Currently I have an Access form which produces a new unique number to identify each new record created. To do this I use the unique ID autonumber from a table to identify the new records. I would like to change from this simple number to the the above format per example 1. The four digits to the left of the hyphen would always be the current year and digits to the right of the hyphen would be the unique auto incrementing numbers such as from my table. I need the year to auto increment by 1 each September 30th (new business year) and I need the numbers to the right to auto reset to 1 to start uniquely identifying records again for the new incremented year. As each record is closed I need the number to be written as a single entity in the new format to my database.
I have a form linked to table tblINCIDENTS. When I create a new incident, I select DATE_LOGGED in a text box. This updates the field in tblINCIDENTS.
I would like to show on the form (and store in the table), e.g.
"Record 5 in Year 2013"
I already had the new record number as an autonumber, but now I created 2 extra fields in the table - recordno and year.
I have a hidden text box which, on DATE_LOGGED.CHANGE, finds the Year() from DATE_LOGGED. I have tried using a Query to find the MAX RECORDNO of YEAR. I managed to display the Max (having manually populated the fields!) in a textbox, but am now going round in circles!
Need to generate a unique reference number each record wise while data entering by a form. How to do this by using a command button ? After entering all fields related to the record, when click on the command button, unique reference number for that record need to be generated and save with all other data of the records. in a later event, need to recall the record by using this reference number and also need to make relation ship with some other table by using the reference number.
I want Access to automatically generate a reference number for a record based on the values in on two other fields for a given record using a form.
The first field is called Operation Number.
The second is Bag Number.
The reference number needs to be in this format: 19C.3.1
Where 19C is the Operation Number, 3 is the bag number, and 1 is automatically generated. Additionally I need the last number --the automatically generated one--to go back to 1 if with each new bag number.
This is kind of like library catalog numbers. Not sure how to do this.
I am trying to create a sequential number field in a query. I cant use an auto number for the fact that i am combining multiple tables. Any help with this would be greatly appreciated.
I have a continuous form with an image and a text box on it. When the image is clicked, some text should appear in a text box. The problem is that the text appears in the text box of the incorrect record.
Suppose the first record is the 'current' record (i.e., having the record selector to its left), and the user clicks on the image in the third record. Then the text appears in the first record, not the third.
Is there a way to find out which of the records was clicked on? Or, can I change the current record to be the one whose image was clicked on?
I have a master table with about 40 fields. In addition, I created eight child tables with read only datasheet views of limited fields from the master table. The child table views are based on certain critera in the master table and are being refreshed by using delete and append queries tied to the On Current property of a form. By double-clicking a specific child record, a form is opened to allow editing of the master record. Also, I am using Referential Integrity and Cascade Update Related Fields to update the child table when a change is made to the master. However, I do not know how to add a record to one or more child tables when a record is added to the master table. The new child record would have to be based on the same critera that the append queries use so it gets added to the correct child table or tables.
I have a table [PickData] in a WMS (Warehouse Management System) database, that records details of each item picked. The key fields are;
[Movement] - a unique ID for a collection of items to be picked. [ToAssignRef] - the order ID [Product] - the product! [Picked] - the date/time the item was scanned [Pick Actioned] - the date/time the [ToAssignRef] was completed [Reason] - A code to indicate why an item could not be picked - AKA F3'd
An operative would be allocated a movement, connected to the [ToAssign Ref], containing a number of products to pick. If an item can not be picked for some reason the operative presses F3 and selects a reason (no stock, damaged etc). These F3'd items (other stock allowing) will later be picked on a different [Movement]. I need a query to identify the subsequent [Movements] and the associated fields following the occurance of an F3'd [ToAssignRef] & [Product].
I have a query, but it runs very slowly (perhaps due to the DB size currently 780K records). Is this the right approach, is there a better (faster) way to do this?

