Subforms Not Showing If Record Blank

Sep 23, 2005

Have a strange problem. I've created a form with multiple subforms and if there is a record for the subform to display everything looks fine. However, if there is no record for the subform it does not show anything on the screen or if printed.

I would like for the fields on the subforms to show no matter what but I can't figure out why it doing this. I've checked the display parameters and everything is set right.

How do I make the forms show no matter if there is data to display?

Any help is greatly appreciated -

Thanks

Subforms Showing Continuous Forms

May 24, 2006

Greetings all,

I have a question regarding subforms that are set to show continuous forms and how they can relate to each other. I have attached a jpg of what i'm trying to do, you may want to open it so you can follow along with what I will now explain.

I have 3 subforms on a main form. The subform on the left shows high level info. A user would find the record they want in the subform on the left, double click, and that would in turn populate the two subforms to the right.

My question is how do I reference the name field in the record selected in the left subform , for criteria purposes in the queries for the right hand subforms? I thought maybe using the bookmark property but that hasn't worked.

Any help would be greatly appreciated.
TIA,
Tim

Not Showing Blank Values On A Report

May 3, 2005

Hi,

Each client has either an entry with a correspondence number or a notes number. So, the table would look somewhat like this:

Client: 333, Correspondence: 1, Notes: Blank
Client: 333, Correspondence: 2, Notes: Blank
Client: 333, Correspondence: Blank, Notes: 3
Client: 333, Correspondence: Blank, Notes: 4

How would I make a report that will make it look like this

Client: 333, Correspondence: 1, Notes: 3
Client: 333, Correspondence: 2, Notes: 4

Thanks! Hope that was clear.

General :: Showing Blank For 0 Text Value

Jan 13, 2014

I have a report that is based on a query I have made. It currently shows the values as kept in the table. It is for a MAR sheet. Here is how it looks...

Breakfast 0
Lunch 0
Teatime 2
Bedtime 1

I want it to show blank for each 0 that is shown. I have tried an Iif statement to do this but it doesn't seem to work.

Combo Box Showing Blank Values?

Nov 24, 2012

I have one combo box bounded with two fields, Id and Description through a query.

I entered a new id in bonded table but for some reason I don't want to enter description now.

And if I delete the entered id then I will loss that unique id which is using for description, which I don't want.Now the problem is one blank space showing in my combo box.

So what criteria I should use in query criteria to avoid blank spaces?

Reports :: Calculated Field Showing Blank

Feb 11, 2014

I'm working with a report that totals the number of times a topic is returned from a query. If a topic is not returned at all, i don't want it to show at all. Currently it is showing a blank field for that topic name and blanks in the count as well. Here's the filter i've put in to pull the right data out of my query: =Sum(IIf([Caller Used Resources]="No",1,0))

Forms :: Subforms Randomly Adding Blank Records Not Clearing Fields

Sep 18, 2013

My subforms are randomly adding blank records and one subform I would like to stay blank repopulates with data, though not necessarily the most recently added record. Both of these seem to happen when I navigate to other main records in the database and then return to this page.Using Access 2013, I have a large form with 10 pages. On one of the pages, I have two subforms. This is set up to gather many-to-one data. The top subform is my data entry form with three fields (two combo and a text) and a command button. The bottom subform is a datasheet displaying the three fields.

The two combo boxes are cascading, and they work great. The text box is there to collect additional info for each selection.
The command button works to

1) save the record,
2) requery both subforms in order to display the new data on the datasheet,
3) clear the combo and text boxes, and 4) set focus back to the initial combo box. It all works!

But then when I leave that main record, the horror begins: blank records (from the "many" table) show up on the datasheet and the data entry fields do not stay blank. I suspect my problem is in the command button. I added this code to the OnClick for the command button:

Code:

Private Sub addMinistryItems_Click()
'save record
If Me.Dirty Then Me.Dirty = False
'requery both subforms
Forms![BCD MAIN 2013]!Child572.Form.Requery
Forms![BCD MAIN 2013]!Ministries1.Form.Requery

[code]....

