

I then have two forms:

1. Claims Loss Form
2. tblNotes_DatasheetSub1

So I can enter multiple notes for each customer. The problem I am having is with the report output. It wants to print every note (record) that is linked to the customer. I just need it to print the most recent note for each customer (It would save a lot of wasted paper).

Example of a print out of what it is doing:

John Doe - 123 Easy St - Notes 1 (Most Recent Note)
John Doe - 123 Easy St - Notes 2 (Previous Note)
John Doe - 123 Easy St - Notes 3 (and so on...)

It is printing duplicates of the same customer by adding the additional notes for that same customer on a new line.

How can I tell it to only print the customer one time in the report, and most importantly, to only use the most recent note that is linked to the customer?

I tried using DMax("NoteDate","tblNotes"), but this only returns one customer with one note. I need it to do that for each and all customers.

I have successfully ran a subquery (two queries with one linked to another) by following detailed instructions from this page I found: [URL] .... It works, but the problem is it only shows the latest date for each note, not the actual contents of the note. I feel so close with this option, but so far at the same time.

The TOP n records per group looks promising that I found here: [URL] ...., but I honestly don't know how to implement it correctly in my SQL. I am very much still learning Access and apparently have stumbled into something that is much more complicated than I had originally imagined. I just assumed I could filter the duplicates out, or tell access to print the last or most recent note record for each customer.

DIFFICULT - Returning Two Most Recent Records On One Form Line

This is a toughie (i think so anyway!). I'll attempt to explain!!!

I start with a CONTINUOUS form in my DB that shows all readings for a single given customer's connections. E.g. Customer A has 5 connections and each connection has say 3 readings. Thus this query which uses joins between the Customers, Connections, and Readings tables, would return a list of all readings for each connection, so in the above example: 1*5*3 = 15 records.

Not too tricky so far, but then what I want is for each connection to have just one line showing the latest reading (easily achieved by use of SQL Aggregate Max function on the date field coming from the readings table) TOGETHER WITH the last-but-one (next most recent) reading. So back to the example taking Customer A's connection 1, the row would be as follows:

Cust Conn CurReading PrevReading
A 1 750 500

Where the CurReading value (750) comes from a different record than PrevReading (500).

I've tried all sorts of ways (subqueries etc.) to achieve this without success. The main problem being that any sub query would require parameters from the current record's fields, which seems not to be possible. Can anyone help or is this simply not possible in MSAccess Forms. If it isn't possible anyone have any suggestions as to an alternative way?

Filter Query - Report To Only Show Records With Most Recent Date?

I am having trouble getting a query or report to show only the most recent data.

We have salesmen that use a handheld data collector scanners to count inventory in stores. The scanner data is imported to a Access table. Each record line is one scanned item. I have a query with totals that counts the records and gives me a total count of each item at the store on that date.

I then need to filter the data to only show the most recent date. Using Max Date I get the most recent date but the count fields are showing totals for all dates. I am also getting the unique item from the earlier date in this query which I do not want.

Here is my data table: Inventory Scans from stores.

Forms :: Auto Generate File Number Based On Number Of Records In Year

I have a form [IUDATA]

I have a add record button.

I have a date field [DATEIN]

I have a text field [DRPNO]

If the [DPRNO] field is empty, I would like the user to have the [DPRNO] field be automatically populated after the user enters a date.

I'd like the format of [DPRNO] to be "dpr YY-XXX"

Where:
YY is the year of the [DATEIN] field and
XXX is number of records in that year.

So for example, if it was the 4th record with a 2013 date the [DPRNO] would be dpr 13-004.

Report Prints The Same Number Of Times As The Number Of Records

I've created a report and report has the same number of pages as the number of records that it's displaying.

If there are two records, the report has 4 pages...the first 2 are the actual report and then the other 2 are a copy. If there are 3 records, the report would have 3 copies (...6 pages).

Any idea how to change this so that I have only one copy of the report?

Select Highest Number And Update

This database is for a livestock show that I have been working on for quite some time now. This specific 'section' is for the Supreme Competitor award, in which points are given for the showman's placing in showmanship, ONE highest placing animal in market classes, ONE highest placing animal in breeding classes, and the showman's score on a quiz. I'm having a problem assigning 'points' for a single highest placing animal in market and breeding classes.

