I have a very basic three table structure.

Clients

BoatReg (pk)
ClientID (FK)
Description

Quotes
QuoteID (Pk)
ClientID (fk)
BoatReg (fk)

What I would like to do is for the BoatReg field in the Quotes Table to only display the boats that have been registered to the Client that has been selected, currently it displays all the BoatRegs.

Tables :: Limiting Table Input Based On Variable Values

I'm quite new to Access and am just working on a little practice database where I keep track of sales of a product.
Basically I have a table keeping track of the different types of products, a table keeping track of customers, a table for orders and one for replenishments of stock. I have a query that calculates the stock of each type of product based on replenishments and sales.

Now I want to make sure that a customer can't order any more than there is in stock. I know you can restrict what's entered into a table with a validation rule but that's only for static restrictions. After searching the internet for an answer I've pretty much learned that I can't really make this restriction directly in the table, correct? But then how can I achieve this? Do I have to restrict the amount through a form somehow?

Tables :: Setting Primary Keys To More Than One Field In Table / But They Cannot Have Null Values

Access 2010..One organization that we work with provides us with a block of numbers for each of the two types of contract products we order from them; we do order non-contract stuff from them also.The block of numbers are the same (i.e. 20000 to 30000 this year) for each of the two products. This means that each product can have the number 20000, for example. We call this the Tracking Number. If it is one of these products, we need to select the Contract Number.

For all other one off orders we have with them, we assign our own Tracking Number starting with 00001. This Tracking Number cannot duplicate unless it is one of the aforementioned two products.Both the Tracking Number and Contract Number are in the same table. The user selects the Contract Number from a form (connected to the Contract Number table that has all the details on the contract) and the Contract Number is populated in the same table that has the Tracking Number.Each order must have a Tracking Number (no null)..Not all orders need a Contract Number (null okay).The Tracking Number and Contract Number combination cannot duplicate.I tried setting the primary keys to more than one field in the table, but they cannot have null values.

If not... I have been working on Plan B.... an AfterUpdate on the form (either the form or a field... don't know yet) that looks at a query that only has results if there are duplicate values.

Time Now Between Limiting Values

Need some ideas on how to detect if Time Now is beteen preset values.

It is in connection with a Machine Monitor system being I am probably going to be asked to develop.

Problem is night shift. They work normally 20:45 to 06:45 following morning

I will be accumulating elapsed minutes of shift and working minutes by running an On Timer event updating both values by 1 each minute providing certain criteria are met.

One of the criteria will be that machine is supposed to be working.

So I was planning to set a flag indicating Working Yes or No based on the Time Now being between start and end times.

This is fine for normal day working and normal day shifts but is a problem with Night Shift.

I have "classlevel" table with 2 columns-Class and Value1 .Value1 column has numeric values that i ll input from webpage (webpage to ms access connectivity).I want to sum the values of column "Value1" and i have another table-"Volume" which has 2 columns "VolumeLevel" and "Value2". So i want to match the sum that i calculated from first table-"ClassLevel" with the "value2" column in "Volume" table and get the corresponding "volumelevel" column value from that table and there is a third table that will get this volumelevel value.

There is no common column to join these tables.

For my study on academic research I need to match patents that refer to academic research as prior work with the actual prior work.

I have two tables (see attached images below).

One regarding AcademicPublications (AP), which is neatly organized with title, year, journal, volume, pages, first author, etc... 480,000 rows

One regarding Patentswhere all this information is hidden within one field, in the most messy way possible... for instance, a field could have:

The question is: How do I match different fields from one table on one field of another and make it return another field (the ID)? Some references are too horrible to match, but I need as many as I can get.

I can imagine two queries would give me the bulk:

A match in [Title] AND [Year]

A match on ([SourceTitle] OR [AbbreviatedSourceTitle] ) AND [Volume] AND [Year] AND [PageStart]

I understand that I have to make use of the Like "*"&[value]&"*", but how do I make it return the matching ID?

Setting Default Values In Combo Box To Match The Value Of Previous Record

G'day. I've been browsing the forum trying to find a solution to a problem, without much luck, and am hoping that someone might be kind enough to help me more directly.

I'm a biologist and a newbie to access: with the distinction of being completely clueless about VBA. Nonetheless, I have been tasked with creating a database for storing data obtained from biological surveys of juvenile salmon and harvest/spawner surveys of adult salmon.

