Tables :: Validating Field - If Number Exist In Another Table?
May 1, 2013
Validating field from a query. I have a table with a field that has a value number that I need to validate that that number exist in another table in a field
Table1.field1 Number
Table2.field1 number
So let's say a have in table2.field1 the list 1 2 3 4 5 8
In table1.field1 I need to validate that the number I enter is present in table2.field1 so 1 would be ok but 6 invalid and it can't be a from list statement because I need the person to enter a number and get no error or get invalid number.

"Field 'F1' doesn't exist in destination table 'tablename.'"
I hate this error message.
I am using the following command to load data from an excel spreadsheet into a backend SQL Server database via an .adp:
DoCmd.TransferSpreadsheet acImport, acSpreadsheetTypeExcel7, sTempTable, strFileName, False, "A2:B4000"
I have purposely used "False" to ensure that the first line in my spreadsheet is ignored. This is because the first line in my spreadsheet contains headings that do not match the column names in my table.
I do not wish to change my headings as end users will be making use of my application and they will not like headings such as "int_FactoryID". Likewise I do not want to change the column names in my table to words such as "Factory ID" as this would be a bad naming convention.
Is there a way to use TransferSpreadsheet without necessarily matching the headings in the spreadsheet to the column headings?
Is there a way for TransferSpreadsheet to ignore the headings and assume that the first column in the spreadsheet needs to go to the first column in my SQL Server table?
Any help would be appreciated.
Thanks
Kabir

Was trying to append an Excel 97-2003 spreadsheet to an existing Access 2010 database.
The last field in the spreadsheet is Date Update.
When I click 'Finish' I get the error "Field Date Update doesn't exist in destination table <name of table>.
This database was created in Access 2003, and was not updated since and I don't have Access 2003 on my destop.
I saved the Excel Spread as a Excel Workbook *.xlsx and tried to append it. Same Error was the result.

I have an Access2007/SQL Server 2012 system with 20 users for an insurance company. The company does most of its business via a network of vehicle dealers around the country. If someone comes in to buy a motorcycle, boat, or recreational vehicle at a dealership they need insurance to take it home, and our dealers send the quotes to us.
The dealers, in turn, receive payment from us each month for their efforts. Some are paid a % commission on the premium, some are paid for each quote they send regardless of whether the policy actually sells or not, and some are paid a set amount per sold policy. (Yes, that is relevant information!)
We already have reports that tally the amounts due each dealer based on their payment scheme, but last month our bookkeeper had to write about 650 checks manually because the check writing is not automated. She'd look at the report, and then enter name, address, and amount (in digits and words) into Quick Books and print the checks from there, a horribly tedious process. I've been asked to print the checks from Access. Basically one click would print all 650 checks.
I've opted to use a Make Table query to move the commissioned dealers amounts to a single location, and then to run two append queries to add the records from those paid per quote and those paid per policy. At the end of the day, one table contains all the information necessary to print the checks...except one.
The check number.
I need a way to sequentially number each record in the new table with a user generated starting point, the first check number.
By the way, the check blanks are on standard letter sized paper, three to a page, with tear-off perforations to separate them, in case that information has any relevance.
I think the best way to accomplish this is from the report itself. I've created a blank field on each record for the check number, and what seems most logical is that the sequential number is generated on print and written back to the table, rather than just generating all the numbers at once. That way, should print ever be interrupted, it will be easy to take up where we left off.

Hi there, just a quick question really.
I have got a start date and an end date field in a table both in Date/Time data type. Can i validate the end date so that it cannot be longer than 5 days after the start date, that has been entered. Or is this impossible to do in a table?
Thanks for any help

I have a form where I would like to validate (restrict) choices in subsequent fields.
Example
Combobox choices are Air, Fire, Water, Earth, Space
In the form I have 4 fields = Material1, Material2, Material3, Material4. (all in same record on my table)
Basically I need the validation to not allow duplicates across the 4 fields.
something like....
[Material1] <> [Material2] or [Material3]or [Material4]
I am not sure of the proper syntax for the validation field in the Form Properties. Or if I am even putting it in the right place.

I have two tables in an Access Database- One is the chart of accounts, and the other is the actual entries, with the common field being ID. Chart of accounts is set up something like this-
ID Description
1000 Customer Revenue
2000 Office Expenses
2100 Paper
That kind of thing. Anyway, I want to set up the ID field in the entries table so that it is basically a pull down box that only allows you to enter one of the IDs listed in the Chart of Accounts. Any way to do this? I'd really hate to have to write a quick separate program to do this.

