Update And Compare Table Records
Sep 1, 2005
Hi
I'm using MS Office 2000, I have an Access database table that contain many fields, namely I need to update FieldA from an Excel Spreadsheet according to the specified primary key of CustomerID. Is there a way to write automate process to import the records from an excel spreadsheet and then place those records in FieldA of the Access Database according to the corresponding CustomerID? The reason I ask is that these two fields are not exactly in the right order in my spreadsheet and my table and to do it manually will take lots of effort.
Your prompt response is greatly appreciated
Thanks

I am programming an Acess Database, the primary data come from an excel sheet. Since Access one to many relationship only works for primary key and another field in another table as foreign key, I can't have normalized database.
I will explain what I mean with a hypothetical situation.
So, let's say I have two tables: WindowT1, CustomerT2.
WindowT1 has fields: WinID (the pk), WindowName.
CustomerT2 fields include CustID (pk), CustomerName, WindowName, WinID.
So, in table "CustomerT2', WinID is the foreign key and I need that field filled in to make one-to-many relationship between these two tables to work. CustomerName and WindowName will be imported and prefilled already from an excel file with append query.
My question is can I make a update query (after the initial append query that brings in the data into Access) such that the criteria is matching WindowName (from CustomerT2) and the update would be the corresponding WinID (the pk number from WindowT1) that would be filled in the field WinID (in CustomerT2)? I know for this to work tables must have relationship and I did that.
Is there a better way to accomplish this task? i.e. through a form (remember info will be prefilled, so can't use combo box to fill in another form field) or maybe can I do this using the first append query (that brings in data)?
I am not good at Macro or VBA. The only thing I have done in code builder is After Update event in forms while using combo boxes. So, if there is no easier solution, I will try to deal with codes.

I am trying to create a query based on a transaction table which compares the time between two types of transactions.
The initial record would have "A' in the type field and the second record would have "D" in the type field.
each pair of A and D records would be matched on o_time and idnum fields, and I would want to pull each pair and us the datediff function on c_time, using records marked with A as the initial time and records marked with D as the followup time.
Is there any way to accomplish this in a single query or do I need to create two subqueries?

Hi all
I want to view vehicles due for servicing in the next week. The queries giving me this information work fine. I have a form that I can select, from a drop down box, either 1,2,3 or 4. A report is then run and emailled to the appropriate people. After testing to see what was the easiest way to remember what the last week was (I tried setting the combo box to remember the value but it did not, unsure why, I also tried recording Mondays date in a field in a table and assigning each Monday a value 1-4 then running a query...long story short, to time consuming) I have used a table with one field to hold the value and after emailling the report, an update query adds one to this field and it is displayed above the combo box in a txt box. I want to reset the value to 0 if the value equals 4 before the update query runs. Is this the best way to do it or can someone suggest another way of doing this.
Thanks in advance
Craig

Have devloped a database to log all support issues for an application I work with.
I periodically update the database by importing from another database
for example my main table tbl_issues has fields IR_NO, DESCRIPTION and STATUS
I then import data from tbl_import which also has these fields. The following query works fine:
UPDATE tbl_support
SET tbl_support.STATUS = tbl_import.STATUS
WHERE tbl_support.STATUS <> tbl_import.STATUS
AND tbl_support.IR_NO = tbl_import.IR_NO
However I also want to do this at the same time:
UPDATE tbl_support
SET tbl_support.DESCRIPTION = tbl_import.DESCRIPTION
WHERE tbl_support.DESCRIPTION <> tbl_import.DESCRIPTION
AND tbl_support.IR_NO = tbl_import.IR_NO
How do I update both fields at the same time?

I have a table "Customer Plans" with 100s of rows of data with 3 columns
'Name', 'Company', 'Plan Type'
I want to create a new column or table "Customer Details" with the the column name 'Customer' under the following criteria:
If the data in 'Customer Plans.Company' Column meets a certain criteria as in = "Corp&Gov" or "Head Office" or is "blank", I want it to populate the new column/table "Customer Details.Company" with the corresponding data in the 'Customer Plans.Name' column
e.g.
if
Name = Anna B
Company = Corp&Gov
then
Customer = Anna B
I want to populate 'Customer' with Anna B for that record and so on down the list of data in 'Company' column.
If however the 'Company' column doesn't meet the criteria, I want to populate the new column/table 'Customer' with the current data in 'Company'
if
Name = Anna B
Company = Dealer
then
Customer = Dealer

I'm using an UPDATE query to update records in one table (tblMain) from another table (tblTemp)
Here is my SQL :
Quote:
UPDATE [tblMain]
INNER JOIN [tblTemp] ON [tblMain].[MainField1] = [tblTemp].[TempField1]
SET [tblMain].[MainField2] = [tblTemp].[TempField2];
I only want to update the records in tblMain which have a corresponding record in tblTemp (linked by MainField1 / TempField1)
If any record doesn't appear in tblTemp, I want tblMain to retain the existing value for that record.
However, it appears that in such situations, the record in tblMain has it's MainField2 value set to null / ZLS.
I've tried using LEFT JOIN and RIGHT JOIN and also tried WHERE clauses but the result is the same every time.