Queries :: Records Not Showing With Blank Numeric Fields

Jan 27, 2014

I have a query which selects a material ID and material name from one table and the associated manufacturer, supplier, and packaging type from three other tables. Some of the manufacturer, supplier, and packaging data were imported from an Excel spreadsheet and did not have data for those fields, so those fields are blank. When I run the query, I only get the records which have all fields filled out. How can I get the records where the material ID and material name are filled in, but the manufacturer, supplier, or packaging type are blank? Here is the query I'm using currently:

Code:
SELECT tblMaterialSpecifications.ID, tblMaterialSpecifications.Critical, tblMaterialSpecifications.MaterialSupply, tblManufacturer.Manufacturer, tblSupplier.Supplier, tblPackaging.PackageType
FROM tblPackaging INNER JOIN (tblSupplier INNER JOIN (tblManufacturer INNER JOIN tblMaterialSpecifications ON tblManufacturer.ID = tblMaterialSpecifications.ManufacturerID) ON tblSupplier.ID = tblMaterialSpecifications.SupplierID) ON tblPackaging.ID = tblMaterialSpecifications.PackagingID
WHERE (((tblMaterialSpecifications.ActiveInactive)=-1))
ORDER BY tblMaterialSpecifications.Critical, tblMaterialSpecifications.MaterialSupply;

Showing Subform Based On Whether Or Not A Field Is Blank Or Null

Sep 15, 2015

I am trying to show a certain subform based on whether or not a field is blank or null. This database is not owned by me--it's what we use to run queries and reports on the data on a centralized server for the library. It's not even in the same city--so changing the tables is not an option for me.

So, I have a subform (subform1) that is linked to the main form based on 2 fields (BibID and Item_Enum). The trouble is that the second field (Item_Enum) is sometimes blank, so the subform will not display. So I created another subform (subform2), which is a duplicate of the first one, but this time only linked on the first field (BibID). So, if that second field (Item_Enum) is blank, I want subform2 to display and subform1 to be hidden. If the second field (Item_Enum) is not blank, I want subform1 to display, and subform2 to be hidden.

I've tried putting the VBA code on different events for the form, but I can't get it to work consistently.

There are two problems, one of which I think I have fixed--but I would prefer a better solution. The VBA code doesn't run unless the form is newly loaded. I've tried placing the VBA code on different form events, but nothing works. I want the code to activate whenever a new record is displayed. The work around is that the form IS newly loaded every time the user scans a barcode for a new book. That works now, but if I need to change the way the user looks up new records, this might not work anymore.

The second problem is that the VBA code doesn't display subform1 when Item_Enum is blank. It doesn't display subform2 either, but that's the desired result.

Private Sub Form_Load()
If Me.ITEM_ENUM = "*" Then
Me.subform2.Visible = False
Me.subform1.Visible = True
Else
Me.subform2.Visible = True
Me.subform1.Visible = False
End If
End Sub

I've tried changing the condition to Me.Item_Enum = null, and changing the false/true results accordingly, but that didn't work either. In that case, only subform2 is visible, whether it should be or not.

Combo Box Filter In Subform Showing Blank At Form Opening

Feb 26, 2015

In the Purchase Order details form a Supplier has to be chosen via a combo box. Based on that another combo box in the subform displays products only from this supplier (Products table is linked to supplier table).

I managed to let the subform combo show only relevant products using criteria referring to the main form combo box. Also other product data will show accordingly in text boxes. So far so good.

However when I close the form and reopen it the subform combo box is blank, other text boxes still show the right values. If I remove the filter criteria for the subform combo then all fields show all data correctly. (However the combo box is unfiltered again 8-/)

So somehow the 'criteria' prevents the combo to show the value that was previously chosen.

Forms :: Added Extra Tab - Form Showing Blank In Design And Layout View

Mar 30, 2013

My form was working fine but when I added an extra tab it started showing as completely blank in design view. When I deleted the tab I had added I still was left with the same problem!

I've attached an image of the form properties. I want to use the form to enter data so it needs to show even if there are no records.

I had read that it could be if there is no data but typing data in the tables hasn't worked either.

