Table Structure For Large List Of Number Fields

Jul 30, 2015

Have a look at this screenshot from excel.

Basically I would like to capture the quantity in stock for the above list of phones at many stores.

I started out by adding each phone model as a numeric field in tblStock, because I need to obtain the quantity value for each and every model, for each and every store.

Is there a better way to do this? I was thinking of creating just 2 fields, Model and Quantity, then adding each model as a record, then using that record as a sort of template. I wander what would be the drawbacks of this, since with the first method, if a user needs to add a phone not on the list he would have to modify the table design.

Table Structure Of A Simple List

Jul 13, 2006

I haven't built a relational DB in years and I realise I'm pretty damn rusty at it. Any help would be appreciated.

Basically I've compiled a list of software applications our offices use, and I'm compiling which PCs have which software installed. Ideally I'd end up building a form with checkboxes for common software apps and text fields holding serial numbers or login IDs where applicable. But I'm stumped already on just the table layout. I currently have:

tblSoftware:
SoftID (Autonumber) - Primary Key and identifier for individual software apps
Software (Text) - Software title
Description (Text) - Any additional information (Licence, etc)

tblComputers:
NetID (text) - The Network Identification of the PC, also acts as Primary Key
User (text) - Name of user assigned to the machine

and having a One to Many relationship between NetID and SoftID. This should be a simple DB but I've been separated from all my manuals and the net is proving more useful for specific fault finding.

How can I set up the tables and relationships so that a query can be used to update the software for each computer?

General :: Importing Txt File With Large Number

Feb 11, 2014

I am importing a delimited .txt file that has a number field. A value for a record coming in is 36,767 and Access is not accepting it. If I redefine the field as long integer or as double, I can manually update the record, but as soon as the file containing the record is imported, the field reverts back to integer.

How do I format the field with VBA so that Access will accept the value and not revert to integer?

I need to fill in 200000 records counting from 100000,100001,100002.... and so forth, just one column (and maybe the auto numbering).

make a new DB with these columns: ID, counter
set counter to 100000 where ID=1 (in the first record)
move to next record (or make a new record)
if ID < 300000 then set counter = 1+ (the value of counter in the previous record)
continue until ID=300000

Modules & VBA :: Copy Record As New In Large Number Of Tables

Jan 20, 2015

I have "Master" table with fields "Job No" and "Revision No". Both together is a primary key, so that combination of both cannot be duplicated. I have 100 other tables to be related with referential integrity(+update&delete) to Master for both fields. Apart from Job No and Revision No, all 100 tables have different set of fields which is why I had to come with so many tables.

Due to 32 limit rule, I had to come up with workaround method to have all 100 tables in the relationship. So, I created 5 other SubMaster1, SubMaster2, ...., SubMaster5 which are related to Master with relationship with referential integrity (+update&delete). Then I assigned 20 tables to each SubMaster so that 20 tables are related to each SubMaster table.

Whenever I create new record in Unit, the new record is generated in each SubMaster using update query for each SubMaster table. I have all the forms and necessary query laid out. The only missing part is being able to duplicate a record. I have limited knowledge in VBA, but I should be able to modify it to address to my requirement.

I want to copy a given record in Master, SubMasters and 100 tables as a new record. I need this feature so that I can select certain Job No and Revision No and copy that as a new Job No(assigned manually in a form) and 0 as the revision number. Possibly a button which will ask for new job number and copy everything from the active Job No and Revision No to a New Job No and "0" Revision No. The existing record may not be there on all 100 tables for the given Job No and Revision No. If it is there, then copy otherwise ignore for each of the tables.

I have a table "ItemList" which lists all the unique name of the 100 tables.

Convert Large Number To Binary For Use In TCPIP Socket Project

Apr 8, 2013

The project calls for the creation of a header that logs into a user account.

The first part of the header is a marker, with a value of 4,275,878,552. It is to be supplied in a Binary format of length 4.

My quesion is "How do I create this marker".

