Tables :: Linking Tables With No Common Data And Different Numbers Of Observations?
Apr 15, 2014
I am doing a project where we are collecting home owner data and information on all the dogs in the household. The data for homeowner has an autonumber primary key because no field is unique or has been consistently collected. I am struggling to link the data for the dogs to the owners because an autonumber primary key will not work since not all homes have dogs. I need to have this set up so that people who are not tech savvy can look up each homeowner (or dog) and get the dog (or home owner) information. And to make things even more fun we need up to 15 potential dogs per household each of whom will have 18 different pieces of data collected.
It looks a little like this (and you can see my not matching ID issue):
Homeowner table
ID First Name Last Name...........Total Dogs
1 Max Maximus 5
2 Min Minimus 0
3 Mus Musculus 1
Dogs 1-5 table
ID Date Dog 1 Name Dog 2 Name .......Dog 5 Name
1 (Max's) 4/11/14 Bobby Billy Betty
2 (Mus's) 4/11/14 Jojo
Min will have no dog records at all, just home information.how to link the dog's to the homeowners .

Hello,
Firstly I would like to state that i have very little knowledge of Access databases (my job is not computer related) but I am trying my best to get a few issues sorted...
So here it goes: I have 2 tables, one large table with about 3-4000 rows(horizontal lines), and a smaller table with only about 1000 rows.
The rows in the big table contain Products (name, dates, adresses, phone numbers etc) and every product has a 'Codename' in a column-line (vertical)
of the big table. (there are about 3000-4000 products)
In the small table there exists a similar column-line (vertical) that contains 'Codenames' of the Products listed in the big table, but there are only ~ 1000 'Codenames' not the full 4000 ! The reason for this is that in the small table there exists another column-line(vertical) that for every code listed (in the small table) contains a certain specific "description".
My task is to get all the 1000 "descriptions" from the small table inserted into the Big table accordingly to their proper 'Codename'. This means createing a new column in the big table and: if the codename exists in small-table insert the description in the new column-cell, if the codename doesnt exist in small-table leave new-cell empty...
How do i do this ? :) Im guessing some coding is envolved.. and i have no clue whatsoever....
Thank you,
George P.

Currently trying to build a database for customer management and order placement/tracking. Want to set a couple of rules so that if I for instance click yes of billing and shipping address the same that the database will automatically fill the shipping address with the data I inputted for the billing address in the same table.
The other issue I can see I'll run into is, I want to be able to select one of the company ID's (made up of a three letter abbreviation of the full company name) in the product ordering table and it will automatically fill in the rest of the customer data (phone, email, address etc) data into that form.

I have a feedback database with 3 tables, one for complaints, compliments and other. They have the standard common fields such as name, address, date received, nature of enquiry, investigating officer etc etc.A person can have more than one record in the complaints table and that same person could also have 1 one more records in the compliments and others table. What I would like to do is to be able to display the data for that same person that appears in the complaints, compliments and others table in a report using a search facility by either name or address. This will therefore display the number of times that this person has made contact together with dates and the reasons.

I have 2 identical database in terms of structure but it differs in data.
Basically I would like to import data from subDatabase to mainDatabase and ensuring that there are no duplicate records.
I have used the "link to datasource method" through importing the tables to have the "updating" function.
However, this method also means that the records in mainDatabase are also imported over to subDatabase which I do not want.
Is there a method to ensure that the records are shared/update one way only? (i.e. import from subDatabase to mainDatabase and not main to sub?)

I recently imported an excel file into access. Let's say it contained data for both domestic and international customers. With different things needed from each type of customer, once in Access, it became needed and easier to create separate tables- one for international and one for domestic. However, each customer needs their own unique id - and I need a way to link or relate the tables in a manner that it will not allow duplicate customer numbers between the two tables.

