Tables :: Limit Data Input Based On Another Fields Criteria?

Dec 22, 2014

I have two tables linked by ID (Table1,Table2)

The Table1 holds data that is a request for a task.

ID, Request, Task_tms (the number of times the task is required to be done)

1, Make a cup of coffee,15

Table2 is my allocation of people to the tasks.

ID, Person, Task_done (the number of times this person has done the task)

1,Sally,10
1,Eddie,5

What I want to do is to limit the amounts of allocation in some way (ie in this case if I have already put 10 for Sally then I would be unable to put anymore than 5 when entering the amount for Eddie.

Additionally if I were to allocate all 15 to Sally then no additional people would be able to be allocated to this task (ID 1)

The two table are in datasheet format linked on a form.

Updating Data On 2 Tables Based On Criteria

Oct 8, 2004

Ok. Here's the situation. I have query setup. This query has 2 columns:
1. Agent Name
2. Sale Value

I have 2 tables.
Table1: Includes Sales for this pay period only
Table2: Includes all Sales From past to present.

We are setting up our system on Tiers and Each sale value is going to change. So, Here's what I need:
I need to run an update query that first Looks up all the records in Table1 based on Agent Name. The field that needs to be updated is called SaleValue. It needs to be updated with what's in my Query mentioned above.
Then, all the values in Table1, need to be copied (or updated) into Table2. This can be done based on the Primary Key (SaleID), which exists in both tables. So I guess we will need to run 2 separate update queries. Any ideas on how this can be done?

Tables :: Set Up Validation Of Fields Unit And Size Based On Another Fields Data?

Nov 18, 2013

Basically in my order details table i have the following fields

Product
Unit
Size

At the moment i have the Product field with a dropdown that gives me all the products from my ProductT. But once i choose the correct product in the unit field it gives me all the possibilities of every product not just the units associated with that product. ie

ProductT
Grasshopper Box1000 Adult
Grasshopper Box1000 Subadult
Worm 10pz Big

When I select the grasshopper product and move on to the unit field i also get "10pz" option but this is not a product available.

How do i set up validation of the fields Unit and size based on another fields data?

Forms :: Limit Amount Of Data That Users Need To Input

May 23, 2014

We have a database where we are trying to limit the amount of data that users need to input.

We have a form, which contains order information. Where a customer has specific requirements, we add those requirements to a separate document review table MasterSpecification and DetailedSpecification.

When a customer has specific requirements, we can open the frmMasterSpecification and search for the document.

Assuming a review has been done the requirements will be shown on the subform Frmsubcoverage. I would like to be able to select the record source from this form and have the details entered into our order entry form.

Under the specification form there could be many sub coverage records depending on the type of item ordered to that specification.

Query Criteria Based On An Input Date

Oct 2, 2006

I have a database with the following information:

FTA # Date Attended Last name First name assigned person......

Each week I need to generate a report that shows the people that attended for that week, grouped by the assigned person. I only want to show the data for a specific "date attended" (i.e. that days date). I figured I first need to generate a query that only returns the data for that specific date in the "date attended" column. I did that but it is manuel by using the criteria field.

Is there an easy way to type in the date that I want the query to use as the criteria?

Thanks

Tables :: Limit Combo Box Results Based On Secondary Table

Dec 4, 2013

I have a DB with 4 tables:

Property (used for look-up values)
Service Type (used for look-up values)
Rate Table (uses the Property Table and Service Type Table and is used as a rate look-up table for the daily service table noted below)
Daily Service

Using the Daily Service table, I need to choose a property, choose a service type that is limited to the property (100's of service types, but a property may only have a limited number), and enter a quantity, and have the Rate Table return the specific cost of the service. I didn't think this was too hard in Access (2013), but I seem to be hitting a wall and spending too much time figuring it out. Now I am behind in my project.

I have been trying to do this in a table format, but have been unsuccessful in limiting the results of the Service Type combo box based on the property chosen.

Auto Rearrange Fields Or Hide Fields In DataSheet Based On Criteria

May 17, 2007

I have main form and that has one sub-form , this Main form governs/determines the data in the sub form.

