Tables :: Text Field On Linked Table

Nov 12, 2014

We have a database (Access 2007) with several linked tables to an MS-SQL 2008 instance. All the text fields that I have issue with are nvarchar(255) on MS-SQL. The odd thing it will not allow a full 255 characters to be entered into the field. It will fail to save unless the number of characters is about 238 or 239 characters (not sure of the exact number of characters). It shows the field as a text and field size of 255 in Access .

Tables :: Numbers / Text And Null All In One Field Linked From Excel

Jan 11, 2013

I know you can't store text in a numeric field but I always thought you could store numbers in a text field - provided you didn't need to do any calculations on them. My problem is as follows:

I receive an Excel 2003 spreadsheet once a month, which I save to a specific filename/location overwriting the previous file. My Access 2003 database uses this as a linked table and (among other things) runs an append query to add the new data onto an existing table.

We have now added a new column called Reference in the spreadsheet. Often, this will be empty, but it could contain numbers or text. This is the first month I have received it and most entries are blank (including the first row) but further down there are some numeric values.

So I added a new Reference field to my main table and set it to text. Then I amended the append query to include the new field. But when I run it I get the error "Numeric field overflow". If I take that column back out of the query, it runs fine, so that's definitely the offending data. And when I open the linked table in Excel and scroll down to where I should see the reference numbers, I see #Num! So it looks to me like it doesn't recognise numbers as text.

Things I've already tried

In Excel, I formatted all the Reference cells as text.

That didn't work, so next I added a dummy record at the top of the Excel file (just under the headings), with zeroes in the numeric columns and 'X's in the text columns including Reference.

But that doesn't work either. Given the above circumstances, what's the best way to proceed with this?

Tables :: Make Calculated Field In One Table That Calculates Values From Another Table Linked By Order ID

May 13, 2015

I have what is probably a stupid question but I've been struggling with this one for a while. I have an ordering database which has an Orders table (containing Order ID, Date, Supplier etc) and an Order Line table within which I have a combo box for Product name, supplier, price, VAT rate, Line price etc. At the moment, I have the order line table as a subform within the Order form (run from the Orders table). The problem I'm having is the subtotal and total fields. At the moment these are in the Order Line table as I cannot figure out how to get these in the Orders table. In summary, can I make a calculated field in one table that calculates values from another table (linked by Order ID)?

Tables :: Resetting Auto-numbering Field In A Linked Table

Sep 21, 2013

I have created quite a substantial and effective database for a small gliding club with all the major data tables being linked. I need to be able to re-index tables periodically so that running totals, which are needed to calculate statement balances, works correctly - all well and good. The only problem is that the process of re-indexing requires the data in the main table to be stored temporarily and the original data deleted. When the temporary data is appended to the main table the auto-numbering just keeps clocking up.how to reset the auto-numbering in a local table.

Tables :: Change Item Source For Multi-valued Field From Linked Table To List?

Feb 16, 2013

I am using MS Access 2007.

I have created a multi-valued field "Product Category" that lookups data items from a linked table. So, the Data Type for the multi-valued field "Product Category" is Number.

Now I want to change the Data Type of "Product Category" from Number to Text, and make a value list that I can type values in and can provide the same data items as the linked table.

How to change item source for the multi-valued field from a linked table to a list that I can type in values?

Is there a feature provided by MS Access 2007 can enable such a conversion?

Tables :: Formatting Addresses In A Text Field Within A Table

May 22, 2013

I have been using Access for several years but always in a basic way. I have started work on an existing Members database where the Members Addresses have been pasted in from Notepad or been imported from csv or manual entry. The ones that have been manually entered are on one line. The ones that are imported from csv or pasted from Notepad are on multiple lines like you would naturally type on an envelope..In Notepad they look like this:

'Oakdale' 123 Expression Road
Name of Town
Name of County
Postcode

Sometimes the addresses have 4 lines and sometime they also have the name of a village which makes it 5 or 6 lines. When imported into Access they also view (datasheet view) in the same way with the return at the end of each line. However, I cannot enter a new address in this manner directly into Access. How can I enter the address text into a text filed and be able to format it so that it looks like the above?

I have searched many times for an answer to this but cannot find a way of explaining it that search engines understand. I first came across this 12 years ago when I worked on a massive Members database for a radio station all the addresses where formatted in the same way and had been imported through csv. When I do this the csv file marks up the text as "'Oakdale' 123 Expression Road□Name of Town□Name of County□Postcode"

I have tried exporting to csv ad then importing it into GMAIL and this works fine I have also printed off labels and envelopes and all the addresses print fine too; I just don't know how to input it in that format other than pasting all addresses through a basic text file.

