Size-changing Fields In A Report
Dec 11, 2007
I've asked this question in different forums before, and though some people say it can be done, I have not found anyone who is successful yet.
I have a report that puts down a person's address, however the address information is stored within the database in separate fields ('Address', 'City', 'State', 'ZIP'). The issue I have is with the City/State/ZIP. Some city names are longer than others, is it possible to have the fields adapt to the different word lengths.
Say the address is, Albany, NY 10023. The database would output this alright, but then if the city name is San Francisco, CA 94143, the fields are in disarray.
I have the same issue with names. Last name and first name are stored separately. I would like to display Last, First. My workaround has been to right-align the Last name, and put it adjacent to the left-aligned first name field. This works unless the person's last name is very long, disporportionately from the first name, in which case, it looks very much off center in the overall report.
Any help would be appreciated.

I created a report from a query and there is many fields therefore it made the report 22" wide. I rearranged the fields with in 8" but in the property field when I put 8 in there it does not change and it goes right back to 22". in print preview there are 6 pages and only 3 with info showing the other 3 are the extra width of the report.

My student is doing a project on question paper generation in which he selects questions from each lesson needed and also some of these questions have images associated with them. So, if these questions are selected, the image control in the report displays it.
If there is no image, the space for the control is left in tact. I tried changing the visible property for the image control in the Detail_Format event procedure. But this code is not reached at all and the space is still left. I am not storing the image directly in the field but its path in a text field.
I want that the space occupied by the image control removed. I tried the suppression thing but obviously it did not work.

A quick design question here,
Is there any code that you can add so that you have your main form open to maximise and your subform adjusts accordingly ?
My database is used by a number of users, some use 1024x768 and some use 1280x1024. I want the main form to maximise when loaded but I would also like to get the subform to adjust its size accordingly (avoid a thicker border around the edge of the main form)
Alternativey, is there a way to get the DB to detect what the screen settings are and have an IF statement when loading the form ?
Many thanks
MattP

I have a report that prints labels (similar to avery labels) which pulls data from a query. These labels are all unique and vary in length. Due to the length variance, I want the font size to get smaller for labels with more characters. I want the text to go down to another line when necessary.
In my report under the OnPage Event Procedure I wrote this:
Private Sub Report_Page()
If Len(Text2) > 20 Then Text2.FontSize = 8
If Len(Text2) > 10 And Len(Text2) < 21 Then Text2.FontSize = 10
If Len(Text2) < 11 Then Text2.FontSize = 14
End Sub
This works to some degree but the problem is that once there is a longer label, all of the proceeding labels are resized & the longer label that should have been resized was not.
Is there another place I should be writing this code? I looked under events for the textbox but there doesn't seem to be anything that would work since none of them would trigger when printing labels

Basically in my order details table i have the following fields
Product
Unit
Size
At the moment i have the Product field with a dropdown that gives me all the products from my ProductT. But once i choose the correct product in the unit field it gives me all the possibilities of every product not just the units associated with that product. ie
ProductT
Grasshopper Box1000 Adult
Grasshopper Box1000 Subadult
Worm 10pz Big
When I select the grasshopper product and move on to the unit field i also get "10pz" option but this is not a product available.
How do i set up validation of the fields Unit and size based on another fields data?

I have a database of 700 or so records each with a image filename (the images are about 75kb). When I make a report from these records including the images it takes a long time, but eventually it creates the report on screen with all the images. However when I try to print the report the images are not there.
Is it just that the spool file or is it a limit in access?
Would adding memory to the printer help?
Thank you for your help

My Access 2010 application has many reports. On almost every report, the user can select a new paper size. This paper size is remembered, so the next time the user selects the same report, he no longer have to set the paper size (I guess this is the default behavior for Access programs). One report does not behave properly. This report is a LEGAL size report. EVERY times the user selects this report, it prints on LETTER size, so the form is split in two pages. If the user selects teh LEGAL size paper, it works, but the next time the report defaults back to LETTER size paper.
I checked everywhere in the code, nowhere the paper size is set. In development, I selected the report, I changed the paper size to LEGAL, I ran the report. The next time I check the paper size of the report, it is back as LETTER size. After my OpenReport statement, I tried manally setting the paper size with "Reports(xxx).Printer.PaperSize = acPRPSLegal" but my report still defaults to LETTER size paper.

Not sure if this is a Table question, a General question or what exactly. I'm working with a lot of records (millions of them). Assuming each record/field contains identical data, I'm wondering which would result in a larger overall DB size:
- 10 million records, 4 fields each
- 30 million records, 2 fields each
What I have is a table something like this:
Record No./Attrib1/Attrib2/Attrib3 (~10 million records).
I could make it Record No./Attrib, which would have roughly 3 times the number of records. I say roughly because not all Attrib have values (currently zero filled but would be eliminated).
I'm hitting the maximum size for an MS 97 database (1 GB), so I'm looking to do whatever possible to stay small.
Any input/suggestions would be appreciated.
Thanks!

hi
very simply i am trying to print out a report that is comprised of 1 main report and 2 subreports with 1 image per page; all together on 1 page. i can print out 20 records maximum before my computer memory [or the printer memory] becomes full and the printing stops. the same happens if i try to do a snapshot.
what i need is some vb coding so that if my report is over 20 records long, the vb coding will print-out [or snapshot] the first 10 records, finish those records, then carry on with the next 10, and so on untill all the records have been printed.
is this possible??
any help appreciated
thanks

I am creating a large report and I have reached the limit of the report page height at 55cm. Is there a way to change this value to 100cm or more.
It seems rather silly to put a limit on the size of a report.

