Union Query - How To Populate 5th Table With All Data From 4 Tables
Sep 24, 2014
I have 5 tables in access 2010, 4 of them have data in them and I need to populate the 5th table with all data from the 4 tables. I know you have to create a Union query, but i dont know the sql statement
Table 1 - data
table 2 - data
table 3 - data
table 4 - data
table 5 - combine data from table 1, table 2, table 3, table

I have problems understanding lookup tables, especially how to populate them with data. I'm working on an exams database, and have many such tables...
Table for Students
Table for Subjects
and a lookuptable for studentsubjects
Table for Classes 1, 2, 3, 4
Table for Subjects Eng, Math, Geo, Chem... 11 subjects in all
and a lookuptable SubjectClasses
Having inserted data for all subjects and all classes, should I then go ahead and Insert data for SubjectClasses? There will be 44 items!
Even more appalling, studentsubjects table will have (no of students * 11) for my small school, it will be 1,760

I have with my database. It's holds cost data including purchase made in foreign currencies which need to be converted to GBP using the correct exchange rate so a variety of reporting & stats can be performed.I have a table called Costs within which there are 2 fields
Purchase Currency
Exchange Rate
I also have another table called Exchange Rates 13/14 within which there are 2 fields
Currency
Exchange Rate
When a value is entered in the Purchase Currency field on the Costs table (this is a look up field linked to Exchange Rates 13/14 so it shows the listed currency in drop down) I need the database to automatically populate the Exchange Rate column in Costs i.e. match the value in the Purchase Currency field to the Currency field in Exchange Rate 13/14 and populate with corresponding Exchange Rate from Exchange Rate 13/14.I have tried the following and none work:
SQL Tried
1.
UPDATE Costs
SET ExchangeRate = [Exchange Rates 13/14].[Exchange Rate]
WHERE Costs.[Purchase Currency] LIKE [Exchange Rates 13/14].Currency
2.
UPDATE
Costs
SET
ExchangeRate = [Exchange Rate]
FROM
[Exchange Rates 13/14]
INNER JOIN
[Exchange Rates 13/14]
ON
Costs.[Purchase Currency] = [Exchange Rates 13/14].Currency
3.
SELECT [Exchange Rate]
FROM [Exchange Rates 13/14]
WHERE Costs.[Purchase Currency] LIKE [Exchange Rates 13/14].Currency
I know it is possible to have a drop down for Purchase Currency which shows 2 columns (both Currency and Exchange Rate) you can then use the exchange rate figure for a calculated field. The problem I have is that I am importing data into the costs table from excel. In Excel I can only have 1 value in the Purchase Currency column on the upload template. If I just have Euro in this column the database does not match it to the Euro in the Purchase Currency drop down and also store the correct exchange rate.
Or is the alternative to put this into the calculation of GBP Unit Cost where this somehow matches the Purchase Currency in the Costs table to the Currency field in Exchange Rates 13/14 tables and uses the appropriate exchange rate from Exchange Rates 13/14 to calculate GBP Unit Cost in Costs table.

I'm trying to create an access table (with a Primary key) that loads in the data from a Union SQL view.
Im hoping there is a way of achieving this? Ive tried an append and create table queries which copies the data but still no primary key.
I've created a blank table with the fields i want but cant think how to import the fields from the view into it?
Am i better off loading the view into excel?

I think I need a union query for this. I have 2 tables with the exact same field names. I need a query that will return all of the records together. I haven't been able to figure out how to write the sql code. I do best when I am working from an example, but all the examples I've seen by searching this site are a little confusing...
My two Tables:
Direct Table:
|_Title_|_Number_|_Location_|
|_Youth_|_25212__|__Storage_|
|_Aging_|_93839__|__Stacks__|
EBSCO Table:
|_Title_|_Number_|_Location_|
|Generic|_123456_|__Storage_|
|_Pizza_|_948282_|__Stacks__|
The New Query:
|_Title_|_Number_|_Location_|
|_Youth_|_25212__|__Storage_|
|_Aging_|_93839__|__Stacks__|
|Generic|_123456_|__Storage_|
|_Pizza_|_948282_|__Stacks__|
Fairly simple...but hard enough that I'm having trouble figuring it out. Previously, I was just combining the two tables into a new table, but that means whenever I update information, I have to update it in two places--which defeats the whole purpose of a database.
Thanks,
Siena

hello!
I'm wondering how would I, in Access, make a query that would let me do a UNION and then insert that data into a table?
Is there a way that I could achieve that in one(1) query?
I've tried with INTO, but I get an error.
(i'm using access 2000-2003)
thanks!