Tables :: New Record In Table / Meaningless Symbols In Text Field In Report

Sep 13, 2013

When I add ANY record to a Table I get meaningless symbols in a Text Field on my Report.I have a Microsoft Access Database of College Football Teams and their Schedules that otherwise works just fine. In the past, I regularly added new teams to the Teams Table. I enter Team Name, Conference and Division affiliation (if any), whether or not they play home games on Grass or Turf and a hyperlink to the team's website.

I went to add Fordham to my Teams Table, as Fordham plays at Temple this week. After I entered the information in the Table, I saved and ran the Compact and Repair Database tool. I went to run a Report that contains a text field called "Comments" that I enter non-indexed comments about the game manually in the Schedule Table or on a Form. Not all games have comments. However, as a result of entering Fordham in the Teams Table, I now get nothing but weird looking symbols that look like Wing-Dings or Chinese Script in the Comments column on the report. These symbols show up in each row under Comments, whether or not I actually have a comment in the field. These symbols also show up on the report no matter what team or time period I select on the Form that runs a Query that generates the Report.

I isolated the problem to this addition of Fordham, because if I delete the Fordham record from the Teams Table, Save and Compact and Repair the Database, I can return to the normal looking text in the Comments Text Field in the Report. I tried only entering "Fordham" as the team name, disregarding any of the other information, like Conference, Division, playing surface or (most importantly) the hyperlink, but I get the same symbols. I also tried entering just a team name of something other than Fordham, but the same pesky symbols show up. I restored a previous version of this database before the problem showed up, but, when I added Fordham, I got the same result. I tried searching on this topic, but with little luck. There were a few things like making sure the hyperlink was not indexed or Unicode Compression was off, but nothing really more than that.

Forms :: Update Table From Text Box Already Linked To Another Table

Dec 13, 2013

I have a form that contains the following: Combobox, (Lists BadgeNum from tblPersonnel)

2 Textboxes (LastName, FirstName) populated via code from the combobox using info from the same tblPersonnel.
2 labels (one containing Date, another containing Time)
ToggleOnButton (Valueof 1)
ToggleOffButton (Value of 0)
Savebutton

This form is basically used as a cheap police timeclock. All Im trying to do is when a user chooses their name from the combobox, clicks ON or OFF and then save, is just write the much of the same info to a table. Specifically, BadgeNum, DateIn, TimeIn, DateOut, TimeOut.

Queries :: Linked Table Date Is Text

Jul 22, 2013

I'm trying to create a query that will convert the text fields that have dates in them to dates. I cannot change the table this is linked to, our group does not own it. I tried doing a cdate() on it, and it displays the test as a date. But then when I try to run a query based off of this one, to give me inbetween dates it returns all dates as if it is a text. I know my second query works, because I copy the table and changed the text to date fields and it works then.

Modules & VBA :: Linked Record Not Opening When Click On ID Text Field

Dec 17, 2014

My form used to work and as I kept adding event scripts now when I click on the ID text field, it doesn't open the linked record, but a blank record with 'Filtered' showing on the bottom navigation. I guess a question I have is,

-is there an order on which the procedure scripts run
-do they all run everytime, or just the specific event script

===================================
Private Sub Company_Click()
DoCmd.OpenForm "frm Company", , , "[ID] = " & [ID]
DoCmd.Close acForm, "frmCompanyDirectory"
End Sub
===================================

I used to have code on a button on the "frmCompanyDirectory" that added a new record to "frm Company" and that's when the ID = ID stopped working.

Field Names With Spaces And Linked Tables

Apr 16, 2007

Hi all,

I have an Access DB with hundres of queries and reports, now I have to use an external DB (Oracle) and export data keeping the rest, no problem with that, I have added linked tables through odbc and works fine.

My problem is that some of the tables have field names with spaces, and Oracle doesn't admit them. Does anybody knows how to solve it without having to modify all the queries, etc?, I've been thinking about aliases or views over the linked table but I haven't found a way to create these.

Any help?

Thanks

How To Partition A Table Into Two Linked Tables

Mar 17, 2006

Hi, All,

I have so far only worked with single tables and queries but not with linked tables. Now the following problem has arisen.

