Tables :: Requery Combobox Lookup On Table Datasheet
Feb 20, 2014
When designing a table I've created a field and set its lookup properties to display a combobox with a row source that returns a DISTINCT set of values already entered into the field.
After a row insert or row update the combobox needs to be required to ensure its list is complete.
If I create a form to display my datasheet this is easy. But I'd prefer to enter data directly into the table datasheet directly. I need to enter simple data into about 20 different tables and I'd prefer not to create 20 forms unless it's really necessary.
The lookup wizard generated entries similar to those I'd previously created manually, except the wizard generated a couple of extra settings that appeared briefly that were not part of the regular set of lookup tab properties. These additional settings referred to 'update propagation'. Once they'd disappeared I couldn't see any way to get them back..
(I am using Access 2013)

I have a form which has a combobox called Task_Ref which looks up values in a table column.
I would like to be able to set the tickbox value of tickbox called P1 to True if the combobox contains the word "test", each entry on the combobox selection may vary such as:-
Test number 1
Yesterdays Test
As long as the word "Test" appears I would like the above to happen?
I was thinking of something along the lines of:-
If InStr(Task_Ref.Value, "Test") > 0 Then
P1.Value = True
Else
P1.Value = False
End If
End Sub
But this hasn't worked

I have an Access Table with about 28,000 Automobile dealerships across the country shown. I've joined a new/small phone contact table to this to keep up with our phone contacts with the dealership and followup efforts. When I search/filter on the dealership table all is fine. However when I search/filter on the phone contact table with a few test entries, I get nothing at all. I supposed that after joining the tables, I'd be able to do a search on the field named follow up date and find/filter today's date or other dates and locate which dealerships to contact when the correct date arrives. But nothing.

I have a main form that identifies a Client File: frmClientFile (Single Form)
On the main form is a subform for Cases: subfrmCases (Continuous form)
Also on the main form below the Cases subform is a tab control that contains additional subforms to view/update different aspects of a case: subfrmCaseClients (Continuous Form).
The way this operates is that the user first chooses a file using a combobox on frmClientFile.
The subfrmCases is linked to the main form (using the caseFileID) and filters correctly.
The subfrmCaseClients is then linked using some hidden text fields on the main form (using caseFileID, CaseID) and this filters correctly.
On subfrmCaseClients is a combobox (cboClientID) that I need to requery based upon the Case Row selected on subfrmCases.
I have tried numerous combinations of options to force the requery by trying to apply a macro on the following:
OnCurrent, OnSelectionChange, OnChange and AfterUpdate events to no avail.
If I hit F5 to refresh the entire page the combo box gets updated as expected.
How do I get the Requery to work programatically? Is this even possible?

I want a command button to "Requery" a combobox. the combobox uses a query to determine the records listed (it lists incomplete records). after completing the record, i'd like to hit a command button that will "requery" the combobox so that the recently completed record is no longer listed.
I tried this:
me.nameofcombobox.requery
But the completed record was still listed.

I'm creating a database which contains information for keeping dog grooming clients. It has 3 tables, table 1 is customer, table 2 is dog, and table 3 is booking.I want to be able to choose the customer table and within that you can see the pet linked to that customer and within the dog table you can see any bookings with that dog. What I have done is linked the pet and booking table to the customer details via mobile no. being the primary key.
I want a form called appointments which contains fields *ID, date, mobile, dog name, grooming stlye and other. What i want to happen is this, once the mobile number is entered, i then when it to lookup the mobile number in the dog table and pull the pet name from that, then in the dog name box it will then provide a drop down of dogs related to that mobile number.
I understand a query needs to be made in the dog name field, so in that field i created a query to look up the mobile no. in the appointment table, and to then lookup the pet name in the pets table. This kind of works. The two problems are this, the drop down in the dog name field shows all of the dogs in the database not just the ones assigned to the mobile no. in the field before. If i choose one of the dogs not related to that mobile it changes the mobile number in the field before to the relevant one (but i don't want to be able to see the dogs which arent related to the mobile no. in the field before. The other issue is that on one of the customers there are two dogs, now on the drop down you can see both dogs, but it will only allow you to select the dog that was entered first into the database. If i select the other dog it simply chooses the data for the one first entered.
I have read about doing Requeries on the afterupdate of the field and attempted this by choosing the dog name field and in the afterupdate telling it to requery pet name (I've also tried mobile), this hasn't worked. I have a feeling I'm getting a bit confused by which fields i'm supposed to use etc.

