Tables :: Related Table IDs Not Updating

I'm not sure why a couple tables are not being updated after entering data. I think my relationships are correct. I've attached the database.

steps:
open Main form
add addres then try to add an owner. it doesn't work the first time but it does work the second time. add test data and that works. now if you look at the related tables (OwnerInfo, WellLocation, TestData) they all have p_id which is the wellLocation Id

now open gernalinfo form
enter in info (tests requested doesn't work right now but you can click on them in the tbl GeneralInfo)
Now if you go to the table OwnerInfo and TestData the key p_id has not been updated. But it's there in WellLocation (ID).

Why are these tables not getting updated?

Updating Related Tables

Hi everyone!

My names james, im 18 and im a data manager for a school.

My schools database stores student data such as names, classes and exam grades. I have a table containing each students personal details such as name and address. Each pupil is assigned a unique PupilID which is the primary key. I then have a number of other tables linked to it with one to many relationships. Each of these tables holds a different set of exam results. The tables are linked through PupilID. The primary keys for the other tables are auto numbers.

The problem is this: when i add a new student to the Students table i cannot get their PupilID to automatically be entered into the other tables containing grades as part of a new field. How can i make this happen?

Updating Related Tables.

Ok due to user error (and my own fault for not archiving an old database) we now have two databases which have had data entered into with the same table structure.

The table structure we have at the moment is with the related field in []:

Propertytbl[Propertycode] is related to Systemtbl[sysID] which is related to Assessmenttbl.

There is also another Temperaturetbl linked to Systemtbl by [sysID]

The problem i have is sysID is an autonumber. I can't simply paste in the difference in data as the assessmenttbl records and Temperaturetbl records will point to a different system (as the sysID will change in the Systemtbl data)

Can anyone think how i can do this either through using queries or programmatically so that i don't have to enter 5000 records manually.

I've tried using append queries but this produces the same affect as above.

Updating From Related Tables

I have a combo box in my main form that gets its list of physician names from tblPhysician. When the physician is chosen and the record saved, it saves the PhysicianID to my main table, tblOncReg.

When I delete a physician, any record that had that name chosen continues to have that name in the record despite it being deleted from tblPhysician.

I thought that setting relationships would solve it, but when I select "Enforce Referential Integrity" and "Cascade Update Related Fields", I get an error saying "Invalid field definition 'ID' in definition of index or relationship.", and it doesn't set the relationship.

Would setting the relationship solve that problem?

Design Question: Updating Related Tables

Greetings.

As a relative newcomer to Access, I am having trouble deciding on how to design the form flow for updating and creating related records. I'm looking for a variety of suggestions so that I can decide what's best for the user and what's best for screen flow.

Here's the structure: I have what's called "an Event". Each Event can have multiple "Trials". Each "Trial" can multiple "Classes".

(This is the structure for a dog obedience competition)

Tables:
tblEvents - PK = eventID
tblTrials - PK = trialID, FK = eventID
tblTrialClass - PK = trialclassID, FK = trialID

Currently, for "display" or "browse": I have the following form structure:

frmEvents - single form format with a subform called sfrmTrialInfo, no navigation control - entry to this frmEvents is from an unbound pop-up form that uses a combobox to select the Event for viewing.

sfrmTrialInfo - single form format with a subform called sfrmTrailClass, has navigation control so that the user can display all trials for this event

sfrmTrailClass - continuous form format with navigation control so that user can display all classes for this trial.

My dilemma is what is the best method for letting the user create a NEW Event-Trials-Class structure. Right now I have a button on that pop-up that is used to create a NEW Event. It brings up a blank frmEvent form with the blank imbedded subforms. This is still in the design stage.

I want to have control over the data (as the user is typing ... don't let the user move forward until all requisite data is entered), but I, also, want to make the process relatively pain-free for the user.

Do you have any suggestions on a design?

Updating A Related Table

I have two databases, one containing the tables and one containing the forms and queries. The forms/query database is built from linked tables from the tables database. I would like to expand one of the fields from 7 characters to 9 characters. I planned on doing the in the table database, then updating the linked table. However, the table I need to alter has relationships with about 10 other tables and I get the (you cannot make changes to a related table error message). Is there a way I can make this change without deleting all the relationships?