We have a database all of whose fields except two are of type = Text. Two fields are type = Memo.

We have to submit this database, i.e. its main table, to an external company for automatic 'cleansing' (UK: Telephone preference service). The cleansing program converts the cleansed database into a comma-delimited text file and returns it to us as such, and we then have to convert it back into an Access table.

(That's the way our supplier works, it is not under our control, and we have to learn to cope with it.)

Now the cleansing program is being screwed up by our Memo fields, because they contain commas. So when the cleansing program sees a comma, it interprets this as the start of a new field, and the same happens when we convert the text file back into a table.

Two solutions were suggested by the cleansing company, but only the following seems suffiently automatic and therefore acceptable to us.

I NEED HELP IN IMPLEMENTING THAT SOLUTION.

-----------------------------

I want to move the two memo columns into a separate table (memo table), linked to the original table (main table). Have the ID column (unique identifier) in both tables to keep the records together. Then I send only the main table for cleansing and the commas in the memo can no longer work havoc.

I have an idea of how to create the memo table: make a copy of the main table and then delete all columns except ID and the two memo columns.

But then I have to link the two tables (I do not know how to do that); where do I start.

I must also ensure that when new records are created (now usually through a form), both tables are expanded. And I must get information from both tables into one form.

At present I do not even know where to start, except for creating the Memo table by copying it and deleting certain columns.

I have a good book (John Viescas: Running MS Access 2000), but it is huge, and the problem is urgent (it stops our tiny company from marketing). I have no time to study the whole book to find what I need in this case. A chapter or page reference would be very useful.

Or some Tutorial on the web that deals with my particular task.

Thanks for your help.

Adrian

Main Table Linked To Several Sub-tables - Help!

Sep 2, 2007

Dear All

Since last week I am working on a Database which I will use for my company. To make a long story short, I didn't find any appropiate softwares nor examples on the internet, hence, with my some knowledge in Access, I am trying to make this "to be" useful tool for my self.

Short brief on the project:
This is going to be used for a trading company to register:
- Suppliers
-- Products

- Customers
-- Inquiries
-- Orders
-- Offers

*Relations:
- Suppliers can have one or many products
- Customers can have one or many Orders / Inquiries / Offers

Problems:
(I have tried many different ways, but going nowhere)

1) The "Customers" table have 3 tables (Orders/Inquiries/Offers) linked to it - and all are based on the primary key "CustomerId". --> How can I make a form to enter these data linked?

2) Under "Orders" I want to select supplier from the Supplier table and Product from the Product table -- How?

I know this is a lot of info and probably too vague, but if someone could assist me with a few problems - then I would really really appreciate it and compensate somehow.

Looking forward for your help.

Best regards

Tables :: Copying A Table From One Linked DB To Another

Dec 3, 2013

I am looking to copy one exceptionally large table to another. I can use VBA to copy the entire Report2013.accdb to Report.accdb while compacting at the same time. This is very fast and works well. However once it's copied I need to rename the table tblReport2013 to tblReport. None of these table are in the accdb that I am running the scripts from FrontEnd.accdb. I am working very hard to keep the data tables under the 2 GB limit, which is why linking and keeping the data separate is necessary. There is the chance that Report2013 will be on the network while tblReport will be local to the user, and may or may not be a subset of the Report2013.

I have considered a number of options:
DoCmd.Rename - I can't seem to tell it a database location

I could try
docmd.copyobject - and see if it keeps the file size the same or smaller then the original.

I could just write the sql statement and copy the data that way, and compact the table afterwards. The trouble with doing the transfer that way is hitting the 2GB limit, before I can compact/compress the newly imported data.It just seems odd to have to find another solution when all I really want to to rename a table and ensure the new new is still linked as a separate table.

Linked Tables Not Updating In Junction Table

Nov 20, 2004

Hi, I have the following structure:

Products 1-M ORDER DETAILS M-1 ORDERS M-1 CUSTOMERS

I have ORDER DETAILS set as a junction table so that many products can be recorded within one order. All is good apart from when i go into ORDERS and create a new order. I click the subform which links to the ORDERDETAILS. I then pick a product number(look up from products table). The problem is this: In the ORDER DETAILS I want to display the unit price of this product simply by picking the product id.

Eventually this would form the basis of an order form where I can pick Product Id and have it display unit price.

Any ideas on this one, I'm sure its quite simple!!

Thanks in advance