I have a Union query that is linked into about 10 different excel spreadsheets on our drive and it pulls back only 3 columns of data (Document Number, Date Registered and Date Implemented). I then have another report which refers to the results of this query and does its own thing from thereon.
Here is a sample of the SQL:
SELECT CINT(RIGHT(RT_01000.[Rev-Trac Number],5)) as [Document Number], RT_01000.[CC_RT Issue Date] as [Date Registered], RT_01000.[Actual Delivery Date] as [Date Implemented] FROM RT_01000;
UNION SELECT CINT(RIGHT(CC_RT_01000.[Rev-Trac Number],5)) as [Document Number], CC_RT_01000.[CC_RT Issue Date] as [Date Registered], CC_RT_01000.[Actual Delivery Date] as [Date Implemented] FROM CC_RT_01000;
My Issue:
As it is above, the query will run, but we end up with duplicate numbers in the "Document Number". It only brings back the final 5 digits from each of these files and ignores the differenciating part of the number, the "CC_RT_" or the "RT_". This causes huge issues in the file which then goes onto use these results afterwards.
My Plan: (failed)
I thought I could simply update the "5" to an "11" to catch anything named "RT_00001" and also "CC_RT_00001" serperately so I can clearly see which is which without any duplicates. However, I recieve the below error when doing so:
"Data type mismatch in criteria expression".
I've been playing with this for hours and unfortunately many many reports reply on these results being correct. It is also not possible to change the names of the RT and CC_RT files that it links into.

I have Access2003 and a problem creating a simple method of constructing a union query.
I am using a commercial paradox databse that has a habit of creating a new table every time a certain action is performed. There is currently a set of 160 tables with identical fields. The database allows me to view data in these tables individually. I would like to pull the information together, from between 20 and 30 specific tables at any one time, and view the data in one table.
I have linked the tables in a an access database and would go about viewing the data by creating a union query containing each of the tables of interest. Then appending the info in these tables to a new table.
Unfortunately manually adjusting the SQL expression is a bit cumbersome to say the least I am wondering if it possible to select the tables of interest from a List Box on a simple form and have those selected inserted into the union query ?
Alternatively, the table names are actually a field within a different table. Another field within this table actually determines whether they will be of interest. So ideally I could query that table to tell me which tables need to appear in the union query. Again I would like the union query generated automatically as a result of that query.
I am confident, perhaps without good reason , that this must be possible ....
any help much appreciated.

Hi All,
I have a Union query that brings together several tables into one. This works perfectly well however there is an occassion when a field in one table has its data type changed to text from date. This is to allow N/A to be entered rather than a date. When this occurs the union query changes all the dates from the other tables to text also and therefore other queries I am running based on the Union query now fail.
Is there any way to have the Union Query ignore the data from the table where and when this this occurs as it is not necessary to show in the query and can happen with any of the tables at a users discretion
Thanks Again

need to create a database for work. there would be a way to select an id based on a previous table and have parts of it populate in this new table.
For example:
Table A - Webinars (Webinar ID, Webinar Title and Client)
Table B - Sessions (Session ID, Date, Webinar Title, Time, Facilitator, Session Occurred, Reason, Conference Call) [Webinar Title I used a look up field and just select the corresponding Webinar Title and it works nicely]
Table C - Users (User ID, Status, Prefix, Last Name, First Name, Email Address, Component, Role and State)
Table D - Registrants (User ID, Session Date, Webinar Title, Attended).
So in Table D I would like to add Role and Component, so when I select User ID #1 the Role and Component Field populate with the info based on Table C.

