Tables :: Make Calculated Field In One Table That Calculates Values From Another Table Linked By Order ID

May 13, 2015

I have what is probably a stupid question but I've been struggling with this one for a while. I have an ordering database which has an Orders table (containing Order ID, Date, Supplier etc) and an Order Line table within which I have a combo box for Product name, supplier, price, VAT rate, Line price etc. At the moment, I have the order line table as a subform within the Order form (run from the Orders table). The problem I'm having is the subtotal and total fields. At the moment these are in the Order Line table as I cannot figure out how to get these in the Orders table. In summary, can I make a calculated field in one table that calculates values from another table (linked by Order ID)?

Make Field Auto Populate Based On Value Of Field In Another Table

Mar 4, 2008

I'm creating a database that keeps a track of questions and scores.

The questions in the database need to be dynamic and are changed frequently.

I have a scorecard table which keeps a record of scores and the applicable question at the time the record was saved. I need to do this because in 6 months time we may want to provide feedback. As the question may have changed we need to be able to refer back to what the question was.

I want the question field in my scorecard table to populate with the value in my question table.

I have tried a number of things including setting the question field in the scorecard table to a lookup based on the following query:

SELECT tblQ1.Q1
FROM tblQ1;

This works however only as a list or combo box. I don't want the user to have to select the question. I want it to auto populate, is this possible?

Tables :: Auto-populate Table Field From Calculated Field In Another Table?

Jan 15, 2015

I am creating a database to keep up with the expenses for my art business. I have a table for Vendors with a field (Mileage) for one-way mileage that I enter manually (EX: 11.8 miles). Then I have a calculated field that basically just multiplies the Mileage field times two to get total mileage to and from my house to vendor location. (Total Miles) {The reason I want to do this this way right now is because I didn't keep up with my mileage this year and I am having to look up the distance from my home to each location)

Then I have a "supplies" table where I show the date, the vendor, the item, cost, etc, and I want to add a Total Mileage field based on the calculated Total Miles field in the Vendors table that will automatically populate based on the vendor of each transaction. I just can't remember how to make this work and I know just enough SQL to be dangerous.

Tables :: Auto Populate Field Based On Answer Of Another Field In Same Table

Feb 28, 2013

Within my table if Field 1 has an answer of Self (from drop down), then, I would like Fields 6-12 to auto populate; however, if Field 1 does not have an answer of Self, then leave Fields 6-12 blank.

I am not quite sure how to lay this out. I am using Access 2010.

Tables :: Autopopulation Of Field From Another Table Based On Another Field Criteria

Dec 5, 2012

I have a main table which is autonumbered on unitid, I have another table which is linked via the unitid which holds items purchased for the main table, so the second table is a subform of the suppliers and will have multiple entries of the same unitid. What I would like to do is when an item is entered into the second table, check the main table to see if it exists, if it does populate the unitid field with the unitid from the main table, and if not exist create a new record in the main table with the next unitid number.

This in essence is what I want, bearing in mind that the tblinvoices is a subform and the tblmain is not open.

If ([tblinvoices]![Unit] = [tblmain]![Unit]) Then
[tblinvoices]![UnitID] = [tblinvoices]![UnitID]
End If

Tables :: Get Rid Of Calculated Field In A Table?

Sep 13, 2013

I've learned the hard way about using calculated fields in a table. I used on while building in Access 2010 for users that will be using Access 2007. Once my testers pointed out the error message, I did some research and realized my calculated field was the problem.

So, I created a query to replicate the calculation, deleted the offending field from the original table and redirected everything to point at the new query vice the original table.

However, my testers are still receiving the error about needing version 14 to access that table. There isn't a calculated field there any longer, but they still can't access that table. Did that calculated field put some sort of taint on my database that can't be removed? I'm not sure what to do. Do I need to start over, so that a calculated field was never part of the database to begin with? If so, how much of my existing one can I reuse?

Tables :: Using NZ In A Table Calculated Field

Jul 22, 2013

Access 2013

I am trying to add some numbers together for a number of fields, of which at least one field will either be 0 or empty. I am trying to use the following formula in a calculated field in a table:

IIf(IsNull([Price Increase %]),[Total],([Total]*[Price Increase %])+Nz([LumpSumAnnualIncrease]))

Access returns an error statement: The expression XXX cannot be used in a calculated column.

Is there a different formula I should be using, or a work around, other than using the formula in a query.

Tables :: Update A Field In One Table Based On Status Of A Field In Another Table

Aug 2, 2013

I have started work on a database to track the many (several hundred per annum) projects my company undertakes. A 'main' table lists projects, their fees, their key dates, their project numbers, etc. I have created another table for tasks. Each task is assigned to a project (via the project number), and may be 'open' or 'closed'. I have separated the tasks table from the projects table as there may be several different tasks for each project. It is also good to keep a record of the tasks.

I want to prepare a report from the projects table that lists projects IF they have any open tasks.

In my mind, this means 'If a task, with the corresponding project number, is open, put a 'Yes' in the 'Tasks open' field of the Projects table.'