Hi
I really need help with this. I have a database that is quite large and is accessed through VPN. When I shrink and compact the database it goes to a respectable size. But over time everytime a report is previewed the size of the database grows. Or every access it grows to double its size in no time at all.
Any ideas... on what would make it grow and how to stop it.
Thanks it is appreciated.

I have now a report that span around 2 pages. It has subreports in the report that depening how many rows there are they can grow or shrink.I have the problem that the second page the top margin is to close to the top of the pager. The paper has a logo on the right top side. I can make the first page look nice under the logo, but the second page prints to close to the edge that prints over the logo. I did add a page break, but when the page 1 has more data, it flushes this to the next page. The page 2 is now page 3. How can I avoid that, or make it so that the margin of the second page/next page is on the correct lenght of the top. I tried it with the page setup, but it does not work.

I have a form which gets information from the user and upon pressing a button I produce address labels for the user. The form calls a report which does the job. This works. Now the user would like to have parameters like fonttype, fontsize and fontcolour together with margins, row and column space so that the output can be better tailored to his needs. I have inserted combo boxes on the form to get these parameters from the user, but how am I going to insert these parameters in the report layout through programming. What should be the approach?

I have always noticed that when creating a report, when you make a paragraph using a label, the alignment and size of the text/paragraph is always different when you preview the report than when you design it.
This makes alignment of paragraphs tricky, especially when you are trying to insert a bold faced word into the middle of a block of text by using a separate label.
I am using Access 2000

I have a landscape oriented report which is A4 size. When I select Landscape in print preview the result is cut off on the right. In the form's design mode I get a little green triangle on the top-left which tells me that the form is wider than the page size. Is this because I am using a default printer with a portrait setting?
I want to avoid having to change the default printer for each different form orientation. I am printing to a pdf printer (pdfCreator which doesn't appear to have a landscape output setting) while testing my design so as not to waste ink & paper.
I am using Windows XP SP3 with Access 2007.

Hi Everyone
I need to change a fields properties on a form depending on another fields data.
i.e. If a user ticks a Yes/No box saying they've done something they must also complete the date they did it. I can't set the date field in the table to be 'Required' as if ther is no tick then it doesn't need to be.
Cheers

Hello all...
I have a problem with a single query I have build in Access 2000. Basically, I have a normalised database structure to 3NF. I have a table called Data, a table called Reports and a table called DataReports which cotains the primary keys from both data and reports which are named Data_ID and Report_Id.
Basically, what is happening is I am building a query that returns a record from DataReports using the Data_Id field as criteria as this is held on a form. I create a one to many relationship from the Reports table to the DataReports table using a link from one Report_Id to the other. I save the table and it works fine...once only!! The query is used to feed a list box on a form. The form loads correctly but when I go back into design view to make a change to something else on the form and then go back to form view, I get Data Type Mismatch error. When I look at the query, Access has changed the link from the Report_Id --> Report_Id to Report_Id --> Report_Title which is the next field down in the Reports table. Because all ID's in my database are Autonum's it is trying to link a number to text so I understand why this would not work but I dont understand why on earth access is changing my links. It is very frustrating. Could anyone help me please.
Thank you kindly..
Gareth

Help needed: Large Yes/no tables!
I have a form with names of employees, and different skills that employee has.
It is listed in a form as columns with the employee name in rows, and columns for the skills. The form is in fact really great, but I see that the solution might bring problems in the future because of maintainance issues, and field limitations. I add fields frequently, and the table is growing without me beeing able to control it.
I have organized this in only one table, and used the name of the skill as a field. There is many other tables in the DB, but none of them covers this area.
exampletable:
employeeID | auto
employeename | text
Hireddate | date/time
Fireddate | date/time
baking | yes/no
cooking | yes/no
driving | yes/no
juggling | yes/no
With this solution I get the skillname as a heading, and the name as a column with lots of yes/no values. I love the filter functions, and the form is quite nice...
exampleform:
Employee baking cooking driving juggling
employeeeID1 yes no no yes
employeeeID2 no yes yes yes
employeeeID3 no no yes yes
employeeeID4 yes yes yes no
and so on.
Is there a way to organize this so that the skill name comes in the top row, the results get listed as shown above when the skill is placed as a field value, not a field itself?
I have looked for a solution with many-to-many relations with 3 tables, but cant seem to make it work right. It is especially the form I have trouble creating with the new design.
I have also tried to make crosstab queries with minor success.
Does anyone have a suggestion on how I can make the relations work.
One employee can possess a great number of different skills, and the skill can be possessed by a great number of employees. This is not a difficult issue by itself, the problem is to make the form as shown over.
Thank you, in advance.