I'm having a problem with a UNION / UNION ALL query.It seems there is a application crash fault when running the query that MS are aware of and have issued a hot fix. Unfortunately it will take my IT dept some time to check and install the hot fix If they agree to do it at all.
Problem signature:
Problem Event Name: APPCRASH
Application Name: MSACCESS.EXE
Application Version: 12.0.6606.1000

I ran into errors recently when I tried running a large UNION query (about 6,900 news articles) in a desktop Access database, that will eventually be migrated to SQL Server. I've got two tables, each having the same typed fields. I joined then through the following query:
SELECT ID,Name,Body FROM Table1 UNION SELECT ID,Name,Body FROM Table2;
The problem was that in the resultant table containing the conjoined records, one of the fields (Body, a MEMO field) copies only the first 250 characters or so, truncating the rest of the data.
I was thinking this might have something to do with telling Access how to type the data when copying it over. Is there a way to explicitly tell a query the data type of each field to be used so that the data can be copied over properly?
Thanks!

Is it possible to populate a single combobox with data from 3 different tables.
I have a table called observations (for observing deer), in that table is a field called Location, I have 3 other tables that list possible locations t_foodplots, t_stands and t_section.
I would like to have a combobox called location on my observations form that will allow me to select the proper location from one of those 3 tables, the choices would be something like this...
Section 1
Section 2
Section 3
Stand 1
Stand 2
Stand 3
Foodplot 1
Foodplot 2
Foodplot 3 etc....
The chosen value would be stored in the t_observations "location" field.

Hello All,
I'm trying to run a UNION query that joins five queries through a MS WorkSpace into a DAO.recordset in VB. I'm pulling the data from a SQL Server Database through VB in Access. I'm attempting to open a recordset with a query passed to it as a string. The query is below. For some reason, I'm receiving a message: "MS Jet database engine cannot find the input table or query. Runtime Error 3078".
Here's what's puzzling. When I run a single query without any UNION statement, the code finds the table and runs fine without error, but anytime I join two or more queries with a UNION statement in the VB, it gives me the error.
I've executed the same UNION query in both Access Query Builder and SQL Server's Query Analyzer and they work fine in both environments. It's only when I call the query from a DAO.Recodset with VB that it causes this problem. The following is a sample of the UNION query joining two of the five queries. Does anyone have any idea what could be the problem? The following query executes in about 5 seconds so I don't think there's a "time-out" issue. I'm thinking that the UNION statement may be the culprit. Maybe there's another way to approach joining these separate queries? Any help would be most appreciated. Thanks.

I have a small database to keep track of some student information. Right now I have one table where a student is first entered with their contact information and then other tables that house specific information about other areas related to the student (if there's no longer with the school, paperwork is complete, etc.). The primary key for all of it is their student ID. The tables are linked parent/child with forms, etc., so that when I open a form having to deal with one of the related tables (student active status), and pull up the student's ID from the first table, it'll then populate that ID into the status table, even if something else isn't added.
What I need is really that when I create a new student on the first table with their contact information, that their ID is populated into all of the related tables, without waiting for additional information to be added. This is because I need to run reports to see who is missing information, etc., and without their ID showing up in that second table, I'm not getting accurate results. How would I set this up?
Sample of tables with smaller number of fields:
Table 1 - Contact Info (always done first for a new student)
Student ID
Name
Address
Email
Table 2 - Student Inactive Status (want the ID numbers to be the same quantity as table 1, even if Student ID is then the only completed field in this table)
Student ID
Inactive status type
Date
Table 3 - Paperwork (same issue as table 2)
Student ID
Submission Date

I have a table with a field I want to update with the value of a Union Query
The field I want to update is Yes/No format and I can update using 0 or -1 OK.
However, when I link in the union query (and check that I only have 1 update result which is either 0 or -1) I get an error message saying that Operation must use an updatable query.
I guess this is referring to the Union Query (although I am trying to update the table and not the query.
In short - I want to update a table based on the value of a union query.
Code:
UPDATE tbl_StaMe_NGR_Subscription INNER JOIN qry_QDF_QRYDEF1 ON (tbl_StaMe_NGR_Subscription.EmailType = qry_QDF_QRYDEF1.Type) AND (tbl_StaMe_NGR_Subscription.AgentEmail = qry_QDF_QRYDEF1.Email)
Code:
SET tbl_StaMe_NGR_Subscription.Subscribed = [Subscription];

