I have a project that in Access. I'll be handling a survey file that will maintain answers per customer. The visit to customer is done monthly in a year, which means that a customer can have 12 visits in a year. My problem is that if I will maintain this project for the next five years or more, I have to maintain another field in my table that will block the duplicate entries.

Query Field To Concatenate Fields With Nil Values

I have an Access 2000 project and am trying in a query view to join 3 values into one.
2 of the values come from tables, the third comes from another query view (all linked in the query design screen)

Value 1 is always populated, but for each record either Value 2 or Value 3 will always be empty.
All values are strings.

I have tried this formula in the query design grid:

dbo.Value1 + '/' + dbo.Table2.Value2 + dbo.vieTable3.Value3


..in an attempt to give the result Value1/Value2 or value1/Value3 according to the
particular record.

Unfortunately it doesn't work! ...just returns blank results when the query view is run.


Any suggestions would be greatly appreciated

I need to concatenate these three fields into one but for each record the order can be different. What I want to do is have another field in the table to store the concatenation order as the field names not the field values.

I also need to display the concatenated field as the actual field values and not field names in a form or a report

So if field4 was the concatenated field store it would store the information like this

[Field1] & " " & [Field3] & " " & [Field2]

In a form or a report

Field4 should show as Values of those fields

I have what is probably a stupid question but I've been struggling with this one for a while. I have an ordering database which has an Orders table (containing Order ID, Date, Supplier etc) and an Order Line table within which I have a combo box for Product name, supplier, price, VAT rate, Line price etc. At the moment, I have the order line table as a subform within the Order form (run from the Orders table). The problem I'm having is the subtotal and total fields. At the moment these are in the Order Line table as I cannot figure out how to get these in the Orders table. In summary, can I make a calculated field in one table that calculates values from another table (linked by Order ID)?

How to set up my tables as I'm just starting off with setting my database up.

I'm doing a simple database to track the purchase orders (PO) I am managing. Each PO has a PO Number and an Original Value. POs may have multiple amendments which would change the PO value. I would however like to keep the history of the PO original value and all different amendments.

So I created two tables:

tblPO:
ID
PO Number (Number)
PO Original Value (Currency)
PO Sum of Amendments (???????????)
PO Current Value (Calculated = PO Original - PO Sum of Amendments)

tblPOAmendments:
ID
PO (Lookup from tblPO)
PO Amended Value (Currency)
Amendment Date (Date/Time)
Amendment Desc (Text)

Now the two, million dollar questions are:
1.) Is this the right table structure to use.
2.) How do I go about calculating the Sum of Amendments field?

Tables :: Setting Primary Keys To More Than One Field In Table / But They Cannot Have Null Values

Access 2010..One organization that we work with provides us with a block of numbers for each of the two types of contract products we order from them; we do order non-contract stuff from them also.The block of numbers are the same (i.e. 20000 to 30000 this year) for each of the two products. This means that each product can have the number 20000, for example. We call this the Tracking Number. If it is one of these products, we need to select the Contract Number.

For all other one off orders we have with them, we assign our own Tracking Number starting with 00001. This Tracking Number cannot duplicate unless it is one of the aforementioned two products.Both the Tracking Number and Contract Number are in the same table. The user selects the Contract Number from a form (connected to the Contract Number table that has all the details on the contract) and the Contract Number is populated in the same table that has the Tracking Number.Each order must have a Tracking Number (no null)..Not all orders need a Contract Number (null okay).The Tracking Number and Contract Number combination cannot duplicate.I tried setting the primary keys to more than one field in the table, but they cannot have null values.

If not... I have been working on Plan B.... an AfterUpdate on the form (either the form or a field... don't know yet) that looks at a query that only has results if there are duplicate values.

Fields "Cust no", "Inv no" and "T no" are in Text format, whereas "Date" and "Amt" are in Number.

My question: how can I concatenate row values using a query. The query results that I wanted are as follows:

Combine / Concatenate Multiple Values In Different Records That Have Same ID

I have to concatenate the data in multiple records into one record. They have "skus" associated with them.

I have two columns.

ColumnSku: Which contains a product sku
ColumnModel: Which contains a model numbers

ColumnSku can contain the same sku hundreds of times
ColumnModel can contain the same model several times but not for the same sku

What I need to do is this: For every time a sku is shown in ColumnSku, take the model in ColumnModel and join them together separated by a comma.