Check Data On Leaving A RECORD- Record, Subforms And All

May 24, 2005

I have an application that enters candidates in, who apply for a job.

I found that I can enter a candidate in, and if I dont enter at least an address type or phone type ( giving that candidate an address record, albiet a blank one (just a type of address) and a phone record) then the candidate wont have a sub record for addres or phone at all.

This is hurting my reports. They are set to pull the primary address and phone only, as we dont need to have 2-3 contact information for a candidate on a report This is how I found out that I had blank address and phone for some test records. I need to be able to check when a person does a number of things, that at least the combos for phone type and address type have been chosen as something. This will ensure that they have a primary address and phone, as I have code that takes care of all that. I tried putting the following code in the form's before update, but since it is calling to a subform, the minute I tab TO the address combo, I get the message. The form is updating before I get the chance to skip the field.

Here is the lay out. A user can enter in candidate, their address, phone, application and activities. Address, phone, applications and activities are all sub reports on a tab control. The user should be able to move freely within any record, and only be bothered when they try to leave, if important information is still empty. I dont want to control how they enter ('you must enter this first!' lol) just that they do enter it in the end.

What I want to do is check when the user is leaving a record.(closing form, going to another record, clicking the search button that opens another form etc) if either combo is empty (no primary contact info) then it gives the message and goes back to the combo that is empty.

Here is the code I have. If anyone can help me find the right place to put it, I would really appreciate it. Thank you,

If IsNull(Me.[subAddressEntry].Form![cmbAddressTypeID]) Then
msgbox "You must enter an Address"
Me.[subAddressEntry].Form![cmbAddressTypeID].SetFocus
Cancel = True
ElseIf IsNull(Me.[subPhoneEntry].Form![cmbPhoneTypeID]) Then
msgbox "You must enter a Phone"
Me.[subPhoneEntry].Form![cmbPhoneTypeID].SetFocus
Cancel = True
Else: Cancel = False
End If

If I can't figure this out, I am thinking of making a new address type and phone type. Call it "none chosen" and then make that a default selection. Then one would always be chosen...I think. I would like to avoid that though.

Thanks again.

Forms :: Double Click Event - Form Showing 1st Record Instead Of Selected Record

May 8, 2014

I am new to access and I recently encountered a double click issue

My form loads perfectly on double click event but it shows the first record instead of selected record.

My search is based on a PersonID but each PersonID has different WorkID that I wish to display on double click but it always shows the first WorkID instead of my selected record

I have tried changing the filters in the form properties but it still doesn't work for me.

Here's my code:

Private Sub SearchResults_DblClick(Cancel As Integer)
DoCmd.OpenForm "WorkForm", , , "[PersonID]=" & Me.[Searchresults], , acNormal
End Sub

[Searchresults] draws information from my Query

Query information:

PersonID... WorkID... Type......Location
1234..........1............Paint .....Address A
1234..........2............Electric...Address B
1234..........3............Floor..... Address C

Modules & VBA :: Event Information - Deleting Record Creates A Blank Record

Sep 8, 2013

I have a form set to the table Client Information with a subform set to the table Event Information. Client Information has a one to many relationship to Event Information.

There is a button that deletes the current record in Client Information--also deleting the related records in Event Information--then closes the form. The code works fine but a blank record in Event Information is apparently being created before the form closes.

Here's the VBA that I'm using:

Private Sub CmdDelReturn_Click()
Dim CmdDelReturnMsg As String
CmdDelReturnMsg = MsgBox("Delete event & client then return to front?", vbYesNo + vbDefaultButton1, "Delete and Return?")

[Code] ....

It's not a big deal because the button won't be used often and I can manually go into the table to delete the blank record. But if there's a simple solution to prevent this that would be nice.

Add Data From Two Subforms Into One Record.

Sep 9, 2005

I have two subforms on a tabbed page. Both subforms read/write data from the same table. The first subform is in dataset view and consists of 5-6 fields on the line containing class information. The second subform consists of two memo-type fields where users can enter comments. The fields from both subforms should be written to the same record in the table. The problem is that
the information from the second subform is being written to a different table record; it is creating a new autonumber. The data is being written to two separate records instead of being combined into one.