What I have tried so far is a string variable - strMarker thus:

strMarker = ChrB(&HFE) & ChrB(&HDC) & ChrB(&HBA) & ChrB(&H98)

Using the ChrB function to convert the Hex version of that number (FEDCBA98)

To Do List Structure Question

Jul 12, 2005

Hello all,

I'm looking for some table structure advice. I'm making a database that will track several To Do's. I want to have different List names (Projects, Next Actions, Waiting For, ect.). I then want to click on one of my lists to display the items in the list, which can have sub items on them. Also, each sub-item can have a sub-item, et al. As an example, on my Next Actions list:

At Work
├ Do This
├ And This
├ Plus This
Phone Calls
├ Call Joe
├ Call Bob
At Status Meeting
├ Ask About Project X
├ Request Project Y Update
│ ├ Update Financial
│ └ Update Timline
└Propose Project Z

OK, so I am envisioning the following table structure:

tblLists
pk ListID
List Name

tblListDetail
pk ListDetailID
fk ListID
ListDetailName
ListDetailParentID <-- this would be the ListDetailID of the parent, null if there is no parent

So, in my example, if ListID = 1 was Next Actions, then my tblListDetail would look look:

ListDetailID, ListID, ListDetailName, ListDetailParentID
1, 1, At Work,
2, 1, Do This, 1
3, 1, And This, 1
4, 1, Plus This, 1
5, 1, Phone Calls,
6, 1, Call Joe, 5
7, 1, Call Bob, 5
8, 1, At Status Meeting,
9, 1, Ask about Project X, 8
10, 1, Req Project Y Update, 8
11, 1, Update Financial, 10
12, 1, Update Timeline, 10
13, 1, Propose Project Z, 8

Does this table structure make sense? Is there a better way?

Thanks in advance!!

List Box Fields Into 2 Fields In A Table

Oct 12, 2006

I have come up with another one that may be easy for you.

I have a form that has a list box with two fields in the table.
Call the table: STATE TABLE1
Call the first field: STATE NUMBER 1
Call the next field: STATE NAME 1

When I access the list box on the form, I have it so I can see the States Name(STATE NAME1) and I click on it and the (STATE NUMBER 1) is place in another table called: INVENTORY2 in the STATE#2 field. That works all well and good.

I would like to be able to continue this, at the same time I select the (STATE NAME 1) on the list box. I also want to place (STATE NAME 1) into the INVENTORY2 TABLE in another field call (STATE NAME2)

I was going to write an expression to do this but had trouble with finding the STATE NAME 1 field.

I am sure there is an easier way.

PS This table is being used in another application and there is no way to modify any of its field at the time of the transfer. All the fields need to be populated at the time of the transfer.

Thanks for your help.

Forms :: Display Fields With Large Amount Of Data

Mar 27, 2013

Best way to display "notes: field that gets updated/added to multiple times, in a form. (Access 2007)

I've got a DB to track information about product changes. Each month we have a meeting and discuss problem products. I'm concerned with a notes/comments section. Currently it is a memo field in the source table that can be added to, so the notes are cumulative. But we want to auto-add a date to each new entry (in case the person inputting the data forgets, and so that notes can be sorted by order on a report).

There may be many comments on a certain product or there may be none. Sometimes the note may be very long, other notes on the same product may be very short. I created a new table with a one-to-many relationship to case ID (to link it to the main form), auto-populate a date field, and field for notes in order to link multiple notes to each case (and of course an autonumber PK).

I can put the subform in the original form, but then the note field will be the same size for every note, though notes are not all uniform in size/length, and it ends up taking up a LOT of room on the main form. So I created a button to click to open the subform, but it brings up all records for all cases, not just the currently selected case. Again, have the problem of one uniform field size for all notes, regardless of size/length.

Then I considered a report to view past history (field size can shrink or grow as needed) then a button on the report that opens a form for data entry/entry of new note. But again the report displays all records for all cases, not just the currently selected case.

View Table Fields In A List Box

Feb 20, 2005

Hello, I'm having a spot of bother ....

I have a form that populates, in a list box, the tables within my Access database when it opens. I need to be able to do the following;

1 - Populate another list box on the form with the field names of the table I've selected

2 - Check to see if the table has a specific field, and if not, add that field to the table

Is there anybody out there that has done something similar or knows how to do this?

My programming skills are fairly basic, so I would appreciate an example of the code.

Thanks in advance.

Maximum Number Of Fields In Table

Dec 27, 2006

I have run into a problem with an ODBC table connection. The table I am connected to exceeds the number of fields allowed in an Access table. I am using Access 2003. When I looked on Microsoft help site I think the max number of fields in a recordset is 242 so I am unable to see all of the fields in the original table I am linking to. Does anyone know if this limitation has changed in the newest version of Access? I checked the Filemaker www site and that program does not have the same limitations. Thanks in advance for any help!