This Sub form ( DataSheet Mode) has approximately 130 columns and based on the Main form criteria only ~ 20 columns has to be filled.

What I want to do is based on the main forms criteria I want to show only the columns that are applicable to main form criteria.

If I use Columnar or Tabular single form for the Sub Form I am able to hide the fields that are not required BUT IT LEAVES A SPACE/GAP on form ( for the hidden fields that are not required)

Private Sub Form_Load()
If Forms!frmShowPIforActiveAndCanAddNewPI!FrmSubFrmFi lterProductInformationPerFMT!CASETIF = True Then

Me.CASETIF.Visible = True
Else
Me.CASETIF.Visible = False
End If
End Sub

And If I use DataSheet and hide ( visible = no) a particular filed it still shows up in Sub Form

Is there a way to Auto-Re Arrange all the fields in the sub form so that the hidden ( visible = no) fields no not leave gap

Or is there a way by VBA program to select fields ( Columns) from a table to be displayed on a sub form based on a criteria

Thanks
Rahul

Dynamically Create N Fields Based On User Input

May 31, 2015

I run a charity pre-school and have invoices to send out. Some of the parents cant afford to pay the whole amount in one go, so we give them a payment plan. e.g. If an invoice is for a 6 week term we let them pay weekly. So I have a check box on my form to say "are you on a payment plan".

Then - I have an free form input box..."How many payments..." and the answer may for instance be '6'.

What I want to do now is dynamically create/display 6 date fields, to record what the agreed payment dates are.

but maybe the answer is 4, or 7, etc. So I need to create/display the correct number of payment date fields.

Tables :: Limiting Table Input Based On Variable Values

Feb 7, 2014

I'm quite new to Access and am just working on a little practice database where I keep track of sales of a product.
Basically I have a table keeping track of the different types of products, a table keeping track of customers, a table for orders and one for replenishments of stock. I have a query that calculates the stock of each type of product based on replenishments and sales.

Now I want to make sure that a customer can't order any more than there is in stock. I know you can restrict what's entered into a table with a validation rule but that's only for static restrictions. After searching the internet for an answer I've pretty much learned that I can't really make this restriction directly in the table, correct? But then how can I achieve this? Do I have to restrict the amount through a form somehow?

Pre-Define Query Based On Input Data?

Apr 21, 2014

I am looking to find out if I can build a "on the fly" pass-through query based on user predefined data.

Basically I am linking to a massive database. Access link to DB2 table. In order to make the system useable for the users they need to edit the query before it's ran. If not the query over the network takes around 5 minutes every time it's accessed and options such as filters and sorting are chosen. So if a user sorts one column and filters on another the query has now ran 3 times. Once to open, once to filter, and once to sort. That just took 15 minutes.

So If there is a way to build macro or form that asks them for specific information first and then modify's the query so that it only gets ran once that would be fantastic.

Example:Table has 7 fields/columns. Usually they will do 3 things. Pull back data from either a month or quarter. Then filter a column by it's content. Then sort by date of another date/timestamp column.

Cannot Input Data Into Some Of The Fields

Jun 24, 2005

Hi,

Just a short introduction. I am rather new to this forum and also a beginner to Access development. I am currently working on developing a database for CRM purposes for an organisation.

I have created a form for ease of viewing and inputting data. However, the problem I am encountering is that some of the fields does not allow me to add new entries. All the data seems to be drawn from the right sources and any changes made to the existing data is reflected in the underlying tables but it just doesnt allow me to add new data for some fields.

I have attached a compressed version of the database and I would very much appreciate if anyone could offer any assistance on this issue.

Go to Forms (tabbed)
Fields where data cannot be inputted :

Relationship Info - Service, Relationship Info
Meeting Info - All fields
Client Info - RelationshipNum

Fields where you can input data
All the rest are working fine

Thank you very much for your help!

Query Two Fields Based On One Criteria

Aug 21, 2005

Hi all,

I am endeavouring to filter a form based on the position of an individual.
I would like the users to be able to select their position and then any record where there is a match in the "Primary Responsibility" field or the "Secondary Responsibility " field will be displayed.

I have an underlying query that is populated by a combo box on an unbound form.