I would like to create a query/s that selects all animals shown by an exhibitor in a market class, then take the highest placing animal that the exhibitor had and award (update the livestock table-points field) points for a single animal. This is fine until one exhibitor has MORE than one animal that received 1st place. How do I go about telling the query to just pick one, lol... it doesn't matter which 1st place animal it selects to award the points... just as long as only ONE animal is updated and not all of the exhibitor's animals that received 1st... Then do this again to select one highest placing animal from the breeding classes.

Here's a little outline just for visual sake:

Market Classes

Name Tag No Class Placing <points field update>
Sally Johnson 100 1 1st 10
Sally Johnson 101 2 1st
Sally Johnson 102 3 1st
Kim Smith 200 1 2nd 5
Kim Smith 201 4 2nd

See where Sally received 3 1st places, but only one of them is selected to be updated, and Kim received 2 2nd places (her highest placing) and only one is updated.

Assigning A Combo Box To Select Machine Number

I have a query which is currently using a prompt box to ask the user to input a machine number. This is run from a button on a form. Press the button and the prompt appears .I would like to now do one of two things either make a form with every machine number on it or use a combo box to select the machine number. My problem is that I don't know how to get the combo box or the control button to link to the individual machine number.

Table Select Field Shows Up As A Number To Text?

I have a KidShop table that shows the Diagnosis for the person,there are 5 diagnosis fields because one person could have up to 5 Diagnosis and each field is a lookup from the diagnosis table.in the report they show up as the ID number not and not the text.

I inserted Diagnosis from the Diagnosis Table and a window popped up asking what Diagnosis from the Diagnosis table matched in the KidShop Table and gave the selection of Diagnosis 1 or 3 or 3 or 4 or 5. I could only select one and I selected Diagnosis1 in the KidShop table and that showed Diagnosis as text for the Diagnosis1 field but the other 4 diagnosis fields still show a number. I understand what that did but it does not give me the option to match Diagnosis 2,3,4,5 to diagnosis Table. If I changed the Data source for the other 4 to Diagnosis then only Diagnosis1 shows up it the other 4 fields which makes since.

General :: Select Item Number From Drop Down Box To Create A Report

I'm currently working on fixing an older 97 database that I've updated to 2010. I have just populated the Drop down box with about three fields. Ideally what I want to do is after having selected the item number from the drop down box I then hit the button that creates a report with the information about that item number.

At the moment...If the box is blank it reports all the item numbers, however if i fill the box(select an item) it returns nothing i.e the report is blank.

I've looked at the query that builds the report, there are only three fields that populate the. location, part number and description. from a tbl called MainDetails

the only other thing:
If([Forms]![frmReports]![FLoc] Is Null,[FUNCTIONAL LOCATION] Is Not Null,[FUNCTIONAL LOCATION] Like [Forms]![frmReports]![FLoc])
it has a criteria of <>False
*FLoc is the drop down box *functional location is the location field.
I believe all the above does is populate the report if Floc is empty.

What can I put to make the report generate what ever I pick in the drop down box 'FLoc' source the three fields from the 'MainDetails table'.

Hi all, i have a 2 fields in a subform named "HRS_ABSENT" & "ABSENCE_REASON" i'm trying to create some code that will display a message if the user inputs any number into the "HRS_ABSENT" field & leaves the "ABSENCE_REASON" field empty. I want to force the user to select a ABSENCE RESON (these are 3 letter codes) from the drop down list, if they enter a number in the HRS ABSENT field. Ive tried the below code but it doesnt do anything :-(

Anybody please help me out?

Appending Records With A Desired Auto Number In A Table With Auto Number

Here is my issue. In a table with an Auto Number index some records have been deleted. I have been able to recreate them along with their original auto number. The problem is that I do not know how to append these records forcing the original auto number. I have tried changing the auto number field to a number field in the table, this works except I cannot change it back to auto number.

I am sure I’m not the first with this question or issue. I did search through a couple hundred entries about auto number before I posted this question.

My question 'sounds' easy, but i can't think of a way to do this. Please help!

Ok, i have an 'employee' history table with 200K records. Each employee could have multiple records with different 'effective' dates(please see below for an example of two employees' records). What I want to do is to run a query where it will pick up ONLY the top TWO records of each emplyee. How would I go about doing this?