I have a form "Clientfrm" with a field, "ClientID".
I have another form, "HomePage", with an unbound combobox with rowsource "ClientID" from Clientfrm. Along with that, I have an Open Form button that pops up "Clientfrm" to display existing data if an existing ClientID is typed.
SITUATION: A nonexistant ClientID is typed into "HomePage", a blank "Clientfrm" pops up with the field "ClientID" blank on the Clientfrm. Once filled out and closed, I am back to the "Homepage" to enter another "ClientID". However, the combobox does not display the new "ClientID" until the "Homepage" is closed and reopened. How do I fix this?
I tried the Me.ClientID.Requery on the On change event of the combobox of the "Homepage", but that is not working. What should I do? SHould I instead put that code in on change event in the "ClientID" field in the "Clientfrm?"

I set up several combo boxes to display Tables from msysobjects. The record source is using a WHERE clause to display certain tables both Linked and Local. Occasionally, when clicking the dropdown arrow, the box only displays local tables. This situation seems not to matter whether tables have been newly linked or unlinked. despite having both a me.requery and a me.refresh in the code and/or even clicking the Refresh All button on the ribbon menu, the form does not seem to update the combo box to display both linked and local tables.
In further testing, it seems that it is not a form issue because I took the SQL statement I used as the record source and created a new query with the sql string. The query behaved the same as the combo box, only listing out local tables.
My current work around is to close the database and reopen, then all is well. Hopefully there is another way to get the linked tables listed without this drastic step.
Don't think it's necessary, but here is the sql statement. Type 6 is linked.
Code:
SELECT msysobjects.name
FROM msysobjects
WHERE msysobjects.[flags] = 0
AND msysobjects.[type] in (1, 6)
AND Right([name],7)<>'_SOURCE'
AND Right([name],4)<>'_OUT'
AND msysobjects.name not in ('tblImport','tblImportFormats','tblUniversal') OR msysobjects.database=gblprojectname()
ORDER BY msysobjects.name, Right([name],7);

I have a form frm_GlobalSettings with a combobox cmbDescription that finds a record based on the value selected. The row source type for cmbDescription is Table/query, and the row source is a select statement on the form's underlying table.
I want the user to be able to use cmbDescription to add a new record to the form's underlying table. I currently have
Code:
Private Sub cmbDescription_NotInList(NewData As String, Response As Integer)
Dim strTmp As String
'Get confirmation that this is not just a spelling error.
10 On Error GoTo cmbDescription_NotInList_Error
20 strTmp = "Add '" & NewData & "' as a new global setting?"
[code]....
but when a new value is entered this errors on line 70 with "runtime errror 2118 - you must save the current field before you run the requery action".I've tried various ways around this but can't get it to work.

I have been using AYS2000 database example from Rogers access library. I have been in the process of modifying to meet my needs. Although I have run into a problem that was prevalent in the original database example. I have attached the original database for your reference.
Problem: At the bottom of the database beside the "New Response" button there are 2 combo boxes that allow you to select the survey and response in which you want to view in the subform. Although when selecting the response the subform does not always update the record in the subform. It would appear that the problem occurs only after a response has been previously selected. I have tried adding additional code to refresh and requery the subform already without any success.

I have a table "Product" and in this table I have two fields "StoragePlaceID1" and "StoragePlaceID2". Both these fields link to the look-up table "StoragePlace"
*Attached Image "Product_StoragePlace" from the Access Relationship Window"*
When I want to add a new Product from my inter face i get the error you can see in the Attached Image "Save_Error".I think the problem is that the Relationship is defined as One-to-Many,there a way to define the relationship as Zero-to-Many.

