Table Relationship - Cascading Data Into Multi-Tables
Apr 27, 2013
I'm currently using Access 2010 and I'm working on a database project. My question is related to table relationships. Within that project I do have a table that is related to other three tables where that table is the parent. The problem here is that once that table is updated or have a new value it never cascades it down to the other tables.
1- How to have multi relationship to the same field on the same table from different tables?
2- how to cascade the updates to the related fields?
3- Is there any way to force the data update to other tables?
I need a table structure that will allow me to have a repair log data entry form with 3 cascading combo boxes on the repair log data entry form. There can be many repairs for a specific job but most of the time there will be one repair per job and 1% of the time two or more repairs for a specific job.
I am pulling a report based on a query that will show the repaired location, facility type, repaired item, repaired component on that item and other details related to the repair.I uploaded an empty database with the structure.
Cascade levels
I. Facility Type II. Item by [I] III. Component by [II]
I've worked with Access in the past but haven't touched it for 6 years now so I've forgot a lot of the things i've learnt. Bare with me while I try and explain it as clearly as possible
I'm creating a Database for work which will register all our Commerical Clients, which projects the clients are related to and which students worked on them projects. So I have 3 main Tables:
1.Commercial Clients Client ID Company Name Contact Title
2. Commercial Projects Project ID Nature of Project (Graphic Design, Multimedia, Media) Project Name Project Information Staff Member Responsible Start Date End Date
3. Students/Graduates Student ID Student Name Area of Expertise Contact Details Last Project worked on
Right here we go.....
Each commercial Client can have more then one project to their name. Each Project can have more than one student working on it and each student can be working on more then one project.
My relationships are set up like this:
Commercial Clients <One to Many> Projects Projects <Many to Many>Students
What I have done is create forms with sub forms in to enter to extra data. I dont know if this is the right way to do it but it seems to easiest way. Please show me a way that will work better if you know it.
Anyway... the way the tables are now I can on cascade the information down through the tables.... it will not cascade upwards. I have ticked everything you can possibly tick for all relationships. So when I can enter projects in the Subform on the Commerical Clients Form and I can enter students on the subform in the Projects form. But on the Student form the projects the students at on does not show up in that subform and entering the day only tries duplicating it (which i dont want to do). If I had a form that showed the projects and the related commercial clients in the subform it wont find the commerical clients. So i.e.
It shows fields when the cascaded down like:
Commercial Clients V V Projects V V Students/Graduates
I am making a form at work for a coworker with cascading combo/list boxes where she can select a Customer, then Platform Description, then Period, then Year. I used VBA code for this and it's working perfectly - for single selection. I want to update this so she can select multiple Platform Descriptions and/or Periods and it will give all the applicable info.
I can use or a way to set up a query, etc. so that multi-select will work for me? Unfortunately, just changing the formatting to multiselect makes the listbox just blank white, so I'm assuming it's going to be more complicated.
(Here's the code I currently have for the cascading combo/list boxes, if you need it. SD0039DA_T is the table name where my listboxes are pulling info from.)
Code: Option Compare Database
Private Sub Form_Load() On Error Resume Next CustomerCB.SetFocus PlatformDescriptionL.Enabled = False PeriodL.Enabled = False YearCB.Enabled = False End Sub
I have two tables of data, each relating to three business branches (branches A, B and C).
Table 1 shows the expenditure of each branch (by fuel, premises and wages).
Table 2 shows a number of units for each branch (mileage, floorspace and sales).
What I would like to do is calculate unit costs, based on the expenditure in Table 1, divided by a relevant unit in Table 2. The catch is that I want to have a third table which allows the user to specify which expenditure (from Table 1) is combined with which unit (from Table 2) to generate the calculated unit costs. I've been able to do this in Excel, and have attached an example. I've also attached an incomplete Access version with the first two tables. Given the complexity of my actual data, I feel this could be better handled in Access than Excel.
I have created a many-to-many relationship but am now having trouble figuring out how to add new data.
I have a table PEOPLE: ID First Name Last Name 1 Participant A 2 Participant B 3 Participant C
And I have a table BEHAVIORS: ID Behavior 1 Yelling 2 Grabbing 3 Smearing feces
And I linked these together in a many-to-many relationship in a table PEOPLE_BEHAVIORS: ID Participant Behavior 1 A Yelling 2 B Yelling 3 C Yelling 4 A Grabbing 5 B Grabbing 6 A Smearing feces 7 C Smearing feces
All that's good to go. But now I need a table so I can count how often these behaviors occur every day. I need to link PEOPLE_BEHAVIORS to a new data table that will count how often I see the behaviors linked to the people every day. So my table should look like:
ID Participant Behavior Date Frequency
But I should only document the frequency of the behaviors linked to that participant (so for Participant A, I should have a space for yelling, grabbing, and smearing feces whereas for Participant B, I,d only have a space for yelling and grabbing). Is it possible to create a table that will basically partially create records for me? So if I open the table to add data today, I'd see the following and fill in the frequency blanks?