Hi everyone,
I have a quick question. And perhaps a strange setup. We have an excel spreadsheet set up with a bunch of data.
The powers that be would like me to set up a database utilizing the spreadsheet as the foundation of the database. However, they would still like to keep the spreadsheet as one of the primary ways to enter/edit data along with the database.
Therefore, I was wondering if there was anyway..that I can set up a link(?)
between the access database and the excel spreadsheet in such a way that if one is editted the other one would be editted accordingly.
I know this is a replication of data etc etc. But this is what I was asked to do. Im not sure if it can be done anyway.
I know I can link in the excel spreadsheet into the access database...but can I create a table..based on the linked information..and add more rows and column to it?
Let me know your thoughts!
Thanks I appreciate any help!

Right guys heres problem.
I link to an excel spreadsheet. all the data is except where Ive had to format a "column" of cells as text. This is done because in the spreadsheet the initial user enters data as text, numeric or a mixture of both (hope thats clear).
My problem is the data that was originally numeric and now formatted to text comes out at #num! ( Yes ive posted similar before) However, when ive imported the same data in to a pre-made table to try a different way of achieving the final job the numeric data (now formated to text) comes out like ---- e.g. instad of 1000344 it comes out 100034+007
And now Ive absolutly NO idea what to try next. Its one Ive never seen before. If i go in to either the linked spreadsheet or the premade table and over type the errors with the correct data - no problem!
So it seems like a conversion issue
Any ideas at all - Id be so greatful if you have1
regards
gareth

I have two tables that I'm struggling with how to relate to each other. One is tblHardware which contains all the items that we sell. There are no duplicates in this table. The only columns are a part #, description, long description, and cost.
Then I have another table with is tblPackages. These are the packages we sell which pull from tblHardware. This one just has an autonumber, description, and image (image I'll add later and not worried about now).
What I'm struggling with is how to tie these two together because one Package will contain multiple items from Hardware however there are multiple Packages that have the same Hardware items (17" monitor for example).

I have various columns of data, a mixture of text and numbers, which all have data in them, and a few columns that have numbers or text. When I copy'n'paste-append into the Access table, the text in the sparsely populated columns doesn't copy across but the numbers do.
It works if I import the spreadsheet from scratch (don't want to do that however, that data comes from somewhere else and would require modification to suit), or if I sort the data so that the text is at the top of the column, it works. Don't really want to do that either as there are 5 columns that this applies to and performing a 5 level sort shouldn't be necessary IMO. It seems that the paste is analysing the data and deeming that it should paste as a number even though the column contains text. There are only 120 rows of data, not a lot! I've tried redefining the field as Long Text (currently Short Text) but it doesn't make any difference.

Hi guys,
I am having problem with a query.
I have to tables. One named wire and the other named Input.
As my title says there is not unique ID for the tables to relate.. the only thing to relate is one ID where is not unique for all the rows
In the Wire Table I have 3 rows using the same ID, lets say 123.
In the Input Table I have 1 row using the same ID as above, i.e. 123
I need to select a couple of fields from Wire Table and 1 field from Input Table
The only relationship I have is the ID 123.... since the ID in Wire Table is repeated in 3 rows.... I would like to use the same value from the Input Table to be the same for the 3 rows in the other table.. Below is an example:
Wire Table:
ID Group
123 A
123 B
123 C
Input Table
ID Description
123 Analog
My wanted result would be
Group Description
A Analog
B Analog
C Analog
I tried using the Left join or Join function, but somehow the resulting table has many duplicates of the rows...such as:
Group Description
A Analog
A Analog
A Analog
A Analog
A Analog
B Analog
B Analog
B Analog
B Analog
...
Any Idea on whats going on and how can i solve this problem????
Thanks in advance. Your Help is much appreciated

I have two tables, identical in terms of structure (number & names of fields etc.) but different in terms of content (records not necessarily the same, some may be common to both, some may only be present in one or other table)
I want to set up a query to count the number of records which are present in one table (Table A) but not in the other (Table B) using a common identifier field, and put the numerical result in a text box on a form (i.e. use the query as the control source for the text box)
I've managed to come up with the following which provides the list of ID's :
Quote:
SELECT tblA.CommentId
FROM tblA LEFT JOIN tblB ON tblA.Id = tblB.Id
WHERE tblB.Id Is Null;
Which will come in useful elsewhere but how do I adjust this SQL to only return the number of records? I think I have to use COUNT(*) somehow but I'm not familiar with it and not sure of the syntax?