Hello all.
I'm having a problem with a query. I am pulling information from a table that holds demographic info plus some company info. the data in question is the deptno of an employee. This employee also has a jobcode associated with it. I have another table with a list of a few jobcodes.
The data I will retrieve is fname, lname and deptno. If a person is in detno 210 then I want to check his jobcode in the jobcode table. If it is in the table then I want it to return 215 for a deptno. If not then it will return 210.
Does anyone know how this query would look like?
Thanks in advance.

Hi,
This may be a little difficult to explain but here goes:
I have a table in access 97 with the field Account. An account name is usually written as 0000000_A, but it MAY also have a secondary account and is usually written with the same first series of digits but ends in B e.g. 0000000_B. Therefore, we could have an account 0023654_A and 0023654_B.
Now for each account name there is another field called Items which are chosen from a combo box on a form (item 1, item 2, item 3, item 4, item 5, item 6, item 7 and item 8). An account may have more than one item.
Now if account B exists then it MUST contain the same entries as account A but can also have additional items.
So we could have a situation where:
0023654_A
item 1
item 2
item 3
item 4
0023654_B
item 1
item 2
item 3
item 4
item 5
item 6
Now what I am trying to implement is that if the core items (these are those that are contained in both - which would be item 1, item 2, item 3 and item 4 in the above example) are changed in either accounts making them not equal then a warning message should come up stating so. IT IS IMPERATIVE THAT THE CORE ITEMS ARE PRESENT IN BOTH.
I have some experience in Access 97, but unsure of how to tackle this. Could somebody please guide me ???

Hi,
I've got a close button on my form as follows:
Private Sub exitForm_Click()
DoCmd.Close
End Sub
In the beforeupdate event of the form I have have following code to validate the forms fields:
Private Sub Form_BeforeUpdate(Cancel As Integer)
'Place an asterisk (*) in the Tag Property of the text boxes you wish to validate.
'Then in the BeforeUpdate Event of the form, copy/paste the following:
Dim msg As String, Style As Integer, Title As String
Dim nl As String, ctl As Control
nl = vbNewLine & vbNewLine
For Each ctl In Me.Controls
If ctl.ControlType = acTextBox Then
If ctl.Tag = "*" And Trim(ctl & "") = "" Then
msg = "Data Required for '" & ctl.Name & "' field!" & nl & _
"You can't save this record until this data is provided!" & nl & _
"Enter the data and try again . . . "
Style = vbCritical + vbOKOnly
Title = "Required Data..."
MsgBox msg, Style, Title
ctl.SetFocus
Cancel = True
Exit For
End If
End If
Next
End Sub
This validation works fine up to a point. If I try to close the form and a required field is empty, I get a message box asking me to fill in the data. The problem is that when I click ok to the message, it shuts down the form, so I have to re-enter all the data again. My question is how do I prevent the form from closing after clicking ok on the message box?
appreciate your help:)

I need a function or way of dealing with a field that may or may not exist.
I am crosstabbing a large database and then building queries on the crosstab. However, the field from which the column headings come does not always have the same data in it as I have to cut the data in different ways (always similar but not always the same). As a result, sometimes I get the error message:
"The Microsoft Jet Engine doesnot recognise [FIELD] as a valid field name or expression"
where a field I was expecting did not appear.
If it was a null value within a field I remove it like this:
iif([Field] is null, 0, [Field])
Is there an equivalent formula for "exists" that will stop my queries falling over when it cannot find the field?
eg iif(exists([Field]),[Field],0)
Any help, guidance or assistance gratefully received!

I randomly read on another website that your field type in a table should be 'text' unless you're doing math on the number'. Is this true?

I have a field where I'm recording the flashpoint of materials. The majority of the time, I'll have an actual number of the flashpoint (e.g. 100 or 140 or 200) but sometimes, I won't have a number or a number is not applicable.
Is using a combo box the only way to integrate an "N/A" solution for this? Otherwise, I'll have a field for the flashpoint and a second field for "NA".

I have a field to record the last 4 digits of a credit card number in regards to tracking payment information.
The field is currently formatted as a Number field. When I try to enter a set of 4 numbers that start with "0" (e.g. 0123), Access removes the 0 from the start automatically (so 0123 becomes 123).
That function makes perfect sense under normal circumstances, but in this case I want to be able to keep the 0 at the beginning because it is part of the 4 digit sequence.

If you specify Number as data type and Decimal as field size for a field in an Access table, will it actually store numbers to the right of the decimal point? I have never been able to get this to work or find these value if they are there and have alwayshad to use field size single or double or data type currency.
