Jun 1, 2015I have two different tables. Table1 contains information such as the name of a patient, which is the primary key, date of birth etc (fields that will not change). Table2, linked by the subject id, contains information about tests that they may have gone through. A form has been made using these two tables, in which table1 is that main form, and table2 is a subform. I want to add a field in table2 called "CurrentAge", which will use the date of birth specified in table1, to calculate their current age, and would like it to be displayed in the subform.

I have a database design problem that I cannot wrap my head around. There are three tables roughly like this:
tblUsers tblAccuracy tblRecords

UserID UserID UserID
Name MonthYear Date
... Accuracy NoOfRecords
tblUsers and tblRecords are joined by UserID (Text) in a one-to-many relationship.

tblAccuracy stores User accuracies on a monthly basis where [MonthYear] is a Date/Time column formatted to "mmm yyyy" with each entry being the first of each month (eg. 01/01/2008 to display Jan 2008)
tblRecords stores [NoOfRecords] on a daily basis for each [UserID] where tblRecords.[Date] is a Date/Time column.

The problem is that I need a way to query these tables to return a [UserID] from tblUsers, the list of all records entered by that [UserID] for a given month on a daily basis from tblRecords and a single [Accuracy] figure for that [UserID], for that [MonthYear] from tblAccuracy.
tblAccuracy and tblRecords have no primary keys and I'm not sure how to normalize them, or if it is even possible. [MonthYear] is stored eg. as 01/01/2008 for January and [Date] has many records for January and I don't know how to relate them.

General :: Linking Fields In Tables
Aug 23, 2013Im in the process of developing my first database for my bonsai (small trees) collection. So far, ive developed a table of each of the trees I have, with fields such as Species, Where Bought, Cost etc and ultimately a link to a recent photograph (my next challenge). Ill be adding to this as my collection grows (in number and size). To avoid information duplication I have a separate table of care instructions for each species of tree with type, position they favour (eg Hardy/Delicate), watering requirements, wiring advice etc.
I now want to have a field in each of the records in the first table to its particular species care instructions as simple as that, or so I thought. ie for each different pine I want a link to the care guide for pines, and only pines. And preferably in a table format.
I need a one (second table) to many (first table) relationship and have linked them appropriately through primary field (species) and foreign field (care details). I have tried various Controls in the Design View but cannot get the field to show just one care record (ie the one for that particular species of tree). I realize this is possible, as its a common feature of a good database, and have found it being used in the various templates available - but not how they were created. The best Ive got to is using a Combo Box but this shows all of the care details records and in a column view.
Query: Most Recent Date From Several Fields In Two Tables
Jul 15, 2005I have a parent table [Case] and a child table [Action], in a one-to-many [Access 2003].
The parent has an open date and a closed date.
The child has a received date and a completed date.
The child may contain more than 1 record that matches the parent.
Date fields for activities that have not yet happened are blank.
A typical example might be one parent and two child entries for a total of six dates fields.
I am after only a [single] most-recent action date of the six [there could be a tie for that most recent date, and then there would be two records returned in the result].
I am working for a table that includes a list of every parent record with the name and date of the most recent, or latest activity date.
After two days I decided to ask for help.

May 23, 2013I have two tables called Hardware and Desk. They both have two fields called ChangeID and Priority.
What I would like to do is set it so that if we change the Priority in a record existing/created in 'Hardware', the Priority of the related record in 'Desk', also changes.
How can I achieve this?
General :: Export Multiple Tables To XML But Excluding Linking Fields
Feb 4, 2015I've been using a series of 5 tables to export an XML file using Access's native XML export. In order to keep the XML intact, there are relationships setup to link each sets of elements together via an ID number(link) field in each table.
Access does a great job at exporting, but then we need to rely on another program to delete these link fields that links the tables together so our XML validates. Additionally, we use this program to reorganize some of the XML, as one of our tables puts itself at the end of the XML element and not in the middle where it should be. This is not a problem when I'm dealing with a few hundred records, as the 3rd part program does the trick. The problem is when I have enough data to generate a 30+MB file that my other program chokes on when trying to manipulate the XML.
So my question is...how can I export these 5 tables to XML while omitting the linking member fields and organizing it how it should be? I have examples of code below. How Access Exports it

Linking Fields Between A Query And Table?
Sep 12, 2014In query design view, I have added a query with column (nameA) of names and a table with a column (nameB) of names. I am linking these two fields (nameA and nameB) which contain names. The names are spelled exactly the same so I should get results. Both fields are of the same data type.
But even when I add only the field with names from the query (the field called nameA), I don't get any results.
What is wrong here? Are there restrictions about linking a query to a table?

Jul 29, 2014I want to use an expression to compare 2 dates and calculate the date of the last set of accounts for a company. The user will enter(DD/MM) of the company year end e.g. 31/12. I then want to compare this with todays date (in another field) to ascertain if the month has already passed in the current year and hence calculate the last year end. i.e. If (current month>company month end), year end date is DD/MM/YYYY (where YYYY is taken from today's date), year end date is DD/MM/(YYYY-1). I am not a programmer and although I understand database theory (from the teaching perspective) I am not expert in developing databases.

Ultimately I will need to be able to subtract these date/times to get a total time between the two. Should I combine the start date and times in one cell or keep them separate.