For future reference, should the relationships have been created in the form/query database?

Tables :: Splitting One Table Into 3 Related Tables

I'm trying to split a table up because I now realize it won't be able to do what I need in the future. It wasn't designed properly at the outset, and I'm trying to correct it now.

This is a database of pregnancies and deliveries.

The single table does not cater well for multiple pregnancies (twins, triplets, etc), and also I foresee problems when mothers come back in future for another delivery.

Therefore I am trying to separate data into 3 tables: Mother, Delivery and Baby.

This is because each mother can deliver more than once, and each delivery can have more than one baby.

I have set up a trial database, with just a few fields in each table to see if this works. An screenshot of the table relationships is attached.

The primary key of the Mother table is linked to the Delivery table, and ditto the primary key of the Delivery table and the Baby table.

I'm not sure how to migrate the data over, in terms of the primary keys of each table, because in the new tables, these should be an AutoNumber field, so that they are unique numbers.

Populate Junction Table Related To 3 Tables

I explain , I have 5 tables :

Class ( classID , classname,... )
Student (studid , firstname, lastname , classID ,....)
Course( courseid , coursename )
Term ( termid , termname , begindate , enddate )
Score ( scoreid , studid , courseid , termid , score)

Note :
1) A class can contain one or more students (one-to-many between Class and Student tables)

The table "Score" is a junction table between three tables : Student , Course and Term because it contains three foreign keys ( I could use a combination of 3 foreign keys to make a primary key ! ) .

The tables ; "Class", "Student", " Course ", "Term " already contain data for each table I created a data entry form .

My biggest problem is how to create a form to enter students' grades or scores for each student that belong to his class.

I do not know how to do it especially since the idea is that :

On a form I would like to use ComboBox to select a class that displays student's list from class selected and a ComboBox in same form to select course and another ComboBox to select a term and then enter grades or scores for each student

This is my general idea to enter students' grades. The rules are :

A class contains one or more students
Each student takes one or more subjects.
Each student gets scores for each subject and each term(quarter)

Queries :: Adding Fields In A Table That Are Related To Other Tables

I am a beginner in access and I want to populate a new field (REPUN_1 which corresponds to SEGMT_ID in the other table) in my table and this field is coming from another table. The values of the fields need to correspond to the row of my actual table (JMTable) having the same CO_ID, MOVEPLANCD and TTY_NO as the table I want to extract the values from (DI_Treaty_Crosswalk).

Here is my query:

UPDATE JMTable SET [REPUN_1] = DI_Treaty_Crosswalk.SEGMT_ID WHERE JMTable.TTY_NO = DI_Treaty_Crosswalk.TTY_NO AND JMTable.CO_ID = DI_Treaty_Crosswalk.CO_ID AND JMTable.MOVEPLANCD = DI_Treaty_Crosswalk.MOVE_PLAN_CD

and it doesn't work since access ask me to enter a parameter value.

Tables :: Record Cannot Be Deleted Or Changed Because Table Include Related Records

Three tables:

Employee, Sessions, EmployeeSessions.

Many sessions can have many employees - thus the joining table has been included.

When trying to delete an employee from the database using a form, I encounter the error:

The record cannot be deleted or changed because table 'tblEmployeeSessions' includes related records

Is there a problem with my table relationship structure? Or is it 'correct' that as the employee is supervising a session he/she cannot be deleted as this would interfere and maybe mess up the session record?

Automatically Copy Data From One Field In A Table To Other Related Fields In Other Tables

I'm trying to create a system where if I enter data into one field it will automatically appear in the corresponding field in another table. For instance if I enter the values 10,12,15 into a field called QID in table A I would like this to appear automatically in a field called QID in table B. Both tables are related and I have enforced referential integrity and 'cascade' options but this still doesn't seem to allow one table to automatically update another. My ultimate aim would be to have a form that you filled in data for the field QID once that then propagated to both Table A and Table B.