I am using below Union Query to unpivot attached table. Basically this is a table with some clothes and their sizes (in yellow). Now my problem is that below query works well only when all sizes are in the same row but as per attachment I may have them potentially over three different rows.
I can determine which row is for which item based on size range column (in red) but I still do not know how to modify my query to look at different rows depending on value of size range column, especially that as you can see there are multiple values pointing out to the same size range i.e. 0-6 and 1-4 point out to Size Range 1.
Unfortunately I cannot change the layout of the table to have all sizes in one row
Code:
Select Field1, Field2, "0" as Size,Field3 as Qty from orderform where Field3 > 0;
Union All Select Field1, Field2, "1" as Size, Field4 as Qty from orderform where Field4 > 0;
Union All Select Field1, Field2, "2" as Size, Field5 as Qty from orderform where Field5 > 0;
Union All Select Field1, Field2, "3" as Size, Field6 as Qty from orderform where Field6 > 0;
Union All Select Field1, Field2, "4" as Size, Field7 as Qty from orderform where Field7 > 0;
Union All Select Field1, Field2, "5" as Size, Field8 as Qty from orderform where Field8 > 0;
Union All Select Field1, Field2, "6" as Size, Field9 as Qty from orderform where Field9 > 0;

I have a table ([AllNames]) that a field ([Past_Employers]) is being auto-populated, and I don't want it to.
[Past_Employers] population is setup form a form, which references a separate table of employer names [Employers].
If I enter a new record directly in the [AllNames] table the [Past_Employers] field populates.
[Past_Employers] is a multi-value field (yes ugh - I know!!!) and is not required.

I explain , I have 5 tables :
Class ( classID , classname,... )
Student (studid , firstname, lastname , classID ,....)
Course( courseid , coursename )
Term ( termid , termname , begindate , enddate )
Score ( scoreid , studid , courseid , termid , score)
Note :
1) A class can contain one or more students (one-to-many between Class and Student tables)
The table "Score" is a junction table between three tables : Student , Course and Term because it contains three foreign keys ( I could use a combination of 3 foreign keys to make a primary key ! ) .
The tables ; "Class", "Student", " Course ", "Term " already contain data for each table I created a data entry form .
My biggest problem is how to create a form to enter students' grades or scores for each student that belong to his class.
I do not know how to do it especially since the idea is that :
On a form I would like to use ComboBox to select a class that displays student's list from class selected and a ComboBox in same form to select course and another ComboBox to select a term and then enter grades or scores for each student
This is my general idea to enter students' grades. The rules are :
A class contains one or more students
Each student takes one or more subjects.
Each student gets scores for each subject and each term(quarter)

Let's say that there're 2 workers: Worker A, and Worker B, and they are fixing some engines. There's 2 different engines: Engine A, and Engine B. And these workers are fixing these engines for all day, and in the evening they have to register how many engines they've fixed.
And my job is to design Access database for them. I thought it will be very easy to do; I've created table with columns: Date, Worker, Engine, Quantity - so every day Worker A and Worker B can register, that they have repaired some amount of Engines A and Engines B.
But there's a problem that I also have to register how many Engines have arrived to the factory, and how many of them weren't repaired on time (E.g. 15 Engines A have arrived, Worker A fixed 5, Worker B fixed 5 so there's 5 engines left for tomorrow)
I've figured out that I should somehow create table IncomingEngines with columns Date, Engine, Incoming, Fixed, Undone (field Fixed should be completed automatically every day for every engine - it would be a sum of engines A and engines B fixed by worked A and worker B - so I could fill Incoming field manually)
It's easy to create this kind-of Query, but I can't add column to querry, or edit it.

My form has been set up to enter and display info.However, the table it goes into is not populating until the user has finished his/her session and closes the form down. We need this info to update earlier, preferably on entry, as we require certain elements to be able to populate other forms.
The MainForm displays all information and the School or Team name is entered through this form, going into the School or Ministry table.This generates an autonumber which is then used in the TeamMember table to identify team members within each team. the only way we have access to this autonumber is by shutting the mainform down and then reopening it. Which event in the property sheet do I require to get the table to populate when the user moves onto next record?

I have one database containing several tables, two of which are associated to this inquiry:
1) tblCategories
Contains two columns: CatID and Category Name
2) tblPending
Contains many columns of data obtained through upload from a web form including a column to capture the CatID and also a column for Category Name.
I wish to populate the Category Name column based on the results of data uploaded into CatID column
How is this accomplished? This is inherited project and I have very little experience with Access so just limping along...
Specific instruction much appreciated.