I have a split form that was not made by wizard. On the form part I have a combobox that is unbound to the form data set. The combobox has a query row source that is based on the current row selected. I want the combobox to have an up-to-date result based on which row is selected.
If I set the combobox to requery in the form_current event then I get what I want. I don't want to put up with the little delay that is generated every time a user changes rows because of the requery, though. I only want the requery to happen when they use the drop-down menu.
I have the requery in the gotfocus event of the combobox on the form. I mostly get what I want this way, however if they select an item in the drop-down list, then choose a new record in the datasheet, then try to use the combobox again, the combobox is not refreshed (because it never lost focus?).
To get around this, I've tried to setfocus to something on the form in the on_current event, but access gives me an error: 'Access can't move focus to the control btn_Refresh'.How can I get the combo to requery only when users are about to use it?

I am working with Independent School Districts (ISD) in the state of Texas. The State is divided into 20 regions. Over 1000 ISDs are divided among those 20 regions. Each of the 1000+ ISDs has between 3 and several hundred individual school campuses. Each has a name, but as you would imagine, there is some duplication - not within an ISD, but between different ISDs. For instance, both Dallas ISD and San Antonio ISD may have a Lyndon B. Johnson campus.
We are an association that has members on most of the campuses.
I am using an autonumber ID as primary key on the member, campus, and ISD tables.
During entry/editing within the member table using the basic datasheet, I want to use a lookup field (showing campus names) to select the campus. That is not a problem by itself. But with many tens of thousands of potential campuses to choose from that doesn't work very well. What I would like to do is restrict the campus lookup to the names within the ISD, that is, filter the lookup by ISD.
However, I don't want to include the ISD in the member records because that will not be full normalization, but I am willing to do so if necessary. But if I do, I want to include only the ISD number (another autonumber primary key for the ISD table). So during member entry, I want to translate the ISD key into the related ISD name for selecting the correct ISD, before I try to select the correct campus within the ISD.
Essentially what I want to do, is member entry thru a datasheet and first look up the ISD to find it by name, then use that selection to filter the lookup on campus to limit the selections to only campus names within the chosen ISD.
I would be grateful for any assistance with this. I am not married to this approach, so if someone has a better but different idea, please suggest it. However, I am a relative novice, so bear that in mind.
Thanks in advance.
Conor

I am new to Access and am currently learning it so that I can construct a database of trivia questions.
I have a "Questions" table with question, answer, type, etc. This table is linked to a "Categories" table with a many-to-many relationship using a junction table called "Questions_Categories". The "Categories" table is also linked to a "SubCategories" table with a Categories as the parent and SubCategories as the child. I have attached the database for ease of understanding.
When I enter data into the "Questions" table using datasheet view, I open up a subsheet that shows me the Category and SubCategory fields which have their own lookups.
My problem is the following: I want each category to have its own set of SubCategories. For example, the "Region-Specific" category has "Canada", "London", and "Ontario" as sub categories. However, the movies category should not have any sub categories. The problem is that when I choose Movies in the sub datasheet, the subcategory lookup still shows Canada London and Ontario when I don't want it to show anything. It doesn't make sense to have a Movies category with a London subcategory.

I have problems understanding lookup tables, especially how to populate them with data. I'm working on an exams database, and have many such tables...
Table for Students
Table for Subjects
and a lookuptable for studentsubjects
Table for Classes 1, 2, 3, 4
Table for Subjects Eng, Math, Geo, Chem... 11 subjects in all
and a lookuptable SubjectClasses
Having inserted data for all subjects and all classes, should I then go ahead and Insert data for SubjectClasses? There will be 44 items!
Even more appalling, studentsubjects table will have (no of students * 11) for my small school, it will be 1,760

I know experienced DB developers say never to use a lookup in a table for a foreign key and instead to use it on the form level. For this reason, I am going through my tables and removing lookups from the table level now.
But how do y'all feel about lookup value lists? (so the list is typed-in instead of looking up a table value)
If you think they shouldn't be used then what should I do instead? Should I make a table for the handful of values and link with a FK field?
Or is there a better way? I would rather not have to make a million tables for these short, stable value lists.