Define Number Of Digits In Table Fields

I'm just to work with Fox Pro, and I am therefore puzzled with how to define the exact number of digits in a field in a table in Access. If I need 9 digits + 2 decimals in a number filed, how do I define that in design view?

Also, I need to know how to export a table into a text file, with a format without any spaces, and each record is divided with a new line. This an old IBM text format file.

Forms :: Sum On A Tab From A Table (Fields With Number Input)

Feb 28, 2014

I have a table that has fields for number input

On my form I have in a TAB form 3 fields to input a figure, in the table these are set up as a Text NOT a Number. If i set it as a Number it keeps rounding up? even after i enforce 2 decimal places it still keeps rounding up.

Field 1 - 42988.62
Field 2 - 0.00
Field 3 - -14330.84

I then created a unbound txtbox so I can add these up

=[ResBF]+[ResRefReC]+[ResSurDef]

what i get in return is this :- 42988.620.00-14330.84

I also tried =Sum([ResBF]+[ResRefReC]+[ResSurDef])

and that just comes up with #Error

I even tried in the table directly to have a calculated field and still having the same problems.

Table Fields (Name / Number) Dependent On Another Tables Data.

May 18, 2006

I have an ... interesting issue. I am wondering if others have dealt with this. I have a solution, but am not the happiest with it.

I basically have 2 databases here. (Or I will when I'm done making them) and one is dependent upon the other. In fact, the 2nd's tables are dependent upon the fields in the first database's table.

This database is for quality control checking purposes.

First off,

Database 1:
Basically a list of standardized audits and what needs to be checked for those audits. What needs to be checked can change as things progress, but stays pretty standard.

Database 2:
This will hold the checks that the QC branch will do, based on what type of Quality Check they are doing, they have an audit standard. This audit standard exists in database 1.

What basically ends up happening is that the data in Database1 become Table fields in database2.

Example:

Database1:
Radio Check Audit Standard.
Needs to check following:
Process Specs
EDMS Drawings
Manuals
SoP / Policy
Used Radio callback
Used radio during emergency
Etc.

Another Random Check Audit Standard
Needs to check the following
Process Specs
EDMS Drawings
Manuals
SoP / Policy
Did something specific for this Audit
Didn't do something else, also specific for this Audit.
Etc.

Continue on with other Audits.

Database2: Will keep track of all the quality checks that have been preformed.

Today we will check Radio Protocol
Did they:
Process Specs
EDMS Drawings
Manuals
SoP / Policy
Used Radio callback
Used radio during emergency
Etc.

Yes, No as necessary.

2 Days later, we need to do another QC on the Radio Protocol
Need to check if they did:
Process Specs
EDMS Drawings
Manuals
SoP / Policy
Used Radio callback
Used radio during emergency
Etc.

Etc.

But what will be checked for in Database2 depends on what the standard is for the "Radio Check Protocol," or etc.

Right now, i see 2 options:

Option1
Make the 2 databases, and when a user "Picks" the Radio Check protocol, a linked table is filled with the Name / object that needs to be checked with a field in the same row to hold the data if the object was done / not done etc.
The fields in Database1 are automatically put into this specific instance of Quality Check, etc.

Only problem with this: Requires coding to auto update. Easy to do, but if errors occur, things will screw up.

Option2:
When the user picks the Radio Check protocol, simply allow a subform with a refreshed drop down box. Allow user to pick items they need (Limit it to only this Audit list, etc) to set to true. Assume false for other items not specifically chosen by user.

Problem with this: If an Audit standard changes to remove an item, or add item. Any quality checks done will also change for the assumed false items. If another Item added in, then all old QCs will now also have that item added in / reported assumed false. And if it is deleted, all old QCs will loose the item that was reported false.

I'm seen the first option as the only viable one.

Am I missing this, is there some other way to do this that would be better / wiser? Etc?

Limit Number Of Fields Returned By ODBC Table

Jan 9, 2008

Hi all, I've searched this with no success.

I have a ODBC (Firebird) table linked using a DSN connection which has >300 fields. In Access, the linked table only show 256 fields (max for Access). Otherwise the link works fine. I have no control over the source Firebird table.

What I'd like to do is limit which fields from the Firebird table are shown in Access. I don't need all the fields, but I need some that are at the end and are not linked in the current setup.

I'm very much a novice at using ODBC, but can I somehow use SQL or some other method to specify which fields to show in the linked table?

Thanks for any suggestions,
John