This has worked when generating reports for individuals but I cannot get the required result when using the form.

Thanking anyone in advance who can assist me with this.

Concatenating Fields Based On Criteria?

Sep 20, 2006

I have a query that is set up to join two name fields...for example:

[ELIGVENDORS.LSTNAM] & [ELIGVENDORS.FSTNAM]

The issue is that this is perfect for names that are entered in the table like this:

Lstnam: ABC HOSP Fstnam: ITAL

They are entered like that for groups, but when individual doctors are entered, the data entry folks are entering them like this:

Lstnam: SMITH Fstnam: BOB Titlcd: MD

So when I join them the first displays correctly as ABC HOSPITAL, the second displays as SMITHBOBMD and I have to manually go in and add a comma.

Is there a way to do an if/then statement or something to tell the query to display results If the titlecd is NOT NULL, display as [ELIGVENDORS.FSTNAM] & [ELIGVENDORS.LSTNAM]&", "&[ELIGVENDORS.TITLCD], else display as [ELIGVENDORS.LSTNAM] & [ELIGVENDORS.FSTNAM]

I'm sure there is, I am new to IF/THEN statments though and was hoping to get some help setting it up.

Thanks in advance and I hope my description is clear enough.

Query Based On Criteria In Two Fields?

Hi All

I want to create a query which is based on two fields.

One field is a date query i.e >=Date()-7 OR >=Date+7

The Other is a Combo box where the criteria is No

My problem is that access is currently running this as two individual queries.

Is it possible to make this query return data only when both fields are matching?

Or do I have to run this as a parameter query?

Thanks!!

Modules & VBA :: Use Different Column Based On User Input To Update Data

Jun 29, 2015

I'm attempting to build an import module so that my users can take data from different walks of life and import it into my tables. I'm doing this by setting up a module and allowing the user to specify which column data will come from when importing data. So lets say I have a field that is CustomerID in my table and user one pulls data from 1 place and in his excel or csv file, customerid is in field 1. Another user does the same thing and its in field 2.

How can i make some form of a loop that when I'm attempting to update data, i pull the correct column?

strSQL = "SELECT * FROM tblImportTable"
Set rst = db.OpenRecordset(strSQL, dbOpenDynaset, dbSeeChanges)
With rst
Do While .EOF = False
If IsNull(DLookup("DefaultValue", "dbo_tblImportTemplateDetails", "Template_ID=" & Forms!frmImport!TemplateName & " AND FieldName='CustomerID'")) Then

[code]....

Tables :: Auto Calculation In Sum Field After User Input (numbers) In Fields

Dec 28, 2012

I have a table, at the table I'v got these fields:

ID | num1 | num2 | sum

I want that the user put numbers at 'num1' and 'num2' fields and then the 'sum' field will calculate automatically the operator (sum=num1+num2).

I've tried to put any combination at 'Default value' of the sum field (all the fields are numbers , also tried to change the sum field to text...nothing works).

I'm getting a message that 'num1' field is not recognize at the table

(I tried =[num1]+[num2], without the '=', num1.table+num2.table , ...nothing works)

I also tried to do it with SQL command but it dosn't work.

There is any way to do it, is it possible? Or other way to do it at least at Form or at Report ?

Reports :: Conditional Formatting On Multiple Fields Based On Two Criteria

Sep 24, 2014

I have a report which I would like to apply conditional formatting on multiple fields. I would like the conditional formatting to be based on two types of criteria

First criteria would be contracts that start with the year 2014. I used the following expression which worked - InStr(1,[ContractNr],"2014" AND [DirectorInCharge]= "Joseph Steinbok" or "Adam Godson")

To this expression I would also like to highlight fields which contracts start with 2014 AND have a particular Director assigned to it. For this I used the following expression - And [DirectorInCharge]="Name"

On their own, both expressions are working but I want to combine them. How do I do this? I've tried the following - InStr(1,[ContractNr],"2014" AND [DirectorInCharge]= "Name") but then nothing is highlighted. I also tried InStr(1,[ContractNr],"2014") AND [DirectorInCharge]= "Name" - in this instance EVERY record was highlighted.