I have this table "tblPreventativeMaintenance" which calculates when the next appointment for service. Stored in the field "NextDueService". I have three fields in this table. "SerialNumber", "NextDueService" & "Engineer'sReport".The whole purpose of the table above is to do the calculations.Now the results of the calculations I need them to go into another table "tblInstallations" so I can use it to show Next Due Service when there is a call out in regards to certain ready installed equipment. I have same fields in both tables.I tried update query but for some reason it didn't work or at least wasn't giving me the results I needed from it.

Linked Tables Not Updating In Junction Table

Hi, I have the following structure:

Products 1-M ORDER DETAILS M-1 ORDERS M-1 CUSTOMERS

I have ORDER DETAILS set as a junction table so that many products can be recorded within one order. All is good apart from when i go into ORDERS and create a new order. I click the subform which links to the ORDERDETAILS. I then pick a product number(look up from products table). The problem is this: In the ORDER DETAILS I want to display the unit price of this product simply by picking the product id.

Eventually this would form the basis of an order form where I can pick Product Id and have it display unit price.

Any ideas on this one, I'm sure its quite simple!!

Tables :: Updating Table Data From External Db?

I have an Access db in a 3 person multi-user environment on a Windows network.

There is a "PRODUCTION" db and a "DEVELOPMENT" db.

Let's call them PROD and DEV.

PROD has the most current data, shipping records, item master, customer data, sales, etc. - but not the most current structure.

DEV has the most current struture - all the front end stuff - forms, functions, modules, etc. - but not the most current data.

The way I've handled this in the past (it seemed to work) was to take the PROD db and rename it to PRODX. Then take the DEV db and rename it PROD. Then open DEV (now called PROD) using the usual shortcut to PROD.

So now that opens fine, and I have to update all the tables from PRODX - and I mean ALL of them - since I don't really know what data has changed since the last update.If I try to delete records I get blocked by access because of all the related records (I don't have cascade delete set on every relationship). So I delete the whole table - ALL of them (this requires me to also delete the relationships). Then I IMPORT all the tables from PRODX (these have the current data). But now the relationships are all gone. It seemed at first that the relationships were back and intact - but when I last looked they were gone. So this is my problem.

HOW do I COMPLETELY empty ALL of the tables - or even delete them - and then restore them or repopulate them from an exact copy of the db but with current table data - and WITHOUT affecting the relationships?

Obviously any back end structural changes have to be handled differently. Usually by manually making the same change on the PROD db that I had in the DEV db - because deleting the table will cause the structural changes to be lost.

One last thing - I've been working this way on an un-split db, and now I'm in the process of splitting it - which SHOULD make updates much easier.

I have already inserted the Line # field in the table between every 6 fields and gave it a default value. -Parent and Student and ParentID is the Primary key as a parent may have multiple Students
-There is a form that lets me add students for a particular parent

Tables :: Adding Field To Table And Updating Data?

I have a table in my DB called, devices. This contains all the information about various devices we have deployed in the field.

These devices are also contained in 2 other separate MySQL DB's.

What I need to do is add 2 additional field to my access table for the DeviceRecno and DeviceID of the same device from the MySQL DB's.

Adding the field is easy, but I cant think of a way to enter the recno and ID from the other DB's without typing them in manually for each one.

The common between them all is the serial number of the device, and I can get a list of serial numbers, recno's and ID in an excel sheet.

like a vlookup in excel to easily populate all the existing records with the recno and id's from the other db's?

When I created the access system there was no intention to link it to the other DB's for any reason, but that has now changed due to a lot of reasons.

Currently I keep getting this error: "You cannot add or change a record because a related record is required in table"..My current tables are this:

Primary Table with persons info:

Primary Key - Auto number generated
Name
Address
Email
Phone

I have 4 other tables with use check boxes.

ex:

Table 1 - Geographic locations visited

ID - Auto generated
USA
CANADA
ASIA
ECT...