I have been asked to design a database to replace our old excel sheet to log one of our customers server builds. It a four noded system and i require a seperate log for each node serial models of parts etc, qa checks.
I intitial started by just using one table but forgot the limit was 255 rows, i need about 600 - 700. So my plan is now to transfer to indivial table for each node. Then, a general table named Main for all my other details.
Although this seems simple, i now have the annoying task of being able to link them all together and produce a single PDF file to send to our customer whilst only entering our system serial number once to produce this.
My basic understanding will be to create a System Serial Number field in each table a link it via relationships, but if i produce a report with everything i need would it input my details for all four nodes? If so how would i set this up?
I will be splitting the database once completed and then making a ACCDE file for my techs to use.

I know this is an Access 101 question, but what is the best way to view text rather than numbers in my tables. In an example which I have attached, an Orders table shows the Customer field as a number. I would like to view the actual customer name when I am looking at the table.

What I would like to do is set it so that if we change the Priority in a record existing/created in 'Hardware', the Priority of the related record in 'Desk', also changes.
How can I achieve this?

I am a girl guide leader trying to make a faster way to keep track of my unit's completed badge and program work. I have made tables for every area I need (I started with one table but it was too large to change into a form).
In total I have:
- Basic Member table (main information like their name and how many years they have been in, whether they are still in the unit, etc)
- Program area tables
- Interest badge tables
What I want to do is be able to "add/edit" members from the main form, then go to all the sub forms for their program and badge work -- problem is, how to link them!
I am using Access 2007-2010.

Hi,
I'm working on connecting my DB to a SQL-server. I've established the ODBC connection too the server, works fine. But, when I connect from access and come to the window where you select the tables, the tables are not here. Look at this picture:

What am I doing wrong? Is it something with the DB user?

I have two tables in the database I'm working on from Excel.
Table1 has demographic information for faculty, to which I added an AutoNumber Primary Key.
Table2 has the courses those faculty members taught, but it does not have the FacultyID I added to Table1; it has their last name, first name.
Is there a way I can have Access look up the employee's FacultyID from Table1 based upon their last name and first name, which are contained in both tables?
Thanks in advance.

I am using calculated field as a data type in access 2010.
They are working fine.
However, I added a new field and now the final calc won't work.
I have Subtotal adding loads of fields together. Works fine.
Then I have a VATunit field which is a double integer, so enter 20 and my next field is VATTotal calculates the SubTotal + the VATunit by doing (Subtotal/100)*VATunit. This calculation is fine and gives me the correct amount.
The next field is a Total field. Which adds Subtotal and the VATTotal together. Howver, the Total is the same as Subtotal. It is not adding the VATTotal to it?

Question for someone..... I was looking at the "LinkTables" in Access..... I see that I can link one database to another..... When I do this I can add the table to my relationship window... I have not played with this too much.. But looks interesting. Now, all the info I might add to this linked table is stored in the other database??? If this linked table is also linked to other tables in the other DB can I use those in queries? Not much covered (that I can find) in the Access help files on this sort of thing.
Thanks

I have a table with job info like: job #, job name, job addy.
I would like my end query to look like this: job #, job name, job notes.
I want the query to list all jobs, job names, and job notes for a particular week(we have a weekly meeting on the status of our jobs), so if I were to query the jobs for 6/26, i would get: job #, job name, and job notes for that date as fields in my query.
I am not sure how to accomplish this. Should I make a seperate table that contains job notes? If so, how would I accomplish this and create a relationship between the job info table and the job notes table?
Thanks in advance!

Excuse me for sounding extremely dumb, but I have a question that is really bugging me. I have created a database using two tables. The two tables are called User and Assets. In both tables I have set the primary key to be the field Username. I have also linked these two fields.
I have created a form that is my interface for the database and can add and delete from the table (User). I now want to insert a sub form into my form, that displays the contents of my second table (Assets) and reference's the field Username. Hopefully this will enable me to display my table (User) in the Form, whilst only displaying the relevent data in the subform (Assets) for the particular user.
I'm sorry if this sounds confusing, but I would really appreciate your help ...
