Tables :: Combining Year And Number Field
Dec 13, 2012
I have a database that uses a field for the year (but I'm using a fiscal year that will end June 30, 2013) and another field as an autonumber. I use the year and autonumber as my reference number (i.e 2013-0001). I'd like to be able to combine these fields to generate the entire number. Also, I'd like for the year to add 1 beginning July 1st of each calendar year, and the autonumber start over at 0001 (i.e. 2014-0001 on July 1, 2013). Is this possible, and if so, how can I do it?

Date of Birth (DOB) field etc. in one program are text - how do I make another file with the same data into number fields for Date of Birth field etc? When I copy data to file that has number fields the 09252004 is changed to 9252004. Can I get reports with the correct Date of Birth in them by moving data from text file to number file?
There is data entered monthly in file and formula has been set up for January, February etc as ---quarter: Int(([month]-1)/3)+1. I would like formula for the fiscal year for April to be counted as month 1, May - month 2, June as month 3, July as month 4, August as month 5, Sept as month 6, October as month 7, Nov as month 8, Dec as month 9, Jan as month 10, Feb as month 11 and March as month 12.
Thank you

I have a date field that is just a typical date field. When I do a query, I want to look up by just the YEAR in that date field. Can I do that or do i need a separate text field with JUST the year entered in? or can i have a field in my table that just looks up the main date field and displays/uses ONLY the year??

I have a table which will contain project information, and want the ID field, which auto assigns a unique number to each record, to be formatted like this P12-001, where 12 = the last two digits of the year the record was created. I know that if I type into the format field "P"00"-"000 i get the ID number in the format I want, but cannot figure how to get the first two zeros, to be the date format.
Further, I would like the ID numbers to restart from 1 each year, so this year this first project, P12-001 and may run through to P12-063, then the first project I enter next year to start P13-001.

I have a form [IUDATA]
I have a add record button.
I have a date field [DATEIN]
I have a text field [DRPNO]
If the [DPRNO] field is empty, I would like the user to have the [DPRNO] field be automatically populated after the user enters a date.
I'd like the format of [DPRNO] to be "dpr YY-XXX"
Where:
YY is the year of the [DATEIN] field and
XXX is number of records in that year.
So for example, if it was the 4th record with a 2013 date the [DPRNO] would be dpr 13-004.

I am currently working on a db to handle our FMLA time. I keep a continous form that totals the time used and subtracts that from the starting amount. One year after the time is used their total should grow. I am looking for some code that will not calculate any record that has a date beyond one year from the current date.

Been looking around for a solution for a custom ID and can't quite find one that's specific to my problem.
I am creating a log and I want to give each new log entry a new log number. The format would be: IEyy-xxx. The ID is the letters IE, then 2digit year, a dash, then 3digit incrementing number. The ID should reset back to 001 every year (e.g. if IE14-623 is last log entry of 2014, first log entry of 2015 would be IE15-001).
My table has an autonumber that I will use as the primary key- which is not the log number- and looks like this:
These are the fields in my table:
Index Log Number (autonumber and primary key)
IE number
Program Name
Date Created

I am working on an access database for my team. We keep and maintain a trail log for different departments.
The person will send a trail sheet to us we will input the info and attach what we call Production Instructions Number in this format (YEAR-Month-001), the next trail will get (YEAR-Month-002), the last 3 digits will start over when the month changes, I would like the PI number to populate automatically when the info is inserted.

I randomly read on another website that your field type in a table should be 'text' unless you're doing math on the number'. Is this true?

I have a field where I'm recording the flashpoint of materials. The majority of the time, I'll have an actual number of the flashpoint (e.g. 100 or 140 or 200) but sometimes, I won't have a number or a number is not applicable.
Is using a combo box the only way to integrate an "N/A" solution for this? Otherwise, I'll have a field for the flashpoint and a second field for "NA".

I have a field to record the last 4 digits of a credit card number in regards to tracking payment information.
The field is currently formatted as a Number field. When I try to enter a set of 4 numbers that start with "0" (e.g. 0123), Access removes the 0 from the start automatically (so 0123 becomes 123).
That function makes perfect sense under normal circumstances, but in this case I want to be able to keep the 0 at the beginning because it is part of the 4 digit sequence.

If you specify Number as data type and Decimal as field size for a field in an Access table, will it actually store numbers to the right of the decimal point? I have never been able to get this to work or find these value if they are there and have alwayshad to use field size single or double or data type currency.

Hi, am sure this is simple....! Can't find a solution.
I have records which have YEAR and APPARATUS as two of the fields. All I want to do is write a query which displays all the records chronologically by YEAR then within each YEAR to group them by the biggest subset according to APPARARTUS.
Therefore if there were 20 people who used Motorised equipment, 15 who used electrical and 10 who used gas, the records would be grouped in that order. Thus showing the pattern in change in use of specific apparatus over the years.
Why can't I DO THIS!!??

I have a form linked to table tblINCIDENTS. When I create a new incident, I select DATE_LOGGED in a text box. This updates the field in tblINCIDENTS.
I would like to show on the form (and store in the table), e.g.
"Record 5 in Year 2013"
I already had the new record number as an autonumber, but now I created 2 extra fields in the table - recordno and year.
I have a hidden text box which, on DATE_LOGGED.CHANGE, finds the Year() from DATE_LOGGED. I have tried using a Query to find the MAX RECORDNO of YEAR. I managed to display the Max (having manually populated the fields!) in a textbox, but am now going round in circles!

I analyse things by the date they are ordered by the office.
The date gets put into a spreadsheet and i import this into access for the querying.
I need to summarise it by weeknumber and year.
I use the following queries:
To get the week: Week Number: DatePart("ww",[DateOrdered],0,2)
To get the year: Year: Year([DateOrdered])
To put it together: Weekyear: [Year] & "_" & [Week Number]
The problem is when the year changes.
The dates for week 1 for 2014 are between 30/12/2013 and 05/01/2014 and therefore straddles 2013 and 2014.
Therefore when the year and week number is put together the following results are given for that particular week:
DateOrdered - Result of above query
30/12/2013 - 2013_1
31/12/2013 - 2013_1
01/01/2014 - 2014_1
02/01/2014 - 2014_1
03/01/2014 - 2014_1
04/01/2014 - 2014_1
05/01/2014 - 2014_1
All of the above should all read 2014_1 but some obviously are 2013_1. This causes me problems when doing further analysis and cross tabulations.
How can I amend my query so that the above all show the correct year and week number: 2014_1 ?

I am importing information into a table from excel. The number is formatted correctly in excel and is displayed as 10309976464180, but when it is imported into access it displays as 1.030998E+13. I have tried all of the possible formatting for numbers but nothing corrects this, and if I change to Long Integer it actually removes the numbers. What is the correct formatting in Access to get these numbers to display correctly?
