Two Issues: 1. Carry Forward A Total To The Next Record In A Form 2. Adding Times

Sep 15, 2005

I am a novice with Access and I would appreciate any help with two issues:
1. I am trying to get a value to forward to the next record in a different field so that I may keep a running total. For example:
Record 1. A field named Today is added to a field named Forward to get a total in a field named Total.
Record 2. I would like to get the value from record 1 in the Total field to carry forward to the the field named Forward in record 2.

The form looks something like this:

Today: 10:00
Forward: 2:00
Total: 12:00

I would like to get the value of 12:00 in record 1 carried forward to the Forward field of reocrd 2 so that the Forward field in record 2 would read 12:00.

2. I also need to add times together arithmatically but the problem I have is that when the total exceeds 24:00 hours it shows only the amount that exceeds 24 hours. For example, if I add 22:00 to 5:00 the result is 3:00 not 27:00. I need to show 27:00 as the total.

Any help with these two items would be GREATLY appreciated.
Thanks,
uspilot

How To Carry Forward A Record ID To Subform To Ensure Editing Right Record

Jul 31, 2015

I am having difficulty getting the right record to carry forward into a modal subform to edit/update information. The Request_nmbr is an autonumber field. The client can have multiple requests. When I open my subform, I can scroll through the records, but when I launch the "update" button, I don't know how to carry forward the request_nmbr so that I'm updating the right record.

Here's my code:
Private Sub Btn_Exception_SubModal_Click()
DoCmd.OpenForm "Frm_Exception_UpdateModal", acNormal, , acFormAdd
Forms! [Frm_Exception_UpdateModal]![Request_nmbr].value = Me![Request_nmbr].value
Forms! [Frm_Exception_UpdateModal]![clientnmbr].value = Me![clientnmbr].value
End Sub

Tables :: Copy And Pasting Carry Forward Value In Same Table

Aug 24, 2013

I have a table in MS Access naming "Salutation" and in the table I have 6 columns and each column named as Week No., Carry Forward records, new records, total records, processed records and pending records. Like below

Week No. Carry Forward records new records total processed pending
1 0 10 10 5 5
2 5 10 15 7 8
3 8 20 28 9 19

So now the requirement is every day pending records should get updated in the next row with in the same table under carry forward records of its next immediate day. For e.g. pending records of week number 1 which is 5 should get updated under carry forward records for week number 2 and so on.

Adding Times To Get A Total.

Apr 4, 2006

Just practicing at the moment, but i have a query that stores durations in hoursminutesseconds

Anyway i want the query to add these times up and give me a total. For example 01:00:00 and 01:00:00 would total up to 02:00:00. Hoever when i use the sum function within the query, i get 0.0833333333333333.

Any idea why and do i have to format the field within the query to recognise it as a Time and not a number?

Queries :: Adding Up Times To Get Total Amount Of Hours

Dec 5, 2014

I have a table of hours that have been worked by employees for each day of the week

[moh] (Monday's hours),[tuh],[weh],[thh],[frh],[sah],[suh]
data eg (this is how I would like it to be inputted into the table)
7:24:00,7:24:00,7:24:00,7:24:00,7:22:00,0:00:00,0: 00:00

This equates to 36:58:00

I have tried

Total Hours: [moh]+[tuh]+[weh]+[thh]+[frh]+[sah]+[suh]

but I am struggling to get what I want in the right format.

How to record the initial data or a formula to format the end result.

Excel just does it !!!!!

Total Carried Forward

Sep 23, 2005

I have a form that currently adds services and products paid for by a client, via subform calculations, indicates payment, via cash, check or charge, and shows, finally, what is still owed. This is for a clinic and some old folks, for example, pay small amounts over time.

The subtotal, sales tax, total and amount still owed are all calculated controls that are functional, but only for the current record. Each transaction record has a date/time field. Each transaction record has the patient ID.

I need to carry forward that amount owed, so that the next time that person comes in, the amount owed control reflects any amount that was owed from the last visit. Is this a case where storing that amount in a field in the 'transactions' table would be justified? Or do I need to somehow incorporate ALL the code leading up to the amount still owed, SUMing it along the way? Very ugly...

Can someone, both, give me some clear suggestions on how to do this kind of running sum on calculated controls (since SUM only works on fields) AND point me to samples of calculated amounts carried forward, if necessary?

Forms :: Adding Total Box To A Form?

Aug 8, 2013

I am creating a database to track gifts to employees. The admin person will fill out a form for each gift and create a report with a total $ value for those gifts for the history of the employee.

I would like to create a box on the form that totals all of the $'s for the employee selected, so the admin can see what has been gifted before they start the next entry. They will select the employee from a drop-down list (Physician_ID) and when that selection is made, I would like to populate the Total_to_Date box on the form with a total of $ gifted for that employee from the NMC_Detail_Records table.

Queries :: Count A Field Multiple Times (sub Totals And A Total)

Jul 18, 2013

I have 2 tables (person / merit) currently the merti table has 4 fields (MeritID, PersonID, Issuer, Type) I'm trying to count the the Type field 7 times, once of each type (MC/MI/MN/MP/MS/MV) and once to count a grand total.

I want to produce a query to use in a mail merge that will list the total for each merit type and one grand total.

I've been trying a few different things including sub queries but I've not managed to get the query to produce a single record that counts each individual type.