MS Access 2013: I have two database tables as below:
tbl1_MainDB --- It has a field named as "City" where I get huge data for some city names. Sometimes This field may have some unknown/new names which are not listed in our 2nd table ("tbl2_RefrDB")
tbl2_RefrDB --- It's a reference table which has raw names for cities, and then standard names of their city and state in another fields.
Target --- I want to create a VBA prorgram (Sql query) which can look from tbl1_MainDB.[City] to tbl2_RefrDB.[Raw_City] field, and if found then pick the "Standard_State" and "Standard_City" record values from there, and update into the 1st table "tbl1_MainDB".
...if not found in "tbl2_RefrDB" table, then user can be informed & ask for updating the new/unmatched city record as a new record in this table.
Attached sample database for more details.

Not even sure where to start so if this isn't a query question, please point me in the right direction.
I work in a plant that has a number of cranes. Each crane should be inspected each shift (three shifts per day), each day (less Sunday).
I have exactly what I need to capture the inspections being done. Inspections are identified by crane #, shift, and date.
How do I determine if an inspection hasn't been done? How do I compare the inspections that have been entered against the standard of inspections for each crane, each shift, each day?
I am below average with Access on my best day so please type slowly and be specific. Thanks for any help you can give.

I have a table that contains the following fields: ID (autonumber), Item, billing date(mmm/yyyy), count, and approved.
My first query returns records where the approved field is null. My second query returns returns all records for 2 months ago where the approved field is not null.
This is my problem, I need to pull records that have NOT been approved for the prior month BUT if they were approved 2 months ago AND the count is the same, it does not need to be returned in the query. Also, if it was approved 2 months ago but the count is different than what it is for 1 month ago, it needs to show in the query.

So I have a table:
table1: company_name, year_month, company_rating, rating_change
For each company, I would like to compare the rating from 201201 and 201202 (and keep going for each month) and if there's a change in the rating, update rating_change to the difference in rating values.
The company_rating is a value from 1 to 20.
How should I go about doing that?

I have a table called tblAuthorizations. It appears as follows
AuthInstanceID....ConsumerID....AuthNumberID....Au thStart....AuthEnd....PSRUnits....BSTUnits
1374006036.........356679..........20255102....... ...4/22/13......7/21/13.....0..............416
-432536491.........356679...........20255102....... ...1/21/13.......4/21/13....104..........416
-124970517.........356679...........20147863....... ...10/23/12.....1/20/13....208..........520
504564357...........469432..........20254788...... ....4/22/13......7/21/13....0..............520
282523535...........469432..........20254788...... ....1/21/13.......4/21/13....0.............520
I work in mental health, and when we put in a request for a consumer to receive PSR & BST services, we put the above information into our database. Each record identifies which consumer the authorization is for, a start date and end date for them to receive services, and the amount of two types of services (PSR and BST). When one period ends, we request another period, such as in the first three records above, and then the final 2 for another consumer.
What I need to be able to tell is how their service authorizations change. For instance, if I were to compare the first and second records, it would tell me that PSRunits decreased 4/22/13-7/21/13 from 1/21/13-4/21/13 levels.
I have a query that displays the records for each consumer for the current period, but I can't figure out how to identify the previous period's number of PSRUnits or BSTUnits.I've tried adding the following fields, but this isn't working.
PrevEnd: (Select Max(AuthEnd) from tblAuthorizations Where AuthEnd < Auths.[AuthStart])
PrevBST: DLookUp("[BSTUnits]","tblAuthorizations","AuthEnd=" & [PrevEnd] And "ConsumerID=" & [ConsumerID])

I have created a mock employee database to work out kinks before I create the real one. One table has employee info (employeeID, name, address, email, phone numbers, etc.). The other table has "employee actions" with fields: employeeID, actiontype, salary, jobtype, jobtitle, jobhours, bonus, actiondate. Actiontypes are "hire", "salary change", "bonus", "leave". It is a little more complicated but that is irrelevant to my query question...
I created a query to show employee salary changes, amount and action date. I want to create a calculated field that shows the dollar change and percentage change from last salary to new salary. So the query involves multiple records or rows, which seems to be a black hole in terms of information on how to do this. If it were Excel, I would just do a quick nested function calculation and be done with it but with Access, where each record is independent of the others, how to calculate it. I know there must be a way to do this because otherwise, what good would an employee database be?
So the questions are: (1) can you do calculations (other than totals or counts) using multiple records/rows? and (2) if so, how do I do it? It seems I would have to do a a specific sort and it would not be easily updatable.