For example

ColumnSku|ColumnModel
SKU1111|Model11111
SKU1111|Model22222
SKU1111|Model33333
SKU1111|Model44444
SKU1111|Model55555
SKU9999|ModelHHHHH
SKU9999|ModelJJJJJ
SKU9999|ModelMMMMM

Would end up like this
ColumnSku|ColumnModel
SKU1111|Model11111,Model22222,Model33333,Model44444,Model5 5555

How do I do this?

SURVEY Database - Problem On "survey Questions"

Hi, I have a survey database file containing the following tables

tblQuestions - contains survey questions
tblResponse - contains responses inputted by user
tblRespondents - contains info on user (e.g. Name, Add...etc)

Is it possible that answer to some questions are dependent on other questions?
for example:
Question 1 -True/false
Question 2 -True/false

Question 3 -True/false

If question1=false or question2=false then question3=false
(the response to question 3 is automatic and dependent on the responses of question1 and question2)

I'm using Access 2010. I need to calculate a score based on values selected in a table by looking up corresponding values in other tables. I have a "Project" form to create new entries into the Project table (see Table 1). When I create a new project record, I will select values for the Payback and Need fields by selecting options from a list. The Payback list is pointed at Table 2 and the Need list is pointed at Table 3. In the below example, I created the "ABC" project and selected "1 year" for the Payback field and "Repair" for the Need field. Pretty simple.

Now that I have the "ABC" project loaded to my Project table, I'd like to create a report that will show a "score" for this project. The score should be calculated as follows: Payback Impact + Need Impact. In this example, the score should be 30 (Payback Impact of 20 + Need Impact of 10).

This query is grouping and summing, and I want put the results in a form and see it grouping the fractions in lines like this:

F, L;Q, M;U, H, G;W, C, N, I, voted Yes = 37,72
D; R - voted Abstention = 7,78

How can I do it?

Test / Survey Table Design

Hey all, I'm trying to design a Test / Survey database.

Please look at the .jpg attached or download the sample database.

I have looked at some previous survey/tests design posted on this forum and had a good table design based off of a Pat Hartman suggestion. Now i am wanting more out of the database and need more advanced options.

Here is what i am trying to do. When a user decides to make a new question for a test/survey they will have to choose what type of question the question will be. For example say the user wants to make a answer grid question. They would choose Answer Grid from the tblquestionstypes combobox. Then they would have the option of choosing a type of answer grid (Dual Scale, Rating Choice, Ranking Choice) from the tblQuestionOptionTypes combo box. Say the user chose Ranking Choice then they would be presented with a list of options for the Ranking Choice. For example 5 sets of rankings, 4 sets of rankings. 3 sets of rankings. (These are just coming off of the top of my head but i think you know what i mean.)

Question, Is this close to being correct. mind you i have just started this and am just throwing ideas around.
Where could i store the correct answer for each question. Sometimes there will be a answer and sometimes there will not be an answer due to the fact that it could be a test or a survey.

Any help or suggestions would be appreciated. Thanks

Table Design For Survey Response Database

Hi, All--

I am designing a database to capture the data of returned surveys. I want to design the database to facilitate data analysis through crosstabs or other aggregation queries.

If I design a table where each record is the complete survey responses to all survey items in a returned survey, this is not friendly for such query analysis. (In this, each field would be a survey item). Call this the horizontal method.

The other way would be to have a reference table containing the survey items , and have responses entered in a seperate table linked by item id and response id (from a third table containing a record for each submitted survey). Call this the vertical method. This would take more time to set up but would probably be easier to query.

The item response table would become quite long contaiging every item response for every survey turned although each record is short.

Does anyone have any opinion on this, or perhaps a completely different approach that I haven't thought of that would be easy to set up but also easy to query?

Table Setup For Survey DB Using Multiple Sets Of Questions

Good morning,

I am having problems figuring out how to set up my table/query structure for a series of surveys that are based on specific user groups. In a nutshell how do I set up the relationships for the Questions, Employees, and Answers if I have the following tables (simplified):

--------------------
AnswerID (P)

EmployeeID
Answer

The functionality requirements are:

1. Create a set of questions for two or more user groups (each set contain different questions).
2. Assign Employees to a specific user group.
3. Employees are able to enter the DB to answer the questions within their user group.

What should happen is the employee accesses their set of usergroup questions and enter the corresponding answers. Each time I try to set up the relationships however, the answer field ends up being uneditable.

Any help you can give would save what little hair I have left.

Survey Table Design, Have Searched Require Clarification.

Firstly hello, I'm new! :)

Sorry for creating yet another thread on table design/relationships for surveys, I did search just needed a bit of clarification.