I've designed a database at work to collate information about locations around the world that are contaminated by conflict and military activities. I'm struggling with the use of the lookup wizard to populate some fields in one table from another table. The database is ultimately meant to be used to identify contaminated sites in various countries and also to be a source of data for an online interactive map. As such, it needs to hold a fair amount of information. I figured that it would be normal that some fields and tables would be connected to one another. So, for example:
Country table is looked up by the conflict table to provide the names of countries participating in a conflict. To do so I used the lookup wizard. Similarly, the Site information table is looked up by the Site contamination event table to provide the names of contaminated sites. The Site contamination event table. Then the Site assessment table looks up the Site contamination event table to provide the name of contaminated sites. The relationship between these three table is intended so that at any given site multiple instances of contamination and their subsequent assessment can be recorded. This is where I started noticing problems. When I tried to input some fields into the Site assessment table, specifically the 'Site name', it would only display the primary and foreign keys in the drop down menu but not the 'Site name'.
- Have I messed up by relying on the lookup wizard in my table design? This seems to be the consensus in this and most forums (I checked another thread in the 'Tables' forum here). That said, I've seen some people making a distinction between using 'Lookup tables' and 'Lookup fields within a table', but given my relative newbyness I'm struggling to see the difference!
- If the answer is yes then what approach should I take to achieve the same aim (having multiple tables that feed information to one another). Initial research seems to suggest putting lookup/combo boxes in my forms. I'm dabbling with that at the minute but so far the results haven't been as desired.
I've attached a zip file with a screenshot of my relationships diagram to give an extra idea. Note that the relationship between the 'Site assessment' table and 'Site contamination event' table isn't showing up as I removed while trying to troubleshoot, but it is supposed to be one-to-many from 'Site contamination event' to 'Site assessment'.

I have recently been modifying an existing Access 2007 database, everything seems to be working correctly, except that the main table holding most of the data is acting strangely.
If opened in database view, it is completely blank - no column headers, no data. Record count is correct and I can step through/select records, but there's just nothing visible at all.
The data clearly still exists as it can still be viewed in forms / queries / reports.
Only thing I can think of is that I have deleted a bunch of outdated queries & reports and it's possible that one or more of them may be cross-referenced with the table in another query, but still can't see why that should be causing this problem.

A field in a table can be populated by a lookup up but it has to be done manually or with a form.A "new" table can be created with a query that matches the data.
Is it possible to skip these steps and create a field that automatically populates with the data from another table based on other common data?I can do this in Excel but not sure it can be done in Access.

I am creating a table for data entry. Three fields in the table are going to be Firstname, Lastname, and Address. I want the choices for data entry to be read from a master table which contains first and last names and town of residence.
That being said I would like the choice of Lastname to be all last names from the master table, and the choices of Firstname to be those from the master table but are limited to having the Lastname as entered in the previous field, finally I want the Address field to be limited to those records which match the lastname and firstname. I have been playing around with lookup queries for each of the fields to no avail.

Will I need to merge all the CLIN numbers into one lookup table, or can I do it from two lookup tables?

I have to design a price list table which is currently done in Excel.
The table looks like this :
[Headers]
Product Group | Layers | (this are quantity bands) 0-100 | 101-500 | 501-1000| etc
Test1 | 2 | £10(normal) £9(special)
The quantity band currently is fixed to 5 bands but would need to be flexible. There are also 2 prices for each of the quantity band (normal/special)
At the moment my table design looks like this:
ID
fkSupplierID
fkProductGroupID
txtLayers (value list)
intMinQty
intMaxQty
curNormalPrice
curSpecialPrice
This works quite well with the query to return price based on product group, layer and order qty. However I am not very sure if this is the best way to design this. I am just thinking about maintenance - for example when the supplier puts in a price change or when the quantity band changes. The current format (quantity band) is based on a major supplier but in the future we would like to adopt this for any supplier.