The bones of the db are in place and functional. The problem I have is streamlining the data entry process to minimise keystrokes/mouse clicks.

I have a subform for entering fish records with attributes such as 'species_name', 'fork_length', 'count', 'presence of tags, etc. The idea is that fish can be entered as individuals (count=1) or groups (count>1) with attribute data at the appropriate level (eg, fork lengths only entered for individuals. We typically measure the fork lengths of the first 20 individuals of each species and then tally the remainder).

One problem I face is that fish often occur in schools, and it becomes quite tiresome to click and select the same species_name combo box value for each record when entering multiple individuals of fish of the same species.

What I would like to do is set the default value for that combo box (on the fish subform) to match the value entered for the previous record.

I suspect that you could use the after update trigger to execute some code to change the default value each time something is entered manually into the combo box. Unfortunately, I know nothing about how to write the appropriate code.

Can anyone offer me some guidance?

I'm trying to create an Access database for my college so that our call centre can allocate students to a specific interview time/date. The problem I'm having is that each interview slot must only have a maximum of 10 students at a time.

I'm creating tables for the student details, address and for each interview slot available.

I'm using Access 2010.

How I can limit the number of records in a table to 10 so that when that interview slot is full it informs the user?

Need To Match Data In All Fields In 2 Tables

Hi,

I need to match the data in all the fields between 2 tables.

eg.
Field 1 (Table 1) = Field 2 (Table 2)
Field 2 (Table 1) = Field 2 (Table 2)
so on......

Using the wizard, I'm only able to match 1 field at a time and this is very time consuming as I have 45 fields to match. Any advise? Can this be done via SQL?

Performing A Match Query Between Two Tables

Hi,

I recently got a new job and am trying to learn access for it. I have two tables. Both of them have client id numbers. They are both supposed to have the same client id numbers. However, Table 1 has more client id numbers than Table 2. I want to do a match query that selects the client id numbers in Table 1 that do not have a corresponding match in Table 2. How would I go about doing this?

Also, I want to do a simple select query where I select the client id numbers in Table 1 whose first two numbers are "88." How would I do this in the query or SQL form.

Do you have any recommendations about the best way to learn Access for practical applications like this? I'll also need to get good at making Forms which seem fairly complicated.

General :: Two Tables With Data That Do Not Match?

There are 2 tables:

Table 1 has National Insurance Number, first name, last name, phone no, address.
Table 2: has National Insurance Number and email address.

Table 1 is the master table where it will link to table 2 containing the email addresses of the individuals.

However, there will be a lot of email addresses in table 2 which do not relate to any record in table 1 because I do not have the individual in my database yet.

BUT I want to keep their email address because in the future this person may enlist in my imaginary business and therefore - if they do I would have their email address!

1. Is this possible in Access?

In Excel, it would be the case of a simple vlookup from the email address field into another sheet containing the National Insurance Number and email address.

2. Would it be possible to establish a one-one relationship while enforcing referential integrity?

3. Is there a way I can establish a lookup which can be built into table 1 which can lookup the email address of a person in table 2, matching on National Insurance Numbers?

So in the future if new data is input into table 1 or 2 which results in a match of National Insurance ID numbers, the outcome would mean an email address is now paired to the corresponding individual it belongs to.

Duplicate Values In Index, Primary Key Etc

Hi - it's been a while since I did much access and am trying to help someone out and have got into a pickle! A quick job has turned out to be a lot more complicated! Plus I'm having to use *spit* Acc 2k.

When I go into frmHighCostDrug (from the "add new drug episode" button on the frmPatient) I often get the message "The changes you requested were not successful because they would create duplicate values in the index, primary key, relationship etc etc."

Now, I didn't think I'd forgotten that much. I've got primary keys, values in the table set to Null, relationships set and ref integrity set and cannot for the life of me see why this is happening.

I know though, that one of you will say "oh it's that" and point it out and I'm going to feel completely stupid, but at the moment, I don't mind! I really can't figure it out.

I've attached db - it's in Acc2k and I tried to do a copy Acc'97 for those who don't have it but it caused no end of problems. Came up with messages that this form contains data that Access doesn't support!!!! ??? :confused: If I can sort it I will.

If anyone's got any ideas, I'd be v grateful!