ID Participant Behavior Date Frequency 1 A Yelling 6/16/14 2 B Yelling 6/16/14 3 C Yelling 6/16/14 4 A Grabbing 6/16/14 5 B Grabbing 6/16/14 6 A Smearing feces 6/16/14 7 C Smearing feces 6/16/14
I have a table with all my contacts. Manufacturers, distributers and outlet shops. I want to be able to make relationsships that show which manufacturers sell to which distributers and outlet shops, but at the same time I also want to be able to see which manufacturers are being sold by a particular outlet shop or distributer.
I am reading everywhere that you need to make a table to link the 2 tables together for every one relationship you have and this I understand. Most of the time it is relations between 2 tables that you want to establish. But in this case all these companies are in the same table. Can I still make a many-to-many relations ship between different items that are all in the same table using one single extra table that holds these relationships?
I am in the beginning of setting up a database and have NOT messed with multiple tables. I just want to make sure that I am setting up the tables as well as the relationships correctly. Here is what I currently have, 4 tables and they are named. Employee, phone, radio and spotter. Employee table is where my primary key is located and I currently have a 1-to-many relationship between Employee and the others.
What I want to be able to do is to store information in the multiple tables from 1 form, which I don't think will be an issue and then at a later date be able to pull up information. EX.Thus being able to skip anything being put into the spotter table. Then at a later date be able to pull up only the select information I originally put it?
Each client record is unique. A client can have 'several' routing records.
Key field in Client is 'Client ID'.
Routing table has foreign key of: Client IDFK
I created a relationship of one to many from Client table 'Client ID' to Routing table 'Client IDFK'.
I created a form for the Client table and works.
Where I am having issue is: Client data is not populating into the following Routing form.
* I want a 'Routing form' that you can lookup client info and place it into that form. * The bottom of the form will be all the routing table fields. The new routing info will be entered into it.
My client needs that form printed for the driver. Client will have many routing forms(records) but only one client record. The driver will have one completed form for each time he picks up client.
i am making a database from which i can calculate fuel required from one point to other in any particular type of vehicle.the problem is fuel from Pt A to Pt B is not same as from Pt B to Pt A.A sample table is attached as zip. qp.bmpis there any way i can cross refer field values with that of rows .
When I originally created my access database, I used a text field/column to connect 2 tables together. I would like to change this to reference the Primary Key/ID column instead of the text field.
Is there an easy way to go about doing this? My original thought was to create some vba code to replace the data in the column of the sub table with the autonumber in the primary table but I cannot figure out how to do it.
So I have an event table with a muti value field with all the people on that event. This people field is look up column from my people table (so shows the name but stores the key).Anyhow what I now need to to do is record logs from the event for each person (from that muti value people field). I want ideally be prompted to enter the log data for each person, and show it related to the event it is for.
What I am trying to do is create a data entry form to an "order table" using 2 cascading combo boxes. I have created a data entry form based on a query. I can't get the cascading combo boxes to work properly. Here is the code:
Private Sub Combo0_AfterUpdate() Combo2.RowSource = "SELECT L2_ID,L4_Element_name,L5_Category FROM qry_ord WHERE L3_ID = Combo0.Value;" Combo2.DefaultValue = [Combo2].[ItemData](0) Command4.SetFocus End Sub
I have a contacts database and I am trying to set the relationship between the contacts table and the locality table. The contacts table has a LocalityID field that is a long integer and the Locality table has an autonumber as the PK. When I drag the LocalityID on one table to the other LocalityID I get the Can't create this relationship. When I look at the Edit Relationship dialog box the primary table is the Locality table not the Contacts table. I want set up a lookup on the contacts form that relates to locality.
I have two tables containing data from two separate sources. The unique "link" between the two is a JobNumber field. I need to set up a relationship between the two tables using the JobNumber field.
Problem:
In one table, the JobNumber has been input in this format: 12-00345-01 In 2nd table, the JobNumber has been input in this format: 12-00345-1
How can I tie these when the 2nd table is missing the "0"?
I have a Client database table in Access. I now need to add a simple order table (related) to the client table. I have a client ID field set to autonumber in the client table. As I start to create the orders table I'm not sure how to link the two so that I'm not entering data twice and have assurance that they are tied together.
First of all, I want to say Thank you to everyone in this forum I have been reading just about every question in each Topic and I have pick up a lot more than I tough I knew. [Thank you]! I not sure how to ask this question or better yet write it. Here is my Situation I work for the NAVY as an Enlisted Personnel station in (New Orleans, LA) I have created a few databases for my workcenter and were simple enough that I managed. Now, I been task to help create a Call Center DataBase to keep track of Phone Calls and Issues the Agents(Employer received Daily) As well run other reports.