From what I understand from my search the best way to create a basic db for surveys would be a question table, response options table, and response table, this is similar to a database I have implemented for a simple online surveying system. Now this works with Y/N, or even limited response questions.

However I can't get it to fit with my current project, and I don't think it will, but I thought I'd check to see if I'm being stupid.

I have a survey, 20ish questions expecting 200-250 responses.
The questions consist of a mixture of:

Yes/No answers
Select all that apply answers
Select one from list
Select one from list or select Other and enter it yourself
Text/Comments


Because of the wide range of values, some completely unique and the possible number of answers per question per survey it seems the above method (and that implemented in At Your Survey which i've had a look at) would not work.

I only need to store responses (not questions), so I'm proposing a main table with related tables for those questions that require it.

So in essence a flat file response table with each field being a different question, each record being a separate survey response.
For those questions with multiple answers a separate table, related to the main response response table.

Data entry will be twofold, a web version of the survey automatically recording responses and manual entry into custom form within access for those paper returns.

Reporting will be faily widespread with a lot of cross referencing.

I know this is not a reusable format, and it is pretty much a one time only project anyway, relatively short lived. But I'd still like to create the most efficient product I can, within the time constraints.

Any views or help would be much appreciated :)

I'd like the values in [Checking].[Description] to be replaced with the values in [Rename].[NewDescription], including those that are "Like".

Examples:

I have a datase that has the following fields.

I have about 36 names and each of those names appears anywhere from 2 7 times each. Each name entry has a comment1 and a comment2.What I would like to do is create a form that allows me to choosea name and the display the comments 1 and comments 2 in text boxes.

I have made the form to allow me to choose a name and it shows one of the comment1 and one of teh comment2 in the adjacent text boxes as planned but, I want all the comment1s for Bob to show in the text box for comment1 and all of the comment2s for Bob to show in the Comment2 text box.I believe I need to concatenate the results in the comment1 and comment2 boxes, but I do not know where or how I would do that.

I'm pretty good with setting up a very simple database such as inventory, profiles, etc.. However I'm creating a database to keep track of a football (soccer) team's players and match statistics.What I have so farsample attached)

Tables:
* Players - PlayerID, Fname, Lname, position, goals, assists, etc (all details regarding a player)
* Position - Positons (Table containing positions eg: defender. Data is selected in player's form as a combo-box)
* Competition - Competition types (Cup, League, Friendly. Data is selected in Match's form as a combo-box
* Venue - similar to Competition table
* Opponent - Similar to above two tables
* Match - MatchID, Competition, Venue, etc (form corresponding to table attached)

Forms:
* Player form
* Match form

Now as shown in the sample, I choose players using the combo-box. Then whatever stats they had during the match are entered on the fields provided. How to link the player (selected using combo box) to the stat fields (goals, assist, YC, etc).

Tables :: Passing Field Values Between Tables

Currently, we have a table which contains a field for each type of training that can be taken (FUT1, FUT2, ...). Once an Instructor has taken one seminar, the table is populated with the date taken, via their employee number (the key) through an update form.

Now, the company wants the paper training reports to turn into a digital part of this database. As envisioned, the form and associated table will have combo boxes with pre-determined training types (FUT1, FUT2, ...). The date would be typed in.

The problem I see is getting the dates and training type from the future table to populate the existing table in the correct field for the correct Instructor.

In addition, there exists a report which prints out the training dates for each Instructor at each school. This is will still be in use.

Concatenate Into A List In A Single Field

I have created a function that loops through an amount of records and concatenates them into a single comma-separated string. What I would like to do is concatente the values into a list. Instead of:

value1, value2, value3

I would like to see

value1
value2
value3

This needs to be in a single record only. The code I am using is:

Thanks for all your help. I have tried to insert char(20), but this only seems to work in Excel. Access gives me invalid char symbol.

Concatenate Field Or Group By In Report

I'm looking for a way to summarize multiple fields of data from the same column in a single field. I've seen this page but have been unable to get it to work. I save the code listed but do not know which of the example fields would relate to my table.

Code:
SELECT CompanyName, ConcatRelated("OrderDate", "tblOrders", "CompanyID = " & [CompanyID])
FROM tblCompany;

I saw that I can create a report and select "group by," but then all the columns appear on different lines rather than summarized on one line. Here is an example of how I would like the data to appear, separated by commas or with specific dates within parentheses. The reason I want them all on one line is to provide an easier to read/more succinct summary.

e.g.
ITEM
LOCATION
DATE

GORP
EAST
1/1/2012

GORP
EAST
2/1/2012