Tables :: Two Identical Database - Importing Tables By Linking To Data Source
Dec 3, 2012I have 2 identical database in terms of structure but it differs in data.
Basically I would like to import data from subDatabase to mainDatabase and ensuring that there are no duplicate records.
I have used the "link to datasource method" through importing the tables to have the "updating" function.
However, this method also means that the records in mainDatabase are also imported over to subDatabase which I do not want.
Is there a method to ensure that the records are shared/update one way only? (i.e. import from subDatabase to mainDatabase and not main to sub?)

Sep 26, 2012Currently trying to build a database for customer management and order placement/tracking. Want to set a couple of rules so that if I for instance click yes of billing and shipping address the same that the database will automatically fill the shipping address with the data I inputted for the billing address in the same table.
The other issue I can see I'll run into is, I want to be able to select one of the company ID's (made up of a three letter abbreviation of the full company name) in the product ordering table and it will automatically fill in the rest of the customer data (phone, email, address etc) data into that form.

Apr 15, 2014I am doing a project where we are collecting home owner data and information on all the dogs in the household. The data for homeowner has an autonumber primary key because no field is unique or has been consistently collected. I am struggling to link the data for the dogs to the owners because an autonumber primary key will not work since not all homes have dogs. I need to have this set up so that people who are not tech savvy can look up each homeowner (or dog) and get the dog (or home owner) information. And to make things even more fun we need up to 15 potential dogs per household each of whom will have 18 different pieces of data collected.
It looks a little like this (and you can see my not matching ID issue):
Homeowner table

Database Size Limited To 2GB / Query Multiple Database Without Linking Tables?
Sep 7, 2011I'm trying to set up a simple query that links four tables. However, the tables are extremely large, all in excess of 1.5GB each so I had to split the tables up into four separate DBs. I've tried the following with no success:
1) Link the 4 tables in the DB which contains my primary key. This quickly inflates increases the file size above 2GB and won't let me go any further.
2) Build a remote query to connect the four tables. This looked promising until I tried to run the query and it became evident that it only knows to point to the last database source that you specified.
I'm running everything locally on my C drive. The data source are simple text files (1.6 million rows) from the FDA website.

Mar 18, 2013I have been asked to design a database to replace our old excel sheet to log one of our customers server builds. It a four noded system and i require a seperate log for each node serial models of parts etc, qa checks.
I intitial started by just using one table but forgot the limit was 255 rows, i need about 600 - 700. So my plan is now to transfer to indivial table for each node. Then, a general table named Main for all my other details.
Although this seems simple, i now have the annoying task of being able to link them all together and produce a single PDF file to send to our customer whilst only entering our system serial number once to produce this.
My basic understanding will be to create a System Serial Number field in each table a link it via relationships, but if i produce a report with everything i need would it input my details for all four nodes? If so how would i set this up?
I will be splitting the database once completed and then making a ACCDE file for my techs to use.

I am trying to make it so that if a name appears in the Spouse, Child 1,2 or 3 column it will automatically appear in a dependants database with the EmpID and the Name of the Dependants, as separate objects so that the EmpID could be repeated. I have scoured info and I can't seem to make it work. Any help would be appreciated.

I have a main table that all of the data goes to and then a second table that the completed data goes to. I have made a query to show info from the main table and one field from the second table and it will only pull the info that is on both tables...i want it to tell me the info that is not on the second table:confused:

Nov 10, 2007I am fairly new to Access and i am trying to create a database that stores member's details and records the payments that they make monthly.
I have 2 tables:
Members:Id number
Fname
Sname
etc
and
Fees:
Id number
Fname
Sname
Amt paid Jan
Amt paid Feb
etc
What i want to happen is that any member's details entered in the members table also appears in the Fees table so that only the amout paid needs to be entered.
Is this possible?

Having a little problem, have searched the forums but have not been able to find an answer.
I have a single db with 3 tables, artist, gallery and arts.
The main form should show the work details for each artist, i.e. each piece of art they have done. The problem I have is I think I have a link or relationship problem as when I try to create a new record in the arts table, I have a combo box which populates the artist name and gallery name and it should then store these details in the arts table along with the rest of the details I enter but it doesn't.
Each table has an autonumber and there is a one-to-one relationship from arts to artist and arts to gallery.
Can anyone help?

Mar 2, 2005Ok. I have used access before to hold data but have always accessed and used it via asp. I have never actually tried to use the access forms and queries! But for a current project i am having to use it.
So far its been fairly simple but im stuck on one point. I have one table that holds user info and has a foreign key from another table. On my form i want the user to be able to lookup the foreign keyes available. Only i want the lookup to show the description field in the other table not the unique id (primary key) but when they slect the relevant row its obviously need to record the primary key of the other table in the foreign key field in my user info table.
How can this be done? Im not sure if i explained this very well. If anyones unsure what i mean please ask my to clarify.
Linking Fields In Forms

I have a form called Family with a RecID field. When I create a new record on this form the RecID field auto assigns a #. Then the user is supposed to click the command button which brings them to another form called Child. This Child form has the RecID field and another called RecChildID.
The RecID field is linked to the same RecID field as form the previous form. But when I enter the child form and start it's linked record the RecID field is not filling in/ copying over the same # as the previous form. How can I get it to update the RecID from the first form to the second form?