How do I link the two subforms so that the data gets written to the same record in the table so that the class information and it's related comments stay together?

Subforms & Limiting Record Entry

Apr 28, 2006

Hi guys,

What would be the best control source to use for my sub forms detailed below:

I am designing an Asset Management System. Each the main Asset Table "TblAssetMain" has child tables "TblAssetType", "TblAssetDetails", "TblAssetEventLog".

When a new asset is created, the AssetMain form will have subforms for these three child tables (linked by Asset_ID = Subform![Asset_ID]).

Can I use a query of the child tables for data entry or, if I set the control source to the actual tables, can I limit the number of records in the child tables for each record in the Asset Main table to "1".

Basically each Asset will have one record in AssetMain and 1 relating record in each of the child tables i.e. you cant have more than one AssetDetail record for one Asset.

Did do a search and found the following code but not sure whether there is a way without using code?

Code:
Private sub Form_BeforeInsert(Cancel as Integer)
If Me.txtCount > 2 Then
Cancel = True
Me.Undo
Msgbox "Please return a book before checking out a new one", vbOKOnly
End If
End Sub

Command Button - Add New Record To 2 Subforms

May 13, 2006

Hi,

I have a form that contains 2 subforms:

Purchase Order (Supplier, Order Date, Tel etc)
Purchase Order Details (Item Description, Quantity, Price etc)

This way I can have several items in 1 purchase order.

I now need to create a 'New Purchase Order' button. I've tried doing this but it only creates a new record for the form where the button is placed i.e. if the button is in the 'Purchase Order' form a new record is created for Purchase Order but NOT purchase order details.

Is there a way I can get the button to add a new record to 2 forms at the same time?

Thanks

Forms :: First Record Not Displaying In Subforms

May 15, 2013

I have a form with some tabbed subforms. Master/Child links are set, everything is bound. When I open the form to display records (based on search criteria on the switchboard form), let's say it returns 6 records for someone, they are sorted by date and so the newest would display first.

But when it opens, the main form shows all the appropriate data, but the subforms don't show at all. Just a blank box where the subform control should be. If I click next record (and any thereafter) they all display correctly immediately. Now if I go to the 2nd record, then back to my 1st record, it displays correctly.

I'm guessing it must have something to do with the onLoad event of either the main form or subforms, but I don't have anything in there for OnLoad....no code at all.

Switching Subforms Based On A Record Selection

Jan 18, 2006

Right slightly complicated (in my eyes) and I have not found anything in previous threads to help but here goes:

I have a main form (FRM_SUMMARYREVIEW) that has an unbound subform field on it (subfrmmaster).

When FRM_SUMMARYREVIEW is first opened subfrmmaster has its sourceobject set to a form called FRM_OPENSUMMARY.

This subform lists all my open escalations, in a continuous forms format and has a field in it called "escalationid" and when I click this field "subfrmmaster" changes it's sourceobject to another form called FRM_MAINDATA and should display the data relevant to the escalationid I have just selected.

In the past I used to click on "escalationid" and it opened up FRM_MAINDATA as a new form, using the following code:

Dim Searchstr2 As String
Searchstr2 = "[Escalation ID] = " & Forms![FRM_SUMMARYREVIEW]![FRM_OPENSUMMARY].Form![escalationid]
DoCmd.OpenForm "FRM_MAINDATA", acNormal
Forms!FRM_MAINDATA.Filter = Searchstr2
Forms!FRM_MAINDATA.FilterOn = True

However how can I get the subfrmmaster sourceobject to change and display the relevant escalation detail ?

My other option is to have two subforms on the main form, one with "FRM_OPENSUMMARY" the other with "FRM_MAINDATA", as "FRM_OPENSUMMARY" has a list of escalations displayed, in a continuous forms format could I set it so as I arrow down the list, the data in FRM_MAINDATA displays the highlighted escalation in "FRM_OPENSUMMARY".

I hope this makes sense