Pull Info From One Text Box Forward To New Record

Aug 10, 2005

Looking for an automation solution
currently I have a database for client progress and prescriptions. when the file is opened it is set for data entry so that a clean note form is opened. I have a button that pulls up past notes for their review.
it has been requested that there be a way to pull the last narative field forward to the new record for editing as a number of the features of the narative remain the same.
Currently the only way is for them to open the last seen note hightlight the field and past into the new note. to high level for some of them.
Need to make this an automated feature where they would just click on a button and the process would all occur behind the scean and the note would apper in the new note narative box.
I know that I could tell the form to not be for data entry but then they write over the last note. this needs to be a new record.
Any suggestions greatly appreciated

General :: Match Typed Text And Forward To That Record

Oct 20, 2013

I've got an access form, and all I want to do, is to be able to type a number into a text box, click a button and then for the record containing that number to be displayed (in that same form).

-And I dunno where to start.

I don't like using the navigation bar, although that is almost what I'm after. Also, search functions I've seen on here that use combo box lists to display results seem like too much for me, as each number typed into my search box will be unique.

Adding Times With Inconsistent Formatting

Dec 22, 2013

I am making a race results database that is supposed to sum an entrant's two times together to obtain a total combined time.

Let's say that the two times I have are '41.43' (41 seconds and 43 milliseconds, there is no colon) and '1:48.17' (1 minute and 48 seconds and 17 milliseconds), and both are currently of the short text data type in my table. How would I go about obtaining the sum of these two times? I have already tried using queries to convert the strings to seconds with no success.

Carry Certain Data From 3 Forms To One Printable Form

Nov 10, 2005

is there any way to carry specific data entered by the user from 3 forms to one printable form which is set up like a city permit? ideally, i'd like the user to be able to click on a button to open the permit & then click print after having entered all the data into the 3 forms (1st form opens 2nd; 2nd opens 3rd).
ie - a contractor comes in & applies for a permit, the user (permit clerk) enters all the contractor's info into form 1 then clicks permit & enters the info for that specific permit (there are 4 types) into form 2, then clicks payment & enters check #, fee, etc. into form 3. the permit should now be issued but only needs to have permit #, contractor name, date, location, & amount paid on it. is this possible? i've tried building a query to base a report on with the with that info but am not gettin the results i want, and i don't know how to have a report display only one permit at a time. plus, my users don't want to have to run a query & then print a report. they just want to click print after entering the data (they're very lazy, set in their ways, and not very computer literate). please excuse my dumbness but the whole application is up & running except for this last part.:o please help! thanx in advance.

Calculated Fields In Form Don't Carry To Table

Aug 5, 2006

Is there a way to make some of the fields from my form that contain calculated values carry to the table? Right now the values calculate correctly in the form but when I look at the table the field is blank...

I was hoping to use one form to calculate a value, insert it in the table, and then use that value in another form.

I want to calculate total hours and mins by adding a load of times (in time format) on a report. I've got the total number of minutes and converted this to hours : [txtmins]/60

Now I want to get the remaining minutes by using : [totalmins] - ([totalhours]*60)

However, how do I round DOWN the [totalhours] before it goes into the above sum. I can round it, but it always seems to round up.

Forms :: Carry Record ID To Other Forms

Sep 7, 2013

I have a database that I created a few years ago. I have a main form from which other forms can be opened by clicking on a button. This is working quite well. If I am on record ID 9 it will open record ID 9 from the table associated with the next form. My issue is if a new record has been created on the main form.

I had this set up to carry the new ID number to the next form so that it functioned similarly whether the record was new or already existed. I think when they upgraded to Access 2010 this stopped working and I can't remember how I got it to work in the first place. I think it might have been in the form properties or something because the code on the button is just matching on ID between the two tables. How I can get this function back?

Validating A Form When Adding A Record

Oct 11, 2006

I have a form which allows an individual to add a cylinder record, i would like to validate the form in the sense that if the cylinder has already been added into the table it cannot be added again. So once the cylindernumber has been typed within the text field and the add button is clicked, the cylinder number typed is checked against the table if it has already been added a meesage should appear not allowing the user to enter a clyinder that is already added. I ahve tried this with the following code (the coding in red was already generated by adding a command button "add" to the form. The message i am recieving when the cylinder number in the textbox matches the cylinder number within the table is "you cant go to the specific record". I think my coding must be in the wrong order and IDEAS!!!!!

MyCode:
Private Sub Command39_Click()
On Error GoTo Err_Command39_Click

DoCmd.GoToRecord , , acNewRec

Exit_Command39_Click:
Exit Sub

Err_Command39_Click:
MsgBox Err.Description
Resume Exit_Command39_Click

Dim db As DAO.Database
Dim rs As DAO.Recordset
Dim StrSQl As String

Set db = CurrentDb

Set rs = db.OpenRecordset("SELECT * From tbl_CylinderMaster Where [Cylinder Serial Number] = '" & Me![Cylinder Serial Number] & "'")

Forms :: Adding New Record To A Form

Jan 25, 2015

I am new to Access and I was trying to create database for chemical inventory handling.I have two tables. one of my tables (chemical info) has information on chemical properties. I used "Cas NO" as primary key. I have another fields such as "chemical name", 'product number" and etc.

In Second table (chemical inventory) i have "ID" field as primary key and I used lookup wizard in order to fill "Chemical Name" field. I thought it will be easy to pick up name rather than typing it because the names were complicated. After I created two forms. one form is chemicals info form based on chemical info table and other one is LAb_inventory based on chemical inventory table.

I set up Lab inventory form as main form and Chemicals info form as subform. Linking field is chemical name. So that when I chose chemical name from combo box i can see inventory data in main form and chemical properties information in subform. Now i have two problems..One of them is when I add new record to my subform I cant see this new record in main form. I suppose it is because chemicals names of each form is derived from different tables. furthermore in main form instead of chemicals name i see "my primary key CAS NO".

What i want to achieve is add new record to chemicals info form and fill up all chemical information save and in the main form to add new record choose new chemical name which i just added and fill up inventory information.