Queries :: Calculated Field To Display Value Of One Field Based On Another

Jul 23, 2015

I have a query with a Date field for EndDate (the dates for end-of-week, Fridays in our case) and another field for Sales (number of sales, not dollars).I want to add 4 calculated fields that represent weeks and have the Sales appear in the correct column (field) for that date.So I will have columns for 10 July 15, 17 July 15, 24 July 15 and 31 July 15 and I want the Sales for each record to land in the correct date column, based on the EndDate column. (The 4 fields is just for the sake of the example, I will actually be having dozens of these calculated date fields).I tried to do it by setting up the 4 calculated fields like:

10Jul15: Sales
and then adding Criteria like:
EndDate = #10/07/2015#
It doesnt work.

Forms :: How To Make Calculated Field Stay On Top

Jan 14, 2015

My form has a button that has a calculated field on it (a dcount(...)). When the button is clicked, a couple of conditions are checked and if all is ok, it runs the vba code. If the tests fail, it returns to the form without running the code. All works correctly, except that the dcount number has disappeared. I finally figured out that it is now hidden behind the button. How do I bring it forward again programmatically?

Tables :: Calculated Fields From Two Tables / Based On Relationship In Third Table

May 29, 2014

I have two tables of data, each relating to three business branches (branches A, B and C).

Table 1 shows the expenditure of each branch (by fuel, premises and wages).

Table 2 shows a number of units for each branch (mileage, floorspace and sales).

What I would like to do is calculate unit costs, based on the expenditure in Table 1, divided by a relevant unit in Table 2. The catch is that I want to have a third table which allows the user to specify which expenditure (from Table 1) is combined with which unit (from Table 2) to generate the calculated unit costs. I've been able to do this in Excel, and have attached an example. I've also attached an incomplete Access version with the first two tables. Given the complexity of my actual data, I feel this could be better handled in Access than Excel.

Calculated Field Based On The Value Of The Next Record

Nov 11, 2007

Hi,
I have a query that contains the results of repeated tests on a number of persons. The goal of treatment is to get those test results below 50. I need to find, for each person, the period of time (with a start and an end date) during which their test was below 50. The dataset looks like:

ID + LabID + LabDate + Result + Undet
----+------+-----------+-------+------
101 + 21 + 1/1/2000 + 780 + 0
101 + 21 + 2/2/2000 + 320 + 0
101 + 21 + 3/3/2000 + 50 + 1
101 + 21 + 4/4/2000 + 50 + 1
102 + 21 + 6/6/2005 + 1000 + 0
102 + 21 + 7/7/2005 + 900 + 0
102 + 21 + 8/8/2005 + 50 + 1
103 + 21 + 9/9/2005 + 50 + 1
103 + 22 + 9/30/2005 + 567 + 0

What I need is a query that produces the following:

ID + StartDate + EndDate
----+-----------+---------
101 + 3/3/2000 + 4/4/2000
102 + 8/8/2005 + 9/9/2005

I can also provide an attachment with more data, if that would help. Thanks in advance,

Calculated Field Based On SQL In Text Box

Feb 13, 2005

Hello, Bit of a newby to all this. Am trying to use a text box as a calculted field. I am doing so using an sql statment in control source The sql stat is built and tested using build query and then copied and pasted from sql view)

I keep getting #name? as an error.

I have managed using dlookup of the same saved sql to return the required value (which works) but find it to be a bit slow and clunky so wanted to give this a go instead. If somebody can have a look at the query below I would much apreciate.

=(SELECT Sum(QryInout!CostExVATGBP) AS TTlCostExVATGBP
FROM QryInout &_
WHERE (((QryInout.StockImportNoJoinToAll)=[Forms]![FrmSPurch]![ImportNoNew])) &_
GROUP BY QryInout.ProdType &_
HAVING (((QryInout.ProdType)="Freight"));)

Note that I have tried with and without the &_ and also with or with out the brackets..

Thanks

Tables :: Update Table Based On Concatenated Field

But this doesn't update the field PolicyNumber in the respective table, and only shows it on the form. How do I get a concatenated field defined by the user into a table so that I can call that field other places in the database?

Has anyone experienced this before and found a solution?

Tables :: Auto Generate Hyperlink In Table Based On Field Name

Aug 29, 2014

I Have a table with 15000 entries. This table lists components we use. This table is used to generate queries/forms. I have been asked to add a hyperlink to this table to link to a drawing of the component. All the drawings are in PDF and in the same folder. I am looking for a way to automatically update the hyperlink fields all at once. The Hyperlink will be in the format of servershareddrawings12345.pdfwhere 12345 is the component name from the table.

But there are a few small problems with the component names.
1. If the component begins with a B- . The drawing name will be all the characters except when there is a second dash in the component. So if the component is B-12345-678 the drawing name will only be B-12345.
2. If The component begins with AB, The drawing will be the first 5 characters regardless of what follows, e.g. AB123.
3. Finally for all other components the full component name will be the drawing name.

Putting the naming to one side, how to go about auto generating the hyperlink. I have posted this in the table section, but maybe this should be in another section like queries or VBA.