Tables :: Split Fields And Look For Updated Match?

I have done this in Excel before, but not Access. I do not know VBA. I figure this will have to be done in a query or a macro. I don't even know if all of this is possible in Access. I need to be able to split an Address field into:

Street Number
Street Name
Street Type
Street Direction

And the purpose of this is so that I can pull out the Street Type (Drive, Road, Lane, etc) and update the abbreviations (DR, RD, LN) to the Street Type spelled completely out.

I did this in Excel by creating a Named Range "Types" on a sheet that has the abbreviations in Column A and the spelled out versions in Column B so that I could convert the abbreviations to complete street types. I broke down the entire address into each part on another sheet. Then I did a VLOOKUP to look up the Street Type in Column B in the Types range. Works great! And the only way I knew at the time to do that.

But, by doing this, I have to get the data I need from a download into a spreadsheet, break the address fields down on a second sheet, do all kinds of field update conversions (to get the field names from the download to match the field names in my Access table). This takes extensive Excel programming. I just thought there might be a way to do it by simply importing the data from the download straight into Access. That is easily done, but the Street Types aren't consistent.

There may even be a better way to do this than splitting....something like if a field CONTAINS DR update it to Drive. This would be a long process to set up because there are so many different street types to consider.

This is basically for the purpose of finding duplicates. If there is one entry called 123 Main St and another called 123 Main Street, they are not going to show up as duplicates, rather as two separate records.

Create Primary Key From Values Entered In The Field

I have two Tables, Table A and Table B...Table A and B have a one to many relationship with A (one) and B (many).I have a Master form that displays information for Table A. Also, I have a subform within this Master that displays information for Table B.

As I scroll through the records of A, you can see the 1-many relationship elucidated in the subform with many being displayed for Table B.I run into a dilemma, though, when I try to ADD a new record to Table A (and in turn Table B).When I add a new record, there is no Primary Key left to be displayed since this primary key is generated from a query.Hence, when I move to a new record, I can not save the record because there is no primary key. Since there is no primary key, there is nothing that i can input into the subform either. I want to create the primary key from values entered in the field. However, i CAN NOT create a relationship with an expression for field values.

Queries :: Match Up Two Tables - Removing / Changing Numbers

Okay, this one should be simple and can be solved in one of two ways. I have two seperate tables with a 12 digit identifying number that is ALMOST exactly the same in each. I am trying to match up these two tables, which works amazingly well, except for the occasional case where the 12 digit ID (which is called API) ends in 01, instead of 00. The last two digits do not make a difference at all, but in one table it will end in 00 and the other it will end in 01, even though they are the same record.

Basically, it looks like this...
Table 1---------------Table 2
541236554700-----541236554700
541236123700-----541236123700
443231246700-----443231246701

So basically, in my final query, the last entry will not show up since these two are not related by this API (ID) number. Any way to either replace the 01 on the end with 00... OR to remove the last two digits?

Changes Not Successful; Create Duplicate Values In The Index, Primary Key, Or ...

This is a real mind bender.
I am running a2k. I am merging two databases. table1 is in the backend database. table2 is linked to the second database.
I run an append query to add table2 entries to table1. The append fails for 96 recs saying key violation. Turns out I can rerun the append if I drop the zip code field.
I then try to manually change the zip code and receive the duplicate values in index, primary key, or relationship.

I ran a compact & repair the databases, still no go. I can't edit the value of the zip code. I import the table to a new database. Still can't change the zip code. I drop MANY of the indexes. Even the index on the zip code field. Run compact&repair. still getting the index message. I even re-imported to a new db again. Still same error message.

I may start again by importing JUST these two tables to a new blank db and see if I get the same issues. I'll keep you posted...but maybe there is someone out there who has seen this error before.

fyi-if I enter a new record, the autonumber field correctly increments to the next available autonumber field. (I say this because of another thread on this matter w/ autonumber fields and bug in A2003)

Autonumber-primary Key Across 2 Tables

Hi,

I need to create a table with 2 sets of different information both referring to job types. the problem is that i need the autonumber which created the job number to scale together. so both tables have a primary key of "job number" and i want the autonumber to only ever use 1 number in both tables.

e.g.


job type 1 - autonumbers - 1,2,3,4,6,7,9,10
job type 2 - autonumbers - 5,8,11,12

is there anyway of achieving this?