I have a table called tblCompanies. When a company acquires another company, I need a method by which the acquired company's CompanyID (PK) can be updated to the new company's CompanyID (PK). I also need to be able to update all related CompanyIDs (FKs) to the new value in related tables.
In cases in which the new company does not have an existing record, there is no problem: the company name simply gets changed to the new company and the existing CompanyID is maintained. I then use an audit table and Track Changes function to keep track of the company name data and a union query to keep the old names in the selection lists.
The problem is when both companies already have existing records in the table.
So, let's say I have records for Company A and Company B. Company A merges with Company B and Company B is now the main record. What is the best, simplest and easiest way to update the CompanyID (PK) from A to B and change the CompanyID (FK) to the new value in all related tables?
I am envisioning a pop-up form that directs the user to select the new company and then an update query happens behind the scenes... but exactly how does the criteria for the update query get selected and how do all the related tables get updated? My vba skills are pretty basic, will I need extensive coding to do something like this?

Hi there all,
I am looking for a way to update certain records in a table with an incremented value of +1 each time.
For example, TBL_MAIN will have fields REF_NO and INCREMENT_VALUE. In field REF_NO, the same record may appear more than once and the INCREMENT_VALUE field needs to update by +1 each time. I have attached a simple snapshot of the table. In this example, I would like ref ABC123 have it's INCREMENT_VALUE increased by +1 each time following on from the last incremented value of 12460. I believe this may involve DMAX function, For Next loop and possible DAO recordset code but don't really know where to start!
Rgds,
Paul.

Hi
This may seem a really dumb question but I just can not get my head around the best way of solving it.
I have two tables orders and orders_tmp
the table orders is created form the orders_tmp table. The order is created by a single field createorder (yes/no)from the order_tmp table. I run an append query to copy the records into the orders table. this woks fine.
The problem I am trying to solve is how do I now go back and change the order for what ever reason. I need the order_tmp table to now also include my existing order.
Help please

I need to use an update query to count the number of selected records and then place this number in another table using an update query. The table has a field with a 1 in that field for all records to do the counting. I know I can use forms and subforms, but the data needed is too massive to be practical. Thanks Abe

I have three tables: Members, Promotions, Ranks.
Members has all the data specific to a member and contains just one record per member.
Promotions contains information on member promotions and contains multiple records per member.
Ranks is a table of ranks and data specific to each rank such as name, description, title, fee.
I have a Promotion Detail form used for adding new promotions. I use some VBA that auto completes other fields on the form with information from the Ranks table based on the rank selected. The user has the ability to modify any of the data.
What I would like to do is update the Member's title (in the Members table) when a new promotion is added to the Promotions table. Their title is determined by the information from their latest promotion.
I'm trying to automate as many processes as possible.

I have done everything I can think of to remedy this, but I can't figure out why this is happening. I have a linked table from excel that contains 5 fields for each record. I have a table in access with matching records and 20-30 fields. The linked spreadsheet is used when adding records. I have a query that queries both tables to get all data from both and a form based on that query where others can pertinent data for the records resulting from the query. My problem is that when I open the form the new records that were added in the linked file are there but all the fields from the access table cannot be updated. I have looked every place I know to look for record locks, read only options, everything I can think of why i cannot update these records and I am coming up empty. I checked my join properties and selected the only one that actually displays the linked records when the query is run (not sure the name of the join but it's #2 of 3 join properties options (in Access 2002). maybe I am just overlooking something simple? Do you have any ideas what I can do here?
Thanks!

Hi,
I am creating a league table for my soccer team.
I have a database with these tables:
1. teams
2. league_table
3. fixtures
The Fixtures Table has a lookup where it pulls in the opposing teams - home_team & away_team. There is also Home_goals & away_goals. How can I get the fixtures table to update each teams goals in the league_table table where these details are held.
Anyone any ideas on how this is done?
Thanks in advance.

I created an update query that says it has successfully updated 600 records, but when you go into the table, it has not been updated. I am working with an .mde. Does that make a difference?
I first created a select query to find everyone in TX. Then I changed it to an update query to change all TX to CA. Since it did not update the table, I tried running the update query again and this time it says there are not records to update (since it uppposedly updated my 600 records).
Your help is appreciated.