I am Including a copy of what I done so far. Can someone advise me about my Database Design? Does it makes sense? Are the Relationship seen good? my frmCustomer is based on query (qSupport) I would like to know if the form and the SubForm are set up ok where I can have the Agents input data. And one more thing on the frmMenu I have a few Text Boxes where I would like to display the total Amouth of Phone Calls received - as well the ones pending and Close? Any Criticism or Suggestion are more than welcome.
I hope my Question / Request makes sense. Thank you ....
I created a table in MS Access using a Lookup & Relationship data-type. This means that my record cells call upon a particular table for values. It creates a LIST of values for that cell. When I query a particular value in this table I get every possible combination of the value. My query and code are below:
OR,
SELECT MainT.Content.Value, MainT.Source, MainT.[Entities Impacted].Value, MainT.Update, MainT.[Divisions Impacted].Value, MainT.Announced, MainT.Effective, MainT.Stakeholders.Value, MainT.[Ref#ID], MainT.[Issuing Agencies].Value FROM MainT WHERE (((MainT.Content.Value) Like "*" & [Forms]![SearchF]![ContentCB] & "*" Or (MainT.Content.Value) Is Null)
[Code] .....
This means that if I query STATES: "California", I'll get back every possible combination that exists with the name California in that particular field. The issue with this is that I'll get MULTIPLE primary key values rather than just 1. So, if one record, under STATES has California in it, but the other fields in that record have the Lookup & Relationship data-type, then every possible combination of that record will query instead of the multiple field-values form that you'll see in the table I am querying.
notice that my primary key (REF#ID) is repeated numerous times! This obviously causes problems with generating records and forms concerning information for 1 particular primary key. Is there a way around this problem other than specifying search criteria down as much as possible?! Perhaps there is some SQL code.
I have created a multi-valued field "Product Category" that lookups data items from a linked table. So, the Data Type for the multi-valued field "Product Category" is Number.
Now I want to change the Data Type of "Product Category" from Number to Text, and make a value list that I can type values in and can provide the same data items as the linked table.
How to change item source for the multi-valued field from a linked table to a list that I can type in values?
Is there a feature provided by MS Access 2007 can enable such a conversion?
I have spent the last couple of days trying to figure out how to make this work.
I have three tables.
tblIntakeMain [IntakeMainID]
tblIncidentDetails [IncidentdeatailsID]
tblPersonnel [PersonnelID]
On the main form I use subforms to link tblIncidentDetails and tblPersonnel to tblIntakeMain. Both subforms can, and do, have many entries. This all works fine. What is not working is the search form I am using.
I am using Gromits most excellent Search Form. The problem is when I create a query, qSearch, to bring together the three tables I get a multiple records which makes the searches very confusing and near useless. Is there anyway around this? Is there something I am missing? Is there another search method I could use that would work in a similar way as Gromits? Please help before the Prozac runs out and I lose my mind--what little it left.
Hi everyone. Apologies if this has come up before, but the search terms I've tried here and on google keep turning up the wrong information.
At work I manage a large database with many tables. It stores data for participants in a research study. Each table stores the data for a different test, so one participant may have multiple records. Primary keys for these tables are defined by a combination of the participant and date of test fields. (Everything is dependent upon a table that stores the static info for participants, so the database is normalized.)
I want to be able to make a table that lists target participants and dates, and then create a query that looks at this table and pulls all the available data from various tables for those individuals that was recorded within one year of the target dates.
I've successfully made queries that meet these criteria while pulling data from only one table. The problem I'm having is that when I try to pull from multiple tables, each with it's own date field that needs to be used as a criterion, I end up excluding almost all the data, because most of the target participants do not have all the requested data within the target dates.
I've tried being inclusive with my criteria (using ORs), but then I end up with tons of data that I don't want and I need to filter through it, which defeats the purpose of the query.
Any advice on handling this issue, or do I basically just need to create a separate query for each table?
I'm sorry if this is too vague, but it's illegal for me to upload any of my own dataset. I could probably come up with an example if it's helpful, though.
I have created a table that acts as a header for my data and a second table that acts as line item data. What I need to do now is add a second child table that uses the line item data as its parent table and stores associated line items for each record. Is this possible?
Table 1: contains staff names and contact numbers Table 2: contains training above staff have been on or need to go on Table 3: contains pc and printer asset numbers of above staff
I used a form and entered some new members of staff in table 1. They got their auto numbers etc but when I open table 2 and table 3 those new members are not showing up in those tables. I have checked the relationship status between the 3 tables and the staffID from Table 1 is associated to table 2 and to table 3.
What's stopping the new entries from showing up in tables 2 and 3 ?
I have been reading about how to set the table up for cascading combo boxes. Some recommend breaking down into several tables, others say keep it to one table.
Mine is broken down to 5 tables (and work) but if you go to the form (split form) and make a change in design view - even something as simple as changing the width of a field - then the split table looses 2 fields information (the middle fields) but the information is still saved in the main (studentcourse) record table.
My question is how do i make it more stable so that the split form table section does not lose the information?