I am setting up a basic Data Licence database. For each new record I enter I want a unique number to appear at the top of my form that can not be changed. I would like the number to be the date it is entered plus the auto number so, YYMMDD-(auto number) eg 071001-1. I'm sure it's something simple but I am only new to access.
Also while I'm here, on my form I have a Product field, how can I make it so I can enter in more then one product?
This then gives me a unique number. Once i have entered a job in it will generate a number. Now this part works fine but it does not update the Maindata. How can i get the this to transfer the data to the maindata table???
Ok, Bacically I have 2 different lists (well there will be 7 in total): tblValves ValveID KKS_no Description List - specifies thats its in the valves list TOP_Code
tblSpools (pipe sections) SpoolID SpoolTagNo Description List - specifies thats its in the spools list TOP_Code
The reason that I have kept these two in different tables rather than combining them is because the spools table will relate to a few tables that will have nothing to do with valves. For instance the spools table will relate to a table called tblPipeSupports.
The thing is this: I would like if there was a unique number across both tables. Collectively the items in coth tables are called components. Some of the components from either table will have drawing numbers for instance so I would like if I could have a table: tblDrawings DrawingID DrawingTitle ComponentID (FK to valveID or spoolID)
However this won't work because valveID or SpoolID could have the same numbers. I could use a composit key like SpoolID + List but I think I'm probally making it more complicated than necessary. Also I'll have several tables like the drawing table e.g. some of the components will belong in the testPack table... And I'l have to repeat that List field in each..
I'm working on a database to create service tickets for a small IT Department. I've created a form that would be sent via email using the collect data option. The thing is that I want to send an auto-response email each time a new record is created to the person(IT user) submitting the data. What is the best approach for this?
I have a statistical program and the user constantly use the form to check calculations and get out without saving a record. In order to allow this with out writing to the table I used unbound fields and an accept and close command buttons.
This worked well until I added a subform to one of the forms. Now, if I just open that form and then click the close button, I get a blank record in the table associated to the main form. Is there a way to stop this?
Hokay, firstly my apologies if this is the wrong subforum, but since my question revolves around the behaviour of one of my forms I guessed the thread should go here.
I have a very simple little database which I use to log RMAs (Returned Merchandise Authorizations). The database consists of three forms:
Form A - The switchboard. The main menu, works fine. Form B - The View/Edit window. Allows me to look at the records in the database and alter them if necessary, works fine. Form C - The Add window. Has the same form layout as B, but allows for adding records only. This is the one causing problems.
Now the situation is that when I enter Form C, the box for the RMA number gets autofilled out - which is correct - thus creating a new record. However, what I want to achieve is a button on the form that will allow me to quit back to the main menu without saving the record that has been created by opening the form. This is for situations where the form has been accidentally opened, or where a form has been started, but is not required to be finished.
I created a template called "AD - Assembly". In this table I have fields for:
"AD_ RecNum" - This is the auto generated number field for each record, and also my Primary Key "Document Number" - This is the number that is being assigned to each document placed in this table. (i.e. AD-0001-001) "Description" - This is the description of each of the documents "Originator" - This is who is assigning the document a number "Origination Date" - This is a =CDate(Now()) field that will automatically generate the date and time the document was assigned a number.
I then created a form called "AD - Assembly". On this form I created a field called "Last Record". I want to open the "AD - Assembly" Form, and have this "Last Record" field automatically filled with the "Document Number" filed of the last created record based on the "Origination Date" field.
I am selling some products, namely A to M. I record the orders of costumers in a table, named "orders". For example, if costumer "Jack" has ordered as the following:

Then I make a report based on the above table and issue that as the invoice to the costumer, who is jack here.
How can I make a unique invoice number, which automatically increases sequentially for each invoice? Do I need to add a new column to the table? I also need to be able to look for a specific invoice based on the number, or date.
I am trying to create an automatic unique 'number' (actually text) in a form. Here is an example of the format...
1456.R1 1456 is the project number R stands for revision 1 is the first revision
So, in this database there could be 1456.R2 etc. but there could also be other project numbers, say 2323.R1, 2323. Looking for expression I need to enter to have Access look up the last revision for a specific project and then add 1 to it?

I have two tables, one named "CurrentTransactions" and one named "Past Transactions".
I have everything working except the invoice number my system works by adding pre defined records into the table "CurrentTransactions" and once the sale has been finalised it transfers the data to the "PastTransactions" table.

I have created a form in access that contains a multiple select list box and a command button "New Record," that creates a new record. I select values in the list box for the current record. When I click on the "New Record" button, the values that I selected in the previous record are still selected. How can I reset the list box so that no values are selected when I create a new record?
I would like to have a date control on a form filled in automatically with the current date when a new record is created (the date would remain as is unless changed manually). I've tried programming it in VB but, being a newbie, have not been able to come up with anything that works. I'm not even sure how to trigger an event to do it just the one time when the record is created.
I launch a 'CreateNewRecords' form from a 'MainForm' form. When the 'CreateNewRecords' form closes, the new record is visible on 'Main Form'.The underlying query is unsorted, so this code in the AfterUpdate event of 'CreateNewRecords' puts the cursor on the last record displayed on 'MainForm', which is the newly created record:

However, I intend to sort the underlying query, which means that a newly created record may appear in the middle of the records displayed on 'MainForm'.
What I want to have happen is that after a new record is created by 'CreateNewRecords', the underlying query is requeried so that all current records are displayed on 'MainForm' but also that the cursor rests on the newly created record (rather than default to the first record).
How can I send an automated email notification everytime a new record is created. I have a macro set up with the send object completed, I just can't figure out how to tweak the logic so it will do it everytime a new record is created.
I have set up a form and only want to display the date and time that will appear automatically based on when the record was created. I definitely don't know how to do this.

From what I can see I would need two separate fields to accomplish this. I would prefer to only use one if possible. I would like to execute the value within the new record as it is entered. That date and time from that point should never change.
I will want to use the date and time in the future for quality control.
I have taken the Access Tasks template and modified a bit. It now captures and saves the time and date a record is modified. The database is on a network folder and is shared among our team users.What I would like to do next is make it,
1- capture and record on my Tasks table the user name of who created the record by using the fOSUserName() function. I have the table fields "Created by" and the VB code in a module. This would happen only once when the record is created.
I would also like to do this with the machine name for which I have the module too. fOSMachineName()
and,
2- capture and record the user name of who modified a record. For this I also have a field in my task table "Last Modified By" and i hope i can use the same fOSUerNmae() function.
I got to the point where I put an unbounded text box with the =fOSUserName() in it and it does show the user name but how do i get to record to my task table?how the template removes the tasks that are completed from the task list as soon as it is updated to completed? how can I make this happen with a cancelled option after I add it to the drop down list?