Table 2 - Languages Spoken
ID - Auto generated
Spanish
Chinese
English

Table 3 - Skills
ID - Auto generated
Hunting
Dance
Singing
Weaving

Is this not a genuine one-to-one relationship table? I mean No two people would have had visited the same places and speak the same language no? I tried to create a one to one relationship with the primary key to the auto generated ID of the child tables but I'm sure that is not how you do it. Also when I try to save the check boxes in my form and I close it and come back it doesnt save and is blank again. Is it because my form gets its information from a query that takes all the information from all the tables.

how I can get this to work properly? Am i to make use of a foreign key? I've read a lot about it online and watched youtube videos but I dont see why I need it here in this case. Is there a way to set the IDs in the child tables to be the ones from the primary table? Or do I have to use a foreign key and manually input the primary ID into them?

Or would it be better to have all these child tables in the primary table and have one large table instead? I just didnt do that because one of them has like 20 checkboxes with cities and locations

Trouble Updating Parent Tables With Child Table/form

Sorry this is so long but I am trying to make it as detailed as possible...

The Setup

My database is similar to the sample "Service Call" db. I have a main table called "tblTT" which has an autonumber primary key. The table also contains several foreign keys such as UserID (not an autonumber) from "tblUser", TechID (also not an autonumber) from "tblTech", etc. I have the relationships setup with "Enforced Referential Integrity" for both updating and deleting records. Each relationship has a RIGHT OUTER JOIN ("Join 3" in access) so that all records from child (tblTT) and only equal from parent (tblUser, tblTech, etc.) will be included. I have a form for nearly every table which serves different purposes but the main function of the DB is to create new Trouble Tickets (TT's), a.k.a. service calls. Therefore the main form used is my "frmTT" form in add mode. The form contains all the fields from my "tblTT" table and contains (directly) no fields from any other table (I guess indirectly it contains fields from all the parent tables...).

The Problem

When I pull up "frmTT" and try to create a new Trouble Ticket for a user that does not yet exist in the table "tblUser" I get the error "You cannot add or change a record bcause a related record is required in table 'tblUser'".

What I want is for my users (the "Techs") to be able to create a new Trouble Ticket without having to worry about populating the "tblUser" table (and other parent tables) first.

My Solution

I was going to (and unless someone can find an answer for me still will) fix this using VB script by setting up a query to check all the parent tables for the values in their corresponding fields in the form. If the query returns no results an "INSERT INTO" statement will run to populate the parents tables so that the form will save itself into the Trouble Ticket table ("tblTT").

I feel that this is a huge work around and not the proper fix. I would prefer to do this the right way both to have a correctly setup DB and for future reference. Can anyone help me with this?

I Have a table that contains the fields: CAT, CHAPTER, ID, someSrting and Completed

CAT, CHAPTER, ID are numbers and Completed is true/false. If I mark a certain entry as Complted (true), I want all the records with the same (CAT, CHAPTER, ID) as the one I marked to be updated to Completed.

For example, If I marked the entry cat:1 chapter:1 id:1 as completed (true), I want all the entrys that have cat:1 chapter:1 id:1 to be marked as completed (true)

Tables :: Developing Related Multi Level Child Parent Tables?

I have created a table that acts as a header for my data and a second table that acts as line item data. What I need to do now is add a second child table that uses the line item data as its parent table and stores associated line items for each record. Is this possible?

I have initial code that uses the two fields from the combo box selection to append same to a new parent/primary archive table. I now want to add to the append SQL the remaining fields to the parent/primary archive table. When I add the second sql string for the remaining fields to the same procedure and execute I keep getting 'null in primary key'. If I copy the primary record and paste same into the archive table it works.

Tables :: Update Data In Related Tables?

I have to make a Costing System but for that I need to enter our Expense details in database according to Fiscal year and months.

I need a table for Fixed expenses and one for Variable Expenses and then I need one or more Forms to update data in those tables. Now I've created a table with Fixed Expenses. I have to update Year and Amount in that. Now it is only letting me one entry per Expense.

I want multiple entries for one Expense say 'Advertising' for different years. I'm thinking may be I need to make more than one Table, may be one for Expenses with ExpenseID and other for Years with Year and YearID and the third one for Amount with columns Amount, Method of Payment, Date and Notes. I did tried this but I think I'm not creating proper relation may be because its only updating for one year.

I'm using Access 2003.
